Time is fleeting:

(It's astounding!)

We are creeping up on the six week mark!

Unless we have any major snags appear, we're looking very good. The
emphasis over the next few weeks will be to get activity sign-up solid
and rolled out.

As we approach the home stretch, it becomes more and more important to
report any possible major issues (key person not available, facility
closure, etc.) sooner rather than later!

We've had one report (below) of one potential time crunch. Although this
particular one probably will not affect that many of our people, it is a
very good example of things we need to be looking for.

Several schedule changes have occured recently. We'll do a semi-final
pre-sign-up review of the schedule next week.

Numbers game:

As of Wednesday morning we have 127 individuals signed up. This number
includes 16 SOs, which is a slightly smaller (but not by much) SO
percentage than we have seen in recent years.

Using historical fall-out rates, the Magic Machine says that 104 of
these will show. Since the registrants we have so far are all either
returnees or "warm" newcomers, we can consider the 104 figure to be the
absolute minimum turnout of those signed up already.

General open registration (open the flood gates!) opens this weekend
and we'll continue to report on the numbers as the sign-ups come in.

We are currently seeing about two new list joins per day.

High Tea complications:

The Four Seasons sent me an e-mail with a couple of new twists regarding
the High-Tea, due to new management:

1) They now require a $500 room charge (negotiated down from $750) for
using the La Sala room that seats 20;

2) They won't relax the 72-hour requirement for giving an exact guest
count; and

3) the cost has gone up to $43.55 per person ($34 for the tea + 20%
service charge and 8.1% tax).

So............... I'd like to propose the following:

1) Move the tea back to Friday at 2 pm thus giving people a chance to
pay on Monday night;

2) The count of guests I give the Four Seasons on Tuesday will be firm,
therefore if someone has signed up and not paid me or contacted me by
Tuesday they will not be counted and will not be able to participate;

3) If the count of guests falls below 12 then we will either use a
smaller room or sit around 2 or more large tables in the open area; and

4) Raise the price to $44.00 with payment though PayPal or in person by
Monday night. (I plan on golfing Tuesday).

I realize that in the past couple of years when the Welcome Celebration
was at the Artisan some of the sign-ups could not find me (and though I
found some, there were quite a few that I was unfamiliar with). I'm
hoping that since this year we are at Bahama Breeze that an announcement
can be made about the tea and those that haven't paid will get that
opportunity.

I would like for us to have a "conversation" for having the Tea!

First, I am a big fan for it but it seems to me the cost is really
becoming a problem. So...

Yes, we need to use Monday to get all sign-ups with Tuesday close off
the event count. If you come later it is just an activities you cannot
plan to attend.

Marilyn could you find out about the following---

(a) What is the cost if a couple came to have the Tea at a "open table"
on any afternoon? Tea, tax, etc...? Is this less than the charge they
are asking us to pay?

(b) If we had a smaller room is there a lower service charge or no
charge? Will this hold down the price?

(c) Maybe we should look at using the open area, and see how much the
charge is reduced from $43.00. If we choose this it might get the Ritz
to understand that they would prefer to place us in the La Sala Room
without a service charge so we do not sit with the "regular-type"
customers.

Editorial _a la_ JoAnn: I would be happy for us to sit in the open area
and have our "staircase photo session" to follow without the "around the
table photos" in order to have our usual attendance number and not have
such a high cost at $43.00 price.

Your thoughts? Let's see what we can do here.

Appreciate you understanding of my comments. I think this is a great
event, but I would hope that price makes us have to not schedule it.

Activity sign-up alpha test:

This will be the first test of this year's activity sign-up, which will
be rolling out in just a few weeks.

We're asking all, in particular those who have activities on the sign up
list, to please surf here and give the sign-up system a good shakedown:

Here are the key things to look for:

1. MOST IMPORTANT! Activities which should appear on the sign-up screen
but do not! It's trivially easy to add something else prior to activity
sign-up time but it gets extremely messy trying to do it once sign-up
begins!

