Major activities falling into place:

All volunteers, please look over the working schedule below and be sure
that all of your activities are listed, and listed at the correct
time(s) and the correct locations are listed.

Two significant call-outs for this week, both to volunteers who have
stepped forward beyond the call of duty.

First is Dionne, who took the initiative to do the preliminary work
on our Monday Bahama Breeze activities. We'll still need someone to
"receive the baton" on this one. See item below.

Second is Cassandra who has the 2018 golf lined up already. See details
below.

Big thanks go out to these two, plus those who have volunteered to
coordinate other activities for DLV 2018.

Bahama Breeze and Bare Minerals:

In order to ensure we have our traditional Monday Dinner, I contacted
Momi @ Bahama Breeze.

I made the reservation for April 16, 2018 from 6-10 pm.

We are good-to-go but still need a hostess for this event.

As a reminder, we also need a hostess for Bare Minerals, as well.

Yes, it **IS** very helpful! :)

There ya go, gang! Not only is the Bahama Breeze evening in a "shovel
ready" state, it's already excavated and ready to go vertical!

This would be a very good one for someone who has already coordinated
smaller activities and wants to get more involved in the major goings-on
with our event.

Also, we'll need someone to take over the Bare Minerals sessions for
2018 as well. The preliminary contacts have already been made and they
are expecting to be contacted by the permanent host(ess).

Golf details:

The DLV Golf Tournament is most likely going to be at The Club at
Sunrise Golf Course. I spent 45 minutes working a deal with them today.

They really want us back and though we got a good deal last year, we
will indeed get a better deal this year. In terms of DLV scheduling, it
will be for sure on Tues, April 17th at 9am as planned. When I get the
final contract and sign it, I will post the cost and benefits...

Hotel update:

As of this day, hour, minute, and second, we are still, unfortunately,
in a holding pattern waiting for the details on exactly how to book
Flamingo rooms using our negotiated discount.

We REALLY need to send out a general mailing, as we're getting into the
holiday crunch. Hanukkah started last night and people will be more and
more involved in family matters. We hope the details will be ready this
weekend, but we may have to send out a general mailing which includes a
note stating the hotel details will be coming in a special mailing very
shortly.

Re-registration shakedown:

Sometime within the next few days, most of you on the ORG list (that's
you reading this) :) will receive your DLV 2018 re-registration email
early in order to help test and shake things down.

(If you don't receive this, please don't consider it to be a snub, as
it is not! It's probably because something (most likely email) did not
match between your ORG list subscription and your DLV registration.)

Please consider this to be your "for real" re-registration and please
click on the enclosed link and re-register as you normally would.

Please report any issues, such as error messages, bad screen displays,
non-receipt of your re-registration confirmation, anachronisms (such as
references to DLV 2017 or earlier) or anything that does not appear to
be as it should be.

If you don't receive this by Friday at the latest and you want to help
shake down the system, you can either write in (just reply to this) and
it's easy to "force" a send to you. You can also just simply go to the
same Attendee Information Portal URL that you used last year and the
"Registration" tile should be green and live.

Name tag updates:

Thanks to all who helped test the new name tag functions. All reports so
far have been good.

The way things stand now, both proofs of concept (self-printing of tag
inserts and mini-printer real-time tag insert generation) have been
successful and we should be ready to go for this year.

If you want to see the small printer and a test tag insert using it,

It seems to be about 20-some seconds from button-push to finished tag,
so it should perform fine in the field. Note that there are no wires, no
cables, no PC/phone driving it. It's all self-contained and battery
powered.

Communication and verbosity:

I think a lot of new attendees and sometimes the older ones too miss the
point when it comes to what an event is all about because our mailings
are always massive and people stop reading after the 4th paragraph. I
know this because people have mentioned this fact to me personally and
were sorry they missed something that they would have enjoyed and we can
only fix this if we improve communication with them.

