Downhill to the Big Event:
Another fairly long mailing this week, mostly clean-up items and
various minor things.
Thanks to all who helped test the activity sign-up.
All of the typos and such have been corrected. If you want you can
go back and double-check to see if what's there is correct.
If any Coordinators have a need to know the sign-ups, please write
in and we'll send you the URL for the almost-real-time reports.
One note from examining the reports ...
Please be VERY sure that you're using your own sign-up screen when
you sign up for activities. URLs to our test attendee's screen and
Annie's screen have been floating around and have been used by
others this past weekend. :)

No, it's not too late to plan additional activities, keeping in
mind that sign-ups will be impractical and that some of our
timeframes are getting a bit tight. Several daytime timeslots
are still open, and Wednesday and Thursday evenings both have
room.
If you want to plan informal get-togethers and such, please feel
free to do so, but please put them on the schedule, and please
coordinate with the gang here if you are scheduling something in
a timeslot which already has several things going on.
Why is it important to get things like this on the schedule?
That way everybody who is interested gets the word and nobody
gets left out! Not everybody reads the forum, and not everybody
will be present when and where something off-schedule will be
announced. We want to be as inclusive as possible at DLV!

Discussion Forum! These have now been marked as "sticky", so they
will stay at the top of the first page until shortly before DLV.

Systems issues:
We're having some sporadic issues with the server which runs the
www.geekbabe.com web site. This mostly affects the active pages
such as the MyDLV section and activity sign-up. The effect is
any of several arcane error messages or a blank white screen.
(For techies, this appears to be a "memory spike" of some kind.)
If things should act erratically for you, the best thing to do is
to wait a few minutes and try again, as this usually clears up in
a short while. We're trying to capture enough information to get
a handle on this.

Latest numbers:
As expected, there was a "rush" of new registrations when the
deadline for making the first round of activity sign-up was
announced. Sign-ups zoomed to 208 very quickly. No, we seriously
doubt that our total turnout will hit 200. There will always be
fall-out. Best guess as of this time is 160-ish for the total
turnout this year.
When we get a couple weeks into activity sign-up, we'll be able
to do some more accurate predictions.
Activity sign-up mailings started on Monday. As of Thursday, we
have 88 responses so far with 87 outstanding. First batch of
nag-o-grams goes out Friday.
Very heavy and fast initial response this year. Please note the
capacity items below and please respond if they pertain to you.

Yes, we do anticipate another GREAT Diva Gathering. And it because you
all in the Org Group have made it happen.
Our next challenge is to make sure that all those who attend your
activity are "welcomed" and enjoy themselves at the activity. That
happens when you make that 'extra' effort to check to see everyone
attending feels they are being included in the activity. This might
sound a "routine request", but it really requires a concerted effort
on each of us coordinating an activity to make it happen.

Capacity limits:
Let's review the capacity limits on some various activities. The
limits we have on file for the sign-up activities appear below.
Please look these over and if there are any adjustments to be made,
let's get them in place before things start to fill up.
This is the (approximate) point at which the "FULL" notice goes
up on the activity sign-up screen.
This isn't automatic. You can, for example, tell us to keep the
sign-ups open even when the turnout projection exceeds the capacity.

Kind of a special case this year is the Erotic Heritage Museum,
which by default (nobody wanted to plan an alternative) is our
third single-track activity this year. The capacity has been set
at 100, but that figure is a place-holder. We may very well see
that number show up, since it's the only thing in the timeslot,
the dress code is relaxed, adult beverages are available, and
Wednesday will be the overall peak of our in-town attendees.
Sarah? If you want a hard-stop capacity limit, please let us know.
We do plan on placing a notice about limited parking in the LFM.

