Replies to this message will be forwarded to the DLVORG list and not

Two months out:

One item front and center, and all please take note.

Our Friday evening schedule is still totally blank!

This one is not going away, gang. We need to make a decision (and this
includes all of us) whether we're going to schedule some meaningful
activities for Friday evening or "punt" with a general "Explore
Downtown" or something like that for that timeslot.

We do have a few possibilities for Friday (below) so hopefully these
will come to fruition.
. . . . . . . . . .

It is now February 14 (yes, Valentines Day, Ash Wednesday, and Yom
Kippur Katan all rolled into one).

We have just over one month to our target date when all activities that
require any sign-up, headcount, or hoop-jump are to be solid for the
testing of Activity Sign-Up. This is our next big milestone and our
primary focus over the next month needs to be getting all of the
activities that require a sign-up on the schedule and with enough detail
that Activity Sign-Up can be rolled out.
. . . . . . . . . .

All, again, please look over the working schedule below to be sure that
the additions and changes you requested are in place and everything
looks reasonably sane. :) And, please keep those cards and letters (and
activities) coming! :)
. . . . .

Everything received by Tuesday evening should have at least a reference
to it in this mailing. If you sent in something and don't see it
mentioned here, please resend or remind as email (as well as humans) is
not perfect. Watching out for "black hole" communications becomes more
and more important as we approach the event date.
. . . . .

Numbers:

There are still quite a few obvious names missing from the 2018 roster!
Are you one of them? Have you forgotten to register? :)

As of Tuesday evening we have 136 total on the board. SO count is now up
to 21. Just over one per day on average over the past week. This is
about the rate we expect at this phase in the cycle.

Out of those who have registered so far, the machine predicts that 110
of them will show up. The best guess of a total for this year is still
somewhere in the mid 140-ish range.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Laundry list:

Much shorter and thanks to all for helping clear items! :)

Sherry? Any and all? EHM? Any ideas or movement on this? Please let
us know. Going once.
. . . . .

All, we're in need for a host(ess) for Late Night Dancing on Tuesday.
. . . . .

Linda? Any and all? ZZ Top? Going twice! This would be nice and fill
a real need if it could happen.
. . . . .

Marisa? Will there be a happy hour in association with the Cornish Pasty
dining option on Sunday? Please let us know on this.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
A few misc. items:

Annie writes:

Email addresses.

There appears to be some confusion as to what can and should be sent to
whom and to what email address. As we approach the crunch time leading
to the big event, it really helps if emails are sent to the correct
addresses and we would appreciate if you would please do so.

In general, anything organizational in nature, activities, planning,
scheduling, etc., should be sent to: dlvorg_at_divalas.vegas and you can
easily do this by replying to any mailing that has the tag "DLVORG" in
the subject line, like this mailing does, or should.

The other email addresses that you might see are listed here, along with
what you should send to them:

dlvdisc_at_divalas.vegas - For email submissions to the Discussion Forum,
which is viewable by the general public. Almost anything intended for
public viewing should be sent to the Discussion Forum. Likewise,
anything sent to this address is assumed to be for public display in
the Forum.

dlvadmin_at_divalas.vegas - This "explodes" to all Admin Committee folks.

dlvpm_at_divalas.vegas - This "explodes" to Annie, Cami, JoAnn.

dlvproof_at_divalas.vegas - This "explodes" to the Proofread Team only.

bigsister_at_divalas.vegas - Forwards to Delaney as well as archive copy.

dlv_at_divalas.vegas - This is a catch-all, primarily intended for general
queries, general info requests, etc. I get to "triage" this a couple of
times a week and end up resending most to various other addresses or
individuals.

There are some other addresses you may see (dlvlimo, dlvadhoc, dlvgolf
and others) but these are not checked frequently and should not be used
at this time.

For those who want to email me (Annie) personally, my preferred personal
address for DLV items is annie_at_annie.net and I check this several times
per day. This is the best if you need to reach me quickly.

Anyway, your help in directing email will be appreciated. Thanks.
. . . . . . . . . .

Sara's (without the "h") attendance is kind of iffy this year, and she
will not be able to do either the PF Chang dinner nor the Nordstroms
Makeovers, so both of these are up for adoption this year if anyone
wants to take them on.

Update: Robin will be taking PF Chang. (Thanks Robin!) See below. :)

The staffs of both of these know our group, so there should be none of
that awkward cold calling.

