Org List:

This is the DLV 2011 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Following up:

Our current checked-in-or-sighted headcount stands at 167. This
is right on our final prediction, which was in the first or
second quartile between 158 and 202. We're getting very close
to being able to announce a semi-final headcount. Please give
the list of unknowns below one last go-over.
. . . . .

For those of you who took photos, please send these in, and the
sooner the better. File attach via e-mail is fine. FTP or
snailmail information on request.

Links to the photo staging area will be sent out tomorrow.

If you have not yet taken the DLV 2011 Follow-up Survey, please
do so it's on line here:

http://www.geekbabe.com/dlv/2011survey.html
. . . . .

We're now in our annual process of various attendee "calls for",
volunteers, photos, missing in action, vendor ratings, etc. We've
had a good response to most, and a MUCH better response this year
to confirmation requests from those on the no-show list.

Reconciliation of overall headcount and turnout at each activity
is in progress, and you can help this by sending in approximate
headcounts for items noted with the question marks below.

Right now our main priority is follow-up analysis of the event
as a whole and of the activities individually. What worked, what
did not work, any rough spots, any challenges, any room for
improvement. Please send in your notes and comments.

JoAnn's words:

To all of the ORG Group--- The comments received from the attendees of
Diva make it very clear to me---

The successful activities are the result of you, Coordinators, who made
decisions at the grass root level, implementing your vision for the
event, and not having to deal with a "top down program".

I want to thank all of you who coordinated an activity --

>From my perspective the attendee count is not as important, as the
number who attended the activity and enjoyed it.

The second thing, not only did all of you make your event "the best it
could have been", but you did it within the framework of the Diva
Schedule and were supportive to other activity organizers so that we
maintained an overall balance with activities that provided interest, a
WOW!, and were fun, while spreading "a Diva energy" throughout the
entire week.

Thank you... thank you... thank you... Annie and I are so pleased that
you gave your time, energy, and creative thought. We all are fortunate
to have you as a Volunteer.

My wish for 2012: May there be many others who will join all of you and
step forward to contribute to our Diva "Gathering" !!!!

Hugs and thanks to all of you. JoAnn

What worked:

Here are some of my (Annie) thoughts and feelings about what
worked and what did not work for DLV 2011.

General strategy:

I think our overall strategy and program format worked very well
this year. In particular, I think our six-day Sunday thru Friday
format is the optimal one, having worked quite well for two
years, 2010 and 2011.

The "slow start" approach, with lower-key activities on the
first evening, worked quite well for the second year in a row,
saving the "big bang" opener for the second day. Monday, gave us
a large and very enthusiastic crowd.

Even though there is some calling to extend the program through
Saturday, the Friday ending allowed us to end on a peak, or at
least on a plateau, and not on a down-hill slide. History has
shown that when we end on a weekend, there will be a significant
exodus that Saturday morning and diminished turnout at any
subsequent activities.

Our overall "Vacation not convention" model continues to work
well, but there are some definite expectations from those who
are familiar with the conventions. One which was noted to me a
few times was the lack of some kind of a central "headquarters"
or hospitality suite. In reading between the lines, I was hearing
this as more of a surprise that we did not have one, as opposed
to a real issue due to the fact that it did not exist.

I picked up rumblings that some, mostly newbees, were somewhat
overwhelmed by the intensity of the schedule, in particular
some tight timing in places.

At our Volunteer Social, Ginger encouraged the group to "Keep
it simple", and that's a principle we should encourage all to
retain and adopt.

One "lesson learned" this year is that of the mindset of the
vendor when dealing with a group such as ours. I was called in
to assist with some of the back-and-forth negotiation with the
Artisan management. What I realized after talking with the
GM of the Artisan for about a minute was that he was thinking
in terms of the group meals and banquets which their firm
normally provides to other groups.

What "did the trick" was to ask him to think of our group not
as one single banquet or catering customer, but as 80-some
individual customers -- what they might have on any otherwise
very busy evening.

"Our people don't want a banquet, they want a nice meal in a
nice restaurant" was my quote.

He was used to the "inside the box" formula of the group meal
with one or two seating times, all being served at once, the
head table with the dais, etc.

