Filling in the blanks:

Overall, things are going quite nicely and we do thank all for helping
out in making this one of the smoothest DLV planning sessions that we
can remember!

All, please make careful note of the "Filling in the details" item below
as there are many questions about many activities that have defaults and
assumptions that will fall into place unless you say otherwise.
Responses are not needed if we have things down correctly.

Yes, this mailing has gotten long. There are many things happening as we
fill out our schedule and get ready for the big event!

Everything received by Tuesday evening should be in here, or at least a
reference to it. If you sent in anything and do not see it, please send
in a reminder.

Between now and our big event, we will be concentrating on things such
as filling the weak spots in the schedule, gethering the details of the
activities, and looking for potential trouble spots, such as time
crunches.

One such possible time crunch has been found, and solutions proposed
below.

Numbers report:

Annie writes:

As of this writing, we have 116 signed up to participate. This includes
17 SOs.

The Magic Machine says that out of these 116, 95 will actually show up,
based upon the historical show-up and no-show rates for various classes
of registrants.

For those who care about trivia and details :) registered returnees
coming from out of town have the highest show-up rate, at right over
93%, and local first timers have the lowest show-up rate at about 51%.
These "fudge factors", among others, are usually adjusted annually and
are used for the "dlvr" report (if any volunteers have a need to see
this, please write in) and the projected numbers for the activities
which require a sign-up.

Until the early 20-teens, couples had a better show-up rate than did
solo registrants, but that gap has been closing substantially in recent
years, and couples on average now have about an 85% show-up rate,
compared to the overall average of about 83%.

Last weekend I planned to do a preliminary projection of total headcount
for this mailing, based on the numbers we had on the board and the rate
of new registrations. The numbers appeared to be converging in the
145-ish range, or slightly above the totals we had for 2016 and 2017,
using a conservative estimate of future registration rate.

However, the rate of registrations increased sharply last week,
increasing to an average of two per day for the week of January 23 to
January 29.

So, I'm gonna say for the meantime that it's "too early to call" with
the qualification that the 145 number I cited above is most likely an
absolute minimum.

We'll continue to keep everyone updated as to how the numbers converge
as we approach DLV-day.

This is one of the easiest ones there is, and perfect for a new(er)
volunteer who wishes to get her feet damp, and get voting status as
well.

and Thursday.

This is scheduled for Paris by default, but if you agree to host(ess)
one of these evenings, you can select an alternative location if you
wish. You will also be able to accept or reject the non-dancing Late
Night Socializing for that evening if you choose.

Activity Highlights:

We would like to invite everyone who is coordinating an activity to
please post an Activity Highlight about it in the DLV Discussion Forum
on the web.

If you are coordinating an activity and do not want to post one, please
let us know and we'll go ahead and submit one for you.

These don't have to be elaborate. They just need to hit the high spots
and address any anticipated questions.

The cost of the activity should be posted, if known, and any additional
action which needs to be done, such as a headcount or prepayment, should
be given.

Suggested dress is something that is always of interest to your
potential participants.

Filling in the details:

Annie writes:

Since quite a few of the major activities are now in place, it's time to
start setting up things for Activity Sign-Up, which will start toward
the end of March.

There will be quite a few activities needing some kind of a sign-up,
headcount, or other special arrangements this year, so it's not too soon
to start gathering the information and filling in the blanks.

For those of you who are newer volunteers, or those who might be unsure
about how this is done, we classify each of our activities into one of
several categories. As of this writing there are just over 50 line items
in the activity database, and it looks like about 30 of them so far will
need some kind of a sign-up or headcount.

As activity sign-up is in progress, all volunteer Coordinators will be
able to see who is signing up for their activities.

Here are the categories we assign each activity into:

1. "No sign-up, just show up" is the default. No sign-up or any
formality required other than being at the right place at the right
time. Most activities use this. This also covers such things as a happy
hour prior to a dinner, where a headcount is not necessary for the HH,
but is for the dinner.

2. "Sign-up requested for headcount" is where only an approximate
headcount is needed.

3. "Sign-up requested" is where a more accurate headcount is needed, but
where there is still some wiggle room.

4. "Sign-up required" is where an accurate headcount is needed. We also
have two options on this to help control no-shows. One is to limit
sign-up to those who have a valid cell phone number on file, and the
other is to limit sign-up to those who have no no-shows or no-pays on
file (or both). It's your call as Coordinator of an activity if you use
those options or not.

5. "Pre-payment required" is for "hostess burn insurance" where payment
in advance is needed. This has been used for activities where the
Coordinator has an own-money investment which needs to be protected from
no-shows and no-pays.

Another item we have on some activities is "Additional action required",
which is kind of a broad category. This is usually in cases where a
ticket must be purchased, something must be brought to the activity, a
confirmation must be phoned in, etc.

In many of the items below, I've assumed what you, the Coordinators,
will want the sign-up method to be. If the assumption is correct, no
response is needed. If it's wrong, or if more specific info is requested
below, please respond.

This would give our attendees enough time to return to their rooms

Good catch on the potential time crunch! We need to be looking for
things like this.

Stacy and Dionne, please adjust the timing as needed and work together
if needed and let us know what adjustments, if any, to make.