Any takers?
. . . . . . . . . .

Sandy writes:

Looking good Ladies!

I appreciate everyone's efforts and work on this!

I think its going to be a fun DIVA 2018 please let me know if I can help
fill some voids.
. . . . . . . . . .

Annie responds:

Thanks Sandy. I would echo the appreciation of everyone's efforts! The
planning has gone quite a bit smoother this year than in recent years
and we do thank all for helping to make it this way.

As far as voids to be filled, the obvious one is Friday evening. We're
still totally blank on Friday evening and that's our greatest need. Both
HH/dining options and after-dinner options would help.

If you would consider one of those, that would really help.

You are already doing one nontrivial activity, and that's what we ask
from our volunteers, so you have met your quota. However, if you feel
like doing another activity, it would be appreciated. Just be sure to
watch your own limits. We want to be sure that no volunteers approach
the level of burnout, where they put in so much effort and don't enjoy
things as much because of the frequent attention to commitments. This is
something that has caused us the loss of many formerly-active volunteers
over our years and all of us need to be sure that we don't bite off more
than we can comfortably chew.

It's your call, so if you feel like doing another one it would be
appreciated, and thanks again. :)

Bare Minerals timing:

Dionne writes:

+ 11:00am: Bare Minerals Makeup Sessions (Fashion Show Mall) - ms

We had a misunderstanding in prior years with 11 am meaning the only
timeslot available. That is certainly not true. This event is Not
limited to Mon & Tues, only. Their appts Begin @ 11 am and run until
store closing (10pm) every day Sunday thru Saturday.

I suggest this schedule needs to be more clearly presented.
. . . . . . . . . .

Annie responds:

You are correct, and I apologize if I spaced off doing the necessary
systems work during the slow season to allow schedule line items that do
not have specific times.

We obviously have a need for this, but it's too late in the cycle this
year to do it, as making changes to systems that are "in production" is
poor practice.

The work-around we've used in the past is to place a line item early
on each day's schedule (11:00am, which IIRC is their open time) noting
something like "hourly" or "all day, every day" on each line item.

Hopefully this will be obvious to those reading the schedule.

I've touched base with Marilyn on this and she's OK with this on the
daily schedule, as well as the semi-automated reminders we've used in
the past.

Big Lift and PF Chang:

Robin K writes:

Big lift.... pre-pay $30 ..... 25 slots max.

PayPal payment Robin.kliment_at_gmail.com sender pays fees
. . . . . . . . . .

Annie responds:

Thanks Robin.

One thing I would suggest (but this is your call, and my hunch says
this will sell out whether you do this or not) is to have at least one
opportunity to pay in person at DLV, such as the welcome gathering at
BB, for those who cannot or for some reason do not use Paypal.
. . . . . . . . . .

Robin continues:

PF Chang---- i could host dinner at PFs on Wed if you needing it.

20 max--
. . . . .

Annie continues:

That's super, Robin.

This solidifies the Wednesday dining situation. :)

I'm assuming that this will be the PF Chang at Planet Hollywood. If you
want to use the one on Paradise instead, please let us know.

We'll do sign-up required unless you say otherwise.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Coordinator phone numbers:

(These are machine-generated lists, there may be errors or omissions.
Please report them if you notice them.)

As of this time we do not have cell phone numbers on file for some of
you who are signed up to coordinate activities for the upcoming 2018
event.

Cassandra
Dionne
Katie
Marisa
Michelle (NZ)
Robin
Sandy
Stacy

We would like to have as many Coordinator phone numbers on file as is
possible, should attendees or organizers need to get in touch with you
during the event.

If your name is listed above, please consider submitting your phone
number. Just reply to this mailing. If you are hesitant to do so, that's
cool.

Coordinator phone numbers will appear on the large final detailed
schedule and the "drill down" screens from the tabular schedule. There
will be no general "phone list" distributed to attendees except for the
main contact numbers.

We have the following numbers on file from previous years:

Aejaie | xxx-xxx-1363
Annie | xxx-xxx-3227
Bobbie | xxx-xxx-7479
Cami | xxx-xxx-0057
Delaney | xxx-xxx-0500
Gina | xxx-xxx-5328
Ginger | xxx-xxx-9899
JoAnn | xxx-xxx-0464
Marilyn | xxx-xxx-3167
Randi | xxx-xxx-6130
Sarah | xxx-xxx-8997

If your name is listed, please be sure the listed number is still
current and valid for you during this year's event. If your number has
changed (or if you do not want it listed on the schedule detail pages)
just reply to this mailing.

