Two-month warning:

This mailing contains items received through about Tuesday noon.
Those items received after will appear in our next ORG mailing.

We are now at our two-month mark. Our next big milestone is activity
sign-up, which will most likely begin toward the end of the third
full week in March, or about five weeks from now.

The significance of this is that any activity which requires any
kind of a headcount, hoop-jump, etc. needs to be absolutely solid
as of that time. It's very easy to add things prior to activity
sign-up, but close to impossible after it starts.

In the next mailing we'll go over activity sign-up in more detail.

of or involved with something on the list, please check to be sure
that the Coordinator and assistants are all listed. This listing
is machine-generated, so please excuse any wording that does not
appear to be just so. Errors and omissions are what we're looking
for. We want to be sure all assistants get proper credit.

Latest numbers:

We broke 150 over the weekend! Currently we have 154 signed up to
attend and the accurate-until-last-year formulae say that 127 of
them will show. The general (open the flood gates!) registration
opens in about two weeks. Assuming we don't get a last-minute
cancellation rush, we're on track for a very good showing this
year!

Joann's Thoughts:

Sometimes I just sits, sometimes I just thinks, and once in awhile I
just sometimes does both.

The later is when you need to watch out what might be the outcome.

This leads me to ask--What do we need to do as an Organization Group
to: (1) Have a new stop to energize the Limo Tour?; (2) Could the EHM
Swap become a Silent Auction?; (3) Can the Volunteer Luncheon be more an
emphasis on brainstorming new ideas and a simpler recognition with
general certificates of "thanks" ?; (4) How can we make sure we get a
vendor for each day Monday through Friday?; (5) Have an activity we have
not done previously !

The schedule is coming along great...... just need to continue along
the lines of having a "bit of uniqueness" and fill in the "holes".

Sunday is currently our weakest evening! "Free Time" is not what we
want to offer our people, particularly the newcomers, on our first
evening.

The one dining option which is scheduled is higher-end, hardcore
mainstream, and has some hard limits as to capacity. We'll need at
least two other dining options.

An "easy" one would be the Artisan, as there will be the Newcomer
Open House there already, but we do need a volunteer to host(ess)
it.

Big gaping hole is after dinner on Sunday!

After dinner we do need something of significance. Nothing fancy,
but in previous years on our "slow start" evening we've had at
least one mainstream activity and one "safe" activity. Things such
as dancing at Charlies, Paris, Margaritaville or even things such
as a show or something touristy.

Tuesday evening is another one of our few weak spots.

We're stil in need of happy hour/dining options and after-dinner
options. The Scavenger Hunt will be a good fit here, especially
if combined with a hh/dinner option as part of the activity.

Another "easy" one is Artisan, since we'll have people there for
the Newcomer Open House already. Very little formality needed on
this one. Just agree to be there and lead those who wish to eat
to the restaurant at the appropriate time.

Tuesday evening would also be a good fit for the Absinthe show.

Is this what we want?

Does the timing look sane?

Personally, I think it looks a bit awkward as to options and timing,
and a bit iffy as far as the ability to concentrate our people for
a few hours of Quality Social Time.

Our primary goal needs to be to draw as many of our folks together
for at least a couple of hours. We need to be sure that any pre-WC
dinner groups get to the Artisan before the group winds down and
starts to break up. Likewise, we need to be sure that we don't have
the group breaking up prematurely due to scheduled after-WC dining
options.

It's a given that many of our people will choose to dine at the
Artisan, whether or not we list it as a line item on the schedule.
It's also obvious that we'll saturate their capacity and then some!

Ladies? (Gentlemen?) We need to move forward with a solution here.

"Dinner on one's own" is not a very welcoming schedule item on the
evening of our Welcome Celebration.

Volunteer recognition (and deejay) thoughts:

Let's please be sure we're all on the same page.

We appeared to be converging on volunteer-focused activities in two
parts here:

1. Volunteer (and prospective volunteer) Luncheon on Thursday.

2. Volunteer recognition "program" on Friday at BB.

We have one dissenting opinion, see below.

JoAnn has volunteered to coordinate the Luncheon on Thursday. We
appear to have agreed on group discussion as the theme. Idea
sharing and brainstorming.

We'll need people to plan the recognition "program" on Friday, with
contingency plans in the event we do not get the preferred space in
the Bahama Breeze that evening, which we may not know until very
close to show time.

Beverly and Katie are in charge of the Bahama Breeze as a whole and
are doing their part. It's up to the rest of us to plan any "program",
if there is to be one, and in particular the volunteer recognition
which we appear to have agreed upon.

We would like one individual to please step forward to take the
lead on the "Volunteer Recognition" portion of Friday evening.

I love the volunteers luncheon idea but I really don't think I need a
recognition award or even recognition for that matter but if we have to
then please let's do it Low key. I mean just say **Here are your
volunteers ladies** and those who have volunteered or helped someone who
did just stand up and wave to the rapturous applause of the happy DLVers
who appreciated the effort.

As for DJ's. Please No! ..They are Always Too loud for anyone to have a
sensible conversation in the same room as and we will already have DJ's
at various other evening venues throughout the week anyway.

Let's consider the deejay question to be closed. Nobody has spoken
out in favor of it and yes, there are many opportunities for music
elsewhere in our schedule.

Ballroom dance and an extension:

Do you want me to look into arranging a Ballroom Dance activity for DLV
2013? Do you have a time slot for that?