Anyway, it worked out very well.

Alanna was mentioning doing some further negotiating with the
Bahama Breeze, and I might suggest a similar approach, although
the BB staff should have noticed our behavior patterns by now. :)

Our overall timing of the programming year worked better than
in previous years. JoAnn's idea of doing the date selection
later in the process without as many decisions and options
streamlined the process and this was the smoothest date selection
I can remember.

As everyone knows, we did not have a volunteer to print out the
map and schedule as we did in 2009 and 2010, thus we reverted
back to the "paperless" approach (and even more so) we had in
previous years.

During the event I heard no major complaints. I did see a couple
of home-printed maps and unfortunately the "webified" map did
not print as clearly as I would have liked. However, I heard no
real griping.

Of all of those I checked in, nobody asked "don't I get anything?"
meaning map/schedule/etc. I was actually expecting a few to ask.

Another thing missing this year was the "Miranda" sheet, first
given to all attendees in 2004 and later to newcomers. IMAO this is
no longer necessary. The in-your-face boat-rockers and rule-breakers
that we had toward the beginning and middle of the last decade are
gone. What we have now is a fun-loving and cooperative group which
for the most part respects the comfort of others.

The lack of any significant restroom incidents also reinforces
this notion.

I think the ORG group worked together exceptionally well this
year with everyone concentrating on making their activities the
best they could be. I was very impressed!

Big thanks to all volunteers for the high degree of cooperation
this year!
. . . . . . . . . .

As far as what activities worked and which did not, these are
the activities at which I (Annie) was present:

Saturday, April 2:

Pre-DLV Get-together:

Worked, with reservations.

I'm still perplexed at the low turnout. For the past several
years we've always been able to get 20-30 for an evening-before
Pre-DLV gathering. I think we had a total of 9. LOL, more like
the number we saw for our first Pre-DLV thing back in 1999.

Was this "too mainstream" or scary? I know there were crowds of
civilians out on the patio. We suspected a few drive-bys.

Any ideas? I'm stumped on this one.

Suggestions for improvement: I don't know. I really don't think
the venue was the only issue. Let's brainstorm on it! It can't
be the case that it's only announced off-schedule. We've done
that for several years and we usually get a good showing.
. . . . .

Rocky Horror Picture Show:

Worked, with reservations.

Three of us took a taxi down there. I watched as people were
exiting for any others. Did not see any. I had expected at
least a handful of DLVers there. Let's see how many rate it
on the survey.

The local cast production had a lot more "polish" than most
performances do.

Suggestions for improvement: If this is still going on the week
we have DLV next year, let's slide the schedule back part of a
day so we can get this on the full schedule.
. . . . .

Sunday, April 3:

Caesars Happy Hour (Caesars) - ms
Caesars Buffet Dinner (Caesars) - ms

Worked.

We had a large handful at both, although not the same people
did the Happy Hour as the Dinner. This was very similar to the
pattern we saw at the Flamingo last year.

I know that one couple did not particularly care for the food,
although I enjoyed mine. Was it a "bad day" for some items?

Suggestions for improvement: Maybe a different buffet next year,
but buffets can come and go as far as quality and variety of fare,
even in the short term.
. . . . .

Alternative Common Gathering (Crewsn) - sv

Worked.

The Mainstream Common Gathering apparently broke up early, so
we picked up a few more from that. Reasonably good turnout and
a lot of mingling and socializing.

Suggestions for improvement: If Crewsn is still there next year
and we have an alternative gathering there against a mainstream
gathering elsewhere, select a more-mainstream mainstream place,
and one which is not so close in proximity.
. . . . .

Classic Rock N Roll with Bob and Susan (Crewsn) - sv

Worked.

The secret to having entertainment at a social function is to
not let the music be so loud that it impedes conversation. This
was just the right volume and it was a nice touch to a continuation
of the gathering.
. . . . .

Monday, April 4:

Studio Lites Open House (Studio Lites) - sv

Worked.

The commercial gatherings don't typically draw large crowds but
this one drew a large handful. Nothing really exciting, but a
good showing.

Suggestions for improvement: Maybe some announced specials or
refreshments to lure people in.
. . . . .

