One week touch-base:

Most everything is in place and ready to go! Thanks again to all who
have made this the smoothest planning session of any event in recent
history!

Nothing earthshaking to report. Just a touch-base and update.

We'll most likely have one more ORG mailing this coming Wednesday
and that will be it until after the event.

Our total sign-up count is now 199, which slightly lower than in some
previous years but still typical for what we see in this stage in the
cycle. In recent years this number has broken 200 just before the
event.

All but 22 activity sign-ups are in, which again is typical. A few
volunteers still have outstanding activity sign-ups. Please get these
in.

Only 17 cancellations so far this year. This is somewhat lower than we
saw in 2013 and MUCH lower than in 2012.

The level of activity on the Discussion Forum is higher than it has been
the week before the event in recent years. This is a highly positive
indication and shows a high degree of interest.

Last call for additional contact people!

We now have two contact people whose phone numbers will be listed
in the Large Final Mailing.

It would be nice if we had a third.

Both of the listed numbers are local, so the third one can be local
or long distance from Las Vegas.

only to those registered to attend.

Since I'll be at the Hof Brau dinner Tuesday evening I can take the name
tags for the gals that are joining Dennis and me and distribute them.
Perhaps the coordinators of the other dinning options can take their
batch of name tags and that way we should get a lot of them passed out
if they haven't already been all distributed by Monday evening.

Does that mean you are willing to order and pay for the tickets upfront
and have the others pay you back?

I did that two years ago and put out over a thousand dollars hoping
everyone who 'ordered' a ticket would pay me back. Not doing that again.

I would echo this and would like to personally caution anyone who is
considering fronting 3-4 figures of their own money expecting others to
follow through and reimburse!

Been there, done that, got burned! Many others have too.

While most of our people are good folks who are appreciative of such
arrangements and will always follow through, there are some who will be,
if not hardcore no-shows, very nonchalant about it with "oh, I changed
my mind" excuses and such. :(

With a smaller show that seldom sells out on a weekday, it's usually
possible, even with "hard" tickets, to do a bit of shmoozing and palm
greasing, and to get everyone seated together.

Another approach is to collect the $$$ up front and go to the box office
and get tickets all at once.

There are many other variations on the theme. I've found that the
smaller shows which are eager to fill seats will work with you and come
to an arrangement that is mutually beneficial. I've done this with David
Saxe for Showgirls Of Magic, at least twice for Kenny Kerr, and once for
Frank Marino back at the Riviera.

There are at present 50 people signed up for this activity so there
should be plenty of people wanting to get VIP seats.

I would suggest using the smaller machine-predicted "estimated turnout"
figure as to how many to actually expect. These numbers have usually
been surprizingly accurate over the past few years since I've been
tweaking the "fudge factors" involved (new vs. returnee, local vs. out
of town, SO present or not) to get closer predictions.

The consensus on the Discussion Forum is for the Bar and Bistro at the
Arts Factory for the Pre-DLV.

This is unquestionably mainstream, but should be quite comfortable for
those new to public exposure.

I would like to encourage all to join us, and to encourage others to do
so as well.
