The schedule is filling out very nicely! Again, thanks to all who have
volunteered to coordinate activities this year! We'll do a schedule
review below, concentrating on our weak times.
Special call-outs are in order for Cassandra, Cami, and Delaney, for
behind-the-scenes work on three of our most visible activities, and to
Vivian, for a special surprise planned for Monday and Thursday.
Everything received by Tuesday evening should appear in this mailing,
with the exception of a number of confirming items received in response
to last week's schedule review.

Latest numbers:
As of Tuesday evening the count on the board sits at 127, which includes
19 SOs. The registration rate continues to be just over 1.5 per day over
the past week.
One item of significance is that we broke 100 on the machine-estimated
total turnout number. (102 as of Tuesday evening.) This takes into
account the show-up and no-show rates of recent years.

This week's review will not be in chronological order, but in order from
weakest to least critical.
Friday, specifically Friday evening, is our area of greatest need.
Friday afternoon has a great selection of strong activities, but the
morning, dinner, and evening timeslots are totally empty!
Personally, I don't blame anyone for not wanting to coordinate things on
Friday evening, since we do expect Friday to be a departure day for many
of our people.
One fall-back option we do have is to do a general thing like "Explore
The Linq" or "Explore Downtown" for Friday evening, but we're hoping for
some activities that are more meaningful.
The ZZ Top concert, if it could be arranged, would be a perfect ending
for our event. An "explore" option against such a concert would not be
as weak as if it stood alone.
Friday morning is not that critical, but something like a shopping trip
or something touristy would be nice to have and would round it out.

Anyway, Friday evening is indeed our area of greatest need!

Sunday is our second-weakest day overall. This will be an arrival day
for many, and is expected to be somewhat slow.
Sunday morning is not critical at all. If someone wants to do something
like MCC or something touristy, it would work, but it's not essential.
We have one strong Sunday afternoon activity, but there's room for
something else in there too, like some kind of a touristy thing in the
early afternoon.
For Sunday evening, we should have one more dining option in there. Both
current dining options are more informal and reasonable in price so if
someone wants to host(ess) a more intimate upscale dining and HH thing,
it would be a perfect fit for Sunday.
We have one strong evening activity, but there's room for one more if
anyone wants to coordinate it. Marisa (see below) is reporting that
there may be some changes in venue(s) and timing so we will need to keep
that in mind.

Overall, Sunday actually looks "OK" as it stands, but I think we ought
to fill it out a bit.

Both Wednesday morning and Wednesday afternoon have two good options
each, so Wednesday daytime is solid.
We could REALLY use at least one more HH and dining option for the
evening Wednesday, as the two on the schedule will not hold everyone who
wants to eat with the group on Wednesday night.
We're also in need for one other after-dinner activity for Wednesday.
This timeslot would work quite well for an EHM type of thing if Sherry
and/or others can put it together.

The only issue on Tuesday is that the JLo show may not be happening as
planned (expensive, difficult to coordinate) so we should be looking
into one activity of about any type opposite the Big Lift, which is
expected to fill to capacity.

Monday is one of our days of least concern. The evening is solid and
there is a very strong early afternoon activity which is expected to
fill to capacity.
About the only open timeslot for Monday is in the morning, if anyone
wanted to do a touristy thing or a shopping thing or something like
that.

The timing of things to come:
It is now February 7. We're eight weeks and a few days out from the big
event.
We do have more breathing room in our planning schedule this year, but
we don't want to let things sneak up on us and force us into one or more
crunches just before things need to happen.
One of the most important things over the next several weeks will be to
let us know if anything (not only your activities, but any you know of)
does not look like it will be happening as planned. We're talking about
things like venue closures, volunteer conflicts, and anything that will
put up a roadblock against anything on our schedule.
We've dealt with such issues in the past, and the sooner we know about
them, the more time we have to deal with them.

