Those planning any activities at D&D/Krave should read the LVRJ
article cited in the item below. As of this minute and second, it
looks like D&D is stable, but Krave, at the new location, is quite
uncertain.

Latest numbers:
As of Tuesday we have a total sign-up count of 160, which includes
27 SOs. Best-guess prediction is that 132 of them will show. The
registrations are coming in about one every two days or so now, but
general registration officially opens this weekend, so that will
most likely pick up the rate. We've been getting 1-2 mailing list
joins per day for the past week or so.

As asked by Annie.... any opening night suggestions on the food
arrangements are welcome.
Cynthia has a "good lay of the land" at this venue .... I might suggest
hearing if the Artisan Staff has any ideas of what could be done at
poolside for a dining alternative. Having a bar there should easily
underwrite the staffing cost at the venue. Just a thought. If I can
assist let me know.
Thursday Alternate Event: Is there anyone who might volunteer to
coordinate an "Audrey Hepburn 'cocktail lounge' foray" [an alternate
dressy affair on Thursday --- Wynn -- Bellagio -- Paris -- Cosmopolitan]
with the last stop to join in with the Limo Tour? The two groups could
meet up at the Cosmopolitan at midnight! It would be a dressy affair for
both groups. Another thought for a Thursday night activity.

on any of these ideas is requested. (No, you won't get jumped on to
volunteer by simply letting your thoughts be known.) :) Comments on
the proposed "Poolside Barbeque" below will be appreciated.

As of this time, our Monday evening schedule looks like this:

IMAO, this schedule immediately above is very iffy and awkward with
regard to getting many of our attendees an enjoyable evening meal
along with that important 2 hours or so of "Quality Social Time",
which is really what our Welcome Meet And Greet is all about.
We've discussed a few options such as:
1. "Best effort" single-track dining at the Artisan, perhaps being
supplanted by appetizers at the bar. (Thanks, Marisa.) :)
2. Multi-track dining immediately prior to the Welcome Celebration.
3. Multi-track dining after the main Welcome Celebration.
4. Poolside BBQ as a continuation of the Welcome Celebration.
Thoughts and feedback on any of these approaches, please.

What's this Poolside Bar-b-que at 7:30 on Monday during the meet
and greet. Did you fix this up for us? It's a stroke of genius if
you did. Sign me up for it, I'm there.

Given the fixed price issue we should be working with self-service
salads(4?) and a barbequed chicken -- "four-quarter" of" hind-quarter"
[was a butcher in my other life!]. Plus a single small simple dessert.
This needs to be a competitive price-driven item with the regular
restaurant to include tax and tip. It would be good to have a wine and
beer bar set-up in the same location at an added cost.
If Cynthia has questions I am happy to discuss "off-line" with her. It
is her show and I want her to have all of the credits!!

Cynthia, it's your show, and if you want to reach out to the Artisan
folks with this idea, please do so. JoAnn will advise and assist as
if necessary.
The good news is that something like this will most likely be the
best answer to our issue. The bad news is that it will take some
"real work" to do, and will undoubtedly result in some kind of
formality. I can envision this as being somewhat similar in scope
to the optional buffet which was available at our 2008-2009
Welcome Celebrations.
Something like chicken (BBQ, not rubber) :) :) is an example of a
dish that most will enjoy, along with salads and a simple dessert.
This could alleviate the load on the restaurant's capacity.
IMAO, to work, it needs to be optional, meaning no charge "just to
walk through the door" to socialize only. Perhaps an arm band for
those who have paid for the meal?

For the WC at Artisan, would it help to suggest the $5 HH apps in the
bar area as a option to dine with the group?
Some people put together a "small plates" meal with appetizers in the
bar area the last WC at Artisan when the wait got too long.
Some nearby (less than a mile west) restaurants are Landry's,
Macaroni's, Palace Station and In N Out.

Yes, the bar food, often overlooked, could help with the seating
issue in the Mood Restaurant. IIRC, they also offer the restaurant's
full menu at the bar on request. This could be an option whether or
not the Poolside BBQ happens.
The various nearby restaurants would work as after-WC dining options,
but if we offer something like this, we do need them to be "hosted"
at least minimally, meaning one volunteer agrees to be there to, at
minimum, welcome the others.

needs at the time.

