Org List:
This is the DLV 2011 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

The Final Details:
This is another quick touch-base ORG mailing on a number of
items. This mailing covers everything received by about 8:00pm
CST on Wednesday. We will have at least one more ORG mailing
prior to activity sign-up, possibly more depending on need.
Thanks to all for the prompt attention to details!
All: Please eyeball the summary schedule below and the activity
sign-up screen of our test attendee, on line here:
http://www.geekbabe.com/cgi-bin/dlv/dlv2011hc.cgi?1290615300-593
Schedule items have been adjusted and verbiage on the sign-up
screen has been updated since our last mailing.
Those whose e-mail addresses are included on the sign-up screen,
please check those for typos. Hover your mouse over the email
link and your address and a subject should appear toward the
bottom of your browser's window.
We have essentially one expedited list cycle before things need
to be absolutely locked down for activity sign-up.
If there are any tweaks, they need to be done prior to when
the sign-up mailings go out.
Timetable for the next few days:
Sunday: All sign-up activities solid. Final once-over of
the activity sign-up system using test attendee.
Monday: "For Real" activity sign-up mailings go out to the
ORG group.
Tuesday-Thursday: First round of activity sign-up mailings
go out to the Teeming Millions.

Dining on Tuesday:
Rosada writes:
I'm okay with the scheduled time change. I was hoping to get in
to see the EHM also so this would work out good for me!
Thanks, Rosada.
We've adjusted both dining activities' start times, pending
Marisa's OK as well.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
SO Brunch:
Rosada writes:
I'm verifying if we can do an SO champagne brunch at the
Stratosphere for Sunday afternoon. Will get back to you as
soon as I hear from Stratosphere buffet staff.
. . . . . . . . . . .
Thanks Rosada.
I'm putting this on the schedule at 1:00pm in order to get it
rolled in to sign-up. Please say so if there's an adjustment
in time.
I think this will work out well. It fills in one of our few
remaining holes.

CD.com Social and Macy's:
Sara writes:
I have the final details on my two events.
I don't recall if I sent over anything further on PF Chang's
but I'll include a short note on that one here.
1. PF Chang's. This event has a subtitled tag "CD'ers.com
Social" but of course all are welcome. I would also describe
it on the schedule 6:00pm: Changs dinner option (including
"CD'ers.com Social) (PF Changs Planet Hollywood) - ms
7:00pm: PF Changs dinner option (continued) (PF Changs Planet
Hollywood) - ms
The reason is that officially, the PF Chang happy hour ends
at 6:00 p.m. Another option, and I know this goes against the
grain a bit from a scheduling standpoint, would be to adjust the
start times to 5:00 (happy hour) and 6:00 (dinner) respectively.
Given so much going on Wednesday evening, that might not be a bad
idea. I will say their HH is very good and would be a very economical
dining option. I would prefer doing it this way if we can do so.
The cap is fine as listed on this one. I will need a headcount
when the time comes but it isn't likely we'll all be placed at
the same table which is fine because it avoids the set menu, set
price, etc. issues.
. . . . . . . . . .
Annie responds:
We're getting very close to the wire, so unless it's absolutely
imperative, we do not want to make schedule adjustments. The
Wednesday dining would really get messy if we had two different
official start times for HH and dining.
However, I think we can get a win-win here and leverage the
earlier HH prices without introducing a whole bunch of
complexities into the schedule.
Let's put a separate line entry for the Crosssdress.com Social
on the schedule at 5:30 or even at 5:00 if you want. This will
give it some limelight of its own and still retain the structure
and timing of the Eating Out Night.
I hope this is acceptable to you and meets your group's needs.
. . . . . . . . . .
Sara continues:
2. Macy's makeover. Here are what should be the final details
from my contact. My comments are in parenthesis.
+hey sara!! So far I love how you have the details down. I will
+have 2 artist available at Dior plus I can freelance as necessay,
+Each person would take about 45mins, but if you are able to get
+more sign ups, then I can usually do a person in 30mins. (no,
+let's keep this at 45 minutes per time slot). Estdee Lauder would
+have 2 people available for sure and I will pass along the details
+as soon as I get the # of sign ups. Also our mall info is:
+Macys Fashionshow Mall
+3200 Las Vegas Blvd S
+Las Vegas, NV 89108
+(702) 731-5111 ext 2371
Time slots therefore are as follows:
3:15
4:00
4:45
This event can accommodate up to 12 but I can take sign-ups for
up to 18 as the counter can bring in a freelance artist or two
if necessary. I will be plugging in the participants into the
schedule and assigning them a counter so when it comes to sign-ups,
they will need to know that a preferred time and/or counter (DIor
vs Estee Lauder) can be expressed but it cannot be guaranteed. I
will need email contacts when the time comes for those who sign
up, not only to communicate about scheduling preferences but also
to do some pre-consultation with respect to what they are looking
for in a makeover (full versus eyes/cheeks/lips if foundation
coverage is a concern, etc). And remember, a $50 minimum needs to
be listed.
. . . . . . . . . . .
Annie responds:
It's probably best if you handle the details of assigning the
participants to counters and timeslots directly between you
and them via e-mail.
We can give you a list of e-mail addresses of those signing
up. Will this work for you?
. . . . . . . . . . .
Sara continues:
I think this pretty much covers my events. Finally, I still
have the photographer lined up but that will be something that
will continue to be put together up to the final event. I thought
of doing a straw poll of some sort on the My DLV message board but
there doesn't seem to be a lot of participation there. Perhaps we
can add the photography as a sign-up so we can measure interest?
. . . . . . . . . .
Annie responds:
We don't want to put anything on the sign-up screen that is
not reasonably solid as far as day, time, cost, and hopefully
location. "Show of hands" or "straw poll" things need to be
done on the Discussion Forum. Yes, participation comes and goes
in spurts, but if there's a concise question, answers will come
in if there is interest. For February we had 174 messages in
the Discussion Forum, or an average of about 6.2 per day, but
as everyone knows, there are peaks and valleys in the level
of posting. That is, however, the best place to post items for
a show of interest.

