Org List:

This is the DLV 2018 Organizational Mailing List (dlvorg_at_divalas.vegas)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Overall, looking very good, thanks:

We do have a number of high-importance and time-critical items in this
mailing, so please read this promptly and thoroughly! :)

Things are actually going quite well, overall. Most of the weak spots
are filling in, and details are being filled in.

Registrations continue to come in at a consistent rate.

We're again asking (or reminding) all volunteers to please check email
regularly from now until our event in April in order to catch any
time-sensitive issues that may arrive.

Have you forgotten to register? We still have a couple volunteers who
are scheduled to coordinate things but are still absent from the roster.
If you're one of these, please register as soon as you can. If you have
any difficulty with registration, scream loudly! :)
. . . . .

Preliminary Activity Sign-Up:

We would like to roll out the test of activity sign-up this coming week,
on or about March 18.

Assuming no major snags develop over the next few days, most of you
reading this mailing will receive a test Activity Sign-Up email this
coming weekend. Please consider this to be "for real" and go ahead and
sign up for activities. Please report anything that does not look
proper! If any error messages or unexpected responses occur, a screen
shot would be most helpful please.

If you're on the ORG list and don't receive this, please let us know and
we will force it for you. Cases like this are usually that the email you
use for the ORG list does not match the email on your registration. (Or,
LOL, you forgot to register this year!) :)

Those of you who are coordinating activities, please be sure to check to
see that your activities which need a sign-up are properly represented
on the Activity Sign-Up screen. Please report any issues promptly so
that they can be corrected and/or adjusted prior to the full roll-out
of Activity Sign-Up on or about March 26.

We're still missing some of the information necessary to roll Activity
Sign-Up out. Please see the Laundry List below and if your name is
called, please respond promptly.

This will also be our latest opportunity to add (or significantly
change) any activities that need a sign-up or headcount.

We also have a few relatively minor but nagging weak spots in the
schedule. Please see items below.

We're closing in on "defecate or abdicate" on a number of items! :)
. . . . .

Thanks to those who submitted Activity Highlights, either on line or via
email. Those submitted by email, and others, will be used over the weeks
to come.
. . . . .

Everything received by Tuesday evening has been included in this
mailing. If you sent in anything and do not see at least a reference to
it here, please send in a reminder. This (black-hole submissions and
responses) gets more critical as the date approaches.
. . . . .

Latest numbers:

As of Tuesday evening we have 165 signed up to attend, and our SO
count currently stands at 25. (These numbers do not include our test
attendee.)

This number is significantly higher than what we saw at the 4-5 week
mark in 2017 and 2016, which were 133 and 147 respectively.

Out of those 165, the Magic Machine says that 135 of them will actually
show, based upon recent years' show-up and no-show rates.

More accurate predictions can be made once Activity Sign-Up starts, as
those who follow through with Activity Sign-Up have been shown to be far
more likely to show, and those who fail to show any sign of life after
umpteen notes to sign up for activities can be safely cancelled as no
longer interested.

One thing we can say quite confidently, however, is that our chances for
a poor turnout is essentially nil! :)

For those of you who are concerned about the "greying" of the DLV
attendee base, the approximate average age of those registered so far
for DLV 2018 is 57.07, down slightly from 57.75 for those taking the
survey in 2017 and 58.59 in 2016, all down from the peak of 60.27 that
we saw in 2015.

One interesting note on this year's attendee base is that we have two
individuals named Debbie Brown. Both are staying at the Flamingo, one is
a newcomer and the other a multi-year returnee.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Laundry list:

Many of these items are needed for activity sign-up roll-out, so please
respond if your name is called. TIA! :)

Thanks to those who cleared items from this list this past week! :)
. . . . .

Robin? Cami? Any progress on the pool party?
. . . . .

Lori, we need the sign-up URL for the Sephora sessions, please.
. . . . .

Sherry, what will be the cost for participating in EHM? Also please note
a few other items below.
. . . . .