Activity sign-up:
This is an introduction and/or review of our sign-up process.
One of the biggest tasks over the next month or so is preparing for
activity sign-up. I (Annie) am starting to prepare the sign-up
screen which will be used. Most of the grunt work is automated, and
the real effort is gathering all of the information necessary to
make this happen.
Realistically, we can expect over 150 attendees to take part in our
event this year. We can also expect to have 25-30 or possibly more
activities which will need some kind of a sign-up or other action
in order to participate.
As can easily be seen, trying to do a manual sign-up with 150+
people signing up for 25+ activities would be an exercise in
futility! Our process of activity sign-up has worked well for
several years. It's not perfect, but it can give you as an activity
Coordinator some reasonably accurate information to help you plan
and pull off your activity.
Some of these activities need a good guess as to how many will
participate, some need a closer approximate headcount, and some
need an exact headcount. Some activities need a pre-payment or
some other kind of additional action. You, as a Coordinator, may
also need some additional information other than who and how many.
Each of our activities is classified into one of five categories
as to what type of a sign-up, if any, is required. These are:
1. "No sign-up, just show up." This is what most of our activities
get. No formality at all other than showing up. This is where we
do not need any advance arrangement, payment, headcount, anything.
Examples of this would be such things as the daily lunch, various
happy hour options, various common gatherings, etc.
These no-sign-up just-show-up activities do not appear on the
activity sign-up screen. These activities also do not need to be
solid as to details at activity sign-up time.

2. "Sign-up requested for headcount." This is the "good guess" or
"SWAG" category. This is for activities where we need to know the
amount of interest and we need a rough count of how many will be
showing up, but the exact number is not critical. Participants are
asked to sign up, which is not a commitment to attend, and are
invited to attend even if they are not signed up.
A good example of this would be an "Art Tour" thing where it will
be nice to know about how many to expect, but there are no major
constraints on the minimum or maximum number. Others in this class
would be dining activities which are flexible as to the number they
can accommodate.

3. "Sign-up requested." This is the "approximate headcount" one.
This is for activities where we need some kind of a reasonably close
count of how many will be participating. Signing up is considered a
commitment to attend, and attendees are requested to explicitly
cancel if they change their mind and decide not to participate.
Those who are not signed up are welcome to participate subject to
availability.
Many dining activities fall under this class, particularly some of
the larger ones.

4. "Sign-up required." This is the "exact headcount" category. This
is for activities which have some kind of a limit as to capacity, or
where an exact count of participants is needed. Signing up is
considered a commitment to attend and a cancellation is required
from those who no longer wish to attend.
Many of the nicer dining options fall into this category, as do any
others where we need an exact or almost-exact headcount.

5. "Pre-payment required." As implied, this is for activities where
payment is due in advance of the activity. Golf, Limo Tour, High Tea,
etc. Signing up indicates intent to participate, but it's the actual
receipt of payment that locks in the spot. It's noted that it is
extremely un-cool to cancel by default by simply failing to make
payment. Some Coordinators take payment by mail/Paypal/etc., but
others collect in real time during DLV.

"Additional action required." This is an addendum to most of the
above, which indicates that some kind of action, in addition to
signing up, is necessary. This is most often times the purchase
of a ticket.
We want activity sign-up to go out starting Wednesday, March 27.
This means that everything that needs a headcount, sign-up, or
some kind of a hoop-jump needs to be solid as to at least day/time
and price by Tuesday, March 26 at about 6:00pm central time.
That will be a hard-stop drop-dead brick-wall cut-off.
Prior to activity sign-up e-mails going out, it's easy, almost
trivial to add new activities to the sign-up. All it takes is to
add a few lines of information and regenerate the screens.
However, after the batch goes out, it's close to impossible to
add things.
History has also shown that out-of-procedure manual sign-ups and
requests to go back and re-fill the screens for additional things
that are added result in a response rate of close to zero.
Please be thinking of what kind of a sign-up, if any, your activity
will need. We'll review these in the weeks prior to March 26.