2. Errors on the screen. Things like wrong times listed, wrong venues,
wrong activity descriptions. Also be sure that your activities have
the correct type of sign-up.

3. Technical and visual issues. Any bad rendering of any part of the
screen? Any items difficult to read? Any arcane error messages when the
SUBMIT button is pressed.

4. This is the tricky one. Are the warnings and errors for such things
as signing up for something prior to the arrival date, or double booking
a particular timeslot working?

We will do a "beta test" of activity sign-up using you, the volunteers,
toward the end of the month.

Newcomer Orientation:

I think that we are converging on a good plan for this.

I would like to think of incentives to make those who are new to DLV
to be more likely to attend. I do have one idea and I would like to
hear your ideas to.

Something meaningful. I'm thinking of something like a gift certificate
to Macy's. I thought of doing one for a place like Bare Escentuals, but
with our luck it would probably be a guy winning it, and a place like
Macy's will have items which appeal to all.

Do something like Beverly's marked chair thing to give it away.

"New attendees of all backgrounds and experience levels are encouraged
to attend."

We also need to encourage all Big Sisters to bring their Little Sisters
to this!

I am thinking that for further refinement of the newcomer session we
should take the discussion off line using an ad-hoc list, which would
include those who have expressed interest in helping with this (Vera,
Dennis, Katie, Sara), the Big Sister team and the Project Management
team.

If anyone else wants to be included in this, please write in and let us
know.

I also want to do an "Activity Highlight" on this, but not just yet,
wait a while so it will be fresh in the minds of those to whom it
applies.

I am glad Annie mentioned *the Gazebo area* in Bahama Breeze as a
location for the new folks intro to DLV. Having given this a little more
thought I think it is the perfect location for this part of the evening.
The room will be empty except for us at that time and we can view those
arriving from the bay windows which overlook the entrance steps and
parking area.. ( In 2013 ,being a hostesses assistant at the final night
event at B/B last April I used this approach for a while early on in
the evening and it worked quite well for me!.

Hopefully my plane will be on time this year and I will be there and
ready for action!

The weather was warmer in April 2013 than it will likely be on an early
evening in March so I stepped out onto the porch a few times to greet
the girls who looked like they needed a hand as they arrived. ( There
were not that many ) *lol*. With this being the orientation time I like
the idea of being able to see the ladies arrive. I can volunteer for
this duty if you would like me to?

We have a Smash Hit on our hands girls. Let's make this one the the best
one ever.

Please let me know how you would like to see the beginners intro to DLV
run? I have not done the Beginners thingy before so If you would like
for all of us to do a short personal intro then I am ok with that and I
am sure Bev is also. But if it would be better to only have one main
speaker that we can simply let them know that it will be ok to just ask
questions.

Here are my thoughts about the format and content.

I think we should concentrate on the following:

1. What the new attendee (experienced or not) needs to know about our
program.

2. An introduction to the Big Sister Program by one of the members of
the Big Sister Team.

3. A personal testimonial from a recent (as in 2013) new attendee.

4. Any specific questions, concerns, etc, that the new attendees have.

For item 1 We know from experience that even though we emphasize the
differences between us and the other events, newbees often arrive
expecting something more like a High Desert clone of SCC. This kind of
stuff will all be first-person from one of you (Katie? Vera? both?) who
will be presenting and moderating this session. Even those who know we
are not a convention will not know how things work and how we do things
at DLV.

We definitely need to proactively get any "low information attendees" up
to speed. From the recent postings and chirps, it's very obvious that
several individuals do not have a good feel as to what's going on.

Items 2 and 3 are definitely first-person and should be fairly quick.

For item 4, this will be more of a second person thing and each item
brought up will need to be addressed by someone who can best answer. For
the recent newcomer sessions most all of the questions I've fielded fall
into the "How do I ...?" and "Where is ...?" categories.

