Tying up loose ends:
It's now March 24. One week to go as far as getting the details on the
activities that need a sign-up, headcount, hoop-jump, etc.
Ladies (gentlemen), in a few cases, it is time to defecate or abdicate.

Numbers:
Unless things take a major slowdown, our mailing list will break 500
late this week. :) This is far in advance of when I anticipated this to
happen.
As you can see, registrations continue to be steady. They have come in
at about 1.2 per day on average for the past few weeks.
Of the "cold newcomers", those who have never been on a mailing list,
we are starting to see some increase in the outstanding validations.
Almost always they respond after 1-2 reminders. However ...
We had our first cancellation for non-response to the validation. AFAIC
if they are not gonna take the effort to respond, they certainly are not
gonna take the effort to make a hotel reservation, pack, and show up. It
may be a very good weed-out mechanism.

Testing 1 2 3:
I would like to ask everybody who is in charge of an activity that needs
a sign-up to please use one of the URL's below to check to be sure the
verbiage on the activity sign-up screen is to your liking.
Also, please (continue to) shake down the system for errors. All of the
logic to prevent such things as signing up for activities that happen
prior to arrival, signing up for overlapping activities, etc. should be
in place and working.
Anyway, if you have figured out how to bring up your own sign-up screen
(doing this will be an exercise for the student) you can use it, since
we'll clear and reset everything next week.

As of this time we have ZERO SO-specific activities scheduled.
We're getting very close to last call.
If there are any SO activities where we need a headcount or anything, we

John (Glamour Boutique) had a brief mention in his last note that he
would like to have some kind of a give-away promotion on Saturday. I
have not responded yet because ...
Mindy, Nora, all? What are the thoughts and feeling with regards to the
Garden Party and a possible conflict? I show the GP ending at 3:00pm. Do
we want to ask him to hold off until 3:00 for any give-away? We had
agreed before that the GP was "sacred" and that we would not schedule
anything against it.

I'm finishing up the sign-up screens and now starting to work on the
Large Final Mailing<tm> and we do have a number of things that have to
be updated.
1. Contact phone numbers. In the past, we've had volunteers who list
their phone numbers (local landline or local/nonlocal cell) in the Large
Final Mailing as people who can be contacted for information, updates,
etc.
These are ONLY sent to those who have registered, and NOT sent to the
mailing list or posted on the web. There are also multiple admonitions
that the numbers are not to be used for the purpose of asking for a ride
at short notice, which has been a sore spot in the past.
I've listed my number for the past several years, and can assure
everybody that it's a low-demand item. Each year there are a few
hang-ups, and most of the calls are to confirm locations and times,
or variations on that theme.
If possible, I would like to have (at least) one number listed as a "Big
Sister Hotline", for those who need some advice or assistance quickly.
Nora? Jenni? Would either or both of you be willing to let us post your
cell phone number as a Big Sister Hotline?
It would also be nice to have (at least) one number that's local to the
LV area, dialable with 7 digits with no toll.

* Michelle, bowling? Can you please give us a go/no-go ASAP.
* Deb/Ginger? Do we have price information for Hard Rock? It would be
nice to give at least an approximation at sign-up time.
* Limo team? Price information? Refreshments? If we don't have an exact
price, we do need to give a conservative approximate price at sign-up.
* Pity Party? Mindy, I have a $20 mandatory donation in my notes. Is
this correct?
* High Tea? Mindy, I have this down for Friday afternoon. Do you have
a price (approximate is fine) on this?
* Garden party? Mindy, Nora, I have a $10 mandatory donation for this.

Thanks, Jenni. Dance Night is now back on the schedule. (As you also
may have seen, I included this with the Friday activity highlights last
mailing.)
Basically, your only real "duty" is to be there on time so the others
will know they are in the right place and have a friendly face to look
for.
It's really your baby as far as what and where and to an extent when,
but traditionally we've always started the Dance Night at Gipsy, which
is right in the Triangle District. Consensus has been that it's best to
at least start with a place like Gipsy, where everybody, even those who
are new to public exposure, can feel comfortable and enjoy it. The group
has sometimes moved on to other venues as the night progressed.
Only thing negative I've heard about Gipsy is a tow-away back in 2000,
so you do have to watch parking. Gipsy was offering valet parking,
which is probably a good idea for that neighborhood on a busy Friday.
The time has always been on the schedule as 11:00 or 11:30pm, but the
actual time is more like when the Annual Mixer starts to break up. This
is just before the real crowd starts to hit Gipsy.
Even though this is not one of the larger activities, we do get a good
showing and a high rating when there is an obvious DLV representative
there and we stick to our plans. In 2002 Dance Night was rated 4.67 (out
of 5) which was very high up on the activity ratings. In 2003 there were
some problems, and it was rated toward the bottom WRT enjoyment of
activities.

Big Sister Sign-up:

I went thru the mailings and found you volunteered as a Big Sister
before the forms were on line. I sent you and the BS coordinators a copy
of your original, just to be sure.
The Big Sister sign-up forms were done quickly and there are a few
shortcomings, one being that no e-mail confirmation is sent to the BS or
LS candidate. If this works out this year, we can add such things as
e-mail confirmation and matching on more data points.
The success message on the final screen will only appear if the response
hits the logs properly, so unless an error is displayed, the response
did leave a footprint.
If anybody is concerned that their BS item did not get recorded, write
in, it's very easy to check the logs.