Lunch With Ginger (Stratosphere Buffet) - ms

Worked.

I'm pleasantly surprised by the Stratosphere Buffet. It's one
of the best of the lower-priced ones.
. . . . .

Happy Hour (Artisan) - mv
Dinner (Artisan) - mv
Welcome Celebration (Artisan) - mv

Worked.

What more can I say!

I heard very few complaints and lots of raves about the food
and the choice of venue.

The complaints I heard were mostly related to price in one way
or another.

It was crowded, and that's a Good Thing! Not enough seats for
everybody is one key to a good mixer. :)

We captured about 90% of our in-town people this evening.

I did not hear any complaints about the relative difficulty of
finding the Artisan nor of the parking.

During DLV I took a taxi to the Artisan three times. Two of the
three drivers knew exactly where it was and how to get to it.
One of them showed me a sneak route into the enclave behind FSM.

One of them, however, was clueless. I'm very surprised. The
doorman at Bally's asked where I wanted to go and when he told
the driver the conversation went like this:

Doorman: The Artisan
Driver: Huh?
Doorman: Artisan, small hotel just east of Palace Station.
Driver: Palace Station?
Doorman: No, Artisan, take 15 to Sahara, you can't miss it.
Driver: Huh?
Doorman: (to me) You know where it is?
Me: Uh-huh.
Doorman: Help him along.

Oh well ...

Suggestions for improvement: Negotiate for Happy Hour pricing
for those dining early. We encouraged them to eat early, and
the venue should be able to understand this and allow HH prices
in the dining room during that period.
. . . . .

Group Photo (Artisan) - mv

Did not work. Did not happen. I was chatting with some others
about trying it, but the consensus was that it would take at
least 10 volunteers about 10-15 minutes or so to get everybody
out at the pool and posed. Our people were all over the place
and some were still eating. It was just impractical to do it.

Besides, everyone was actively socializing, and I think it was
best to let the Quality Social Time continue instead of forcing
a huge discontinuity into the flow of things.

Suggestions for improvement: I don't think it's workable at the
Artisan under similar circumstances.
. . . . .

Beauty Bar Karaoke (Beauty Bar) - ms

Worked.

Smaller crowd than last year, understandable since last year
it was an easy walk from the WC and this year it required some
kind of a ride. There were some disappointments WRT doing Karaoke
with personal disks. Still we had a fair crowd.

It's kind of a divey place, but a nice kind of divey place. :)
. . . . .

Tuesday, April 5:

Some Like It Hot at Shiloh (Shiloh Horse Ranch) - ms

Worked - very well! One of my favorites this year.

This was one of the most enjoyable side trips I can remember
in all of DLV! Part of this was because it was something that
I would not normally do and was a new experience.

It was a win-win. We got a nice side trip and the Shiloh Horse
Rescue Project got some $$$$.
. . . . .

Erotic Heritage Museum (Erotic Heritage Museum) - mv

Worked -- again very well! Another of my faves this year.

This was very well attended and a pleasant surprise. I did not
expect the place to be that large or have such an extensive
collection.

I'm sure that the relaxed dress code helped the turnout.

Suggestions for improvement: Arrange something so that adult
beverages, even if only wine/beer brought in by us, are in
some way available.
. . . . .

Wednesday, April 6:

Harmony Nail Spa Gourmet Wine Day (Harmony Nail Spa) - sv

Worked.

I was the sub-hostess here. I would have wished for a larger
turnout and I think we could have gotten it if we had emphasized
that there would be food and wine in abundance.

Suggestions for improvement: More promotion and get the word out
that food/wine will be available.
. . . . .

Buffalo Happy Hour (The Buffalo) - sv

Worked.

This was the answer to the alternative Happy Hour prior to the
Bar Crawl. Much better turnout than we've been having at the
Hard Rock.
. . . . .

Milano's option (Milano's) - mv

Worked.

Again, we almost buried the place.

The food is very good and they've been good sports about some
of our people coming in dressed for an alternative bar crawl. :)
. . . . .

Alternative Bar Crawl (Buffalo) - sv

Worked.