IMAO, such things as personal introductions of any depth need to be
done one on one or one to a few during the informal social part of the
activity..

5:00 - 5:15: Informal assembly and socializing.
5:15 - 5:30: Prize give-away, Presentations, and QA.
5:30 - 5:40: "On Going Out", segue' to social time.
5:40 - 6:00: Social time, "business hour", and various.

We do need to consider the propensity of our people to run "fashionably
late", but one way we can encourage promptness is to note that the prize
give-away will occur toward the beginning of the program. :)

I would like to see the name tags there, and since Vera is involved they
most likely will be.

I (Annie) can assist with any technical items, such as assisting anyone
who wants to set up activity reminders and such.

We need to be very attentive to the new folks during the social portion
of this session, and I would again say that returnees are welcome with
the understanding that the time is to be spent with the newbees.

In all seriousness, however, the backdoor passage to Carmine's, at least
to me, seems quite complicated and difficult for someone who is not
familiar with the property to understand and navigate.

Would we be better off simply offering an escort on a case by case
basis, or else stationing a few Big Sister types at the valet entrance
to do any escorting (or simply traffic direction) as needed?

Sorry, I haven't been contributing much over the last month. I have been
very busy at work but I am finally starting to emerge from my shell to
start thinking about DLV again.

As Merissa mentioned about 2 weeks ago, the Mob Bar and the Triple
George Grill have split. The Mob Bar moved into the into the Downtown
Grand and no longer server food. Since the George's food was what made
it great to begin with, I agree with Merissa that we move/keep the
pre-Scavenger hunt dinner at the Triple George Grill.

Secondly, I don't think either the Mob Bar or the Triple George Grill
have a happy hour on Sunday, however since there are already 3 other
downtown happy hours + Robyn's bar tour this might not be necessary.

I am also finalizing the organization for the Wednesday pole dancing. I
will be posting activity details on the DLV forum soon. We will be
aiming for 15-20 girls.

I also will need a hard signup for the Club Surrender as the club needs
a guest list to get in (we get that from the Pole Dancing school). As
this is a very mainstream club I would try and keep the group smaller
(~10 girls)

Now a few more questions for you ...

Should the Scavenger Hunt rendezvous point remain at the Mob Bar or
should it be moved to the Triple George?

For the Club Surrender, do you want a list via the DLV sign-up, or do
you want to wing it from the Pole Dance session? It's simple to add it
to the DLV Activity Sign-up, but I can easily foresee it getting very
out of sync with who will really be showing up.

Thanks for reporting this! Even though this particular item will only
affect a handful of our people, it's a very good example of what we need
to be looking for as we cross the Is and dot the Ts. :) :)

It will be up to Aejaie if the lunch is to be pushed earlier and Cami if
the Wig Seminar is to be pushed later, to allow Wig Seminar people to do
this particular lunch, but I do not see this one as any major timing
concern.

The Makeover Session has a very low capacity limit. Typically we see a
turnout in the single digits to low teens for the daily lunch. Therefore
we don't really impact too many peoples' plans having three options at
1:00pm on Monday.

The Wig Seminar is the only one for which there are not other options,
and it will most likely dominate the timeslot. Those who want to do the
Wig Seminar and Bare Escentuals have several other options for their BE
session. Likewise there are countless options for lunch which those who
will do the Wig Seminar can use, many of them right in the area of the
Wig Seminar.

It will be up to those in charge of the activities to tweak the schedule
if they want, but I do not foresee any kind of tweaking resulting in a
meaningful increase in the number of bodies at any of these activities.

Even with a one-hour shift of either activity, it's still not really
do-able especially when get-there time is considered.

Historically speaking, one very bad example of a time crunch happened
in 2012 with this schedule:

of things we really have to watch.

All, please keep an eye out for any other potential "time bombs" on our
schedule, particular those in cases where many attendees might be
affected.
