Touching base:

This is a quick touch base mailing covering mostly minor items.

We're "flushing the queue" of items which have come into ORG,
both related to our big opener and otherwise.

The initial ORG batch of sign-up mailings went out minutes
after our WC plans were final. If you're a volunteer and you
did not receive this, no, you're not being snubbed. It's most
likely because the e-mail on your registration did not match
the e-mail on the ORG list. You'll get your sign-up mailing
in one of the next batches.

The first of the main batches started last night, and the
process continues through today. All should be out by Friday
morning at the latest.

Some of you (not all) who received the original test batch
will get a second one between now and Friday morning. NBD!

Sign-ups started coming in within minutes!

The majority of the sign-ups which have come in have
included a cell phone number. Of course this is mostly
volunteers so far.

No activities have hit capacity yet. A couple of them are
surprisingly close for this early hour in sign-up!

Only two activities are showing zero sign-ups at this minute
and second, the Macy's Makeover session 1 and the Beginner
Open House session 3. I'm not too concerned about either, as
activity sign-up has been open less than one day and newcomers,
who have higher roster order numbers will be the last to
receive theirs.

Thanks to all who reported the (mostly minor) issues with
activity sign-up. We have a good "kill" on all but one.

I haven't been to the Artisan yet (I'm not a fan of valet
parking) but hope to check it out soon. A group of local girls
have a monthly dinner there. They very much enjoy it and have
always felt very welcome.

Artisan transportation and parking:

Ok, gang. Let's put our thinking caps on!

Our mission, should we choose to accept it, is to come up with
a strategy for Artisan transportation which will effectively
neutralize the issues which exist, specifically:

1. The difficulty of driving to the property. In particular the
tricky access to the Highland enclave from Sahara or Spring
Mountain.

2. The mandatory valet parking situation. Many attendees over
the years have expressed a reluctance to use valet parking.

3. Transportation for those without a vehicle or a ride.

I do have some ideas, but I would like to hear any and all
fresh thoughts from ... yes, YOU! :) The floor is open and
this will be one of our focus topics for the immediate
future.

I think it's best if, at least until we have an agreed-upon
strategy, to soft-pedal the transportation and parking issue
as much as we can, particularly on the Discussion Forum. If
somebody else brings it up, then it gets brought up, but for
now, I think it's best that we say as little as possible and
not draw attention to the issue.

IMAX time change:

Could we change the time for the movie from 9:45pm to 8:00pm.

Since the refit at the theater the IMAX shows appear to be
using slightly different showtimes. The current feature which
runs just under two hours has 8pm and 10:40pm start times. If
this stays the same I want the earlier time to avoid a 2 1/2 to
3 hour dead zone between dinner and the movie. The showtimes
could change for the next feature but better to be a little
early than late. The feature starts on March 25 so there will
be a week before Dlv to make any needed time adjustment.

Tuesday timing:

You are correct. I adjusted them on the schedule but neglected
to do so on the sign-up page. It's been fixed.

Now somebody's probably going to chime in and say that they
thought the schedule rolled up into the activity sign-up.

It does, initially. However, if the sign-up verbiage is in there,
the routine which does it assumes it's already done and does not
overwrite it. The machine-generated skeleton is manually edited
and remains static unless manually changed.

I'd like to be able to post three sessions at 45 minute
intervals, 3:00, 3:45 & 4:30 should be fine. This will allow
for scheduling of up to 12 participants before we have to
consider bringing in freelance artists. I would consider 8
sign-ups to be an overwhelming success. Up to 12 would be
terrific. And even if the makeovers run a bit late, there's
plenty of time on the back end to help ensure timely arrival
to Bahama Breeze.

Ride share liability:

It's an ongoing concern, minor risk, but it keeps raising its
ugly head every so often every few years.

The concern is that those driving or organizing ride share may
be named as respondents or co-respondents in damage suits,
should something unfortunate occur.

I've had two conversations with practicing attorneys over the
years regarding ride share at volunteer-organized events, one
specifically focusing on DLV. Both have said that personal risk
is miniscule, assuming the responsible driver has adequate
insurance.

The latest round of attention paid to this appears to be a
"red herring" raised in regards to another issue, but as
most of you know we've quit coordinating ride-share lists,
partly due to liability concerns, and we've beefed up the
number of and the verbosity of disclaimers we have.

I don't know what the answer is. I'm not a lawyer but I have
spoken to those who are about this. I'm unaware of any on
our volunteer force who are licensed to practice law. We
do have one who has been involved with liability defense
issues, but again, is not a member of bench nor bar.

We do in two places.

On the newcomer sign-up screen there is the three-part "agreement"
roadblock which includes a waiver of liability. It also appears
on the from-scratch return registration.

As I (think I) mentioned, it required too much "major surgery"
to get such a roadblock installed in the express re-registration
screen in order to get registration rolled out on time. Next year
it will be in there.

Good catch on the bad date for the MAC session! I missed that
one totally.

As for the un-signed Macy's session, I'm afraid I can't duplicate
the issue. I checked your sign-ups. I see two sign-up responses
from you, neither of which has any Macy's sign-ups on them. They
both appear to have come in prior to the third Macy's session
being added.

About all we can do is keep watching things. I've done a sanity
check on the sign-ups which have come in, and things appear to
be working as intended. I will keep a lookout for anything which
is similar to this.

Ya know, I must have read the sign-up screen over 100 times
since the initial build, and I missed that. Milano's was one
of the first activities installed, since it was a hold-over
from 2010, and yes, it was on Tuesday last year so the
verbiage was in there and I did not notice it.