Bobbie and Delaney? We've used you as primary contact persons for the
past few years. Please confirm that you are willing to have your numbers
listed in this capacity again.

All, if you would like to volunteer to have your number listed as a
primary contact number for DLV during the event, please reply to this
mailing and state so. These numbers will be listed in the "Local
Contacts" section of the Final Attendee Information. If you do this, you
can expect a few, but not many calls, mostly of the "How do I?" and
"Where is the?" nature.

Activity timing and conflicts:

Dionne writes:

I spoke with Stacy J via phone. She wants to move the tennis to 9:30 am.

I still suggest LurL stay @ 1 pm, as well.

This will best solve the time crunch.
. . . . . . . . . .

Annie responds:

If Stacy approves of the Tennis time change, that's fine.

Dionne and Stacy, please check the working schedule to be sure the timing
is what you want.
. . . . . . . . . .

Dionne continues:

+ 1:00pm: Luv Ur Look Luncheon (Bahama Breeze) - ms
+ 2:00pm: Kiss Monster Mini-Golf (Rio) - ms

We just moved LurL to 1 pm and it ran 2 hours in previous years. So, I
suggest we need to move Monster to at least 3 pm.
. . . . . . . . . .

Annie continues:

It will be up to Sarah, of course, to do any possible time adjustment
for the Kiss Mini Golf.

However, when adjusting the schedule to try to "clear the orbit" for any
particular activity, we need to be sure that we're not simply moving a
possible time crunch to a new timeslot, or making another time crunch
worse.

One thing we certainly need to avoid is any chain-reaction mass
reshuffling of activity days and times like we once saw in the early
2000s!

In the case of the above, moving such an activity to a later afternoon
timeslot starts eating into the get-ready-and-get-there time for those
doing the evening activities, so this is most likely one conflict that
we may need to live with.

One thing we need to keep in mind is that it's been shown many times
over that daytime activities seldom, if ever, have the "gravity" to
exhaust or severely impact the pool of potential participants for
another activity, so you should not be concerned about any lack of
potential people to attend.

Having choices is a Good Thing, as not everybody wants to do the same
thing. It's been shown that having multiple options, particularly in the
slower daytime timeslots, will increase the overall turnout and result
in a greater cumulative level of participation and satisfaction.

Trevi and Hoover Dam:

Laura writes:

Sorry not not responding earlier. Family and work getting too much.

Trevi is a yes. What day would be good for the schedule?

I was also thinking 10 years going to Vegas and have not seen Hoover
Dam. Anybody been on a tour of Hoover Dam? See some tours for $60. Pink
tour bus tour for $99.

Any opinions?
. . . . . . . . . .

Annie responds:

Thanks Laura. :)

As for Trevi, I can envision a smaller Trevi thing, kind of like you did
in 2016 on the main floor, working for one of a few evenings, which you
can choose.

Friday is our obvious need and that would probably work best. IIRC the
smaller Trevi thing I referred to in 2016 was on Friday and it worked
very well.

Sunday is probably the second greatest as far as need. Again, I would
envision a smaller main floor Trevi activity.

Trevi would also round out Wednesday nicely.

It would fit, schedule-wise, on Tuesday as well, but there are two
Italian choices on the schedule (one upscale, one more pizza-pasta)
so Trevi would not be the best for Tuesday.

Please let us know which of the above works best for you.
. . . . .

As for Hoover Dam, you are correct that we have not done that in many
years. A quick grep of the archives says that the last time this
happened was 2001, although it's been discussed many times since. The
tour in 2001 was the last of our "Dam Good Tour" series, personally
guided by one of our own who is now retired.

I've heard nothing but good things about the Pink Tours. Looking at
their schedule, they have departures from Las Vegas at 8:00am and 1:00pm
daily. It says four hours, and I assume this includes transit time both
ways.

The 8:00am tour could work any day, actually, Sunday through Friday
inclusive, assuming (LOL!) that people are bright-eyed and bushy-tailed
enough to come back to life for an 8am departure. :)

The 1:00pm tour is probably more realistic and could work just about any
day other than Monday or Thursday.

Please let us know if you want to move forward with this.

Thanks again. :)