I attempted to move the reservation to 7PM, however they have a large
party arriving at that time, so they offered me 7:15. As that would
still ruin consistency, I left it at 645PM.
I will, as you suggested, hold the reservation for 8 girls and if we get
many more signing up, I will try to reserve an additional table a few
days in advance. With dinner, drinks and FSE, the scope is really now a
"Night on Fremont" so I propose the following:
6 PM Happy Hour at Mob Bar (Depart appx 6:35)
6:45 PM Dinner at Oscar's (Depart 8:45)
9 PM FSE, meet outside Four Queens
9:30PM Pictures (Four Queens), followed by barhopping along Fremont
3:30AM Make bail during night court
Without too much imagination, I could make it an afternoon on Fremont as
well (Add lunch at the Heart Attack Grille, 130PM at the Mob Museum)
however I'm not sure there would be all that much interest, and there
would be some walking. If done, I would end the Mob Museum by 3:30 to
give time to freshen up/change before Happy Hour. We can always hold
that for next year, as Tuesday daytime this year looks fairly full.
So far as Sunday Meet and Greet, I will plan to be there - I think I'm
going to look for a Saturday afternoon arrival.
On Monday, I will be going to the 930PM show of Circ de Soleil - Love at
Mirage (leaving the welcome a bit after 900). I don't want to detract
from the large gathering by placing it on the schedule, but if there are
any "shy" girls that are already going, they can come with/follow me.

have more of a plan for the later portion of Monday evening.

Absinthe and D&D/Krave:

I just wanted to follow up on a couple things that I was putting
together. I think Tuesday night would be fine for Absinthe show, so
let's plan on that. Shows are 8 and 10 pm, so need to decide which.
Girls would sign up and then I would collect money for tickets at the
Welcome Party, buy them on Tuesday and then everybody would meet at the
show.
I had also proposed going to drink in drag / Krave. Perhaps that can be
done on Sunday night after the Welcome Party?
Another option would be to make it the last stop on the Fairmont Street
Experience night. Any thoughts? Sorry I haven't been very responsive
just been busy. Any further thoughts or questions drop me a note.

For Absinthe, I would definitely recommend the later show. I foresee
many attendees getting into time crunch issues if you go for 8. We'll
put the 10:00pm show on the calendar and if you want it changed, let
us know.
Do we have an idea of the ticket price?
Now, as for D&D/Krave I'll suggest the following. Do it as an after
dinner "Alternative Common Gathering" for Sunday. That's one of our
greatest needs as of this time.
D&D/Krave could also be used as an after-hours destination on about
any of the evenings, but Sunday is a very good fit and it gives us
a fun but "safe" first evening option.
If you'll do this as an "Alternative" gathering on Sunday evening, I
(Annie) will do a complimentary "Mainstream" one somewhere, perhaps
Margaritaville or something like that. Those two will balance the
evening quite well.
I know that you were also thinking of D&D/Krave as an after-WC
gathering. Please "hold that thought" until our WC plans are more
solid.
As for Tuesday, D&D (and possibly Krave) would be a great last stop
for the Fremont folks, as well as a possible last stop for the Bar
Crawl as well, but the greater need is to fill out Sunday night on
the schedule. I think it's a given that some on Tuesday will wander
down to D&D/Krave whether or not it's a line item on the schedule.
There are now some reported uncertainties with Krave, and it looks
like it may not be around in April at the new location.
A report came out in the LVRJ on Monday indicating that the Krave
project has hit snags. Surf here:

LOL, this sounds very familiar! From what I can gather from the LV
chat boards, Drink And Drag is open and stable, but Krave has hit
roadblocks and probably will not be opening soon at the new location.

also.

dinner, I would suggest that we list 5:00-5:30 as "arrival / happy
hour" as we only officially have the room for two hours. I don't know
if they are equipped to handle our large group to converge any earlier
than that.
I can write about the dinner, start times, etc. on the My DLV later
this week.
About the Friday Macy's Makeovers, I should have this finalized by the
end of this week but go ahead and list the time slots used last year
if you want to get this on the schedule.
