Overall, our schedule is filling up and rounding out nicely. Thanks to
all who have recently volunteered to help out.

We are now at a point where our needs are transitioning from "more
general" to "more specific", both in terms of what we need, and when we
need them.

For those volunteers who have not yet volunteered to plan an activity
(you know who you are, and we do too) :) please look at the schedule
review and the "Laundry List" below and please consider either adopting
one of the "up for grabs" activities, or propose something that is new
and unique to our event.

Checking your email:

We realize that quite a few of you on our ORG list use an email address
for these mailings which is not checked frequently.

As we approach the date of our big event in April, the probability
increases that we may encounter issues which are time-sensitive and for
which we need prompt discussions and decisions. We ask all to please
check your mail that you use for this list frequently from now until our
event, or else allow us to place a more primary address for you on our
ORG list. If you wish to do so, just send us a note.

Latest numbers:

The number 100 is historically the one that we hold our breath for, and
we broke the 100 threshold on Monday evening, January 22.

We currently have 102 individuals signed up to attend, which includes 13
SOs at this time.

It is somewhat difficult to do any kind of apples-to-apples comparison
between 2018 and recent years, since our event this year occurs later in
the year than in the recent two years. We've also been varying the
opening date for registration over recent years.

However, in comparison with 2017, if looking at numbers on the board
since registration opened, we're slightly ahead of where we were last
year. We hit the 100 mark on January 27 in 2017. If we're looking at the
numbers in terms of days out from the event, we're somewhat ahead of
last year.

Two major concerns voiced over the past few years are along the line of
decreasing sign-up and turnout numbers in general, and an ag(e)ing of
the attendee base.

As far as shrinking totals, we were up in 2016 and 2017 from our most
recent low in 2015. We're to the point this year that we can confidently
say that unless unforeseen circumstances develop, we're not in danger of
a significant decrease in total participation. The numbers are passing
all sanity checks regarding where we should be at this point in time.

Now as far as age is concerned, it's an inexact science as we do not
have anything but the approximate age numbers that people report when
signing up and from taking surveys and such. However, when we're dealing
with large numbers, errors and "noise" tend to cancel out, so take these
next figures as somewhere within the ballpark.

So far, the (very) approximate average age of all who are signed up to
attend this year is 59.1 and the average age of new attendees signed up
for 2018 is 52.3. The former number passes the sanity check, as it's
within about 1.5 units of what we saw for an overall average age on the
survey last year. The latter number does show a lower average age for
new attendees.

That's the latest numbers report. We'll continue to watch things very
closely.

We've had a number of items "cleared" from this list over the past week
and we do thank all who helped make this so!

For those of you who are not yet committed to host(ess)ing an activity,

In this round, we're going to concentrate on the timespans of most need.

So I have reserved the Yard House which is by the ferris wheel on Monday
the 16th at 1 for Wendy. I think instead of making it or calling it a
wig seminar let's call it lunch with Wendy. If Michelle comes we can add
her as well. They can talk wigs and other stuff. I'm confirming all this
with Wendy but the restaurant is booked. I think with the venue being so
close it could be well-attended.

Social at Transcending The Gender Box:

Transcending the Gender Box is a drop-in-center, which is open to the
public, but is a safe place which caters to Transgender and Gender
non-conforming specific needs. A place in which the Trans-expansive
community can call home.

We provide various services and provide space for various group
meetings. All of our services and resources are free to the community,
this is why indivdual donations are important. All meetings or groups
that meet are open to everyone, unless it is specified as Trans specific
only, but all groups have outreach into the Trans-expansive community,
as the Trans-expansive community has various interest.

Everyone is welcomed into our facility, regardless of Race, Gender,
Gender Identity, Sexual Orientation, Age (minors must be accompanied by
an adult), Class Welfare, Ability or Disability, etc...

The Gender Box Drop In is funded through donations. It is sponsored by
Las Vegas TransPride.

I am planning on The Tennis Tournament again this year, and it was
suggested by Cami that Wednesday morning at 10am might work. Will this
time slot work?

The Tennis event would last roughly 2 hours and again would be held at
Bally's courts directly behind the Paris parking garage.
 
I'm also going to host the Exotics Racing event again this year, but not
sure when a good time slot would be.... maybe Friday afternoon?

Tennis at 10:00am on Wednesday works fine. It's on the schedule at
Bally's.

This was rated highly last year and due to word of mouth should get
a higher level of participation.

Friday is probably the best for racing. There are some other daytime
activities on for Friday, but there are probably no major conflicts
and more options mean a greater total level of participation.

Please let us know details when they are solid.

What I might suggest is Gustav's Bar, which is due north of Le Cabaret
on the casino floor. Our people have been going there off and on for
decades.

It's also the place where one of our people won TWO $4000 royal flushes
in a timespan of a couple of hours.

If you feel like joining (or just checking out) the gang at the Cabaret
Lounge, it's maybe a one-minute walk between the two places

This response is regarding the original item in DISC, which I'm hearing
as a desire for a more quiet (as in QST) alternative or parallel track
to the nightly dance session.

My questions to the org group are along the line of do we want to put a
parallel late-evening recurring non-loud get-together on our schedule,
and if so, where? I personally think that Gustav's Lounge could be used
either formally (line item on the schedule) or informally (suggested as
a less noisy alternative to Cabaret) to meet this need.

at the erotic Museum this year.

She feels that it's run its course, which I agree with. Let me put my
head together with her and maybe we can think of something else maybe
like line dancing at this club called White Buffalo. I'll keep you

Sherry, you have official "second dibs" on EHM since Stacy declined and
since you were listed second on the volunteer list for it last year.

