HM, HW, etc.:

I do think it's very important that we have a block of unimpeded quality
social time on Tuesday evening, between dinner and ADAM/SRO. This will
be the (first) opportunity for most of the people to meet and bond, and
I know our people will want this. If the bar at HM can handle this and
provide an atmosphere that's relatively quiet, I'm sure this will work.
Otherwise, a back room at HM's would probably work.
I can also see a number of people wanting to remain at the Welcome
Gathering instead of going dancing at SRO.
If HM will not have an area that's large enough and reasonably quiet, I
think we ought to consider a place like Flex for the Welcome Gathering,
like we had last year. (Yes, another dreaded "move".) I do think Flex
worked out very well for this last year.

I hope she plans enough staff to do both workshops plus sell to those
who want to buy. I think it's safe to say that both open houses will
have more people than last year.

Hmmmm ... I've been to Meadows Mall (not recently though) and I don't
remember Dress Barn there. I do know there's one at Belz, which is most
likely where our people will wanna go instead of Meadows.

My idea on this was that I'm sure the turnout at Club Girl Talk could
be increased if the people could go there and get something to eat
just before.
Dinner for the showgoers is gonna be catch-as-catch-can. There just is
not time for a group thing that lets people have enough time to get
ready for the show. It's probably gonna be something like a hot dog at
the snack bar or Taco Alpo in the limo. :)

I don't think you're being a bitch at all. That's the way things should
be, first come - first served, or in this case, first paid - first
served. :)
>I'll keep a running list of who pays first up to 49. From 50 and above,

Do you want to announce and start collecting now, or do it at activity
sign-up time?
>If anyone else wants to call Bally's and try to reserve more seats in

Personally, I think the block of 49 will be fine. We can note on the
sign-up screen and in the mailings that if these are gone, they can go
to the box office and obtain their own seats.

We can set the limit at 100 for the activity sign-up. Too early to tell,
but not everybody will be eating with us, so we should be well within
this limit. We can give them a very close headcount a week or so before.
>They prefer not to do individual billing for such a large group so I

Yes, we will get that both on the final detailed schedule and on the
sign-up screen.

I'll make a note of this on the final schedule and on the dress

Name tags:

>Especially the returnees, since they are the most likely to show up

I can do this several ways. I can send you a periodic dump of the names,
or a view of the database on the web so you can check it at your
convenience.
I don't know how you are planning to do them. Last year I just put the
names in a mailmerge type file and ran them off on a Deskjet. This was
very easy with a dump of the first names and SO names.
To eliminate the no-shows, I think it would be best to start your
process right after the first round of cancellations due to non-response
on the activity sign-up. This will throw out those who signed up but
have no intention of actually attending.
>I would rather throw some away then get overwhelmed.
>You may have to do a few last minute people, if you cannot get them to
>me in time. (will bring some blanks with me also)
>How many actual tags did you print last year?
IIRC it was about 110 or so. I did most of them before the last couple
rounds of non-response cancels, because I wanted to send them out there
and not carry them on the plane. I did a couple sheets of the late
registering people the morning I left and stuck them in my computer
bag. I still missed a few. Some registered after Sunday morning, and
there were a number of drop-ins and tag-alongs.

Limo concerns:
Jena writes:
>In regards to the limo sign up, maybe you could add a preference check
>box (but not guarantied) for a non-smoking limo ...
Yes, this is very easy to do.
Since Monique is the "den mother" on record for this activity, the call
on this will be hers. From a technical standpoint this is only a 2
minute job, so if she ok's it, it can happen easily.
Question to the group here: Is there a need/desire to designate limos
smoking or non?
Were there any limos last year in which people smoked? I certainly did
not hear of any complaints about it. I know we had comments about smoke
in some of our activity venues, but I did not hear any WRT the limo
tour.
For the past two years I know we had smokers in our limos, but they
always waited until such things as the stop at the DelMar to imbibe.
Is there a demand for a designated smoking limo?
I know for a fact that we would have a lot of bitching if there would
not be an option of a non-smoking one.
>or even a non alcohol one.
Again, very easy to do, if there is a need and if Monique ok's it.
Would there be a desire for a non-drinking limo? I can understand that
many people would not wanna be in a smoke-filled limo for three hours,
but as I look back, I didn't see any people getting drunk to the point
of offending those who did not drink.
Comments, ladies? (gentlemen?)

San Remo:
Tina writes:

>I took note of your revised hotel info Web page on the DLV site and the
>very good advice that individuals can often get better rates than small
>groups. That really seems very true.
My understanding, backed up with years of experience, is that LV
hotels do not want groups, especially conventions. They want gamblers,
individuals, couples, etc., who will spend time on the machines and
tables, not at the Convention Center, and not boozing it up with the
boys (girls) at the adult clubs or (heaven forbid) another casino.
If you do get a response, I'm sure they will not quote you a rate that's
lower than on the web site. It possibly will be higher.
>Here is the quote I got this morning (Sunday 1/19/03) for my
>individual DLV dates:
+Date Price Conditions and Comments
+4/19/03 $65.00
+4/20/03 $42.00
+4/21/03 $42.00
+4/22/03 $42.00
+4/23/03 $42.00
+4/24/03 $42.00
+4/25/03 $70.00
+4/26/03 $70.00
+SubTotal $415.00
+9% Room Tax $37.35
+Total $452.35
This is right in line with what Sahara is now quoting on their web site.
Sahara is a couple bucks cheaper on weekdays, but more expensive on
weekends.
+When booking a reservation, the Credit Card submitted will be charged
+immediately, as a deposit for the first night's room and tax. You may
+cancel your reservations up to 48 hours prior to your arrival with a
+full refund. Some restrictions may apply during Holidays and
+Conventions. If you are interested in a suite, please call toll free at
+800-522-7366.
>Hard to see how they could do much better than that based on numbers
>we've seen in past years.
I think this is quite reasonable. Definitely cheaper than either the
Boardwalk or Imperial Palace last year, and cheaper than the Sahara
was last year for those who booked late.
>As you said in the most recent general mailing. Book now and book
>often. As the San Remo Web site says, you can always cancel with a
>full refund up to 48 hours prior if you find a better deal.
That is a good point, and one people frequently miss with the services
such as Travelocity, which often has a hefty cancellation penalty.
>Personally, I'm still undecided about staying there; but, from a money
>standpoint, ...
I don't think you will regret staying at a place like the San Remo as
opposed to a brand-name chain motel out in the hinterlands. Our people
who have stayed there have found it to be nice, and I'm sure it's on the
same level as the Sahara or IP. Plus, you will have such things as the
coffee shop and buffet, in case you want a very early breakfast before
crashing, or want convenient breakfast/brunch/lunch when you get up.
>I hope this update spurs people to action before rates go
>up.
I'm gonna post a room rate update to the announcement list this Sunday.
I'll include your San Remo notes.

Thanks, John. I'll pass this on to the org group and we'll get back to you