Golf:
Danielle writes (quoted):

For Golf, I think we're all set.
>I just want to say, and it probably hasn't been said enough, you
>are doing a terrific job!
Thanks, Danielle.
JoAnn and I definitely appreciate the words.
This year's planning has gone smoother than any other I can
remember, and we thank all involved for making it so. :)

Frank Marino Show:
Beverly writes:
I am really impressed with the outstanding list of activities
for this year's DLV. It is really looking good.
With that, I wanted to offer my payment options idea for the
Wednesday night "Frank Marino's Divas Las Vegas" show. I would
like to know how shows like this have been handled in previous
years. I can purchase a block of group tickets from the venue
for $60 VIP seating but I would need a firm commitment so I am
not stuck paying for unused tickets. If I wait and get tickets
once I arrive in LV the cost will go up to $75-$80 but I could
collect money Sunday or Monday of that week and only buy what
has been paid for. I would appreciate your input on this. I can
offer pre-payment through Paypal.
. . . . . . . . . .
Yes, this year's schedule is second to none! Thanks to all who
made this happen!
Now, on with the show ...
Hopefully some information can help with your decisions.
Sorry for the length of this ...
First, let's look at what we did last year for this show. Here's
the final schedule item and the text which appeared on the sign-
up screen:

+Notes: This is a mainstream activity.
+Separate ticket purchase required. Tickets are available at the Imperial
+Palace box office and from various ticket brokers. Discounts and 2-fers
+are common. A limited number of discount coupons will be available at
+Glamour Boutique for DLV attendees. FCFS.
. . . . .
+Divas - Frank Marino Show - Tuesday
+How many in your party will be attending the Divas - Frank Marino
+Show with us at the Imperial Palace on Tuesday, April 20, at
+9:30pm?
+Checking above is for a headcount only so we know about how
+many to expect. It will not reserve your ticket.
+Additional action required:
+Ticket purchase is required to attend this activity.
+"List price" tickets go for between \$69 and \$79 per person, but
+tickets are frequently available for 2-fer and greatly reduced
+prices at the discount ticket booths. Discount coupons are common.
+Tickets may be purchased at the Imperial Palace Box Office or from
+various ticket brokers. Glamour Boutique will have a limited number
+of discount coupons during DLV week. See mailings and the DLV
+Discussion Forum for other discount opportunities for this.
. . . . . . . . . .
I (Annie) was not at this, but from what I heard, the group had
absolutely no difficulty getting seated together despite the
fact that various members of the group had purchased tickets
everywhere and anywhere for about every price from deep discount
to full list. Nora had a stash of discount coupons and gave them
to GB to pass out. I know that others went to the booth at Bills.
It's your call how to handle it, but if I were doing it, I
would encourage all to shop for the cheapest tickets and then
schmooze the staff to get the group seated together.
You can try pre-pay with Paypal if you want, but I would not
hold my breath. :) I've only seen pre-pay in advance of DLV
work well for one activity, golf, that being the absolute
highest of high-interest activities.
The last time I coordinated a major show activity I met with
the sales staff of David Saxe Productions and made a deal
where we would get a very good price for "any unsold seat",
I estimated "about 50" and that's what we had. Part of the
deal was that I would collect the $$$ and pay in one single
transaction, thus controlling the line at the box office.
Another part was that we (DLV volunteers) agreed to police
the line for the show, which was kind of a trip. :) I pimped
the heck out of it, selling tickets at every activity I
attended. I wore a spare nametag "Ask me about Showgirls
Of Magic tickets" and that sold a few more.
I have coordinated the Frank Marino Show, but that was several
years ago at the Riviera. I simply went one morning to the
box office and spoke to the agent at the booth. My goal was
to get an understanding that a group of about 35 who paid
separately could be seated together. "No problem, just get
them all together about 30 minutes before the show." When
I mentioned "We will take care of the showroom staff", her
eyes lit up. :) :) We didn't even discuss discounts, the
full price was in the $30-ish range back then.
My suggestion is to not put any of your funds at risk. If
I were doing it, I would either collect in person and buy
the number of tickets paid for, or else have everybody buy
their own and $uck up to the $howroom $taff to get you all
$eated together, if necessary. :)

