Some decisions to make:
We're at a point where we need to make a few decisions.
One is suggested hotels for DLV 2016. See item below.
Another, which is a bit more complicated, is the overall day-to-day
strategy for our Monday through Saturday 2016 event.
We need to reach a consensus on this so we can move forward with the
planning of the major activities and the other daily and evening
activities.
The consensus of the preliminary discussion showed a preference for what
was then called "Strategy A", which has this format:
Monday: Big Bash opening evening.
Tuesday: Anchor activity and supporting activities.
Wednesday: Smaller multi-track ("Eating Out Night") activities.
Thursday: Anchor activity and supporting activities.
Friday: Big Bash closing evening.
Saturday: Smaller multi-track activities (wind-down day)
This above strategy would place the "anchor" activities (mid-size things
such as EHM, Limo Tour, etc.) on two of the the strongest evenings. The
two largest major gatherings would be on the leading and trailing edges
of the peak.
Concerns have been raised regarding the timing of the major gatherings
in the above strategy, mentioning Monday as an arrival day for some and
Friday as a departure day for some.
One suggestion was to move the Welcome Celebration to Tuesday and use
Monday as a slow-start day, resulting in a schedule strategy as:
Monday: Smaller multi-track activities. (slow-start day)
Tuesday: Big Bash opening evening.
Wedesday: Anchor activity and supporting activities.
Thursday: Anchor activity and supporting activities.
Friday: Big Bash closing evening.
Saturday: Smaller multi-track activities (wind-down day)
Another suggestion was to move the Farewell Celebration to Thursday,
thus catching the "I don't wanna pay weekend rates" folks before they
depart. This would result in a schedule such as:
Monday: Big Bash opening evening.
Tuesday: Anchor activity and supporting activities.
Wednesday: Smaller multi-track ("Eating Out Night") activities.
Thursday: Big Bash closing evening.
Friday: Anchor activity and supporting activities.
Saturday: Smaller multi-track (wind-down day)
A combination of the two above strategies would result in:
Monday: Smaller multi-track activities. (slow-start day)
Tuesday: Big Bash opening evening.
Wednesday: Anchor activity and supporting activities.
Thursday: Big Bash closing evening.
Friday: Anchor activity and supporting activities.
Saturday: Smaller multi-track (wind-down day)
The strategy immediately above would place the two major gatherings on
two of the strongest evenings, but it would leave a gap of only one day
between the two major gatherings.
Before we can start our actual programming and scheduling, we need to
agree upon a strategy for our week. It's now time to wind up the
discussion and settle on one of the above.

Look at our activities in a context of a week... we agreed to start...
when... Monday...
Therefore, I suggest that.... Sunday is the _week's pre-day, not
Monday....
Interjections---
(A) We should be looking at 2 activities each afternoon on Monday
through Friday...
Outlet shopping, art tour, lunch at..., neon sign museum, golf, hiking
at..., tea, recognition luncheon, etc...
(B) Have a late night event after 11pm on Monday through Friday ...
dancing, late cabaret shows, etc. So... Monday is the Opening Event
in the evening
Travel when you may and chose to be there for "pre-day", ...or Opening
day, ...or 2nd day.
Admit we have no idea about people and their travel plans, but they will
be driven by their needs and the activities offered, not day of week
"driven".
Having just said such... so next????
Cocktail hour places [maybe select 2 locations for each evening] and ask
for volunteers to coordinate at those locations, or they give other
suggestions for the 5pm to 7pm... we schedule such on the Diva Calendar
..
Then we appeal to those who will volunteer to organize these or other
similar activities--
Tuesday... three(3) simultaneous activities: EMS, Bar-crawl, ????
Wednesday.... Small groups eating out with a collective major event
starting at 10pm.... LIMO Tour and Audrey's Caberet, or another such
activity...
Thursday....three(3) simultaneous activities: NSD, Vegas Show, ????
Friday... Big bash closing event.
Saturday... wind-down day and evening.
All strategy thoughts welcome... a platform has been established...

New Internet domain for Diva Las Vegas:
We have obtained a new domain for DLV: divalas.vegas
"No www, no .com, just divalas.vegas" :)
This is a new domain within the (relatively) new .vegas top level
domain.
It's active now, but it will take some tweaking to get everything
working properly.
The "Master Plan" for phase-in, subject to change of course, is as
follows:
January 1, 2016: Begin using the divalas.vegas domain for most e-mail
and most static web pages.
Following DLV 2016 (ca. June, 2016): Move MyDLV and other dynamic web
pages to the divalas.vegas domain.
Due to the fact that we're less than a month away from the first round
of re-registration, we'll keep the Attendee Information Portal and the
related functions on the existing geekbabe.com domain for DLV 2016. We
don't want to have issues with attendee information due to the phase-in
of the new domain.

