Many things happening:
Another rather long mailing. Many things are going on.
We are now at the two-month mark until the big event.
We have about 5 weeks until activity sign-up is set to begin. At that
time, all activities which need some kind of a sign-up or headcount need
to be firm as far as significant details go.
Again, thanks to all who have volunteered to take on things that fill
out our schedule. You will notice that a number of items have been
recently added.
Big thanks go out to those who have volunteered to host(ess) or assist
with our major closing gathering. We do have some decisions to make in
the very near future, so further thoughts and comments are appreciated.
We will do a thorough schedule review next week.
We're now at the point where our schedule is in a state that we can
start publishing it in the general mailings, and a copy will go out
in this weekend's mailing.

Everything that is solid or semi-solid as far as time and location
should now appear on the schedule. Please be sure to let us know if
anything has fallen through the cracks.

There are a few sessions of the Afternoon Social and Dancing at Paris
which are open for adoption. These are excellent activities for new
volunteers.

Latest numbers:
We broke 100 on Tuesday evening! The count now sits at 101. This
happened within one day of the 100 mark last year, so we're essentially
a dead heat with the numbers from last year at this time. This includes
15 SOs so far. Newcomer sign-up is 13 as of this writing.

Regarding the frequency of mailings on this list.
This list has always been intended as an occasional touch-base update
between those who are otherwise planning activities independently, and
not a blow-by-blow real-time detail of the goings-on.
Trial and error throughout our history (this list has been around since
DLV 2000 and in its current form since 2002) has shown that a digest
format with a 1-2 week list cycle is about right in most cases, with
more frequent or special mailings as needed.
Mailing frequency is also kind of a balancing act between timely updates
and not cluttering up one's inbox. :)
We do, on occasion, send out mailings more frequently than once a week
and a couple of times we've temporarily gone to single-item immediate
send when we had time-critical things.
If anyone has any items that are indeed time-sensitive or for any reason
should go out before the next mailing, mark your item as such so we can
take that into consideration.

Fantasy Ball update:
As of this writing, it appears that the Fantasy Ball will be happening
on Wednesday.
Timeframe of 8:00pm to 1:00am is what is being discussed. Cover will be
$15 per person.
This will be a DLV-only affair, as Kings Of Hustler will is not normally
open on Wednesday.
The volunteer team is still discussion some of the details. There's a
possibility being discussed of a pre-ball reception, as well as some of
the transportation options and issues.

As far as the closer, I want to repeat my usual comment.
It is all about the socializing to me. If the place is too noisy, then
it is a damper on the evening. I want to talk with everyone and get
goodbyes in. I suspect most do.
Some lovely ideas by all and I agree with Bev, all work except it would
be good not to beat up on Bahama Breeze twice (even though it is the
perfect environment in noise level, space, ... It just means it is a
good model to go from).

Here's my open cross-my-heart bra perspective on these topics;
The potential conflict in my personal calendar was removed so I'm
good-to-go for DLV 2015. My current responsibilities are enough to keep
me busy for DLV week;
-Bare Minerals makeup sessions on Monday & Tuesday.
-Fashion, Fitting and Fun Luncheon & workshop on Tuesday afternoon.
-EHM: Meet Dr. V luncheon & museum tour on Wed. afternoon
-N2 the Looking Glass Open House Thursday afternoon
and Thursday night FlamBoyance drag show
Bahama Breeze is a wonderful place for the Monday Opening since it is a
casual dining place with great food but I would not want to have the
closing celebration there. I want to have a more dress up occasion /
location for the closing celebration.
FUSO ROOFTOP (KoH) is too expensive but would be a cool place for the
closing. Maybe another dinner option would work here instead of the
plated dinner, maybe a simple buffet, chinese or ??
Hofbrau Haus has good food but is very loud which makes it difficult to
have a conversation. The dining area is wide open and we might stand out
when dress up on Friday night.
Margaritaville is a good option but I've never been there and don't know
the menu. Cami is very generous to offer this option.
Tommy Bahama - more info is needed on this one and I've never dined
there.

1. Bahama Breeze.
I'm not a big fan of repeating locations during the event. Having said
that, we have had a remarkably good track record with BB. They have also
been willing to work with us for several years and we have had closing
events there in the past. A Friday night event should not be too
difficult to negotiate. It has been done before.
2. HofbrauHaus.
My biggest concern with this venue and how it would impact the ever
important QST. It has been noted several times it is quite noisy. And I
have not heard anyone mention menu... would we be able to order off the
full menu?
3. Margaritaville.
I have never been in this venue so I cannot comment as to its physical
suitability for a large DLV group. I do wonder if a buffet is a proper
menu for our finale, though. Don't we deserve something better than
that? I would like to see a menu and a firm price point before
committing.
5. Tommy Bahama.
In looking at their website, the largest single seating area they have
is for 80 persons. I think that would make it not appropriate for DLV.
They do have additional seating but they are not adjacent to one
another.
6. Fuso Rooftop:
Financially unrealistic.