It's your baby if you want it. If you need help, there are quite a few
here who would probably be willing to assist. Please let us know if you
wish to pursue this.

To all, I think that there are some very specific needs that we need to
consider when filling in and rounding out our schedule this year.

First is for at least one mid-size activity at which there is a liberal
dress code, such as the activities we've had at EHM and Kings Of Hustler
in the past several years. EHM does have the potential to meet this
need, perhaps as an option for Tuesday or Wednesday evening if you
(Sherry) and others wish to make it happen.

Another is clubbing, whether mainstream (those trendy velvet rope
clubs), specific (such as country and line dance and such) or
alternative. This (clubbing) has been cited as key to keeping and
holding our younger attendees.

These are two very specific types of activities which could really
help round out the variety in our schedule!

Ballroom dancing or general dance instruction has been a recurring topic
over recent years. In the early 2000s it was quite successful.

We did have one item on the schedule recently, but IIRC attendance was
poor due to it being up against another very popular activity.

If we're going to have something along these lines, now is the time to
plan it, as timeslots are indeed filling up.

I know that we have (at least) two SMEs in this field.

There are a number of daytime timeslots that would work for some kind of
studio instruction, and we have a few evening slots which could work for
specific dancing activities in addition to our nightly LND.

that's currently our timespan of greatest need.

If you or someone wants to coordinate a DLV activity of this, you or
anyone else, you should get going now, checking on prices, availability,
etc., since this looks like it will probably end up being sold out, at
least on the weekend nights.

Injuries, liability, etc.:

This began as an off-line conversation discussing two recent injuries
sustained by our volunteers, neither of which occurred in relation to
our event.

This has been edited for brevity and clarity.

I asked Ginger, who has been our SME on the "business" end of things
having to do with DLV, to weigh in on this.

My particular concern is along the line of the possibility that if we
should decide to give any specific "advice", it may make those of us who
are most exposed in this group more exposed to liability if the outcome
of following such "advice" is other than rosy.

I want to be sure that if we're genuinely trying to be helpful, we don't
open ourselves up to being responsible, and Ginger has a good feel for
this end of things.

We had a related discussion after a bout of illness during DLV in 2013,
one case of which had a tragic outcome. The consensus among our
volunteers was that we can help out by reminding our people of the
common-sense responses to injury and illness (phone 911 if critical,
notify local first responders, seek medical care) and that we can indeed
point our people in the direction of those who can help, but we should
not be involved in taking responsibility for care of injury/illness, nor
should we recommend any specific providers.

We added the following item to the "What to do if something is wrong"
section of the Final Attendee Information.

+In case of illness or injury:

+In case of any serious injury or illness, phone 911 or contact
+on-site security personnel immediately. They will assist you as
+they would any other individual.

+For routine or minor issues, most of the name-brand pharmacies
+in the Strip area (and elsewhere in the Las Vegas vicinity) have
+walk-in quick-care clinics. Please contact the providers directly
+for hours, directions, and other information. The DLV organizers
+and volunteers do not officially endorse any particular providers.

The first paragraph simply reminds all of what to do in the event of a
serious injury or illness. This should be common sense in everyone's
mind.

The second informs (or reminds) of the very convenient availability of
minor medical care should it be necessary.

I asked Ginger to comment, and she emphasized the point we have covered
in depth many times, that being that participation is at one's own risk
and that we (organizers and volunteers) should not be in the business of
assuming responsibility for everyday risks.

Ginger writes:

I have always been in favor of a general hold harmless agreement as a
requirement for participation. Typically hold harmless agreements state
some of the reasons participants will hold the organizers harmless and
where responsibilities lie.

The problem is if it's more than general, we would have a hard time
covering all of the items a reasonable person would be expected to
avoid, including not having a good medical insurance policy.

There are so many ways participants might incur injury. Slips and trips
are among the least worrisome.

For example, do you remember the large lady from New Orleans who joined
us one night at Goodtimes and suddenly passed out falling off the bar
stool onto the floor. We all thought she was dying or dead of a heart
attack or other organ failure. She did have organ failure, several
probably, caused by her corset being so tight she could not breathe.

In the past we have had participants who off the record advertised their
personal services that had the potential for all kinds of danger I could
go on and on, but am reluctant to try to cover specific issues.

I suggest we simply say in registering for DLV the person acknowledges
that he or she should take care to be personally safe and hold the
organizers harmless in the event of loss or injury. I think we do this
well enough already.

Annie continues:

Ginger, of course, is referring to the disclaimer which all attendees
must agree to in order to register. Following Ginger's advice, we made
the display of the disclaimer and the agreeing to such a part of each
year's registration.

I agree with Ginger that we are doing what we should do, both in terms
of reminding our people of common-sense responses to injury/illness, and
in terms of making it clear to all that volunteers do not assume
responsibility for everyday risks that are encountered during our event.

Starting a thread in the Discussion Forum on what to do in case of
injury or illness is perfectly appropriate, and anyone is welcome to do
so. The one thing I would ask is that those involved give specific
advice only if they are indeed duly qualified to give such advice. The
reminding of common-sense items would, of course, be perfectly fine.

I don't think we need to add anything specific to the web site or the
Final Attendee Information. We cover this already, and we know that in
the event of an emergency, those involved and those witnessing are not
going to log in to the DLV web site to see what to do, they are going to
phone 911 or scream out "Security!" as a more timely response.

If anybody has bona fide first-hand experience with any of the quick
care providers in Las Vegas, they can feel free to add an entry under
"other" in our Big List to let others know of the availability of
services and their experiences, the same as with other providers in
other fields.