With the exception of Charlie's, all bars we visited were great.
Charlie's was just too {f-bomb}ing loud for a slower weekday. :(

We've always promoted this as an opportunity to put on the dog,
but this year it seemed to be more casual street clothes than
anything exotic.

Suggestions for improvement: Better checking to see if any loud
theme evenings are planned for any prospective venues.
. . . . .

Thursday, April 7:

Volunteer and Prospective Volunteer Social (Artisan) - ms

Worked.

Nice low-key crowd.

Great participation and some very good ideas for things to
come. A few new enthusiastic volunteers.

Suggestions for improvement: This was really a throw-in at next
to the last minute. More optimal timing and advance planning for
it. Don't sacrifice a LWG for it. Announce it well in advance.
. . . . .

Pre-Limo Happy Hour (Trevi) - ms
Pre-Limo Dinner (Trevi) - ms

Worked.

Trevi is a very nice place and with the seating on the upper
level it hits the sweet spot between comfort and mainstreamness,
if that is indeed a word. Only uncomfortable part may be the walk
through the casino and shopping area.

I think it's worth it to accept slower service in order to have
the full menu and separate checks.

Suggestions for improvement: Maybe some timing adjustments such
as a 15-30 minute later start for the Limo Tour. We tried a
scheme of starting HH and dinner early one year, and it really
did not work. Several arrived expecting our usual HH and dinner
start times.
. . . . .

Limousine Tour (Caesars) - ms

Worked. Quite well.

One of the smoother-running Limo Tours I can remember.

We did have one timing issue. The original time on the first
version of the schedule was 9:00pm but when Trevi and the
other activities were added it was adjusted to 9:30pm but
somehow did not get updated properly on the schedule. It is
much better to have people early than late, however.

Suggestions for improvement: Stick to the posted cut-off times
for payment to avoid disappointment when "let it slide" deadlines
are not fully understood. Double-triple-check the schedule. How
this escaped multiple proofreads is a mystery!
. . . . .

Friday, April 8:

Charles Bar (Bellagio) - ms

Worked.

I was expecting a larger gang there, but I then realized that
for 2009 and 2010 we had the "other" group at the bar as well,
so that easily accounted for the difference.
. . . . .

Lunch With Ginger (Paris Buffet) - ms

Worked.

Definite diet-buster! I was very surprised at the tolerable
length of the line. Best of the LWGs this year fer-shure!
. . . . .

Happy Hour (Bahama Breeze) - mv
Dinner (Bahama Breeze) - mv
Farewell Celebration (Bahama Breeze) - mv

Worked.

For a while it looked like we were not gonna get the Gazebo
Room, but surprise-surprise!

The entertainer is always a nice touch!

Suggestions for improvement: If we can somehow get a "lock"
on the Gazebo Room, it might be a good venue to try for the
group photo.
. . . . .

Dancing at Paris (Paris) - ms

Worked.

We had a good showing for our final evening. We did have a few
who appeared briefly and left. I do think the fact that there
was a live band helped our turnout. Our group blended quite well
into the mix of people at the lounge.
. . . . . . . . . .

Issues and incidents:

Very few.

In particular I've heard of no significant restroom issues. I
did hear a third-person report of a civilian GG being spooked
by one of our people, but don't know the details.
. . . . .

In conclusion {applause!}:

>From what I attended and what I was told, there were very few
things that did not work. A few activities had a disappointing
turnout, one was called off due to a mechanical issue, and one
side trip was called off when there were no drivers available.

Thanks again to all for making DLV 2011 all it was! :)
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Follow-up comments:

Crystal writes:

Good morning!

What an absolutely wonderful event this year. I had a fantastic
time. I'm already looking forward to next year's DLV event.

I spoke with Holli Neal this morning, coordinator of the PT's
events on Sunday, April 3rd. Headcounts are: PT's Happy Hour 12
PT's Dinner 15 Mainstream Common Gathering at PT's On Wednesday,
April 6th, 9 people attended the Happy Hour at Spotlight. 16
people attended dinner at Namaste. I did not include 2 of our

DLVers who arrived at Namaste early and were finishing up as the
group arrived at 7pm. They ate separately, but dropped by the DLV
table to say hello on their way out.

