We ask all Coordinators to please carefully read the item below on
activity sign-up, which is one of the next big milestones.

We've just passed the 60 day mark! Yes, our event will be coming up
shortly.

In our planning cycle we typically see two "crunch time" periods, the
first being the days leading up to the start of activity sign-up and
the second being the days just prior to DLV.

Over the next few weeks we will need to get as much of the "busy work"
regarding the details of our activities taken care of.

As of Wednesday morning we have 111 signed up to attend. Out of these,
79 are returnees and 32 are new attendees. These numbers include 17 SOs.

Registrations come in on the average of one every 1-2 days or so, same
as we typically see at this stage in the cycle.

List joins have been coming in more than one per day recently.

The magic formula says that out of these, 91 individuals will show up.
We can now say that just over half of the registrations that will come
in are now in.

Coordinator photos:

This year we will be trying out a feedback suggestion and including
thumbnail photos of the primary activity Coordinators on our final
detailed schedule.

The intent, of course, is to give the attendees an idea of who to look
for when seeking out who is in charge of an activity.

We would like to get as many as possible to participate in this.

This is, of course, strictly voluntary and is opt-in.

What we want is a recognizable reasonably recent photo showing a clear
view of the face. This should be a real-life unaltered photo.

As of this time we have a grand total of two (2 - count 'em - 2) photos
which have been sent in from previous requests. Certainly we can do
better than that! :)

To participate in this project, simply ...

1. Send in a photo, or send in a link to a photo that appears somewhere
on the web. We'll do the busy work of cropping and resizing and such.

2. Tell us to use your MyDLV avatar photo.

3. Tell us to pick one for you. (Be careful what you ask for!) :) :)

Mailing list and e-mail confusion:

A reminder and clarification here as to what happens to items sent to us
via e-mail, and where to send items when you have certain expectations
about what will happen to what you send in.

This is becoming more and more important as we enter our crunch time and
the volume of submitted items increases greatly.

When items come in to us we will try, if necessary, to steer the item to
the intended or most appropriate destination, but when that is unclear
or if it's in a grey area we will err on the side of using the item
where it was sent.

This is the "catch all" main mailing address for us. It typically gets
over 100 messages per day, most of which is crap (social network
invites, other various mailing lists, auto responses, blatant spam) and
is filtered out. What is left goes to Ginger (Secretary) and the PM
team. List joins and unsubscribe requests end up here and they are done
semi-automatically with a boilerplate welcome message from Ginger being
sent to new list members.

If you send anything to the main dlv_at_geekbabe.com address, please
include a note saying where the item is intended to go and what action
you expect to happen regarding it. Many items come in to this address
which are copies of items sent the the two above addresses, and those
are often times ignored as duplicates.

our normal e-mail system is not usable. It's not checked except in case

Activity sign-up:

Over the next month the big project is getting activity sign-up ready
to go. This occurs sooner in the process than it ever has before.

We're asking all of you to please help this out by carefully reading the
below items. This is what we currently have on file regarding sign-up for
the various activities.

All activities not listed are "No sign-up, just show up" and if you want
a sign-up or a headcount for these, please let us know so we can put
them into the sign-up screens.

We have five classes into which we place all activities, regarding
sign-up and other actions that need to be taken. These are:

1. "No sign-up, just show up"

This is the default. No attempt to do a sign-up or headcount is done.

This is used for the majority of our activities and is used when the
total number of participants in the activity does not need to be known
in advance. Examples of activities are the daily recurring activities,
happy hours, and various more informal activities.

2. "Sign-up requested for headcount"

This is for activities where we want to know the approximate level of
interest but do not need an accurate headcount. A good example of an
activity in this class would be the Sunday dining at Denny's downtown.
That evening is not expected to be very busy and we will simply be using
available tables as needed.

3. "Sign-up requested"

This is for activities where we want to know how many will be
participating but which have a certain degree of "wiggle room"
where those not signed up can participate.

Good examples are our larger dining activities. We need to let the
facilities know about how many to expect but we welcome those who have
not signed up to participate as well. In some cases, priority may be
given to those signed up in advance.

This is the classification to use when you need a good guess of how many
will participate but want the maximum level of participation in your
activity.

4. "Sign-up required"

The difference between "requested" and "required" is that when the
sign-up is required, the activity is closed to those who have not signed
up in advance.

This is for activities which are limited in capacity or which require a
close-to-exact number of those who will be participating. Examples would
be some of the makeover sessions, some dining activities, etc.

This is the classification to use when you want he most accurate list of
who will be participating in your activity.

5. "Prepayment required"

This is for activities where the Coordinator is "on the hook" for paying
for those who participate or rather for those who may sign up but do
not show. Signing up on the sign-up screen indicates the intent to
participate, but it is the receipt of payment which confirms the
sign-up.

Examples would be Golf, High Tea, Limo Tour, etc.