Since the afternoon has no significant items following LurL, I might
suggest moving the start time of LurL to 1:00 or so, but I'm not the one
making the decisions on this. :)

All, We do need to keep an eye out for possible time crunches, so if
anyone else notices anything that's too tight, please say so. Do please
remember that not everything will always flow from one activity to the
next, so there will be things which just will not work. However, if a
simple change in timing will help, and not make another connection
tighter as a side-effect, please suggest an adjustment in time.

Thanks Marilyn.

We'll do an exchange of information between you and Dionne, as she
knows more of the recent history of this and the challenges we've had,
particularly with no-shows for appointments.

For now we'll pencil this in on the schedule for Monday and Tuesday at
the normal start time.

You can basically do things as you want, from very simple to fancy if
you like. We've talked about having some kind of a presentation at BM
such as "How To Do Brows", but something like that will be up to you and
the staff.

I would personally think that some kind of an open session, on Monday
and/or Tuesday, would generate traffic and encourage the people to book
appointments (and show up for them) during the week.

Big-lift Bar Crawl

This is your opportunity to see and experience Vegas with friends in ways
you might never have before.

We will leave the Flamingo and visit 3 lounges specifically chosen for
an adult group of about 25 of us. We plan to return to the Flamingo
about 130am with any survivors.

There will be a pre-paid $30 transportation fee for our own bus for the
entire evening and the night is BYOB. Dress is suggested to be tasteful
evening attire with NOTHING fetish or slutty. Persons dressed
inappropriately for mainstream interaction may be denied boarding the
party bus. Shoes that you can count on for the evening would also be
suggested.

Just to let you know. I think this is Brill'. This is great for new
people who are new to going out publicly or those who may be out of
practice. It's Perfect!

It is also somewhere that you don't have to drive to for a light lunch
and can walk for a mere 5 minutes or so to get there in a relatively
comfy environment like The Linq Esplanade.

Late Night Non-Dancing and QST:

I have wondered for years if anyone else besides me who doesn't dance or
have any interest in sitting while others do was interested in just a
lounge night with a heap of conversation. Dancing anywhere indicates No
Conversation due to loud bands and a table for 1 is absolutely no fun at
all.

I would be interested in an alternate way to spend some quality chat and
get to know you time with the girls so thanks Micki. I suspect we need
something of this nature to up the social time a bit and now we are on
the verge of a new way for DLVers to spend time in Vegas.. Even through
the day or late afternoon this would be a nice optio.

We talk a lot about social time then rarely get around to upping the
ante so this might be a nice option. I thought the Volunteers lunch we
used to run @ The Artisan was a great idea and good for some rather nice
mid day social time but it seems it has gone the way of the Dodo bird.
(No I don't want to run one) *lol*. My plate is as full as I want it to
be.

I would definitely attend at least one of these. My staying power is not
what it used to be so the downside is *I could not commit to attending
daily*, which I would really like to but unfortunately I know in my
heart that I would likely doze off somewhere and miss one or two of
them. I hope this one succeeds. I am sure not all T women know how to
dance as a woman or even want to!

Katie's item indicates to me that there is most definitely a need for
non-loud Quality Social Time in the evening. I'm speaking specifically
here of the late evening timeslot occupied by the Late Night Dancing,
usually at Le Cabaret at Paris.

The only way we're gonna see if something like this will work is to try
it, and there is a regular bar, which has a history of being cordial to
our people, just north from Le Cabaret, across part of the Paris casino
floor.

Unless someone objects, I would like to do a re-theming of the Late
Night Dancing into a Late Night Dancing and Socializing session, and for
the nights that we have this at Paris, use both Le Cabaret and Gustav's
Bar. I do envision that many of our folks will end up venturing from one
to the other and back off and on during the evening.

I also don't see any reason why one volunteer can't easily cover both Le
Cabaret and Gustav's Bar.

I regret that I used the term "advice" and understand the counsel from
Ginger.

Since "seek immediate medical attention" works, would a listing of
Police, Fire & public health facilities with contact info be
objectionable? Could a link to this list be added to the disclaimer
statement?

It would be disappointing if someone didn't seek immediate medical
attention simply because "I was in a dress & heels at the time".

We may need to agree to disagree on what information should and should
not be included as part of the information we present, in an official
capacity, to the attendees.

Police, fire, and rescue is phone-911 and everyone knows it.

We can remind our people that they can comfortably engage public
responders, as that's been our first-hand experience over the years.
Likewise we can remind people that local security people are fine to
deal with if assistance is needed.

As far as listing specific hospitals, walk-in clinics, etc., I think
that's beyond the scope of what we should be doing. There are many such
listings available within seconds by searching with a smart phone. We do
remind our people that there are quick-care clinics available in many
pharmacies, and I think that's where we need to draw the line.

Now if you want to do something like, say, posting a list of safety tips
in the Discussion Forum, please feel free to do so. That's well within
the scope of the Forum. Likewise, if you (or anyone) have any first-hand
experience with any specific health care providers, please feel free to
add them to the Big List. There is one MD currently listed, and as of
the last go-round, the listing was still valid.