We would like to have Activity Sign-Up ready to test on or about March
18, which is about 5 1/2 weeks from now. It's nice if we have the time
to roll this out to volunteers first for a good shake-down, than it is
to have to send it out to the Teeming Millions with a few nasty errors.
This would allow for a full roll-out of Activity Sign-Up on or about
March 25, or three weeks out from show time, which has shown to be about
the best timing for this.
What this means is that any activity which needs a sign-up, a headcount,
or any kind of a hoop-jump, anything other than "no sign-up, just show
up", needs to be solid by March 18.
It's trivially easy to add additional activities which require a sign-up
before this is rolled out, but almost impossible after! History has
shown that our people will NOT go back to the sign-up screen to sign up
for an added item, nor will they respond in a meaningful way for an out
of procedure manual sign-up.
One complaint we get fairly regularly is that the Final Attendee
Information is not ready until just before the event. Let's take
advantage of the extra time we have this year and get this out earlier
than in recent years.
There should be no reason that we can't have this available on or about
April 8, or one week out from the event.
What this means to us is that the schedule needs to be solid as of that
time, not just sign-up activities, but everything.
The Thursday prior to DLV seems to be about the optimum for cut-off of
activity sign-up and general registration. At that time you will have
your final sign-up rosters.
In summary, here are those red-letter dates. If anyone can show cause
why this timing is not workable, please scream. :)
Sunday, March 18: Activity sign-up sent out to volunteers for testing.
Sunday, March 25: Activity sign-up opens.
Sunday, April 8: Final Attendee Information rolled out.
Thursday, April 12: Registration closes, Activity Sign-Up closes.
Sunday, April 15: DLV! :)

Tuesday 2:00. I'm willing to pay for parking to go see the Bellagio Fine
Art exhibit of Samurai Armor from ancient Japan. This looks too cool to
miss. $18.00 a person, discounts for seniors and Nevada residents.
Wednesday 2:00. Let's see if there is interest in a second round of KISS
Monster Mini Golf at the Rio. $12.00 per person, but last year we got a
$2.00 discount each because we had 10 people. Actually we had more than
10 and all seemed to have a good time.

they are correct. I'm assuming you want sign-up for a headcount on both
of these.
As for Bellagio parking, as of last week it was still possible to park
for free at Planet Ho and walk across to Bellagio, but far be it from me
to even suggest that anyone cheat MGM out of their hard-earned parking
fees!
The Kiss Mini-Golf scored highly last year, so I'm sure that with word
of mouth reports driving it, there should be enough for the discount
again this year.

Ladies, we have only had two Big Sister volunteers to date, putting us
pretty well behind where we historically are at this point.
I do understand that DLV is being held a bit later this year, and many
are not focusing on it just yet, however if you are considering serving,
please send your name in as soon as possible. April will be here in no
time !!!

BM baton pass:

Marilyn and I had a good chat and we passed the BM baton.
She will become the new hostess for this Bareminerals event.
I also spoke with La Toya, the new store Manager.
Here are the points we discussed;
-DIVA will use the existing email reminder system from previous years.
-Appts. are available Sunday thru Saturday of DLV week.
-The DLV Hostess, Marilyn does not need to be present for any appt.
other than her own.
-Attendees must call the store for their appt. at a mutually agreed
timeslot.
-DLV registration reminder system captures the timeslot and sends out a
reminder email (or text)
-Registration for this event is limited to two appts per hour. This
limit is necessary to limit the BM staffing to normal levels. (Excess
staffing in prior years has been an issue.)
-NO pre-paid gift card is required this year!! This is a significant and
beneficial change.
-DLV attendees are recommended to park in FSM underground - Blue
section.
I am sending out an introductory email between Marilyn & La Toya. Let me
know if there's something I left out. I'm sure this event will go well.

Makeup at the mail:

Some information on Makeup lessons.
So a very affordable and informative and automated way might be Sephora
Cosmetics.
Here is their deal;
They can do as many classes as we would like, like smokie eye, lips, blush
etc... They can schedule them daily and the cool part is that they have
online reservations so the girls can confirm online with us doing anything.
The studio I talked to is at fashion valley mall and can accomodate up
to 8 people. The cost is free and as a side note Sephora tries to have
one trans gal working in every store (that is neither here nor there,
just interesting.)

This could work out pretty much any way you want, either a set time with
a featured theme or presentation, or more of an open thing where the
attendees book on line at various times.
Just let us know what you want to put on the schedule. Most daytimes
are open for additional morning and afternoon things.
