Continuing the follow-up:

First and foremost, a reminder to all. If you ever send in
something and do not get an adequate and reasonably prompt
response, please say something, and if that "something" you
say appears to be going into a black hole, please scream
very loudly and assertively until you get a response.

It appears that there was (at least) one communication issue
during our crunch time this year, and it's important that all
of us follow through when things do not happen was expected.
. . . . .

Please don't forget to rate the vendors you patronized this
year. Our Big List is our most hit-on page and is the one which
drives the most traffic to our site as a result of online
searches.

. . . . .

Thanks to all who sent in attendance updates.

For those of you who sent in responses which consisted of
headcounts only without other comments, the numbers should
all be updated in the headcount totals, even if a response
was not given to you here in the list. Please double-check
to be sure your activity's numbers are there.

JoAnn Sez:

Not much to say.

Just the facts are posted below which tells the story of the great
contribution our Volunteers made this year for the Diva Gathering-
2011..

Now looking for the posting of photos which keep the memories alive!!

Changs and Macy's:

Sara writes:

Hello,

I would like to take a moment to update your attendance figures
and provide comments regarding the events for which I was the
hostess.

P.F. Chang's China Bistro - Out of 51 sign-ups, we had about 40
by my count. Three tables of 10 were full. An adjacent booth held
5 from our group and there were at least 4 or 5 late-comers
(perhaps a couple more) who squeezed in at the main tables.

As for an event, this worked beyond my wildest expectations.

While the numbers were buoyed by the event being tagged as a
social for those who participate on the crossdressers.com website,
it was open to all.

Negotiations with the restaurant were difficult at times but at
the end of the day, I got exactly what I wanted and should we plan
the same event next year, things will be that much easier because
I now know the layout of the restaurant and at the same time, the
restaurant knows what to expect of us. I still need to send a
thank-you over there but the feedback I received from the staff
that night was overwhelmingly positive. They truly enjoyed having
our group as guests.

Regarding the Macy's makeovers, that also worked very well.

Attendance was exactly 50% of the sign-ups, two showed up for each
session. The participants were thrilled with the entire experience
and the store was so pleased with the event that a write-up is
being done for their corporate office. This of course makes a repeat
next year a must but I hope we get better than a 50% turnout.
. . . . . . . . . .

One measure of the success of an activity is that the one who
coordinates is enthusiastic about doing it again. I think it's
safe to say that your activities pass this test. :)

A headcount of 40 for PF Changs beat the predicted turnout
number by quite a margin. For that many newcomers signed up
for it, you had an excellent showing.

The predicted turnout numbers for the Macy's Makeovers are
2, 2.9, and 3.2 respectively, but when we're dealing with small
values the variance will be high.

Numbers and comments:

Beverly writes:

Here are some to the attendance numbers from this year's DLV
events:

Golf outing - 21 (great event, well organized, fun was had
by all, and did I mention Fabulous Prizes!)

Air tour - 3 disappointed gals and one pilot grounded due
to mechanical issues.

Chapala's HH/dinner - 27 (wonderful dinner, very relaxed, easy
to converse and move around, staff was outstanding to us)

Frank Marino's Divas Las Vegas Show - 40 (I think the most fun
was before the show when our lovely ladies were the hit of the
waiting crowd)

I will also echo the comments about the Shiloh Horse Rescue
Ranch. It was a great time and experience. I hope it becomes
a regular DLV event.
. . . . . . . . . .

Thanks Beverly.

It appears that all activities you coordinated were received
rather well. I'm sure this will be reflected in the rating in
the ongoing survey.

High Tea:

Marilyn writes:

We had 19 attend the English High-Tea (1 no-show).

Judging by the comments, everyone had a good time. I might also
add that everyone looked simply marvelous and we stayed with
tradition and took pictures in the lobby area around the spiral
staircase. The Four Seasons did another splendid job for us.

Look forward to next year's tea.
. . . . . . . . . .

That's very good to hear, Marilyn, thanks for the report.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Fab and Classy:

Bob writes:

Susan and I had 12 at McMullans & 4 at The Fab. I guess there was
too much competition that night.

On the other hand we rocked the house Sunday and Wednesday. A big
thanks to Rosada for helping entertain at Sassy to Classy.
. . . . . . . . . .

Thanks Bob.

I'm surprised only 4 attended The Fab. This was up against two
others (Dance and Limo Tour) but the two combined do not have the
ability to exhaust the attendee base. Limo Tour has a capacity
limit of 30-some and we had 150 in town that evening. I do know
we had some go to Crewsn, but I'm unaware of anything else that
was a big drawing card that night.