Three activities have been very popular with the early sign-ups.
Bahama Breeze has been getting about 85% of the signed-up
participants followed closely by EHM and Trevi. It looks like Trevi
will eventually fill to capacity, even though the staff has said they
can handle more than in previous years.
As of Thursday morning, no sign-up activities are still "virgin"
and some have actually hit the full mark late Wednesday night.
Mob Museum Tour has a listed capacity of 30, 32 are signed up
and the estimated turnout is 26.8. Marisa, do you want the limit
adjusted?
Tony Roma's is approaching capacity. We will not be expanding.
Marrakech capacity is listed as 12. Sign-up so far is 10 and the
turnout estimate is 8.6, but all but one are returnees, so we
are indeed approaching capacity. Rosada, do you want the capacity
to be increased?
Diva Mystery Evening capacity is 16. 16 are signed up, not counting
the two volunteers. JoAnn, do you want this increased? The Magic
Machine<tm> says that 13.7 of these will show.
Bare Escentuals Makeover 1 is at capacity. Full sign is up.
PF Chang just hit capacity. Sign-up is currently 32 and the machine
says that 25.8 will show. We'll put the FULL sign up when the
turn-out estimate hits 30 unless you say otherwise.
Limo Tour is now at capacity. We've learned the hard way that
expanding is not practical. Several signed up are newcomers, so
there will most likely be fall-out and clearing of a number of
those on the waiting list.
Macy's Makeover 1 was approaching capacity yesterday, but some
have cancelled or changed to other sessions, making them very
close to evenly balanced at this time.
If anybody needs ongoing reports, please say so and we'll give
you a link to the info.

QA-ing the DLV 2012 activity location map:
As some of you may know, this year we're using the Google maps in
lieu of a hand-drawn map to indicate our activity locations.
We're asking all Coordinators to please look at the map at the link
immediately below and check for any issues.

1. Is the location for your activity listed? We want to be sure we
are not missing anything.
2. Does the position on the map look sane? These were "pinned" using

if absolutely necessary. If it's a picky edit, we would rather nor. :)

Pre-DLV gathering:
Now that we have most of our pieces in place, we can open up this
topic for discussion.
In most years, going way back to 1998, we've had a "Pre-DLV"
gathering, not officially part of the program, to allow those
who are available to get together, get acquainted, and socialize.
In almost all years we've been able to attract a crowd of 30-ish
in size, so we know that the concept works and such a get-together
is in demand.
Last year, however, things did not work out as expected. We had a
low turnout and it broke up very early. We're quite perplexed as
to why this happened. We've had other very successful activities
at the venue (Firefly Paradise) and there were no obvious comments
from the attendees later in the week. There were also no "derogs"
noted in feedback.
We want something simple and social. We don't want anything which
is elaborate or requires any planning other than showing up. If
you have an idea for this which is more involved than just showing
up for drinks, grub, and a chat, please select a timeslot on our
regular schedule for it. :)
One thing we've tried to do in the past is to use the Pre-DLV
gathering to "try out" new venues which we're considering as
possibilities for medium-large gatherings in the future. Those
we've used in the recent past include PT's, Greek Isles, Alexis
Park, and Las Palmas.
One thing we've tried to specifically avoid is hosting the Pre-DLV
gathering at anything we're using for a medium or large activity
during DLV. Why? Two big reasons! One, the "been there, done that"
feeling which may spoil the turnout at the subsequent activity, but
more importantly if anything would go wrong (ANYTHING, from some
trivial item to something major like a restroom incident), it could
positively KILL the turnout at one of our major gatherings.

Happy Hour before Marrakech - The Firefly Bar offers the most convenient
option. Let's meet there. It's in the same building as you say.
POTO - Beverly, if you would like to help me with "Mother Hen Duty" to
make sure everyone who signed up to see Phantom are all somewhat
together, and no one is left separated from the group. Even though we
may not be sitting together we can still go in as a group and hang out
together. Take photos and maybe do something afterwards, like an after
the show drink.

When I hear about the Marrakech I was thrilled to find something
different like this for us at DLV 2012 and I signed up immediately when
the signup sheet arrived in my mail.
Being a long time member of **The Las vegas Advisor**, I accessed their
restaurant guide and looked into the Marrakech in their *Restaurant
reviews section* and it showed that the actual dining is done without
knives and forks. IE:-- eating with fingers only!.
The Original Review was written in 2009 so the style of dining may have
evolved to suit the tourists etc' since then.. I hate to sploosh on such
a great idea but a special dress could be the wrong thing to wear that
night.
If any of our Vegas residents know more about the place I would love to
find out more.

A venue that Rosada could try for HH that's almost next door to
Marrakech is Sataylasvegas.com and could be a possible future venue for
medium to large group events. FF is on the other end of the mall, but
could be getting crowded by 6pm. BB is also a short distance down
Paradise with HH prices ending at 6.

We have Firefly down currently for the HH location. If Rosada wants
this to be changed, we can do so, but the sign-up screen says that
it will be Firefly, and any change may cause somebody to end up at
the wrong place.