"Additional action required"

This is an attribute which can be added to any of the above. It
indicated that something else, other than signing up, must be done in
order to participate in the activity. This is often in the form of a
ticket purchase.

In the event of sequential activities such as a happy hour followed by
dinner, we will usually do the sign-up for the dinner portion only and
the HH will be no sign-up, just show up.

clear @ 1pm.To the casual observer, this looks like attendees need to
decide which 1 pm activity they want.

Actually, the 1-hour makeup sessions go from 1 pm until 5 pm that day.
They can schedule 3 attendees per hour during that period. The next two
days have similar range of appointment times, not just 1 pm. IMHO, this
is needs more clarity.

(3) *Wednesday evening* - As an alternate to the NSD offer ----- Audry
H's [Hepburn] *High Style Tour: Lounges & Appetizers.* This would be an
evening of possibilities to included : Wax Museum[Photo Op]; Bellegio

op]; and any other suggestions.

Here are my thoughts on these ...

I think this (Goodtimes Drag Show) is a very good fit. That would be a
great round-out for the after-dinner timeslot.

Again, a shopping activity on Wednesday would be a very good fit. If the
South Outlet Mall, lunch could be at the food court there.

I have mixed feelings on even attempting second tracks against NSD and
EHM. I think that both of them will be extremely popular and will both
have turnouts in the 70-ish range if not the 100-ish range.

Question to all: Do we want/need some local activities opposite NSD?

I think the Audrey Tour would work best on Tuesday. That's a good lineup
of tour stops and I think it would work well, but not against one of the
big gun activities.

I do like the idea of Elton John as a high-end show option but I have a
feeling that it would not be well attended opposite EHM.

In the years I have attended DLV the hotel and flight rates out of
Toronto have never been so low ,so if any Canadian ladies are thinking
of attending this is the time to book.

I am the hostess for the religious services for the metropolitan
Community Church services. First service is the Joyful morning service
at 9 am . The second is the New song service at 11am. Since only six or
so attend this event .I suggest we attend only the 11 am service and
meet at Betties for ride sharing.

If any help is needed to host an event I would be happy to help out.

I would like to volunter my assistance as a 2nd or 3rd string hostess
for the (1) The new attendee thingy at 5 pm Monday if I can get ready
quickly after my Monday flight arrival and (2) With the Monday evening
opener also which I should definitely be ready for. (3) The Frank
Marino show... (4) and the Farewell Dinner Do at Carmines..

If I am not needed at any of these please tell me, I assure you I won't
be offended and it is better that I know now so I don't have to arrive 1
hour early !

I was also thinking that if anyone would like to join me at *Super
Sevens* for their Breakfast Buffet (Still only $4:99 with the card.
$5:99 without.) then I will make an effort to make this happen at least
one morning, This will be a spontaneous outing and only if there is
interest expressed during the Koffe Korner Gathering at Bettys. Worthy

Let's discuss the New Attendee Orientation ...

As of this time I'm showing Vera, Sara (no "h'), and now Katie as
interested in helping out.

I envision the goals of this as being to provide the new attendees with
a more personal and sincere welcome than can be done in the heat of
battle, and to try to combat the "low information attendee" situation by
clearing up any of the common misunderstandings and giving the new
people the opportunity to ask questions or express concerns.

Sara was interested in doing an introductory "On Going Out" session for
those who are new to public exposure.

Big Burning Questions are where do we do this and what format is this to
be?

As to where, the current schedule offers two good possibilities. One
would be to use the Spotlight Lounge (about as "safe" as you can get)
immediately after the Wig Seminar and Beading Party. Another would be to
use the Bahama Breeze just prior to Happy Hour, some corner such as that
behind the Gazebo Room bar.

As to format {sigh!} we did mention a "classroom" type format. I won't
fight it if that's what the gang really wants but I personally would
think that something more informal and personal would be more effective.

As to content and any material to be presented, I think we need to
listen to the new attendees and address their concerns, kind of like
we did at the welcome receptions last year. Most of the questions I
fielded were of the "where" and "how do I" nature.

I would like to see us do all we can to eliminate the "low information"
situation. A good example of this is the individual who had to "Google"
to find information which went out on the final schedule. I really hate
to see people miss out on things because they don't know where, when,
etc.

Last year we included previous years of attendance on the name tags.
IIRC the early discussion this year showed the consensus that this was
not necessary.

We also had two colors. I honestly do not remember what the two colors
represented. :)

What information, other than the name, do we want on this year's tags? I
don't know. I'm asking. :)

We also should be planning ahead on how we're going to do check-in and
name tag distribution this year. Again, I'm assuming that we'll have
only one set of name tag inserts, so that necessitates a single-threaded
approach to name tag distribution. I am planning a test of a paperless
check-in system to be used in addition to, not in place of, the usual
process. This would allow potentially any volunteer with a smart phone
or netbook/tablet to check in those who cannot or do not get to the main
check-in locations.