Pre-DLV and contact issues:

Sabrina writes:

I have just two responses to our last email. First, at least for
me, the reason the pre-dlv get together most likely didn't have
more attendees, was that even though it was mentioned no time ever
appeared for when it was. The place yes, but until I got the myDLV
chirp when the event actually happened I had no idea when it was.

It was like it was some insider secret.

So by the time I actually got the time the event was happening, We
were in town, but by the time we could have made it, it was over.

How about just posting it on the schedule next year? I know a lot
of us were already in town, but we just hooked up and went somewhere
else since we had no idea of the time.

Also, I would like a contact list, phone numbers etc. As an event
organizer I had asked several times for contact info and got
nothing in response. Perhaps there is some place I just don't
kow about?

anyway it should be readily apparent who to contact. For me,
I have no issues, since I am totally mainstream, but I think it
would be nice to have a clearing house location if you will that
"everybody" knows about so they can contact one of us should
they need information about an event, or how to get there etc.
I know Vegas very well and could easily communicate directions,
times etc. I am sure there are other's as well.

Sometimes its nice and reassuring to be able to actually talk to
someone. If I didn't already know from past experiences at Diva's
I think it would be baffling. I think all event organizers should
have contact info for each other. I think if you have to keep your
identity a secret you shouldn't be an organizer of an event in the
first place.

If I am off base or ignorant please forgive me, but some of the
answers to these questions are unknown to me, so please enlighten
me.
. . . . . . . . . .

No, you're not off base. I think there was a breakdown in some
communications and if you don't mind I would like to ask your
help in looking into them.

Let's discuss, and sorry if this is long ...

First, I distinctly remember you asking for the time of the
Pre-DLV gathering and I remember answering with the approximate
time.

This exchange appeared in an ORG mailing dated 29 Mar 2011 06:53:

+Also what time is the pre-dlv event at Firefly on Saturday? Lots
+of talk about it so far, but no time mentioned that I can find
+since its not a scheduled event.
+. . . . . . . . . .

+Thanks, Sabrina. we'll use that number for contact. Jill has
+filled in the other details below.

+Pre-DLV does not have a definite start time, but we expect
+people to start wandering in around 6:00pm and I think Marisa
+plans to be there earlier.

Can you please check to see if you received this mailing? Cases
of "black hole" e-mail concern me, more so on the item below.

Unfortunately we only keep outbound e-mail logs for 7 days, so
it's impossible now to verify that your provider accepted it
on your behalf this far removed from the incident.
. . . . .

I don't show any e-mail requesting a list of attendee contact
information. If you ever send in things like this and don't get
a response, please continue to follow up until it happens.
. . . . .

The approximate time of the Pre-DLV thing also appeared in the
Large Final Mailing, as did the contact numbers. This was sent
out Wednesday, March 30 (in batches, don't have the definite
time yours was sent) with the subject of: Contact information,
notes, etc. ...

Here are the relevant sections:

+Early birds:

+For those of you who will be in Las Vegas on Saturday, April
+2, there will be two opportunities to get together with the
+DLV group.

+THESE ACTIVITIES WILL NOT APPEAR ON THE MAIN SCHEDULE.

+First is Saturday evening at the Firefly Paradise, at 3900
+Paradise Road between Sands/Twain and Flamingo. This appears
+at "F" on the main DLV activity map. (see link in this mailing)
+Overflow parking, if needed, is available to the rear of Ruths
+Chris, next door.

+Taxi instructions: "Firefly, on Paradise north of Flamingo."

+No sign-up, just show up. No official start time, but we
+expect DLVers to begin arriving between 6:00pm and 7:00pm
+or so.

Can you please check to be sure you received this?

We've been using the same type of announcement for the Pre-DLV
thing since about 2005. This was the only year when we've had
any disappointment as far as turnout.

I see that you use gmail, and one of the test accounts we use
for QA-ing the DLV mailings is on gmail and that account did
receive the ORG mailing in question and the main part of the
Large Final Mailing.

Now about who to contact ...

The contact information was also in that section of the LFM:

+Contacting the group:

+For general information, to find out how to meet up with the
+group, if you need activity information, directions, etc.,
+contact:

+Annie: 702-271-xxxx (local call from Las Vegas)
+Crystal: 917-659-xxxx (long distance from Las Vegas)

It's very important that if you don't get responses, you very
assertively follow up, by e-mail and by phone if you need to,
as e-mail is not a perfect communications medium and a certain
amount of "black hole" e-mail does occur.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Activity headcounts:

Thanks to all who have provided updates.

If you sent in a headcount and don't see it here, please send
in a reminder.

If you coordinated or attended something denoted with question
marks, please let us know about how many attended.
