Replies to this message will be forwarded to the DLVORG list and not

Activity sign-up:

THIS IS LAST CALL FOR ANY ADDITIONAL ACTIVITIES
WHICH NEED ANY KIND OF SIGN-UP, HEADCOUNT, ETC!

It is now February 18.

Activity sign-up is scheduled to start Sunday, March 1, which is at the
end of next week.

We want activity sign-up to be complete and ready to test by next
Wednesday, February 25.

Over the next week we will be filling in the blanks, dotting the "T"s
and crossing the "I"s, getting activity sign-up ready to roll out.

To help this happen, a very prompt response to any and all queries for
additional information and missing details will be appreciated.

Please excuse any increasingly assertive notes and possibly voice phone
calls in the event that time gets tight and details are still up in the
air.
. . . . . . . . . .

Total sign-up as of this morning is 131, including 20 SOs. Still far too
early for a total projection but the numbers are running right along the
same line as last year. One more cancellation since the last report.

Sunday at TGIF:

Linda writes:

I just met with the General Manager of TGI Fridays at 4570 W Sahara and
arranged for us to dine there on Sunday March 22 at 6 PM with HH at 5
PM. (It is also a real HH from 3-7.)

I gave him an initial estimate of 15-30, to be refined as the date
approaches. I have eaten at this restaurant several times and have never
been disappointed, like I have been at some other TGIFs.

For the Karaoke-goers, it is almost right across the street from the
Phoenix.
. . . . . . . . . .

Thanks, Linda. It's all set.

This will pair nicely with Karaoke at Phoenix.

We'll put the dinner as "Sign-up requested" and keep you informed of the
numbers and the details of the show-up history (if we have it) for
those signed up.

We also suggest an Activity Highlight for the series of the three items
on Sunday. :)
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
High Roller, Flour and Barley:

Holly writes:

I would actually prefer to collect funds for the High Roller in person
at DLV. I will need to have all payments collected by Tuesday night so I
can bulk purchase tickets no later than Wednesday.

I will be at BB on Monday for sure as I think that will be where most
will be together and easiest to contact.

Has consideration ever been given to having a table set up at the
Welcoming Event specifically for people to make payments for activities?

Just a thought.

Once the final schedule is determined, I will announce a couple of other
locations where I can be found. Signup is required and confirming
payment must be received no later than 3/24.

I would like to meet everyone at the entrance to the High Roller on the
promenade at 8:30 pm. I will distribute the tickets at that time and we
will board.
. . . . . . . . . .

Thanks Holly.

We'll get this information added in the appropriate places.

We now have four activities, including yours, where pre-payment is
required. Those are:

Golf
Rock Vault
High Roller
High Tea

Golf and Rock Vault will most likely be Paypal only. Payment
arrangements for High Tea are on the "follow up for details" list.

In the past, those collecting have almost always preferred to circulate
rather than sit at a table waiting for payments, but if you want a
table, then it can happen.
. . . . . . . . . .

Holly continues:

The arrangement with F&B is ordering off the full menu. Checks will be
broken down by TABLE. Sign-up in advance is requested so I can inform
management so that adequate staff will be on hand. This eatery is very
close to the High Roller. But even if we finish dining early, there are
several shops and a few "watering holes" nearby.

If I think of anything else, I'll let you know. :)
. . . . . . . . . .

Annie continues:

We'll put this in as sign-up requested and keep you informed as to how
the sign-ups progress.

I might suggest an Activity Highlight for this series.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
High Tea:

Vanessa writes:

I have been in contact with the Veranda at the Four Seasons....

To reserve a two hour "High Tea" they require a minimum food/drink
charge of $750 plus a 17% Gratuity, 3% service fee and 8% State Tax.....

If we had 15 in attendance that would be a per person charge of $61 each
for a $50 Champagne Tea. ..

Traditionally I recollect the per person charge being $40-45 for the $35
High Tea. and we had 12 girls at most last year.

I have to put my credit card down to reserve this day and time by Feb.
23. I don't mind losing a few bucks on this but I fear that the $60
charge per person (if we can get 15 girls to attend.... if there are
fewer girls we each pay more) may be too high a price point. Thoughts
or suggestions.
. . . . .

Shooting:

I will have the Trap info and price by the end of the week...looks like
that will be $20 per person for 25 birds and $30 per person for 50
birds.
. . . . . . . . . .

Annie responds:

Thanks for the updates, Vanessa.

First of all, I'm sure you understand the need to get the details solid
by Wednesday of next week so we can deliver accurate information to the
masses at activity sign-up time.

This is your baby but here are some of my comments and suggestions,
mainly based upon our group's behavior and attendance patterns.

First of all, we don't want any of our volunteers to take a "bath",
financially that is.

My first question (think critically - to question is the answer!) is the
term "Champagne Tea", and assume that champagne is "included", meaning
you pay for it if you want it or not. Is this correct?

Not everyone will want champagne, and those who don't will certainly
not want to pay for it! In the past (help me out, ladies, is this
info correct?) my impression that only tea and similar beverages
were included in the base price and champagne was optional for a
few more $$$.

My first suggestion is to (try to) unbundle the alcohol and get any
sticker shock remediated.

High Tea has always been a high-interest special-interest activity, and
the demand for it has always been such that a turnout in the teens can
be expected, particularly if you do some cheerleading prior to and at
the beginning of the event. (Announcing something like "Only two spaces
left at the High Tea" at our opener would easily fill them!)

