Org List:

This is the DLV 2004 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Looks like we're right on track:

Yes, another very long mailing. Lots of things happening, but pieces are
falling into place nicely.

Big news this week is that the lost has been found. :)

Leah has been located, and will be back on line shortly. Plans for
Carluccio's are "go" as originally planned.

Thanks to our resident bounty hunter Tootsye for tracking down and
apprehending Leah. :)

Special thanks are in order to Billie Lee, Deb, Ginger, Jena, and
Tootsye, as they have taken on new responsibilities in making sure
that our activities and functions happen as planned.

Billie Lee will be assisting Mindy with the Golf Tournament.

Deb and Ginger will be coordinating the Wednesday evening dinner at
the Hard Rock Cafe.

Jena and Tootsye will be heading up the registration check-in, perhaps
assisted by others if needed.

And, big thanks to Aiko for handling a number of administrivial
items over the past couple weeks. :)

Please join me in thanking them for their efforts. (Hint: buy them a
drink!) :)
. . . . .

One other possible snag has recently developed. Tushell (Bad Attitude
Boutique) has informed me that their planned dinner-show for Saturday
the 8th. has been cancelled. Although this was not on our schedule, we
had discussed it as a possibility.

That means we have nothing scheduled after Cagle, with Cagle still being
unconfirmed. RHPS is still highly tentative.

Do we want to schedule some kind of a Farewell Get-together?

Dinner for Saturday?

Comments? Let's hear some chatter from the infield, gang! :)
. . . . .

Latest numbers:

Registration continues to be heavy. If this rate keeps up we can expect
turnout to be on the high end of the estimates.

Return registrations: 56
Return SO: 13
Return total signup: 69
Return projection: 62

Newcomer registrations: 40
Newcomer SO: 5
Newcomer total signup: 45
Newcomer projection: 18

Total registrations: 96
Total SO: 18
Total signup: 114
Total projection: 80

Validations outstanding: 1
Cancelled registrations: 1

Mailing list sits at 471, with each addition resulting in an all-time
high. This most likely will exceed 500 by DLV.
. . . . .

As many of you know, Monique will not be with us this year. Most of her
bases are already covered by our volunteers, but the one that is not is
the Garden Party. Although I think we can get Mindy a lot of help,
should she need it, in real-time at DLV, we should have at least one in
advance to go on record. Volunteers?
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Loose ends and dirty laundry:

Thanks to everybody who has sent in recent updates on their activities.
Most things are falling into place very nicely.

On a few activities, we need some information or details, or in some
cases just a "go" or "no go", so if your name is mentioned, please give
us some kind of a response. Even a "I'll let you know as soon as I can"
is fine, just so we know you're still in contact and on top of it.
. . . . .

Monday, May 3:
            5:00pm Happy Hour (Hamburger Mary's - MV)
            6:00pm Dinner (Hamburger Mary's - MV)

We need somebody, preferably local, to make contact with Troy or
somebody else in charge of HM's just to let them know we are going to be
invading that Monday. We will be able to give them a good approximate
headcount the week before DLV. I know a number of the local people on
the list here frequent HM's.

Any volunteers? This is an easy one. :)
. . .

Tuesday, May 4:
1:30pm Bowling (Bowling alley - MS)

Michelle, bowling? Are you going to be able to take that one on. Can we
please have a "go" or "no-go" on this one. No-go is cool, but please let
us know one way or another. I need to either get this on the sign-up
form or get it off of the schedules. Thanks.

6:00pm NSD local Happy Hour (Las Vegas Lounge)

It might be a good idea to let LVL know that we will be in there that
evening, in case they want to adjust staffing levels and such. I know a
few of you are regulars or occasionals at the LVL. Can one of you please
make contact and let them know about this. Thanks.
. . .

Wednesday, May 5:
10:30am Star Trek Experience (LV Hilton)

Michelle? Star Trek? Are you still "go" for this one?
. . .

Friday, May 7:
2:00pm High Tea (TBD - MS)

Mindy, any info on location? Price? We need to know at least the price
and the payment method, and any deadline for such, by the end of the
month.

Mindy has also requested a standby volunteer to assist with this. High
Tea fans?