I'm so happy that I was able to attend this year and reconnect
with so many of the other attendees and meet some of those that
are new to the DLV experience.

You can count on me to volunteer again next year!
. . . . . . . . . .

Thanks, Crystal.

I do agree that this year's event was great overall!

It sounds like Spotlight/Namaste went off well and were enjoyed.
We do thank you for taking the initiative to coordinate it.

Shooting summary:

Vanessa writes:

Vanessa here....

great DLV event this year... congrats...

Shooting Event on Friday morning had 14 attendees and all had
fun shooting and we were done in about two and a half hours....
the Second Annual Annie Oakley Trophies were awarded as follows:

Rifle, first place Chrissy and second place Julia...
Pistol, first place Laura and second place Nancy...

a couple of our winners were total novices and that made the win
all the sweeter.
. . . . . . . . . .

Thanks Vanessa.

It appears that the turnout for the shooting activity has been
increasing in recent years and is catching on. You might want
to post the winners in the Discussion Forum.

Firefly update:

Marisa writes:

The crew at Firefly on tuesday evening did a super job of seating,
serving and welcoming us.

We had 9 for HH and 21 for dining and the 5pm start time worked
very well.

The 5pm start time could be a thing of the future to catch HH
pricing and earlier dining options.

I think the total for dancing at Paris could be closer to 40,
but it's hard to get an accurate count with all the dancing,
standing and drifting through.
. . . . . . . . . .

Thanks Marisa.

We've adjusted the headcount for Paris to 40, which would be a
"capture" of about 40% of those who attended the BB closing, or
a significant increase from last year.

Rosada sends in the following e-mail exchange:

Hi Jill-

Oops! Sorry I hit sent on the email before this one. Anyway, not to
worry. I realize how busy the ranch must keep you and that you would get
back to me when you had the chance. You touched a lot of us with your
beautiful spirit of helping the horses. Again I say God bless you always
for the work you do in helping all of God's creatures. I'm forwarding
your email to the DLV gals so they can read this email too. Take care
and I will stay in touch.

Have a great week!

Hi Rosada-

Sorry it took me so long to get back to you- my life is crazy as usual.

We really enjoyed the Divas' visit out to Shiloh- glad everyone had such
a great time! The Divas are welcome back at Shiloh anytime! :o)

Thank you again for the beautiful necklace, that was so kind of you.

Keep in touch! I am adding your photos to our blog today...

Hi Jill,

Well we made it back to Tucson safe and sound, but a little tired from
all the running around we did during Diva Las Vegas week. The other gals
and I had a great time visiting Shiloh and were amazed at all the
humanitarian work you are doing saving horses from being slaughtered.
May God keep you safe where ever you go. I downloaded the photos we took
at Shiloh and I'm sending you copies for your use. Hope you like them.
The gals would like to return next year so I'm starting to plan next
years trip out to your place if you would have us. Annie was raving to
all the others who didn't make it this time and I'm sure we'll have more
sign up. Let me know what you think, okay. Until then, stay safe and
give my regards to your lovely mom. It was a pleasure to meet her.

Hugs,

Rosada
. . . . . . . . . .

Thanks again to Rosada for leading this one.

This was one of the most enjoyable side trips I remember in the
entire history of DLV! I'm sure it will be very highly rated.

Looking forward:

Delaney writes:

As I mentioned, I am willing to do an event next year (provided
I can make it, as it is a year off). I was thinking dinner at
the Eiffel Tower, but have a couple of other ideas as well,
which I mentioned to you in an earlier email (the V theater in
the Miracle Mile shops, piano bar at Palazzo, the Cosmopolitan).

If Eiffel is placed on the schedule, it would will likely have to
be Sunday or Tuesday due to the tight reservations, (assuming the
common Welcome Dinner is on Monday).
. . . . . . . . . . .

As far as activities for next year, I would say to please
"hold that thought" for now. We'll be making a list of possible
activities for next year shortly and we'll start the 2012
schedule in late autumn of 2011.

Right now, what we would like, please, is a brief recap of how
the Fremont Street Experience went, an estimated turnout, and if
you think the rendezvous at the IP worked or did not work.

Still missing in action:

Let's do one last eyeball of this list. We've had several
