Org List:

This is the DLV 2018 Organizational Mailing List (dlvorg_at_divalas.vegas)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Where things stand:

Thanks to all who have done their part, both on and off line this past
week or so, to help assure the success of our event.

We are now just passing the three-month mark. Our major bases are
covered, and we're doing fairly well filling in and rounding out the
rest of the schedule.

We will do another full schedule review next week.

For those of you who have stated that you will be doing activities but
so far do not have timeslots and other details set, now is the time to
fill in the blanks.

Remember! Those who act first have the most options! :)
. . . . .

Looking forward, we will want to begin activity sign-up starting on or
about the last weekend in March. That's a little more than nine weeks
away. All activities which need to have some kind of a sign-up,
headcount, or any kind of a hoop-jump will need to be solid as of that
date.

We'll be filling in the details of the activities which will be part of
the activity sign-up shortly.
. . . . .

Anything missing:

If anything does not happen as you think it should, such as an email
from this list, an auto-generated email, a response that you think you
are due, please let us know!

For a "good" (???) example, have **YOU** re-registered? Please don't
forget! See below! Please let us know if yours did not arrive. It's very
easy to re-send.

Everything sent in to ORG should appear in this mailing with the
exception of one item (injuries) where we want our resident Wonk to
weigh in prior to opening the floor for discussion.
. . . . . . . . . .

Latest numbers:

As of Wednesday morning we have 90 on the roster, which includes 13 SOs.
New registrations are coming in about one per day as of this time. Still
far too early for any kind of an accurate projection.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Laundry list:

For new volunteers, this is a recurring list (sometimes referred to as
the "nag list") of items which need some kind of attention.

We ask that if your "name is called" in this section, that you give us
some kind of response, or at least an acknowledgement, during the
current ORG list cycle.

If anyone becomes aware of items that need attention but do not appear
here, please send them in.

If you do see your name in here, please don't take it as a derog. I
(Annie) frequently place a one-liner here in the Laundry List when
certain pieces of information are needed.
. . . . . . . . . .

Anyway, the list ...

All? Metropolitan Community Church? Up for adoption. Anyone?

Sara (no "h")? Nordstroms YSL Makeovers? Will this be happening?

All? Studio Lites Open House? Up for adoption.

All? Just You Open House. Up for adoption.

Bobbie? Social at The Center. Is this a "go" for 2018?

Sherry? Stacy? EHM this year? Any further thoughts?

Sarah (with the "h")? Kiss Monster Mini-Golf. Will you be taking this one
again this year?

Marilyn? High Tea? Is this on for 2018?

Delaney? Pamplemousse?

Randi and Shellie? Ricardo's?

Sara (no "h")? PF Chang dining?

Laura? Trevi dining?

Stacy? Any timeslot selection for Tennis Tournament?

Marisa? Will there be a happy hour in association with the Cornish Pasty
dining option on Sunday?

Stacy? Exotic Racing? Will this be repeated for 2018?
. . . . .

That should be it for this week. Thanks all. :)
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Art and missing re-registration:

Sarah (with the "h") writes:

Am I being shunned?

I've not received my registration and the system seems to have wiped me
from memory. I'll go through the full registration process if that's
easiest, let me know.

{fast forward a few minutes}

Sorry, I found the re-registration in my junk mail folder. Don't know
why since everything else I get from you was delivered to the right
spot. Maybe worth a note to others if they are missing their initial
re-registration note.

There was one other email that was shuffled off to my Junk mail folder.

Both this one and the other one were those sent with a tag indicating
"High Importance". That seems to be the reason Yahoo screwed around with
them.
. . . . .

Annie responds:

Thanks for the report, Sarah.

Unfortunately this (mail incorrectly flagged as spam) is far too common.

One test recipient we use is on Yahoo, so I'm familiar with how they do
their spam classification and how likely things we send out are to be
marked as spam.

Yahoo (as well as most of the other free mail providers) use a filter
that looks both at patterns contained within the email and also scores
the various two and three word combinations that are contained in emails
you receive. It's continuously being updated and "trained", based on
what you consider to be spam, as well as the Yahoo users as a whole.

I'm not aware of Yahoo considering the Importance: field in calculating
spam score. The test re-registration emails that went out were all
marked as high importance, and they were delivered to the test accounts
just fine.

The one thing that they **DO** however, is appear to score items that
have a URL with a variable part (as do our registration emails) as more
likely to be spam.

What can you do?

The absolute best thing is to help "train" the Yahoo spam filters to
recognize what is and is not spam from your perspective. Go into your
spam folder and mark those that are not spam as "not spam", and likewise
in your inbox, mark all spam as such.

You can also (assuming your provider allows this) "whitelist" all of the
various dlv*@divalas.vegas addresses so that mail from those addresses
will always appear in your main inbox.

Yes, we can and probably should include reminders in our general
mailings to be sure to check spam and junk folders.
. . . . . . . . . .

Sarah continues:

I'll be going to L.V. later this month to look at Art Tour options and
will either report back with something solid or put a couple of ideas
out on the discussion board.
. . . . . . . . . .

Annie responds:

Thanks Sarah. Please let us know what you find out. As of this time
there are plenty of daytime timeslots into which "art tour" types of
activities can fit quite well.

Mac Makeovers:

Lori writes:

Last year I organized a Mac venue, would you want me to talk to Mac or
Shepora again to line something up.

