It's a whole new ballgame:
BIG THANKS! Things are looking great, and it's been a superb effort
on the part of the volunteers that made it happen! We're on track
for a dynamite event this year!

But first, an important announcement, something that maybe some
of you overlooked?
Have you registered? When tracing the source of one missing
activity sign-up e-mail, it was determined that the individual,
a long-time attendee and volunteer, had simply forgotten to
register. We won't mention names. :) :) :)
It's no big deal and easy to correct, Let us know if you aren't
sure or need something resent.
Also, please don't forget to get those activity sign-ups in!
There are some very familiar names in the various "notice"
categories on the current report! :)

Between now and show time we'll be mostly doing things in the
"dotting I's and crossing T's" category. Yes, if you have some
kind of an activity that you would like to include, it can be
done, as long as it's a no-sign-up-just-show-up thing.

If you're coordinating an activity, please take a look at the
Coordinator listing at the end of this mailing. It's this one,
the one that appears in this issue of the ORG list, that will
be used to make up the "Thanks" document for the LFM.

Additional volunteers needed:
We're asking those of you who are volunteers, but who are not
significantly taking part in organizing activities to please
offer to assist in some particular items.
We're now specifically in need of help in the following areas:
1. Check-in assistance. See details below.
2. Big Sisters. See Delaney's note below.
3. General greeting and welcoming help.

Activity sign-up:
Other than a technical issue late Thursday and early Friday, the
activity sign-up process is going smoothly.
The main batch of activity sign-up mailings went out last Thursday
and the second batch plus the first round of reminders went out on
Monday.
In the past, some Coordinators have been tempted to expand capacity
when the sign-ups for an activity hit the stated limit. This is up
to you whether you do it or not, but please consider that at this
time, over 3/4 of the sign-ups which will come in are in, and adding
to capacity will most likely not be necessary in most cases this
year.
The final schedule will have Waiting List Instructions for anything
which is in a waiting list state as of the Large Final Mailing. The
default instructions, unless you say otherwise, will be "Contact
so-and-so for information" and "... show up and if space is
available ..." depending on circumstances.
Here are some of the activities we're watching for capacity:
Pamplemousse on Sunday has two openings. We have not marked this as
full, since the estimated show-up count is well within capacity. If
you want to do this one, don't procrastinate.
Oscar's on Tuesday is at capacity. Marked full.
Girlfriend Makeover Party on Monday is at capacity. FULL flag is
up.
Oscar's on Tuesday is at capacity. FULL flag is up.
Even with the expanded capacity, Ruth's Chris on Tuesday is again
solid and full. Only one newcomer for this, so it will have a high
show-up rate.
Trap Shooting just hit capacity. FULL flag is up.
Pole Dance Lessons has flipped into and out of the full state. As
of this writing it's one over capacity.
All Macy's Makeover sessions are full.

Toward some final numbers:
It's not as easy as it may seem, but in a week or so we'll be able
to do some hopefully-accurate headcount projections. The one item
that I (Annie) am watching is the cancellations, which blindsided
us last year.
If we track the number of cancellations we had over the past
few years, we get:
2009: 23
2010: 30
2011: 51
2012: 84
These numbers count both voluntary cancellations made by the
attendees and involuntary "no sign of life" cancellations due
to failure to respond to activity sign-up or reconfirmation.
These do not, however, include no-shows. It's highly unlikely
that we'll see the number of cancellations this year anywhere
in the range we saw last year.
As of this time, 114 activity sign-ups have been completed and 59
are outstanding. New registrations still come in every day or so.
Of the 59 outstanding sign-ups, history shows that 25 or so of them
will eventually be cancelled for non-response. I really don't know
what else to do with these. If they do not show any sign of life
after several reminders, all we can assume is that they are no
longer interested. If anyone has any ideas on how to salvage any
of these, please speak up!
In the past, it's been the case that those signing up late in the
process are less likely to sign up for the optional activities,
so please consider your sign-up lists to be over 80% complete at
this time.
Again, if any Coordinators need the sign-up info, please say so.

I can only echo the "big" THANKS stated above by Annie.
One other late activity added is the Carla Wine and Cheese at 5pm at
the GLBT Center .
This is unique because it is catered to include two complimentary
glasses of wine to our DIVA attendees.
It is also a Bay Area vendor's way (San Jose,CA) of saying thank
you to letting them introduce themselves to our community which
offers a place [make-over, clothes, etc.] that welcomes you whenever
you may come to San Jose [vacation or business].
Our DIVA Gathering --- its activities, the unselfish stepping up of
volunteers, the general attitude of making things happen --- Simply
stated ---IT IS A "WOW".

