Big Sister Coordinator role:

This mailing concerns one topic, that of the role of the Big
Sister Coordinator.

Several other items have come in, mostly dealing with activities,
and these will go out in a subsequent mailing after the first of
the year.

We're asking all to please read this item thoroughly, as it does
involve a possible change to the way we've been doing things. Please
comment promptly if you have any concerns, or if you wish to
volunteer to assist in the Big Sister Program.

A number of "names are called" below, and we're asking those to
please get back to us with your thoughts on the matter.

For those who may be unfamiliar with our Big Sister Program, it
provides personal one-on-one guidance and support to those who want
it, both prior to DLV and during the event.

JoAnn is proposing that we use this situation as an opportunity to
change the structure of the Big Sister Program from a single-leader
model to a team model.

I (Annie) agree with this, particularly from the viewpoint that the
duties of the Big Sister Coordinator can easily broken up into a few
very well-defined areas, such as:

1. The recruiting of Big Sister volunteers.

2. The matching of Big Sister volunteers to Little Sisters who want
them.

3. Being "on call" for Big Sister emergencies during DLV.

We currently have two strong nominated and seconded candidates for
the legacy role, should we decide to retain that model. We also have
one additional nominated individual who may not be able to make this
year's event, and another who has expressed willingness to assist.

These are:

Delaney: Self-nominated, seconded.

Holly: Self-nominated, seconded.

Gabi: Nominated, seconded, may not be able to make it this year.

Beverly: Volunteered to assist.

In addition, we have several others who may be able to help with
the Big Sister Program if needed, in particular one who previously
coordinated a Big Sister program for another major TG event.

JoAnn offers some additional thoughts on some of these points:

Recruiting Big Sister Volunteers --- this area of responsibility is
part of what happens pre-Diva week and on our ORG site. We have three
people volunteering. I'm not sure we should make this an "Area of
Responsibility". It happens due to the attendees need. But if that
need appears then....

What I was thinking is what happens "in the field" and the assignments

Lead #1 - Intake of requests and accepting to help that person(s)
or assign to #2 and being on call for them who they accepted and not
transfer to #2.

Scope #2- Back-up taking the "overload" of the Lead #1 and being on
call for them.

Scope #3- Handling one or two events/activities in support for the Big
Sisters at a designated site/activity. For example, be the Greeter at
the Opening Event for Big Sisters while freeing up the #1 and #2 person
to be available with their Sister they agreed earlier to "assist". Or
offer to do a particular activity for the Big Sisters because #1 and #2
are busy with their assignments.**

Next step is getting feedback from those involved, including YOU:

To Delaney and Holly: Would you be willing to serve on a Big Sister
Team, possibly in a leadership role?

To Beverly and Gabi: Would you be willing to serve on a Big Sister
Team, according to your availability, for the coming year?

To all, including those nominated: Do you have any objections or
significant concerns regarding transitioning to a team-based model
for leadership of the Big Sister Program? If you believe we would
be better off retaining the single-leader model for the Big Sister
Program, why do you believe that is the best approach?

Sorry it has taken me a couple of days to get back to you. I loved being
a big sister and am honored to be nominated. The reason I have not
gotten back to you is I really don't think I can make it this year. I've
been every year so far for 3 years and am bummed. If the choice of the
group had been choice number 2 I would be there for sure. I didn't get
back to you sooner because I have been working on ways to be able to go
but frankly it is not looking great.