Bobbie? Cami? Cassandra? Sherry? JoAnn? Laura? Marilyn? Megan? Michelle?

Will you be submitting a Coordinator Photo?
. . . . .

Bobbie? Any news on the TG Pride Prom for Friday?
. . . . .

All, we're in need of a host(ess) for Lunch With on Friday. If people
want this at Mirage, we're gonna need someone to coordinate it, please.
. . . . .

All, we're in need for a host(ess) for Late Night Dancing on Tuesday.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Close to last call on a few items:

Two particularly weak timeslots still exist, unfortunately, and the
clock is ticking as far as planning anything meaningful in these two
particular slots.

We can probably get by as is, or throw in some generic catch-all
options, but it would be nice to have some fun and meaningful activities
on these evenings.

The time factor is that we should have anything that's going to happen
which will need any kind of sign-up semi-solid by this coming weekend,
and the weekend after that is a hard stop for anything that needs a
sign-up or headcount.

For those of you who have volunteered, but have not yet signed up to
coordinate anything (you know who you are) :) please consider filling
these holes. If you need any hints or suggestions as to what to plan,
just write in (just reply to this mailing - and soon please) and we'll
offer suggestions of some low-maintenance but meaningful activities.

+Wednesday, April 18:
+ 8:30pm: DLV Treasure Hunt (Begin at Flamingo) - ms

Not everyone will want to do the Treasure Hunt, even though we can
probably expand it to handle as many as want to participate. A second
option will be nice in the Wednesday after-dinner timeslot!

+Friday, April 20:
+ 7:00pm: Dining options (various)
+ 7:00pm: Trevi option (Trevi - Caesars) - ms
+ 7:00pm: Margaritaville option (Margaritaville - Flamingo) - ms
+ 10:30pm: Late Nite Dancing (Paris Cabaret Lounge) - ms

Friday evening after dinner is still our big sore spot. Yes, we could
throw in a catch-all such as "Explore The Linq", but one or more options
that are more substantial would be appreciated by us and by those who
will be staying over Friday night. If the TG Pride Prom happens, it will
help, but probably not everyone in town will want to do it.

This is next-to-last call! Please consider filling in the blanks here!

DLV rocks:

Sandy writes:

Looking great for DLV 2018 thank you all for the work you have put into
this!

You (all) rock!
. . . . . . . . . .

Annie responds:

Thanks Sandy! All of us appreciate the warm fuzzies!

I share your enthusiasm. This has been, overall, one of the smoothest
years to plan and I wish to thank you and the other volunteers for
making it so.

This year is gonna be a goodie, I can tell! All of our numbers are very
good and it's certain that we will have a great crowd this year!
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
EHM items:

Sherry writes:

Annie, can u please change the EHM time to 8 to 10+? Well, have the Dr.
V discussion start at around 9:30? I will bring ice, mixers, and cups if
anyone wants to BYOB to the event. What mixers would u recommend?
Thanks!
. . . . . . . . . .

Annie responds:

Thanks Sherry. The adjustments have been made. The schedule notes for
the activity currently show:

"Dr Victoria session starts about 9:30pm. BYOB - Mixers provided.
Cocktail service available next door on a take-out basis."

We will need the correct admission price for the Activity Sign-Up screen
please.

As for mixers, club soda, 7-Up, and Coke are the usual suspects. OJ,
TJ, and ginger ale could be added but are probably not essential.

Now, as for timing. Realistically, the change of the start time will
create a time crunch for those wishing to partake in any of the three
dining options and then change outfits for EHM. This will certainly have
an impact on the turnout for EHM and/or the three dining options.

Assuming a more or less on-time start, dining options that start at
6:00pm have been shown to last at least 1 1/2 hours, and for places such
as Carmines and Ruth's Chris, we can probably assume that dinner will
not break up until around 8pm-ish.

A work-around might be to ask those who wish to dine to pack something
like a gym bag or backpack and change at EHM. In the past, Dr. Vic. and
the staff have been willing to let our people change in the ladies room
there, but it might be a good idea to confirm this, and for us to note
this in the notes on the final schedule.