Check-in volunteers needed:
Check-in this year will present us with a couple of challenges.
By necessity this year, check-in will be single-threaded, meaning
that it can only occur at one place at any given time.
We're now calling for volunteers to help out in the following
roles:
1. Someone to "own" the check-in process and be responsible for
oversight of check-in for this year. I would prefer that this be
someone who is not already incredibly busy. I (Annie) am willing
to do this, but I would prefer that somebody else take it.
2. Volunteers to do the actual checking-in and distribution of
the name tags. You can volunteer in general ("at any activity I
am present") or specifically for various activities.
Let's discuss this year's check-in, and why it is the way it is:
Vera has put a lot of effort into making the name tags this year!
We need to acknowledge this and not let this effort go to waste by
failing to make the name tags conveniently available to the
attendees! Therefore, we need to make the check-in and name tag
distribution process as convenient as we can to all attendees.
We have one particular challenge this year. We'll have only one
set of the pre-made name tag inserts. In past years we've had
multiple sets of tag inserts, which has allowed us to hold the
check-in process at multiple locations and avoid inconvenient
handing-off of a singular check-in kit from person to person.
This will require a greater degree of attention on our part, and
may require some of us to "bend a little" to make this happen.
What we can do to make this happen includes:
1. Each and every activity marked "check-in available" needs to
have check-in REALLY be available! No exceptions! No "so and so
did not show up" or "so and so did not bring the check-in kit"
and the like, which has happened, unfortunately, in the past.
2. We need to have enough "check-in available" activities in
order to allow all attendees to check in conveniently.
3. We need to concentrate on the earlier days of the week, those
being Saturday (yes), Sunday, Monday, and Tuesday. In doing some
very quick counts, of all current registrations, 134 of them will
be arriving on or before Monday and 149 will be arriving on or
before Tuesday. That covers the vast majority of our attendees.
. . . . .
We will have one major "choke point" early in the week (Welcome
Celebration), at which quite a bit of the checking-in will be done.
We'll also have a few activities prior to this when we'll be able
to hopefully check in enough people so we can relieve some of the
check-in "crunch" at the Welcome Celebration. Beverly and Ginger
have volunteered to do check in here, so this is covered.
Other activities which check-in should be available include:
1. At the Saturday Pre-DLV gathering. We're gonna try for a good
turn-out here, and yes, it will give us the opportunity to get
quite a few checked in.
2. At the daily lunch, particularly during the first few days of
the event.
3. At all three Newcomer Open House sessions.
If we can have check-in at all of these, we'll get all but those
arriving later in the week and those who just don't participate
that much.
The gang will be all split up on Tuesday evening, so there is
really no practical place to do check-in.
On Wednesday, however, we will have a semi-choke-point at the EHM
that evening. This will be very well-attended and we can announce
this as a check-in location and catch some stragglers.
On Thursday evening we have the Trevi dinner. It won't be as much
of a choke point as EHM, but will attract 40-50 or so, some of whom
will probably have not checked in.
On Friday we have another major choke point, the Bahama Breeze, and
yes, we usually get a few people checking in at this time.
Anyway, please consider helping out with this process, and please
state which activities you would be willing to do check-in.

Artisan Monday dining:
.. and how YOU can help!
Annie writes:
As of this mailing we have 84 signed up to eat at Artisan on Monday.
Our friend the Magic Machine says that 62 of them will actually
show up and do so. If we assume that 80-some percent of the sign-ups
that will come in are in, that means that 70-ish individuals will
expect to be eating at Artisan that night. IIRC, slightly less than
we had in 2011.
I recall that the seating capacity of the Mood Restaurant is about
30. This means roughly between 2 and 3 seating turnovers throughout
the evening, which should be do-able.
We could, if we wanted to get uber-geeky, apply some formal models
of queueing here, but intuitively we can easily visualize that
there will be big boluses of people who will arrive concurrently
and will want dinner seats, which will not be available without
a wait. We'll announce very clearly to please not expect immediate
dinner seating but we know how people behave, so yes, there will be
many who will have to wait, and a certain number of complaints.
Here's how you can help us out to help boost the enjoyment and
satisfaction of Monday evening:
1. Please encourage everyone you know who wants to eat at the
Artisan that evening (including you) to please arrive early and
take a seat for dinner as soon as is possible. If we can "front
load" those first 30 or so, this will mean that seats will be
opening up right around the peak arrival time.
2. You will undoubtedly hear complaints about slow seating. Please
help us out and explain that (including the fact that they were
told to expect this) the Artisan is giving us the full menu, etc.,
etc. and that patience is appreciated.
3. Please don't rush your meal, but when it comes time for the
postprandial coffee or cordial, please consider doing that in tbe
lounge, particularly if others are waiting. Everybody wins if we
can cooperate in keeping things moving.