Car pool for Red Rock Canyon... I will say the IP works for me. Might
I suggest that anyone driving to the IP should use the back entrance
rather than Las Vegas Blv. The LV blv. entrance is always a mess and
the parking garage is in the back anyway. Look up on google maps for
the IP (Imperial Palace Hotel/Casino) and the back entrace is easy to
get to via Audrie off of Flamingo or Winnick ave. off of Koval. Park
in the parking garage and meet by the front door inside the Casino. I
also suggest comfy hiking clothes and SHOES/BOOTS and bring water for
yourself as well.
Oh, to Bev, welcome back and we can use your auto for the Hike girl.

I met Jimmy Emerson, headliner and leader of LaCage, at Crews'n last
year and told him all about us, and then gave him a call in January and
told him how we might be interested in seeing La Cage one night or one
afternoon during Diva.
He had just left the 4-Queens and was looking for a new theatre. He
told me he might be opening again at Planet Hollywood but that The
Riv. was an option also. He further stated that if LaCage was up and
running by April he would be happy to give us a group rate on any show
and to just let him know when we wanted to attend.
I lost contact with him after that and got caught up in other activity.
I gather you're on top of this and could make it happen though.
Jimmy's a real sweetheart and = easy to deal with; why don't you give
him a call and see what you can set up for us. Tickets can be bought
at the door, no reservations needed.
If you gave him a rough headcount beforehand I'm pretty sure he would do
us better than the $44.95 tourist price, especially if we dress.

No, it's not too late to schedule something like this. However,
it is too late for a sign-up or a headcount. It would have to be
no sign-up, just show up in nature.
As to where it would fit on the schedule, yes, "all the good ones
are taken" but there are a few places for something like this.
Wednesday evening would work, but it's understandable that nobody
would want to schedule against the EHM. Thursday is also possible
since the Limo Tour has a fixed capacity and the only other option
is a somewhat spendy show.
The only thing we ask you not to do is to plan something like this
on Monday or Friday, as those are our designated "single track"
activities in the evening and we want nothing to interfere with an
absolute maximum turnout, please.

Hello, update on photography by Diana.
She will in fact be attending during the latter part of the week
(Wednesday through Friday) and the last time I spoke with her, she is OK
with playing the portraits by ear. If we get the big room, then she'll
be prepared to do her magic. If not, then she'll have fun and hang out.
But one thing comes to mind. With the "official group photo "scheduled
for Friday evening, might she be designated as our "official group
photographer" to capture that moment?
I would still need to check with her but I cannot imagine it would
be a problem.

One thing I would still suggest is that your friend set up shop in
a hotel room and take appointments (or even walk-ins). The situation
at BB is iffy as you know and I would hate to see her make the trip
only to get locked out.

Now let's talk about group photos, since you brought up the topic? :)
It's been suggested that we schedule two of these, both to catch
any individuals who cannot make one or the other, and to give us a
backup in case one does not happen.
The posing and taking of such a photo is always very disruptive to
the Quality Social Time that we want for our major gatherings. It
introduces a discontinuity after which the activity will likely
break up. Therefore the timing and logistics are important, and we
will be asking for some general and specific help in making this
(both if possible, at least one of them) work well this year.
For the first Official Group Photo, the best setting appears to be
the Neonopolis courtyard, and we'll need help herding everyone down
there and getting them arranged and posed. If you're a volunteer
but you have not specifically been asked to help with this, please
jump in and help guide the people down and into the area where we
will be posing them.

Now the second Official Group Photo is the iffy one, and if things
make it redundant and difficult, it may not happen. Specifically,
if the Monday OGP goes well AND we get stuck in the smaller room
at BB, we may just skip it.
If we get the Gazebo Room, it will be fairly easy to do.
Sara, if your friend wants, she can be a "second/third camera", if
she wishes, but no expectations were implied.
The real problem is going to be if the Monday OGP either does not
happen or went poorly, AND we get stuck in the side room. In this
case, we would try the shoot outdoors, most likely to the right
(east) of the main BB entrance. Should this happen, we'll need a
lot of help getting people herded out there, arranged, and posed,
and any and all of you are encouraged to help direct traffic.
There's always the possibility of another group photo at the EHM,
since it looks like it's going to attract a great crowd, but we
will play that by ear at the time.