Later Dance Night (Gipsy, et. al)

Tina? Are you going to be able to do this one? Can we have a "go" or
"no go" on this, please. TIA.
. . .

Saturday, May 8:
10:00am Claude Hall Gun Show (Cashman Field - MS)

Gina? Do you have the price for this? If not, do you have a pointer to
where I might find out?

            11:00am Garden Party (Mindy's residence - SV)

We need (at least) one more volunteer to co-coordinate this with Mindy.

Ladies? (Gentlemen?)
. . . . .

SO activities? So far we have 18 SO's signed up, a good mix of newcomers
and returnees, making a good-size pool of potential participants for any
SO's activities.

If there are any SO activities that need any kind of a hoop-jump or
headcount, we need to know at least where, when, and approximately how
much by the end of March. Sandi, Mindy, Diane?

Thanks, everybody. :)

Ok, let's consider the air tour to be an informal off-the-schedule
activity. We can put it in one of the announcement mailings closer to
DLV if you know for sure.

Well, as of this day, hour, minute, and second (actually Friday), we
have 30 who have indicated they will be arriving before the 2nd, and 20
who stated they will be arriving on the 2nd. Yes, a very good size pool
of potential participants for any activity.

>Only issue I have with this is the cross town trip from HM to Flex. Of

Yes, this seems to be the longest of those blasted "moves" this year.

History has shown, however, that when we have a dinner someplace like
HM's followed by a gathering at Flex, Flex gets a much larger crowd than
the dinner does. I have a feeling that Monday at Flex will be the big
DLV grand entrance for many of our people.

I also think that most of the people going to Rhyolite will be
fashionably late to HM and some may skip it entirely. Just my hunch.

I have a feeling that NSD will be the killer activity of DLV 2004 and
will be a very hard act to follow, at this DLV, at DLV's to come, and
at t* events in general. :)

It seems to me that Wednesday will be the least intense of the three
mid-week days. Nice easy happy hour, dinner, then Karaoke. Plenty of
that Quality Social Time<tm> that our people love. :)

I do agree that the HR Cafe will be good. We had happy hour (actually
happy half-hour) and dinner at the one in Chicago for Pinkfest last
year, mainly due to the reception we got at HRC just prior to DLV
last year.

Hmmmm ... I thought we did set a time for the group photo, both last
year and the year before.

Maybe we don't have a problem setting the time, but a problem keeping to
it. Sounds like a line out of Seinfeld, huh? :)

As of this time anything after the Garden Party on Saturday should be
considered iffy. Michael has not responded yet to my acceptance of his
offer. (I just sent a follow-up.)

Tushell has indicated that their planned dinner-show for that evening
is a NO-GO, so we might think of some kind of after-Cagle thing.

I also wrote to Anthony regarding the possibility of a FFO performance
of RHPS that evening. No response, so far at least.

I think "congregated in groups" is the key here.

IIRC, the big front casino entrance at Venetian is not a drive-up
entrance, and the entrance by the valet park and such is at the end of
kind of an arcade that leads down away from the casino toward the hotel
desk. That's most likely where the limos will assemble.

In other words, more like the MGM in 2002 than Bally's in 2003.

I think I would enjoy the limos better, but if the group wants the
larger SUV type ones, I'm willing to try it. AFAIC, it's up to those who
volunteered to coordinate the activity to make the decisions, advised,
of course, by the group here.

If I were coordinating the limo tour (but I'm not, so I won't) I would
want to try something along the line of the regular limos, but mixing up
the riders and limos at each stop to get the people to circulate a bit
more.

>Once again I hope we don't have too much wind to contend with and the
>walking from the various drop off locations to where there are decent
>photo ops aren't too long. This was a real downer last year!

The wind, we can't do too much about. As for the long hikes from the
drop-off points, it was my impression that some of the casinos that were
picked as photo stops had some restrictions on where visiting limos
could discharge and pick up nonpaying, nongaming riff-raff such as us.
:)

>>Any other comments about the timing? Ladies? (Gentlemen?)

>If we have at 8:00pm pickup what time is the finish (11:00, midnight?)

Since I assume it's a three hour tour (chorus: A three hour tour!) then it
will wind up right about 11.

