Proposed DLV dates:
Results of the vote for the DLV 2004 timeframe are:
A. (5/3-8): 13
B. (5/17-22): 5
C. (4/19-24): 5
Abstain: 1
As you can see, clear majority for choice A.
Therefore, the tentative DLV 2004 dates are May 3 thru May 8, 2004.
These have been marked on the website as tentative, and will be
announced as such in the general mailing next week. If there are no
significant objections, we'll announce them as final at the end of
August.
I realize that again this year, no timeframe is ideal for everybody, but
I think the process worked and the decision was made fairly.
I'm expecting at least a token number of remarks about the closeness to
Mothers Day when we present this to the Teeming Millions next week.
27 total votes were received, which is a very good "turnout" for such a
vote. Most votes came in Wednesday or Thursday morning. 24 hours passed
after a vote was received at 2201 CDT Saturday and polls were closed
2201 CDT Sunday. One "absentee ballot" was received prior to the vote.
Three votes came in after the polls were closed (kind of in a spurt on
Monday), but the outcome would not have been affected if those had been
on time.

Moving forward:
A few subjects to mention as we continue with our planning ...
Activities and scheduling:
Although nothing can be in stone this far out, I would like to start
filling in the schedule (in pencil) where appropriate so we can get an
idea of how things will fit. A few questions here ...
Mindy: Can we assume that Golf will be Friday, or do you want to make
it some other day or hold off on that decision?
Mindy and Monique: Will the Garden Party be Saturday afternoon? Do you
have another day in mind, or do you want to decide later?
Densie: Air tours? Friday again? Thursday and Friday?
All: Do you have a particular timeslot in mind for your pet activity?
If so, please name it. Everything is in pencil now, but if you think
your activity would best work on a certain day or evening, please
say so.
For Saturday evening -- which will be our "big bang" -- do we want to
continue to think in terms of a show for that evening, or change gears
and try something different, like something strictly social?
We've had a show as the feature activity for Saturday evening every
year since 1998, but there have been remarks about the lack of that
"quality social time" on Saturday in 2001 and 2002.

Administrivia:
Our ad-hoc committee will shortly be submitting some documents for our
approval. Just about all of the material is in, but one item is still
outstanding, and should be in shortly.
1. Restroom, behavior, and dress policy documents. Most of these pertain
primarily to our activities that are held in mainstream venues.
2. Handout on above topics to be given to attendees at check-in.

Hotel selection:
We'll plan to have a vote on this in the first part of November. No
hurry, but we do need to be thinking of the hotel situation.
Last year the call to diversify was stronger than the call to
concentrate, and we ended up suggesting four hotels, two of which
(Sahara and San Remo) got the majority of our people.
Monique will be reporting shortly on what she's been able to arrange
at the San Remo.
Boardwalk wants to mend fences, so they may be offering us some good
rates. A note asking for feedback on the Boardwalk will go out in the
July-August mailing next week.

Extension:
I would like to suggest that we table any proposed extension of the
DLV timeframe until around the first of the year. By that time we will
have a much better handle on how our schedule will look, and how much
volunteer commitment we will have. January is about the first time
that people really get serious about booking hotels and air.

Limo Tour, High Tea, Big Sis:

The ticketing and payment will be up to those who have volunteered to
organize this. All of them are on this list, so I know your concern
will reach all of them.
Whether it's hard tickets or some other method, I do agree that there
should be some type of payment tracking.
I didn't hear any cases of somebody who actually followed procedure not
getting to go on this, or on any other activity.
It's my impression that what was perceived as disorganization was
actually the result of several people signing up for it and failing to
pay/show, causing a last-minute re-assignment of people to vehicles.

The only change I would suggest is to give it more attention. That's why
I called for one of more volunteers to make it their primary DLV focus.
Since the program was started (I think it was 2000) it's been very
successful. I know of several cases where the match was good for both
the BS and the LS.
Here's the summary on the BS/LS program from the 2003 survey:
+Seven said they were Big Sisters and had positive experiences.
+Two respondents said they were Little Sisters and found the program
+helpful.
+No negative experiences at all were reported.
+Two stated they did not know the Big Sister program existed.
And from the 2002 survey:
+2 respondents said they were a Little Sister and had a positive
+experience.
+1 respondent said she was a Big Sister and had a positive experience.
+1 respondent said she was a Big Sister and had a negative experience.
+2 repondents said they did not know the Big Sister program existed.
The one negative experience reported in 2002 by a BS was due to the
no-show of the designated LS.
Those who did not know the program existed did not read the
announcements, since the BS/LS program was mentioned many times.
All of the reports I've heard personally, both from BS's and LS's have
been positive. Seems like the big demand from LS's is to have somebody
there for reassurance, some honest feedback on fashion selection and
image, and often times for help with Makeup.
We've had one case where a BS had to go get a LS who was "stuck" in the
hotel room. Countless people have reported being very nervous when first
entering one of our venues or when first meeting the group, but they
almost universally report that the uneasiness goes away very rapidly
after a warm reception.
This last year I made it a point to check parking lots for anybody who
was "stuck" in a car, and to keep an eye out for anybody who was sitting
along, looked like she was about to bolt for the door, or in any way did
not appear to be having a good time.

For whatever reasons, the vote was very decidedly for the 3-8 timeframe,
and hopefully that will give us a very good crowd.

Memorial Day is actually May 30, but since 19{mumble} it's been
celebrated on Monday. The Memorial Day weekend of 2004 (unless the
Powers That Be<tm> decide to change it) will be the weekend of May
29-30-31.