Limo Timing:
Katie writes:
Please send me the details and times etc' of the Limo night
schedule. As I will be helping you and have never assisted
with the Limo thingy before I will need to know the game plan
on picking up the booze at 4pm etc' and the pre Limo Tour set
up arrangements too.
I assume we will be meeting the limo's at Caesars at 9.30 or
arriving earlier maybe?.
My wife will be with me in Vegas so I will likely not be dressed
to assist in picking up the supplies, unless the girls have other
plans for a get together at that time and I can do that too. other
than that I will be available any time during the evening for the
set up and greeting brigade! *lol*.
Please write via my e mail and let me know whatever else I can do
to help and when.
. . . . . . . . . .
We can coordinate the nuts and bolts of the Limo Tour over on
the Limo List.
JoAnn will most likely take one volunteer with her to pay the
Limo company, most likely Thursday morning. I will have turned
in all of the $$$ to JoAnn on Wednesday evening. Purchasing of
supplies will be done the afternoon of the tour.
JoAnn does have your e-mail. We'll most likely do an exchange
of cell phone numbers as well over on the Limo List.

Capacities and payments:
Crystal writes (quoted):
Hi there.
>The capacities for dinner at PT's on Sunday night is fine and
>the capacity for dinner at Namaste on Wednesday night is fine
>too.
Thanks. We'll consider those to be solid. (That was easy!)
. . . . .
>If Marilyn would like, I am happy to provide my e-mail address
>for those to contact me in advance who need to make a special
>arrangement in order to pay for their tickets for the Limo Tour.
I assume you mean the High Tea. Yes, we've done an exchange of
information. You should have received it Wednesday. At Marilyn's
request we'll be doing another EOI covering the other High Tea
volunteers.
. . . . .
>I will be checking my e-mail until 10pm eastern time on Saturday,
>4/3. My e-mail address is misscrystalfrostnyc@yahoo.com. I am willing
>to provide my cell phone number as well. I can be reached beginning
>Sunday morning at 917-659-2646. I hope this helps.
Thanks Crystal.
This brings up another related topic, but since you so eagerly
gave up your phone number, :) :) I'll ask it now. Would you be
willing to be one of the DLV phone contact people this year?
We like to have at least 3 of these. I'll have a local 702
cell phone I can use for the duration of DLV.
You'll probably get only a handful of calls. Most of them
will be "when and where" questions. Occasionally you will
get a nervous newbee, and yes, you can expect a few hang
ups.

Palms HH:
Nikki writes:
Happy hour at the main casino bar in the Palms will do nicely.
. . . . . . . . . .
Thanks, Nikki. It's on the schedule and sign-up screen.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Charlie's dancing:
I contacted Charlies Monday afternoon. I have been out of town,
but am working up a write up with the information. I have some
items that I need to mention.
1. They do not serve food. So anyone coming will have to eat
before they get there. They people can bring food in and sometimes
there is a truck that sits to the side where food can be bought.
2. The place sets over 400 people and being together or mixing
with others will not be a problelm that night. There will be plenty
of space on Thursday nights.
3. Dancing can start immediately after the lessions.
They say it up to the crowd if they want to start or wait. I
noticed you put that on for 10, but the actual dancing could
start a 9.
4. I will continue to look for a couple of small gifts for
prises.
. . . . . . . . . . .
Thanks, Jill.
The time has been adjusted and the capacity limits have been
removed.
We'll note on the final schedule that Charlie's does not
serve food, and there may or may not be convenient options
in the immediate area.