Thanks, Michelle, good summary!

Limo details:

Tootsye, Aiko write, partly from conversations, summary to keep
everybody in the loop:

T>I plan to ask for a price quote for the use of six white stretch
T>Limos, for Thursday evening. I think we use them for about three
T>hours? We plan to limit the number of girls to 36, six in each limo.
T>We think that any more than that will just be too hard to manage.

Ok, I'll get the limit set to 36.

T>We expect to offer the seats on a first come first serve basis, with
T>prepayment required. Jamie thinks she can set up a way to collect fees
T>before we get there, but if not, we will issue tickets between Sunday,
T>May 2, and Wednesday evening, or whenever the Limo company cuts off
T>the time to pay!

A>BTW, unless Bell-Trans has changed policy, you don't have to have
A>upfront money when ordering limos. You tell them when and where you
A>want them, and they show up. Ask them to have the drivers hold DLV
A>signs, so you know which limos are for us. The payment of limos is
A>collected by the driver at the conclusion of whatever time you
A>designate.

A>In 2002, I printed out the entire limo tour sign-up sheet and carried
A>it with me to the conclusion of the Limo Tour. As far as collecting
A>$, when one of the first 36 sign-up attendees paid for the LT, I would
A>put a green check mark by their name. When I gave them a LT pass, I
A>would then add a pink check mark by their name. That way, I could
A>immediately identify who had paid and who had been issued a LT ticket.

I'll be able to give you a machine-readable sign-up summary either by
e-mail or on the web just prior to DLV, and a hardcopy at DLV.

A>If you are doing the registration, it should be very simple for you to
A>collect $ for the LT during an attendee's registration. So, I really
A>don't see a need for pre-pay, except for those who won't arrive before
A>Thursday, and signed up on the first 36.

Knowing the habits of our group, if prepayment prior to DLV is
mandatory, response will be very low, plus you will be absolutely
deluged at DLV with those wanting to get in on it.

A>I had one concern when I was doing the LT. Remember where you are -
A>in a public place, with many people watching you collect a lot of
A>money. Please be aware that you might end up being someone's target
A>for robbery. I made sure that I had at least two others with me when
A>exiting a building, especially at night, to my car. Also, be aware of
A>who might be following you back to the hotel.

T>We thought we would ask each rider their drink of choice and try to
T>match them up in the limos? Wine, beer, or small single drink bottles?
T>othing fancy! If you want a Margarita you will be out of luck! <g>

If you want me to add beverage selection checkboxes on the sign-up
screen, we can do that and give you a printout of the selections. Or,
you might consider just asking for beverage preference when they pay for
the limo.

T>Since you {Aiko} have been through this, we will be pleased for you
T>to critique any thing that we do! We just want everyone to have fun
T>memorable experience!

A>If I may offer a suggestion(s), Annie will send the sign-up newsletter
A>around the first of April. The way both Monique and I did it in 2002
A>and 2003, was the first 36 that signed up had first priority to pay
A>for seats on the LT.

A>If any of the 36 didn't pay by Wed p.m., the vacant seats opened up to
A>whomever was on the list at 37+, on a first come first serve basis.
A>So, I don't think you have to have a pre-payment hoop to jump through,
A>unless someone is not going to arrive til Thursday. You should be
A>able to collect for the LT prior to Thursday. If you don't think you
A>will fill up 6 limos, you can call and cancel whatever you need to on
A>Thursday morning.

This year with the sign-up list (the interim and final summary
listings), I'll be including the estimated real-world turnout projection
based on the past few years of recording the no-show rates for newcomers
and returnees. This will give you a very good idea of how deep into the
waiting list you can go, and if there will be any need to cancel any
limos.

As you know, registrations are brisk and the limo tour always gets a
good percentage of those present, so I have no doubt that 36 spots will
be able to be sold.

When you set a price, please let me know so I can get this in the
"teaser" for the mailing and on the sign-up screen.

I also want to commend you for setting a reasonable limit. I agree that
six limos is a good practical limit, and going above that is just asking
for a hassle.

"I have a limo, ride in the trunk,
I lock the doors in case I get drunk." :) :)
