This mailing:

Lots of material has come in over the past day, and this is a
quick touch-base ORG mailing covering several topics in
anticipation of activity sign-up.

This weekend my (Annie) big project has been to "dot the T's and
cross the I's" on the schedule, and while doing so it's very
evident that we have a slate of activities second to none this
year!

I want to thank all who have stepped forward to coordinate the
activities for the efforts and the degree of cooperation shown
this year! Good job, gang! :)

Let's please consider all evenings to be "solid" as of this time
and closed to further activities after this mailing, unless for
some reason we lose anything. (Knocking on wood!)

We'll do a detailed walk-through of the schedule in a forthcoming
mailing, and we can then identify any remaining weak spots or
timeslots in which something else may be desired.

Sign-up test misunderstanding:

That is intentional. The sign-up is not live and a test
attendee, Lawrence, is being used to shake down the system.

You'll get the correct URLs for sign-up in about a week.

show up and it's been corrected. (Betcha nobody even noticed!) :)

High-Tea Payment:

As of right now the only method for payment to the High Tea
event on Friday at 2 pm is to pay cash ($40) to either Danielle,
Laura Tom, Crystal, Gabie or myself by Tuesday at noon.

I called Amy last week at the Glamour Boutique and they are busy
with a move and would not be able to assist in credit card payments.

Hopefully the five of us will be at enough events before Tuesday to
collect with emphasis on the Welcoming Event on Monday Evening. Also
I'll have a car and will provide my e-mail to anyone that wants to
meet ahead of time for payment.

It would be helpful if we could get an explicit list of the
activities at which payment can be made. For example, Crystal
will be at the "Mainstream" gathering on Sunday, and if one of
the others would commit to being at the "Alternative" one, we
could catch quite a few people.

I'll go ahead and state that payment will be taken at the
Mainstream Common Gathering on Sunday and at all of the Monday
Firefly things. If we can get commitments for others, we can
add them as well. We're doing just this for the Limo Tour.

We'll put "other times/places by special arrangement" as well.

I assumed both Happy Hour and Dinner, and we have both on the
schedule. Sign-up requested for the dinner portion.

Most definitely a sign-up! You've cited a very good example of
a lesson learned the hard way. :(

If I may digress, that year we did not have a last-evening
dinner scheduled until the week prior to DLV. We first picked
Palace Station Buffet (cheap, and can absorb a good number of
bodies with no formality). This was met with a chorus of
"Eeeewwwww!" from the volunteers so an informal vote picked
Tony Roma's instead.

Well, not only did we exceed the bandwidth of the Tony Roma's
staff, the delay had a ripple-effect chain-reaction of spoiling
the turnout at a subsequent show. This put one of our volunteers
in hot water with the showroom staff, which gave us a discount
based upon our (usually quite accurate) turnout projection.

Lesson learned!

>Also Margaritaville has a killer house band (No techno crap)
>and a nice dance floor. Dancing starts at 11:00 nightly.

If you want to continue the party past dinner time, we can
very easily put a third "Margaritaville Common Gathering" or
"Dancing At Margaritaville" in the after-dinner timeslot.

Please let us know if you want to do this.

Here's what I would suggest.

Select either an evening Level 107 bar type get-together that's
geared for all or a SO/Partners daytime get-together focusing on
that demographic only.

I really see a "am I really-truly welcome?" question if the two
are combined.

IMAO, there's far more need for a daytime SO or SO/Partners
gathering than there is for yet another evening bar activity,
as there are many evening bar activities on the slate already
and our weaker spots exist in the daytime.

As to when? Let's first look at where a Level 107 evening bar
type of thing might fit ...

+ 8:30pm: Mainstream Common Gathering (PT's) - ms

Sunday evening is wide open. Even if we have a Margaritaville
Common Gathering, the three cannot exhaust the pool of potential
attendees for a Level 107 thing on Sunday.

+ 8:00pm: Welcome Celebration (Firefly Plaza) - mv
+ 8:30pm: Group Photo (Firefly Plaza) - ms
+ 10:00pm: Beauty Bar Karaoke (Beauty Bar) - ms
 
There is no way the Beauty Bar can hold anywhere near the
crowd we expect at the Welcome Celebration, and I'm sure
some will not want to do Karaoke anyway. A 9:30 or 10:00pm
timeslot would work well for a Level 107 thing on Monday.

+Tuesday, April 5:

Tuesday evening has two strong general-interest dinner and
after-dinner options, plus one special-interest track. I
would not suggest Tuesday.

Wednesday has several smaller things, all of them strong, with
two tracks involving bars. Level 107 might fit, but there are
so many other things that I don't think you'll get the best
turnout.

get the best turnout here.

As with Monday, the single after-max-turnout activity can in
no way handle everyone. 9:30pm or later on Friday would be a

large single-track gatherings, and possibly on Sunday or on
Wednesday.

Let's talk about Tuesday evening's timing, since we have two strong
dinner tracks and I can envision the two tracks converging at EHM,
with a potential turnout at EHM in the 50-ish range if not more.

Both dinners are tentatively scheduled for our "standard" start
time. We can adjust these if we need to, keeping in mind that the
standard times are becoming very inbred and we've had issues when
we've adjusted them on occasion. If we're going to adjust the
dinner start time, I suggest we adjust both to commence at the
same time.

Obviously the place-holder 8:00pm start time for EHM will not
work with the existing dinner times. If we're going to keep the
dinner times, I would suggest 9:00pm for the EHM start, but I
don't know if the EHM staff will want to start that late.

My suggestion here is to let Sarah and the EHM staff work on
the best start time for EHM and, if necessary, adjust the
start times of both dinners (and HHs) as needed.

It's amazing, but I've actually received a few complaints that
it would not allow the double-booking or sign-up outside of the
attended dates. Yes, I admit that the sign-up screen is one of
those which has not had a makeover with a true style sheet yet.

It will be interesting to see how many will voluntarily supply
their phone numbers. :)

Actually it's your choice, but I agree that we need it in there.

We do have a skeletal version, but I'll replace it with the