The last time I talked with the dance studio they also suggested that
they could offer a runway walk like a model class (Tricks and Tips for
Mastering your high heels). That idea came from looking at what the
students in the ballroom dance class were wearing and how they were
managing with those heels - and after the ballroom class the idea polled
favorably (but we didn't launch a second class instantly - just kept the
idea for "next time.")

Thanks, JB.

Yes, please, I'm certain that there will be a demand for either a
general dance instruction, a "How To Walk In Heels" session, or a
combined session or two consecutive sessions.

There are plenty of timeslots available. Few, if any, of the current
daytime activities have the ability to exhaust the pool of attendees
for what you have in mind.

Please take a look at the various daytime things on the detailed
schedule and the notes above and work with the vendor. When you have
the details, let us know and we'll get it on the schedule.

Art Tour - Andy Warhol:

Sarah writes:

I'd like to offer to hostess an Art Tour on Tuesday afternoon 3:00, at
the Bellagio Fine Arts Gallary. This year they are offering more than 60
paintings, prints, scluptures and films by Andy Warhol.

This is a chance to get up close and personal with one of Andy's soup
cans, a portrait of Dolly Parton or Geronimo. The cost is $16 and the
trip has generally proved to be an afternoon well spent.

upstairs area, but we could probably do quite well on the main

I like your idea of a dining experience prior to the FSE, and I am fine
with your suggestion of Oscar's. Their menu is on-line, entrees are in
the upper $20s and low $40s - it seems the 30s were skipped :-).

I'll give them a call and see what their policies are on reservations.
I'll square it all away in a day or two.

With respect to the DJ - Shania isn't playing at the Coliseum that
night, maybe we should ask her over to do a tune or two....

I am holding 8 spaces at Oscars for Tuesday, 16 April at 6:45.

I spoke to them, if we had ten or so we would go to a Prix Fixe menu,
which seems like a slightly better deal with respect to cost, however it
adds complication in terms of the logistics. Based on past experience,
do you think a Prix Fixe of $60 or so would be acceptable, or should we
stay a la carte?

So far as increasing the number of girls and going to a fixed menu, we'd
probably be best off knowing by mid-March, and they said that tw= o
weeks may be the minimum, due to capacity.

Basically, they like to keep larger groups before 6:30 (hence my 6:45
slot) or later, after 8. For me moving to 8PM is not a problem, but it
may well be for girls who want to make other events.

I will be getting the "subject to change" Prix Fixe menus via email,
the a la carte is online.

Annie responds:

Here are my suggestions based on the observed likes and dislikes of
those who have attended our event for the past 16 years.

In general, our people LOVE choices. (Such as being able to order
off of a full menu.) They dislike limited menus, and they tend to
abhor one-price-fits-all pricing.

Realistically, you're not going to know your turnout by mid-March.
Just ain't gonna happen! QED!

Therefore, I would suggest to keep things as simple as you can (as
Ginger has suggested as a general guideline) and keep your reservation
for 8 (or whatever level avoids complexities) and cap the sign-up at
that level. If the demand is greater and you want to expand, then you
can make a second reservation, perhaps in another name.

Here are some of my thoughts based upon my experience coordinating at
least one dining option for each DLV that has ever happened.

I've found that things go much easier when you break up the group to
use standard-size tables (3-6 or so). The group, as a whole, is less
obvious and the wait staff really appreciates not having to move
smaller tables to make one big honking one.

Of course you're not me, so if you don't wanna do thing the way I do,
then don't. :) :) :) I've just found that this approach works much
better than approaching the desk with "yes, a table for 17 please."

The way I plan to do the Sunday Old Homestead thing is like this:

A few days before I'll check with Old Homestead to see if they
recommend a reservation for Sunday. (Sunday is usually slower in
Las Vegas and most restaurants are used to a significant amount of
walk-in business.) If they recommend or insist on a reservation,
I'll make one in my own name and if necessary another in the name
of Fnordstein or Pink or something like that.

Then at dinner time we'll break up the group among the reservations
if necessary.

Now, let's talk about timing ...

If you need to keep the 6:45pm timeslot, we can do it. It will be a
bit messy on the schedule, hut it's do-able. I would suggest moving
it to 7:00pm for the sake of consistency, however.

I would strongly suggest a Happy Hour prior, either one hour or a
3/4 hour HH. This gets the people there and together and staged and
ready to go when the reservation is called. Either at Oscar's or
else in another bar in the Plaza would work. Please let us know.

Also, I can help with a Newcomer Open House - Monday for sure, Sunday if
needed and my flight schedule cooperates.

We hope you can make the Newcomer Open House on Sunday, as that will
probably be the best-attended one. That's when most of those who are
new will be attending with a totally cold start and therefore will
be needing the most attention.

And, I guess we could have a Shania Twain look-alike contest. :) :)

Hosting at Glamour Botique:

I understand that you have been informed that Hollie and I will be
hosting the Glamour Boutique open house on Tuesday Morning. We are doing
this because we wanted some opportunity to offer some social contact for
answering questions about and discussion of being femme and dressing.

Hollie will be doing a presentation sometime during the open house on
apparel and devices that help us look more fem. If we can get
experienced volunteers, we would like to cover topics in voice and
mannerisms or fem movement.

These will not be formal seminars, but discussion based on the
experience of those there.

This would provide a safe place for those who are still timid about
being out in public and provide valuable information to anyone who wants
to learn and maybe practice. So, these will be part of the open house.

Hollie and I still need to get some organization behind it.

So what I am asking is can we ask for volunteers who would assist in
leading the discussion or individually helping those who come to the
open house.

I think this fits into the goals of DLV, keeps it a vacation not a
convention, and help with attendance at the Glamour Boutique open house.