Thanks to all who volunteered and who commented! Please keep those cards
and letters coming.
Margaritaville and Hofbrauhaus appear to be the options that are getting
the most traction at this time.
We are not up against a hard deadline (yet!) but we do need to be moving
toward a decision within the next few weeks.

Regarding the menu, one thing we encourage anyone who is in contact with
any venues to be sure to bring up is that not everyone with our group
will be dining. Please mention that the vast majority of those not
eating will be consuming bar drinks, which tend to have a higher margin
than food. "You will do a dynamite bar business" is the line I've given
to vendors when this has been discussed.
Please also mention that the more flexible they are with us regarding
the menu options, the more meals they will sell!
I see the buffet option as kind of a compromise between the limited menu
(or the "plated dinner") and a full menu. It offers our people a degree
of choice, which they definitely appreciate. A buffet also requires the
attendees to get up from their seats on occasion, facilitating social
interaction.

We still have a pending motion to hold the closer at Bahama Breeze. As
of this time we do not have a volunteer to take the lead on this option.
Let's keep this open for one more list cycle and if we do not have a
volunteer to take the lead, close it for lack of volunteers.

We last did the Shiloh Horse Rescue in 2011, making it a four-year-ago
activity. It should definitely be fresh enough for another session now
in 2015.
All it takes is for someone to make arrangements. There should be very
little formality involved, although we should give them a heads-up that
we are coming.
Jill and the staff are familiar with the nature of our group so there
will be no awkward cold calling if anyone wants to look into this.
A modest donation is expected and appropriate from those attending.
As for timing, it was less than an hour to the facility, IIRC. We
stopped for lunch in Jean on the way back and we were back early
afternoon, just in time for a power nap. :)
We don't have anything outdoorsy on the schedule so far this year, and
this would be a very good fit for any of various days.

Dionne's Bucket list) than a calendar group activity.
The hunt begins at the Opening dinner and results are reviewed at the
Final Dinner. If it can be setup upon Registration, then attendees
register for the hunt and check off the activities as they go.
At the Final Dinner, we can relate our adventures. These are open to
everyone and it could make a good icebreaker for making new friends ...
Maybe someone who has had to name their newborn would know what to name
this activity (;-o) It could be a daily HH icebreaker or DLV treasure
hunt or Dionne's Bucket list or ?? I plan to add more items, if
approved.

Suggest Teams [maybe 4 persons] need to be established on Sunday night
and no later than at the Monday Opening Dinner.
Yes, the "Hunt" probably would start on Monday Opening night and ends
Thursday midnight.
Have a "Share & Acclamations" sharing at the Final Dinner Cocktail Hour
-- Friday.
So what is the "hunt program"? i.e., its theme, its clues, # of
'hunts', how information is distributed, what time each day, etc.
I would be happy to work on this activity's theme with you, Dionne, if
you would like a 'co-pilot/ wing women' !!!!

We do need to give it at least one line item on the schedule. Why? So
people know that it is happening.
There should be no approval necessary. I don't foresee any issues. Major
item will most likely be deciding on a name. :)
Now, shifting gears somewhat and thinking out loud, I'm wondering if
this might be a tool we can use to help people to expand their circles
of friendship as well as to gain confidence. I'll be bringing up this
topic for discussion in the next ORG mailing. JoAnn's comments about
"teams" would be a great way to establish new friendships, especially
if the teams can be made up of those who are not previously acquainted.

The sign-ups were to happen differently this year, since last year we

Manager, Cindy. Can we review these changes for workflow?
There is also something I want to mention here about the BM store.
Cindy, the store Manager now asks gender diversity questions,
specifically working with TG clients, during the interview process for
the MU artists. DLV has influenced the personnel policy of this Vendor.

Yes, the Bare Escentuals sessions are solid, on the schedule, with you
as Coordinator.
This year on the sign-up screen, they will be grouped with a note to
please sign up for one and only one session, and that if one signs up
for more than one session, only the first one will count.
We also have a couple of other options, which I suggest you use both
of, to help control no-shows.
These will give priority on the list to those who have a valid cell
phone on file and to those who are returnees with no no-show/no-pay
items noted. I would suggest both of these sign-up options.

I plan on staying at the Flamingo so extra riders should work out.
As for the High Tea... happy to take that on and will contact the Four
Seasons to schedule it and get a price and will advise on cost and
confirm the 2 pm start time.... usually 12-15 attendees and I have to
say that it is a fun "sit down" event with plenty of time to sip tea and
have some scrumptious finger sandwiches and desserts... plus you get a
chance to wear a frilly or flower print dress and a tea hat.