A few years back Beverly hung a title on the opener and I 'm sorry that
I don't remember what it was but I think it was a decent idea and if we
chose the wording right it describes what the evening is all about.
everyone dressed up with the exception of those who never do anyway and
it was an enormous success. = Dancing at Paris. Nice but maybe
***Dancing with the stars > At Paris**. **Red Carpet night at Bahama
Breeze**. **Titanic day on Lake mead** +lol+ etc'.

My little event is almost self explanatory but as long as it is referred
to in the mailing as KKKK. Who would know what that means? The only
thing I could add to it to make sure everyone knows exactly where would
be, Instead of ***Katie's Kozy Koffee Korner (Flamingo Club Cappucino) -
ms. We use ***Katies Kosey Koffee Korner (Flamingo Club Cappuccino
Patio 8AM) because some Morning Coffee lovers stayed inside last Spring
and never came out, Maybe they didn't even know exactly where we were so
probably went away like the attendee at Margaritaville did thinking we
had not showed up.

I know we can't idiot proof everything but we need to be a little more
explanatory if we want to be successful and the word PATIO 8AM might
have enticed one or two to come out and say Hello.

With that in mind I think that after we get the schedule set it may be a
good idea to post a list of events in each and every mailing with.

1) Katies Kosey Coffee Korner plus an internal web address to see the
Where, What and When.

2 Opener. Red Carpet Night at Bahama Breeze With a nice title like
**Dress for success - Evening style** or something of that nature.and an
internal web address to go to and see the Where's , When's and what is
expected of you.

3) Etc'
4) Etc'
5) Etc'.

Or these could be added below each event at the bottom of the page in
the general mailings when we are getting close to Vacation in the desert
time.

I feel that if we post the Activity highlights in MY DLV then almost no
one will read them. or at least they may read one that seems interesting
and not the other events that could possibly make their vacation more
successful.

So if these were included in each and Every Mailing they would be no
chance that they would get bypassed.

This or some variation of it might get people out to events they might
otherwise flippantly pass by.

I am aware of a certain degree of complaints regarding the verbosity of
the mailings that I prepare for this program.

Let's address (again) the topic of such verbosity and what you (as in
any or all of you) can do about it if you think our mailings are not
effective.

First, let's circle back to a survey question from 2015 when this was
asked of the Teeming Millions:

+Do you consider our general mailings to be excessively long and
+verbose?

+Yes and I regard much to be unnecessary and irrelevant: 4
+Yes I understand most is important for attendees to know: 22
+No: 48

Majority says no, not excessively long and verbose. Significant minority
says long and verbose, but necessary to be so. Low single digits say
unnecessarily long/verbose.

We can repeat this question on this year's survey if you (or anyone) has
any reason to believe these numbers do not reflect the current thoughts
of the attendees.

Now as to what you can do about it, you (or anyone) can volunteer to be
on our Proofread Team, as that group goes over anything major that is
sent out in our name or posted on the web site. Specifically, you can
then note any items, paragraphs, sentences, etc. that you think do not
contain information that the attendees need to know and suggest that
they be deleted from the mailing or web page.

We can resume posting Activity Highlights in our general mailings, if
you (or others) think they would be effective to do so. We used to do
that and ceased doing so mainly because of complaints that (yes) they
made the general mailings too long and verbose.

It's also very easy to see how many times the Activity Highlights are
read on the web. Last year, all which were posted were read between 100
and 200 times after they were moved to the special Activity Highlight
section. This does not count the viewings when they were on the main
page, nor the viewings by email nor the viewings on the Yahoo group.

It's also been our long-standing practice that those who volunteer to
coordinate the activities set the stage, as well as the titles and such
of the activities. If you (or anyone) wants to re-title or re-theme any
activities, please volunteer to coordinate or assist with them and then
you can have say as to what they are named and how they are themed.

The volunteers for an event should, and do, have the last say about the
event's format, locations, description/title, promotion, etc.

This is how volunteers "take ownership" for the event's activity, and
its success is their reward for doing a great volunteer job.

While clarity is important to explain an event, there seems to be no
benefit from a "one size fits all approach" to describe it.

I agree with Katie's suggestions, but I believe the volunteer has the
final say!