Anyway, please let us know what you want to do. Here are the details
we will need by next Wednesday:

1. Price per person, of course.
2. Method of payment (cash? Paypal? both? whatever?)
3. Payment deadline, date AND TIME.

Please keep us informed as to how things are going.

Social at the Center:

Bob writes:

Tuesday from 10:30am - 2pm, social time at The LBGT Center.

Beverages and snacks, playstation games, movies, pool table, live music.

Hosted by Bob Miller and Susan Rogers.

401 S. Maryland Parkway
. . . . . . . . . .

Thanks Bob. It's all set.

We'll mark this one "Sign-up requested for headcount" to give you an
idea of the number to expect.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Encouraging inclusion:

Dionne writes:

> First. Formalize the two reserved seats per table.

> Second, ... Get a gift card ...

Both of these are great ideas.
. . . . .

Cami writes:

I like both your ideas on the new attendees and getting them involved.
maybe we can pass the hat at the welcome party and get some money and go
from there.

I can certainly volunteer to host Paris on Friday evening As I am sure
we will go there. most likely sunday as well.
. . . . . . . . . .

Thanks ladies. :)

There's been some off-line discussion on these as well, and nothing
contrary has arisen, so we can safely say that both will be happening.

Funds are already pledged so there's no need to do a hat-pass, although
additional funds will not be refused and could sweeten the pot. :)

We have you (Cami) down for Paris. Thanks.

Food court, etc.:

Dionne writes:

> Friday, March 27: 12:00n: Lunch With Ginger (Fashion Show Mall

With all of my trips to Vegas, the Fashion Show food court is my least
fav. due to the food quality.

I always felt comfortable there, used the restroom without incident and
was served promptly.
. . .

Tuesday lunch is the Figure lunch! Ron has forgotten this reservation.
He had this senior moment last year, IIRC. I plan to re-confirm lunch @
Blue OX during my trip next week.
. . .

> + 11:00pm: Flamboyance Drag Show (Flex) - sv

This activity is confirmed for that night.
. . . . . . . . . .

Thanks for the updates, Dionne.

As for the Food Court at FSM, that was selected mainly so it would lead
in to the Fragrance Workshop (not yet a confirmed line item, on the
follow-up list) that afternoon.

I personally have eaten at the FSM Food Court and never had a bad
experience. It's nothing special, mostly the "usual suspects" for a mall
food court, such as Panda Express, Kentucky Fried Rat, and Sbarro and
such, and I doubt if our people will expect anything more.

If you (or anyone) has another venue in mind, please suggest it.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Afternoon social:

Katie writes:

A more casual approach to the Afternoon social.

It seems not many are interested in Hostessing one of the *Afternoon
Social Hour* get togethers.

I have committed to doing one on Wednesday but I am not expecting a
multitude of H/H fans to attend as it is not a real world event in so
many words and also does not seem to be very popular right now but these
sort of things like a rolling stone gather interest as the week goes by
or maybe Not. We will only know if we throw it out there.

I think it might work if we simply nominate Chayo as a Hostessless place
where someone can just wander in and sit for a while to compose herself
before the evenings activity begins with a quiet drink then others may
follow as the week progresses.

I personally like to ad lib my life along and I have discovered some
very good places to dine and drink in Vegas this way. In my case I am
often ready to go with plenty of time to spare and I often just gamble
the time away while I wait so to speak or go sit on a friendly bar stool
somewhere nice but if a set place to meet every afternoon had been an
option I would have definitely thought about it.

As of now we have no place to gather for a pre evening outing. I can't
possibly be the only one who is full of enthusiasm and always ready way
too early for an girly outing. *lol* ....I am not the Fashionably late
kind of girl!

Any thoughts Girls?
. . . . . . . . . .

Annie responds:

This will not require a sign-up, so we have some time to discuss and
adjust the strategy if we need to.

Here are my thoughts.

Like it or not, we have already announced that the Afternoon Social will
be happening. To back out on it and replace it with a "suggestion" sends
the wrong message.

I am very confident that we will have the volunteer capacity for the
four (possibly five) times that this occurs.

I don't like the idea of doing "suggestions" in lieu of scheduled
activities. Our "no-host suggestions" back in 2009 (2008) certainly sent
the wrong message!

IMAO if it's important enough to suggest, then it's important enough to
put on the schedule and at minimum have a volunteer present to welcome
and acknowledge the others.

As you say, this is a "proof of concept" this year, and we don't know if
it will fly unless we push it out of the nest, so to speak.

We can discuss and adjust if needed.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Just You Open House:

Yes, we've received all of the items regarding this activity. Here is
how it stands ...

Holly was the first one to take action on this activity for this year
and has chosen Wednesday at 10:00am.

Wednesday is our best fit for this since it's been our long-standing
precedent to give a "clear channel" to all commercial vendor sessions,
meaning that we don't schedule two commercial open houses or seminars on
the same day.

Monday, Tuesday, Thursday, and Friday all have such sessions, and to
double-up would require that all parties (possibly competitors) are in
agreement to do so.

Sunday is also open, but that's an arrival day for many and will not
have the same number of potential customers as the weekdays.

This will not require a sign-up, so we have time to adjust if needed,
but assuming all other commercial sessions happen as planned, Wednesday
is the best-fit, possibly an only-fit, for the JY Open House.