Although our Proofread Team has been testing the new domain, with very
good results so far, here's what you can do to further help things along
if you wish:
1. From your e-mail account, please send a brief test message to the
e-mail address of: dlv_at_divalas.vegas
I (Annie) will respond to every one of these we receive, most likely
from an account on the new domain, so we can be sure that the e-mail is
working both ways to and from the new domain.
Update: A few e-mail issues have been confirmed and are being looked in
to. Additional testing of e-mail (by YOU please) will be appreciated!
2. Use your web browser and visit the following URL:
Most of the static pages should now operate properly in the new web
site.
Please report anything that does not work as expected, including any
long delays (more than a few seconds at most) when accessing the web
site. Please pay particular attention to links (deep) within pages which
do not lead to (or return to) the expected destination.
Please remember: "No www, no .com, just divalas.vegas" :)
(As an aside, prepending www to URLs on the new web site is permissible,
but appending .com will NOT work.)
One other thing, for now. Although this is no secret, please do not pass
on the new domain name to others at this time. The new web site is not
ready for prime time and the new e-mail addresses have not been shaken
down thoroughly. The confusion factors and the possible technical issues
make it unwise to disseminate it at this time.

Some comments on the Dining and Lodging Survey:
Annie writes:
With 71 mostly-complete responses, which is a number in line with the
number of responses we get on our post-event surveys, the survey results
are most definitely valid with respect to the needs and wants of our
attendees and potential attendees.
The survey did a very good job of clarifying two points regarding what
our people want. Specifically ...
1. The issue of separate checks is indeed an issue of importance to a
significant number of our attendees, but the degree of impact is less
than was thought from the comments received on our post-DLV-2015 survey.
2. There is far less demand than was anticipated for a low-budget motel
located away from the central Strip area.
Other than these two items, there were no (other) "surprises" and
several of the questions simply validated what we've known and assumed
about our attendee base.
A few comments about some specific answers:
The age distribution reflects our attendee base over the last several
years. Yes, we're skewed to the upper middle age and senior age range.
We have and can continue to discuss the "why" of this, but that's the
way it currently is.
Yes, the results are skewed toward multi-year DLV attendees, as was
expected. Likewise it's skewed toward recent attendees and those who
do not regularly participate in TG events other than DLV.
This is the first time in our history that we've asked for approximate
income range on any survey. This was intentionally done without using
numbers, but it still confirms what we've suspected, that being the
majority of our attendees are stable or higher, financially.

About half of the survey had to do with the restaurant check splitting
issue.
The one major "surprise" in the answers is the significance of the
check-splitting issue to the respondents.
+40 It is a factor of very little significance to me.
The majority, a relatively small majority but still a majority, consider
the splitting of checks to be of little significance. The numbers for
"deal breaker" and "forget it, I'll eat on my own" responses are down in
the single digits.
Another surprise, to me, anyway, in this section is the following:
+About how often do you, within the course of your daily life,
+encounter the one check per table situation described above?
+19 Less than one time per year.
+16 Every few months or so.
+15 Maybe 1-2 times per year or so.
+12 One or more times per month.
+9 Weekly or more often.
Less than 30% of the respondents regularly encounter the shared check
situation! I would have guessed that the majority would be far more
familiar with the splitting of checks.
As to the alternatives to a shared split check ...
If we combine the responses of the first and second choices, throwing
out the "I'm fine with splitting checks" answer, giving two points for
each first choice and one point for each second choice, we can rank the
preferences of the alternatives to shared checks as follows:
41 Assist with the dividing of checks.
34 Offer a fixed-price party menu with a few entree choices.
24 Offer a fixed-price self-service buffet.
15 Forget it! I'll just eat on my own.
4 Offer fixed-price single-entree dinner. (Rubber Chicken Banquet)
The most popular of the alternatives is simply to provide assistance
with the settling of checks.
The "party menu", which has garnered a significant number of complaints
in past years, is the second most popular of the alternatives.
The archetypal "RCB" is still waaaayyyy down on the list! :)
As to the bottom line for this issues, I do not believe that the lack of
separate checks is a show-stopper. However we can keep in mind that a
very significant minority (almost half) of our people would prefer to
have separate checks and plan accordingly.
We can help things by noting on the sign-up screen (when known) that
separate checks are or are not available for that particular venue. This
will eliminate the surprise factor.
I now believe that this issue was brought to prominence mainly due to
one singular individual over-reacting to a shared check situation.

Now as to hotels:
There's a very strong preference for the midscale casino-hotel. This is
a very strong first-place in the tick-counts.

There's also a significant number of our people who want a property of
their own choosing, and if we combine the Strip and off-Strip responses
we get a strong second-place for the combined "own choice" categories.
Surprisingly, there is very little demand for the low-cost motel, which
was something I would thought would be more popular, strictly from the
price perspective.

responsibility of the Activity's Coordinator.

