Moving on forward:
We have many different items this week and again kind of a long mailing.
All changes that have been noted or reported in the last week now appear
on the working schedule. Please check it over to be sure all items are
correct.
Please don't be surprised at some times which appear to be unusual on
the working schedule. All versions of the schedule which will be sent to
the Teaming Millions will have sane-looking times.
We've had two cancellations over this past week.
This is not necessarily a Bad Thing, as a cancellation is far better for
us than a no-show!

New Attendee Orientation:
Katie writes:
In the Bahama Breeze behind the bar area sounds perfect as we will be
there anyway and it saves new people from getting 2 cabs for one event.
It is easy to get to and has relatively easy access and egress so to
speak. The foyer is usually clear of people especially in the early
evening.

New People Orientation -- I cannot agree more with Katie. Bahama Breeze
should be the venue!!
The new attendees need a "under the radar experience" where their heart
felt questions are answered.
This also is were they should have the opportunity for additional
information about an introductory "going out experience" the next day.
This needs to be a "getting ready to be ready" experience.

I would have no problem with eliminating the "classroom" approach and
just doing a casual "girls, let's get together, make yourself comfy on
the sofa, and lets get your concerns and questions addressed" format.
As far as location goes, if you think the Spotlight would be good for
this, then I'm okay with it too. Let me add here that the RV Park where
we stay for the week of DLV has a small quiet room behind the office
that I noticed last year and thought it might make a good safe place to
have a gathering of this sort. I can check with the RV park office to
see if it is available to me for me to have some friends meet there.

It appears that the consensus is for Bahama Breeze just prior to the
main evening activities. I have a feeling that this will give us the
best turnout of all of the locations mentioned as possibilities.
As we've done in recent years we'll have a special page of instructions
on how to get to the venues used for the major gatherings so there will
be easy directions on how to get there.
That is a good point that the facility should be fairly clear of
"civilians" at the time of this session, and we can note that.
My guess is that we can either use the front (actual "gazebo") section
or the area around the bar in the back for this.
Now that location is out of the way, let's talk about content.
I think the main focus needs to be on addressing the concerns of the new
attendees, whether those are along the lines of the way DLV works or
personal concerns with going out in public and such.
I think we probably need some kind of a BRIEF presentation or structured
discussion regarding the way we do things and the differences between us
and the conventions, along with other common misunderstandings.
Sara can then do the "on going out" discussion and we can then circulate
and get to know the newbees.

Coordinator photos:
We now have a grand total of four Coordinators who will have photos
shown on the schedule.
We can do better than that! :)
We would like to get as many as possible to participate in this.
This is, of course, strictly voluntary and is opt-in.
What we want is a recognizable reasonably recent photo showing a clear
view of the face. This should be a real-life unaltered photo.
To participate in this project, simply ...
1. Send in a photo, or send in a link to a photo that appears somewhere
on the web. We'll do the busy work of cropping and resizing and such.
2. Tell us to use your MyDLV avatar photo.
3. Tell us to pick one for you. (Be careful what you ask for!) :) :)

Marisa writes:
Looks good for the backdoor folks getting into Carmines. They will need
to gather by the employee entrance (this is in a semi-secluded area)
next to Spago, so they can be let in and escorted to Carmines back door.
It will probably work best to carpool to the Forum Shops lower level
valet on Jay Sarno Way. The driver can then valet park or drive to the
self-park entrance a short distance ahead.
Just inside at the valet is a handicap elevator (the doors open by the
employee entrance) or take the escalators that take you within 50' of
the employee entrance.
I'd like to help with informing DLVers during the week about how family
style dining works at Carmines.

Let's hear some comments on this, gang!
A couple of words here set off some concerns for me. "Gather",
"Carpool", and "be let in" in particular. Let me know if I'm mistaken
here, but this implies that the arrival would be at one time, or else in
nice neat groups. As we know from experience, the people tend to arrive
onesey-twosie at random throughout the duration of the arrival period.
Please correct me if I am wrong but it appears that there would be some
waiting (alone?) involved and that an escort would be required for each
individual entering the back way. Is this correct?
It seems to me that a much simple approach might be to simply offer an
escort to those who need it, and/or station a couple of Big Sister types
at the valet entrance during the expected arrival times.

Thursday dinner and High Tea:

I will take on the second dinner option on Thursday.
Same time as PF Chang. 5:00 pm HH and dinner at 5:30 pm so people have
time to get ready for EHM. Need to get there myself.
Satays or maybe Trevi? (which might be better).
If High Tea has any problems I am willing to help. I enjoy High Tea on
Fridays. Will host or co-host if needed.

Since we will be doing Carmine's on Friday, another Italian joint at
Caesars would definitely be repetitive, so unless you can think of a
reason why not, let's put Satay on for Thursday. Yes, both Thursday
options will then be Asian, but Satay (Thai) will be quite different
from PF Chang.
It looks like Marilyn will be taking the lead on High Tea. See below.

can be a designated assistant.

I saw Ron Aronsohn at the Blue Ox yesterday and scheduled us for 6 PM on
3/30. Their HH is 3-6, so some may want to arrive a little early. For an
initial estimate, I told him possibly 20-30 people.
As the time approaches, we will need to get a real approximate headcount
so he can plan accordingly. I told him we should know by 1 week prior.

You will find that the staff there is very easy to work with and they
love our business!
Let's note Happy Hour at 5:30. That will allow a period of reduced drink
prices prior to dinner.
This year we will be particularly noting that the term "Happy Hour" on
our schedule means a social period which may or may not coincide with
the hours of promotional drink pricing.

What you might consider doing is some kind of an "Open House" session
during DLV. I might suggest an afternoon toward the beginning of the
event.
This could either be in a hotel room or else you could probably talk a
place like Spotlight/Phoenix/Metro in to letting you use the place in
exchange for the bar business.

High Tea:

Earlier I had mentioned that I might not be able to come to DLV this
year, so with that uncertainty I couldn't organize the High Tea.
However, that uncertainty has gone away and I will be coming after all.
I would be more than happy to coordinate the High Tea, and I've put in a
call with the Four Seasons to schedule it for Thursday, April 3rd, at
2PM.
I'm hoping for Thursday since that would be a better fit into the
existing schedule since there are no other event s at that time and
Friday conflicts with the Macy's Makeovers and could be difficult in
providing ample time for getting ready for the Closing Celebration.
If this is a fit, then I'll put together a little explanation of the
event for everyone in a few days.

As we know, hotel rates change frequently due to supply and demand. The
best place to note hotel rates is on the Discussion Forum. We are now
past the 60 day mark (early this year!), and yes, rates tend to go up as
the places fill up. Chatter on the talk boards is that LV is more
crowded this year than in recent years so yes, we can expect most of the
hotels in the "Four Corners" vicinity to sell out during the weekends
surrounding DLV.
