Just over a month:
This is being sent out early. A number of things are happening and we're
up against some drop-dead limits later this week.
I think it's time to switch the ORG list from a weekly schedule to
as-needed, as we have each year.

Wow, just 4+ weeks to go! Seems like only yesterday it was 4+ months to
go.
Anyway, for the most part, things seem to be falling into place nicely.
So much so it's almost scary. :) Most of our bases are covered, and we
are all ready to start the activity sign-up tomorrow.
Again, thanks to everybody for making things happen so smoothly lately.
We're definitely on a roll, gang! :)
Registrations continue to come in. Still very consistently about 1.2 per
day on average, with spurts occurring toward the weekend. I know we'll
see some fallout with activity sign-up, but I don't expect it to be as
much as last year, since we've already weeded out most of the frivolous
registrations with the validation process.
We did get our first case of what may have been a registration as a
prank. It did result in an abuse complaint. I'm watching anything that
comes from a particular segment of the AOL network very carefully and
I'm also checking those who don't respond to the validation promptly for
anything that doesn't look kosher.
Here are the latest statistics. I'm still guessing we're on target for
an actual turnout of around 110-120 bodies total.

That's fine, thanks. I have happy hour down for 5:00pm and dinner for
6:00pm if that will work. I know some will be "fashionably late", but I
really don't want to think of any coordination of 2 seatings or anything
messy like that. I think if we set the cutoff at 70, assume the last can
sit in the main room or in the bar area, I think it will work fine.
As you know, we will be far more assertive about people blowing off
activities that they signed up for, so we will have a far more accurate
headcount this year.

I sent a brief note to Leona the other day. Have not heard back yet. I'm
gonna keep the HW OH on the schedule as is, if only to hold the
timeslot. We have it on the schedule for Wednesday afternoon.
The one thing that will help with the turnout is if we have the exact
suite number in time for the final schedule in the Large Final Mailing.

I have a feeling that dinner at Carluccio's will break up and the crowd
will wander over to Goodtimes between 7:30 and 8 or so. It should time
about right, social time, then dance time. We're currently scheduled to
do the usual dance thing starting at Gipsy about 11, but it might be
better to get the crowd going at Goodtimes and then wander on to Gipsy
as the night progresses.
Jennifer (anybody, actually) any comments on this?
I think the timing will work just fine. Since the music does not start
until 11, I'm sure we can safely use the dance area for the group
photo between 9:30 and 10:00.
We can also pass the word that dancing will begin at 11:00 and keep much
of the crowd there instead of going to TI and getting in trouble. :) :)

years ago the ladies room *was* up just to the left of the main

* SO activities! This is LAST CALL for any that will require a headcount
or a sign-up! This Wednesday is the drop-dead date.
* Limo team? Price information? Refreshments? If I don't hear by
Wednesday, I'm using $35 as an approximation, as I do think we need to
tell them about how much it will be at sign-up time.

firms, but others may know status as well.

Thanks Jenni. I think it would be best to have both listed, in case
one of you is not reachable at the time. Also see notes in the other

Tina can jump in here if she has anything to add, but the point of
having somebody coordinate it is really to have a familiar/friendly face
there to let the DLV people, especially the new ones, know they are in
the right place and that yes, other DLV people will be there.
The situation we want to avoid by this is the case where multiple small
groups or individuals go there, poke their head in, don't see anybody
obviously from DLV, and get discouraged and take off.
As you'll see in Leah's update below, we may want to start the dancing
at the Goodtimes and then move it over to Gipsy later in the evening.

If your SO doesn't particularly want to do this, I'm sure you can find
somebody else, either in advance or on the fly, to take this on. The
coordinator doesn't have to do much, just be there and get the party
started and be sure that plans are followed.

I understand perfectly. No issues with me, and I think the others will

I had this previously down as a mandatory $10. Unless you say "stop" by

concern with John.
I would like to consider the GP to be one of those "sacred" activities
where we do our best to assure maximum turnout and get as much of our
group together as possible.

Looking at the volunteers for phone duty, I think we'll announce
Michelle's and my numbers as general contact (any more volunteers for
this one?) and yours and Jennifer's as the Big Sister Hotline.
The Big Sister Hotline was started a couple years ago and was intended
to be for anybody who needed immediate "sisterly" advice or support,
such as somebody "stuck" in a hotel room, car, or needed to talk to a
live body (one who understands) immediately.
I've been one of the BS Hotline (and general contact) people in the past
and most of the calls in recent years are asking or confirming schedules
and locations. I think there were maybe 4-5 calls total last year.
Some ask directions. One recent year I had to talk a couple people down
Paradise and into the left-turn lane into Milano's. Some just phone to
say they are in town. It's not necessary, but if it reassures them, I
don't mind.
I can't guarantee that you won't get somebody begging for a ride at very
short notice, but there are admonitions not to phone for such. I didn't
get any of those last year. I always plan to give them a bit of slack on
this toward the first part of DLV, since those who need rides may not
have met any of the volunteer drivers yet.
I usually get 1-2 hangups each year. Strangest was in 2001:

Hard Rock details:
I'm assuming here that we need to select one of these menus, am I
correct Deb and Ginger? I'm also assuming that we want something like
the Soft Rock or the Popular Rock, but I'm not the ones coordinating. :)
Both of them have veg. selections as well as carnivore, so I think they
cover about everybody.
Unless I hear otherwise, I'm gonna put $26 (the higher of the two) on
the sign-up form, as I think it's better to do that and reduce it if
you choose the cheaper one than it is to increase.

Ok, thanks, Michelle. It is nice to have a toll-free local contact
person. As I said above, this is usually low-impact. Expect a few calls
to confirm time and location, a couple for directions, maybe a few just
to say they have arrived and maybe a hangup or two.
I would suggest that everybody who has the numbers published for either
function (contact or Big Sister Hotline) be sure to carry a copy of the
schedule in your purse that week.
I don't know what happened last year. I'll look thru the archives and
see why it was not listed.