Hotels:
Annie writes:
Our survey gives us quite a bit of here-and-now relevant insight to the
needs and wishes of our 2016 attendees. The results also validate the
adequacy and appropriateness of our hotel suggestions of recent years.
"Ain't broke, don't fix it!" is strongly in play here.
In light of the survey results, and the feedback from last year's event,
I'm suggesting that we go with the following for suggested hotels this
year:
1. Flamingo. Survey shows a strong preference for this type of property.
Let's let Beverly use her negotiating skills and come up with the best
deal we can get and use the Flamingo as our primary suggested hotel for
DLV 2016.
"Ain't broke, don't fix it."
2. Paris. Use this as our upscale option. It's avowedly TG-friendly and
is conveniently located. There are a number of our people who would like
something a bit more upscale than the Flamingo.
Again, "Ain't broke, don't fix it."
3. Four Queens downtown. The feedback I received, mainly from one person
who stayed there, was positive, and this will serve as our lower-cost
option. Not as popular as the two above, but still "Ain't broke, don't
fix it."
We do need to limit our hotel suggestions, and three has proven to be
the sweet spot. Having more only splits up the group and introduces
confusion factors.
Therefore, if you feel a strong need to get your pet hotel into the mix,
please detail exactly why said pet hotel should replace one of the above
suggested hotels in our slate of hotels for DLV 2016. :)
As to the offer of the Super-8, I honestly don't think there's enough
demand to trigger any kind of a meaningful price break. I admit that I
had suspected the demand for a property of this type, based on cost, to
be much higher. It can be mentioned on the Forum for those who are
looking for a very low priced option, but I don't think it would draw
enough of our people to warrant replacing any of three hotels above.

One just for info - I have been getting mailings from Circus Circus, and
one from Flamingo (a bit ago) with some pretty aggressive rates - just
fyi.
On to my "please provide your advice" question:
I was thinking about getting a magnetic badge with my name, and
something below it like " Big Sister Coordinator" or "Big Sister
Program" to make it easier for newbies to know who to ask. I also
thought about getting them for all the multi-year Bigs, partially to
identify, partially as a thank you. They aren't that expensive, I can
ebay them at about seven or so dollars each.
However, I can think of a couple ways this could cause friction (I.e.
the Big doesn't want it, somebody is left out, not the preferred name, a
conflict with the standard badges). Also, I would want to order them
early, so anyone signing on later would be missed.
On balance, I think it would be a good thing, but as often the case, no
good deed ........
Anyhow - thoughts ?
Or as an alternative, I could leave a rose for each Big at the
registration desk (Monday only) which the person doing sign-ins could
give them.....or do nothing at all, I'm good with any of the options.

I have mixed feelings regarding "special" name tags or badges, but the
bottom line is that the only way to find out if many things will work or
not is to try them.
I've always pushed back on specially-designated tags or badges mostly due
to my observations (at other events) of them becoming status symbols.
Your Big Sister tags could actually have the effect of encouraging our
people to volunteer as Big Sisters.
As to a rose for each Big Sister, it's a very nice gesture, but I think
the chance of catching all of them at a single check-in location is very
slim. It's also one more thing for an (already overloaded) check-in host
or hostess to keep track of.
Let's hear some comments from the others on this.

This type of badge is nice, but needs to be for everyone. To have an
added line beyond name, I suggest looking at the following:
(a) If the person is the coordinator of an event this Diva, it say ----
Coordinator- Lunch at.... etc.
(b) Agree that years attended is not all that relevant except to the
person wearing the badge.
(c) Rose is a nice gesture, but more effort than value. Give me a drink
ticket!

Would it be possible to try this idea?
Have each DLV'r first sign up for the event. Then, send the first email
with instructions on who to call to make your appt. The email has a
field to enter the day/time they picked.
If they make the appt. and enter it, the reminder only happens just
before their appt.
The flag is reset by that and the next email becomes the day/time
reminder. Maybe they can choose what type of reminder; email, TXT or
phone call from store.More than one 'call to make the appt.' reminder
might be necessary. Something like this workflow might reduce tracking
efforts and nag emails.

Yes, we could do an e-mail linked to a fill-in form where the attendee
would indicate the day/time of their appointment. However, I can very
easily envision such a thing getting out of sync with the appointment
book at the shop. (No appointment, but response filled in to stop the
e-mail reminders, appointment but no e-mail response, wrong day/time due
to human error, etc.)
Remember, our people tend to avoid hoop-jumps when they can! :)
I think it would be best to get positive confirmation from the shop that
an appointment has been made.

Limo party bus:

A shinny black limo party bus is much different than a shuttle bus or a
local transit bus.
They have plush seating around the outside wall with windows, a stripper
pole in the center, some built in ice chests for your bottle, cup
holders,party lighting and a sound system.
I participated in the Audrey tour two years ago with Bev. What have the
other Audrey events been like?

I missed the first two Audrey Tours, but attended the third one. Despite
the snafu with the Wax Museum being closed, it was a very low-key and
relaxing evening. "A higher-class bar crawl." and "A limo tour without
the limo." are terms I've heard and used to describe such a thing. :)