I followed up with Mac last year and they said it was all good.
. . . . . . . . . .

Cami responds:

Lori

Glad to hear you can make it and that you will spearhead the effort.

Keep us posted.

Thanks.
. . . . .

Annie responds:

Thanks Lori!

Yes, please do so, and let us know when and where, when you have a
timeslot or timeslots selected.

Oh Shoot:

Gina writes:

Annie responds:

Thanks Gina.

It's on the schedule, pretty much a cut-past from last year unless you
say otherwise.

LurL:

Dionne writes:

> We have Lunch With Aejaie scheduled for Wednesday, so it would be an

I called BB and made reservations for Wed @ 12 noon til 2 pm for LurL
luncheon.

I found some new info on BB seating. They have replaced the round tables
in the Gazebo with square tables (think square pegs in a round hole).
The result is the Gazebo max. capacity is REDUCED to 40.

So, LurL needs a reservation during sign-up for headcount. If we go over
40 I need to move this event into their West Indies room (@ rear of
restaurant & 2nd. choice).

Misc. loose ends:

-this change depends on Aejaie approving the date change/ event swap.

-Delaney needs to call BB with her contact info and replace mine.

-BB needs the reservation done if we want Kevin (guitar player) to perform
again this year. He comes with the PA system for announcements.

-BB-LurL luncheon replaces Lw/Ginger for that day.

-Assist. Mgr. contact: Mo-mi 702-731-3252

Please let me know if anything is missing.
. . . . . . . . . .

Thanks Dionne.

Contact has been made with the new BB Team, Delaney and Sandy, and
information has been exchanged. They have also been informed about the
layout changes at BB.

LurL and LWA have been flip-flopped on Tuesday and Wednesday. Please be
sure everything looks OK on the schedule.

Bare Minerals:

Dionne writes:

> Bare Minerals Makeup Sessions. Up for adoption. We'll need someone

In addition:

* The previous store Manager insisted on gift card prepayment in order
to make an appt. This was problematic and we reflect back this
requirement, it caused an unusually low turnout for makeup (not
makeover) sessions.

* DLV created an automated 'nag email' system to ensure guests kept
their appts.

* BM increased staffing for appts that eventually never got booked.
(This might have been partially the reason for the manager turnover - a
speculative comment here.)

* Simultaneous appts. @ competitive MU stores drew away clients from
this BM event.

Addressing the above comments, I have a potential solution:

-Since DLV already has this automated email reminder system, just
'train' it to limit the number of appts to max. 2 per hour across the
entire DLV week. This workload is easily accommodated by their usual
staffing level. They wouldn't need to increase it.

- automated system lightens the DLV workload and makes this
self-directing, maybe not requiring a hostess.
. . . . . . . . . .

Annie responds:

Thanks Dionne.

First of all, to all, this is still up for adoption, and if it goes on
our schedule, it needs a DLV volunteer to be named as Coordinator of
record. We will need someone to step forward from the DLV side to take
this over if it's officially part of our program this year.

A few notes on your talking points here ...

I am aware of, and agree, that no-shows have been an ongoing issue with
Bare Minerals ever since we started with them in 2010. I certainly do
not have the answer. Gift cards were an attempt to mitigate this, and
that was a hoop jump, and our people tend to hate hoop jumps! Reminders
(sent from our system) are another way and can be used if Bare Minerals
is indeed part of our program. If they are not officially part of our
program, we certainly do not need to do their bookings and reminders.

I unfortunately must agree that, due to the nature of our program and
knowing the way our people tend to behave, that the no-show rate of our
people will probably be higher than that of the general public.

Yes, staffing levels can be a major challenge for firms that depend on
hourly and commissioned employees. We need to be aware of this, but
there are some limits on what we can and should do about it. It's the
job of the shop's management to deal with staffing levels. That's what
they are paid to do, among other things. :)

When I introduced myself to the new manager during DLV last year, I got
the impression that she was miffed when she found out that we were not
giving Bare Minerals more of an exclusive type of deal WRT makeup
sessions. I simply said that we don't do that, and that we have never
done it, and that if she got the impression that we did, it was a
misunderstanding.

Anyway, to all, we need a host(ess) if Bare Minerals will be an official
part of our program for DLV 2018.

Volunteers?

Dinner:

Michelle (NZ) writes:

Hi,

Happy to hostess a dinner.

Trevi, Joes Steak and Crab, Mortons, Chris Ruth, or similar.

Any night should be Ok.
. . . . . . . . . .

Thanks Michelle.

Here are some notes regarding the venues you mentioned and the evenings
that would work.

Ruth's Chris has been taken by Sandy for Tuesday this year. Laura has
first dibs on repeating Trevi (Laura?) for this year. If she declines,
you can have it.

Morton's and Joe's are open for you, and we have not done either of them
for at least a few years, so they will be fresh in the minds of the
DLVers.

As to when ...

Tuesday has three dining selections, with two of them being on the higher
end, price-wise, so that's probably not the best choice.

We do not have a higher-end dining option on Sunday evening, so either
Joe's or Morton's would work quite well.

Wednesday is wide open, dinner wise. A higher-end venue would fit well
in there.

Friday is also wide open.

You have quite a few choices here, both for venue and evening. Just let
us know when and where.
