One week and two days:

Things are almost ready to go. Between now and show time our main
job will be to tie up the remaining loose ends (not many of them)
and make plans to smooth out any trouble spots.

We'll have at least one more touch-base ORG mailing between now
and DLV, others if necessary.

Those test URLs:

One important note, those test URLs which have been floating around
to QA registration, sign-up, etc., please do not use these for real
or pass them on to others.

Last night we had a rank and file attendee use one instead of her
real URL and it took about 45 minutes to trace things and figure out
who did it and what was intended! We'll be removing our test user
today due to this. :(

Latest numbers:

As of Friday morning, total reconfirmed headcount is 164.

18 registrations are pending cancellation for showing no sign of
life, and unfortunately, most of these will be cancelled. 4 new
registrations are in various stages of the process.

Activity status:

Sign-ups continue to come in, and over the past day or so most of
those have been changes rather than new sign-ups.

At this stage of the game, we can say that 90% or more of the
sign-up responses which will come in are in. So, other than for
some stragglers and some changes, your sign-up lists are for the
most part complete.

To answer one question which was brought up off line ... "How do
I tell if somebody is a newcomer?" If the roster order number
begins with 132 or 133, the attendee is most likely a newcomer.
Only exception would be those returnees who re-registered from
scratch this year. During the off-season we'll merge the data
and eliminate the dupes.

Again, if any Coordinator needs access to the almost-real-time
sign-up information, yell.

We also have the ability, if needed, to generate a list of phone
numbers of those signed up for particular activities. If you
need this, let us know.

The two most popular sign-up activities are Bahama Breeze and the
Erotic Heritage Museum.

As of this minute and second, Bahama Breeze has a sign-up count of
90, with an estimated turnout of 67.8. These numbers do not reflect
those who will be coming to drink/socialize but not doing dinner,
so the total through-the-door count will probably be in the 90-100
range.

EHM has 63 signed up, and the machine says that 49.5 of them will
show. Best guess on this one would be to split the difference and
estimate 50-something as a total through-the-door count.

As to specific activities:

Sunday Beginner Dinner is full, but the estimated turnout is
within the margin of error of the capacity limit.

Luna Rossa Dinner capacity has been increased. Plenty of space now.

Tony Roma's Dinner is full. Short waiting list at this time.

Margaritaville Dinner just hit the full mark, but the estimated
turnout it still well below capacity.

Mob Bar Dinner is approaching full, but the estimated turnout is
well within capacity.

Marrakech is full. Estimated turnout is within the margin of error
of the capacity.

Diva Mystery Evening is full. Waiting list is 12 deep. This one is
turning out to be quite popular, actually. :)

Both Bare Escentuals sessions are full. Currently no waiting list
on session 1 and a waiting list of 1 on session 2. If we go by the
machine-estimated turnouts, both still have some space.

PF Chang capacity has been increased and it hit the full point on
Thursday, but the estimated turnout is still well within capacity.

Trevi is officially full, but again, machine-estimated turnout is
within capacity.

Limo Tour is full. 17 on the waiting list, but most of them are
newcomers, so statistically, everyone who wants to go will get to
go.

All others are still within capacity.

Yes, it's quite possible to plan an informal gathering every morning,
if someone wants to sponsor it. Which leads into your next question.

If we have something on the schedule, we need to assure the attendees
that yes, there will be at least some minimal DLV presence there, and
that usually means a volunteer host(ess) who agrees to show up and
welcome the others.

One complaint we've received over the years (fortunately very seldom
recently) and one thing we want to take all pains to avoid is the
case where a rank and file attendee (newcomer in particular) arrives
at an activity location and finds absolutely no evidence of the DLV
group being there.

The only "no host" items we have this year are the various Fremont
Street items after the Welcome Celebration, and for those we do
have two volunteers who will be "making the rounds" of them to be
sure there are no issues.

I noticed that we will be coffee and donuting on the morning of the
Annual DLV (TPGA) Golf event.

The golfers should all be ready to go at this time in the morning so I
would like to invite any Golfers who will be around the Imperial Tuesday
morning to join us for a Java and sugar fix before the main event.
....... *LOL*. (Sugar is a good quick energy source and so is Caffeine
too).
