Thanks:

Well, things appear to have settled down a bit. Thanks to all for the
comments.

Moving forward, let's close the floor for discussion and do a vote on
the open motion this week, a copy of which appears at the bottom of this
mailing. Those of voting status, please watch those inboxes! :) :) If
you don't receive your ballot by Thursday evening at the very latest,
scream! :)

Although it may be a formality, let's now open the floor for any motions
to set aside the 2018 vote, re-vote, etc. for the next list cycle.
Lacking any motions, we'll then announce the dates as tentative, and as
we always do, open the one-month Call For Comments from the Teeming
Millions.

Gina sez:

Sorry I missed the date discussion, my life's been pretty hectic of late
and I've getting so much garbage in my email that I guess I've been
ignoring it.

No need for a new motion on my behalf.
. . . . . . . . . .

Annie responds:

Thanks, Gina.

I do want to let the current motion run its course. Those who think it
is totally unnecessary have the option to vote against it. I personally
think it will most likely solve problems in the future.

Sherry sez:

I would support the motion if it simplifies things for the Admin.
. . . . . . . . . .

Annie responds:

Yes, I think it will at times simplify things. It eliminates the issues
of no majority or weak majorities and also discourages any knee-jerk
reactions to change date selection rules.

As a clarification to the second part of the motion, on no majority or a
weak majority, the Admin Committee can take into consideration factors
such as room expense, conflict with other TG events, volunteer
availability and other factors of significance.

They also have the option of kicking the decision back to ORG for a
re-vote. :)

Cami sez:

Annie,

I was just wondering if the total vote count for this year for the week
we chose is significantly different in total versus prior years.?

You still have those stats?
. . . . . . . . . . .

Annie responds:

Yes, here are the results from the last four years.

Why four years?

Those are the ones I have handy at the time. :)
. . . . .

2017:

(First round, no majority)

Week of Sun, Mar 26: 13
Week of Sun, Apr 30: 3
Abstain: 0
. . . . .

2016:

(First round, no majority)

Monday March 28 thru Saturday, April 2.: 13
Sunday April 3 thru Friday, April 8.: 9
Abstain: 0
. . . . .

2015:

A. Week beginning Sunday, March 22, 2015: 13
B. Week beginning Sunday, April 19, 2015: 4
C. Week beginning Sunday, April 26, 2015: 3
D. Abstain: 0
. . . . .

2014:

Week 1 (Sunday, March 30): 17
Week 2 (Sunday, April 17): 10
Week 3 (Sunday, May 4): 2
Abstain: 0
. . . . . . . . . . .

As you can see we had a significant majority in 2017, and majorities of
less strength in other years. For 2016 and 2017, the initial round gave
no majority.

As is also evident, the group has always selected the earlier/earliest
dates for all years cited above, same as for 2018.

Delaney sez:

Kinda depends on our filibuster and cloture rules :-)

I'm 60-40 in favor of the proposed, but continuing the current method is
fine as well.

To me, the important factor is that we continue to avoid expected high
cost periods (the Annie pre-screen), to maximize attendance.

WRT to April only, I prefer March, but I'm OK with April (or May).
. . . . . . . . . .

Annie responds:

Thanks Delaney.

The factors you cited are important to many of us. I personally think
that lock-out conflicts of active volunteers should have more weight
than has been reflected in the votes in years when it's been noted.

Of course, I'm not everyone. :)
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Katie sez:

So how long are we going to drag this out?

The vote was significant and and that should be it don't you think?. If
it does not suit you then for gosh sakes just pick a date you personally
are happy with and we can all learn to live with it.

I voted for one of the weeks but I don't particularly care which week we
chose. All I am asking is Pick one and stick with it and lets not hash
this out till' Xmas Then we can book a flight with a decent seat and
move on. and those who need to arrange time off work can do it now
before it becomes a problem. :-- (Most companies ask in late September
which vacation weeks employees want by seniority )

If there is a problem with what we voted on and how we did it then
explain it to us. We are the ORG committee and we don't know any details
of what we are doing.

How many actual current ORG committee members are there anyway?

This vote was 13 +3+3 which shows 19. I thought there we had much more
than that. Do we not?

I liked March but April is fine too. so I voted which everyone should do
Yes Everyone. When people don't vote in an election sometimes bad things
happen. Nudge Nudge....

Copy of motion:

Motion for consideration:

As of January 1, 2018, the following standing rules shall be adopted:

1. Motions regarding any changes in the methods or procedures to be used
for the setting of the dates for each of our annual events will require
a 2/3 majority of the ORG members of voting status to pass.

2. For the voting of the actual setting of the dates for each annual
event, only one round of voting shall be used. In the event no candidate
week garners 60% or more of the votes cast by ORG members of voting
status, the Administrative Committee shall make the final selection from
among the balloted candidate weeks.