Please re-think the timing on this. 5:00pm for HH and 6:00pm for dinner
is about as early as we can do these. An 8:30 start time for EHM would
give some breathing room, and 9:00 would be ideal. If you're going to
make any changes, please let us know ASAP as we're zeroing in on the
Activity Sign-Up.

Sephora:

Lori writes:

I have a confirmation from Sephora that they will conduct an 11 am class
on Monday and Tuesday. The class will specifically address a particular
issue like smokey eyes and winged eyeliner, more to come as she sets
this up.

The cool part is the class is limited to 8 or 10 people and is free and
Sephora provides online registration for the class. The store is at
Fashion Show mall and Sephora is excited to be part of Diva.

On a separate note Sam was telling me that Sephora tries to hire a
minimum of one transgendered employee per location. Obviously they are
totally accepting and look forward to the event.

More to come....

Did you get your Tuesday night person at Paris covered?
. . . . . . . . . .

Annie responds:

Thanks Lori. This sounds great. The only item that's needed as soon as
possible is the URL for the Sephora shop sign-up.

No, we don't have a definite host(ess) for Tuesday night at Paris, but
that's a minor concern. I'm very confident that we can draft someone on
the fly if necessary.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Margaritaville timing:

Cassandra writes:

A group of us are planning on golfing Friday afternoon and then going to
Margaritaville around 7pm on Friday Night. I see there is an "option" of
6pm and 7pm... not sure exactly what that means but we are going there
no matter what so if you wanted to solidify something for 7pm, I am
pretty sure I can do it. 6pm is to early though.
. . . . . . . . . .

Annie responds:

We're scheduled to have Happy Hour at 6:00pm and Dinner at 7:00pm at
M'ville. If you have a group arriving 7-ish you can join the others and
just skip the Happy Hour.

Since Friday is usually somewhat busy at M'ville, we're going to require
sign-up for the official DLV dining activity there. If your gang wants
to be part of this group, please have them sign up at Activity Sign-Up
time. If they want to do it on their own, you may or may not be able to
be seated near the main DLV group, depending on circumstances.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Hoover Dam:

Laura writes:

I decided to do the Hoover Dam tour unless its too late.

I am going with a little expensive with Pink Tours which is $99. Limit
it to 5 people unless there is a lot of interest. Could add a few more

I was hoping for Tuesday morning about 8:00am at the Flamingo for pickup

I will need email addresses or phone number for those that sign up Will
need payment about 1 week before the event April 17 I believe Will send
more details to the people who sign up

I hope this go off well
. . . . . . . . . .

Annie responds:

Thanks Laura. This sounds fine.

Some comments and questions ...

First of all, it's not too late. We still have some breathing room.
The Pink Jeep Tours are a class act. You get what you pay for! :)

We'll note this on the sign-up screen as limited capacity with
prepayment required. We won't do a hard limit on the sign-ups, but
state that space is limited with first-paid, first-served. You can
expand if you get enough who are willing to pay in advance.

One Big Burning Question: Do you want to post a paypal link or other
payment info, or do you just want to personally email/phone those who
sign up? Please let us know ASAP on this one.

We'll note 8:00am SHARP for load-in, with a note that there are no
refunds for no-show or too late.

This year we'll have a more convenient way for Coordinators to get the
emails and phone numbers of those who have signed up for their
activities at any time.

Please be sure that everything is OK on the Activity Sign-Up screen when
we roll it out for testing this weekend.

Lunch With D and J:

Katie writes:

There is no activity highlight describing Wednesday lunch at the Bahama
breeze with Dionne and Jane. I seem to remember that there will be some
sort of presentation during the lunch. Am I right in assuming this?

I would like to be there if there is something which interests me going
on, If not then I can snack somewhere on the strip.
. . . . .

Annie responds:

The Activity Highlight for LwD&J has been submitted and is in queue. It
will most likely be going out mid-week this week.
