JoAnn's Thoughts - a New Challenge:

Again, thanks for all of your responses, suggestions, and
volunteering.

Things are advancing well as we work our way through the
planning schedule to make this another great Diva Week.

Now I would like to present a new challenge: Rather than
continuing with the Chicken Ranch which was a great run,
the NSD [Night of the Spoiled Doves]is looking forward.

How about we consider a 'new run' on the same theme?

The theme-- "Erotic & Flash"...

We need some volunteers who will become the "Team of Three".

The assignment will be presented to the volunteers who step
forward and accept the challenge. The cut-off for volunteers
is January 31st.

Annie and & I will assist with the assignment planning.

The activity must be "out of the box", but "not off the page".

There will be an "off-line" e-mail box assigned to the Team
so the planning can be 'agile' and 'fun' with an 'open'
dynamic !

Another early mailing due to all of the activity which has
been going on over the past several days ...

First of all, BIG THANKS to all for the outstanding response
to the various calls for volunteers this year! :) In one
case we have countless responses to a single request for
assistance! :)

Most of our major activities are on the way to being solid!
Many of our smaller things are falling in place as well.

Numbers update:

As of Saturday morning we have 132 signed up and the algorithm
says that out of these, 116 will show. Don't worry, as the
number of newcomers increases, these two numbers will tend to
diverge. The turnout prediction is based upon the historical
patterns of show-up and no-show. We're right on target or
a bit ahead of it for this time.

The schedule is starting to fill up. Although very few things
are "in stone" as of now, let's plan to put it "in ink" in
the next week or so. If there's anything that needs to go on
the schedule which may influence things to a significant
degree, let's please get them planned now to avoid any kind
of mass-reshuffling of activities as we get closer to show
time.

Everyone, please take a look at the schedule the way it sits
and look it over along a few lines ...

Anything that appears to be unworkable in its current timeslot.

Any potential time crunches and trouble spots.

Anything that you know is not going to happen as planned.

For those of you who have tentative plans for anything, shows,
meals, tours, trips, whatever, please select timeslots, even
if they are to be "in pencil" as of this time.

Marisa, Sara, those who are doing "Art Tour" type of things,
please select timeslots.

K-Y, your ski trip. Time to select a timeslot please.

For those in touch with Glamour Boutique and Harmony Nail
Spa, please touch base and let's get the Open House sessions

In reference to Beverly's request on the Discussion Forum for
a rough golf headcount, we'll post a notice on this in the
next general mailing, scheduled for next weekend. This will
catch the potential golfers who don't read the Discussion
Forum.

If anyone else needs any assistance in getting estimates of
levels of interest and such, please let us know.

We're asking all primary coordinators to consider and select
the right-size number of assistants for your activities. I know
in one case, the High Tea, we had a number of volunteers step
forward to help. In this case, we're asking Marilyn to please
select the appropriate number of assistants and let us know who

Everyone: We need comments and feedback on this, the sooner
the better. Please give Marisa some guidance on how to
proceed with this.

I hope Firefly works this year, but they are closed until fall
for remodeling going on in the hotel. They open the restaurant
for special events only (like us).

If we can work something out with them, we would have the dome
room to our self. They've been doing this with a set menu, $25+
per person. Having worked with us last year,they'll probably have
us order off a small menu.

I'll be getting more info next week. Sara could probably host her
CD'ers event at the Paradise location, they get very busy by happy
hour though. They have a new location at 9560 W. Sahara, but that
is way west and too small.

Here are my thoughts, and I would ask all to please discuss
this so Marisa can go back to the Firefly folks and form a
plan for our opener.

As most everyone knows, our opener at Firefly last year was
absolute dynamite! It was our finest hour, and our best-
attended activity in the 14 year history of DLV! IMAO, there
were a number of things that made it such, including:

1. Atmosphere. The venue hits the "sweet spot" between
comfort and "mainstream-ness", for lack of a better word.

2. No barrier to entry. No cover, no minimum.

3. Full menu.

As for atmosphere, last year was super, but if we could
get the Dome Room it would be even better! Enough said on
that one.

When you say $25 per person, is this some kind of a minimum
or required cost? We can expect a certain percentage of our
people to want to attend for socializing only, without
dining. I really think that we absolutely need the option
to attend to socialize without paying to eat. Yes, these
individuals will most likely pay their way in terms of
bar business.

IMAO, any charge "just to walk through the door" will kill
the turnout and the success of the activity.

Over the years, when we've had limited menus there has
always been at least some level of griping about them. I
do understand in this case they will not have the kitchen
running at full capacity, so something like this may be a
necessary evil.

Comments on this one, gang?

You said the new location is too small, but would the one
on Paradise be workable for our opener? I know they have a
heavy HH crowd, but this would be Monday, which is usually
one of the slowest nights for food and drink.

If Kimberly K. can't come this year (I'll miss you and Kara alot),
I would like to host the dancing at Paris on friday at 10p.m.
(thats when the band first starts on the weekends now).

One point of observation here, we may want to confirm
that they will indeed have a band on Friday. On my last
trip to LV, I had a free Friday evening and was casino-
hopping and I dropped into Paris. It appeared that they
had a deejay all night long in the Cabaret Lounge that
Friday.

The possibilities for this are endless.

One thing that's often cited by those who are "really coming
out" is developing a level of comfort and confidence shopping
in real time in mainstream shops for clothing, cosmetics, etc.

One suggestion I would make is some kind of a smaller-group
mainstream shopping trip. Hit some of the mainline department
stores and offer some one-on-one advise on selection and some
general support of those who take that important step.

You could shop for fashions, unmentionables, and/or hit the
cosmetic counters.

The easiest way to get an activity branded in your name is to
volunteer to host(ess) one of the daily lunches. :) Just pick
a day and be prepared to arm-wrestle Ginger for the privilege

However, a "Shopping With Gabi" type of thing would work as well. :)

I don't intend to be critical here, but I will offer you some
suggestions based on the real-world experiences we've had over
the years doing DLV activities.

One thing I will suggest, rather strongly, actually, is that
unless there is some overwhelmingly compelling reason to do
otherwise, that you adjust the timing to our standardized
start times for evening things, which are 6:00pm for Happy
Hour and 7:00pm for Dinner. These are quite inbred into the
attendees' minds. :)

I'm going to put this on the schedule at the standard times,
and if you do have a need to adjust this, please let us know.

Ok, I'll give you some "World According to ..." based on how
our people are known to act and the general state of things
in the restaurant industry in Las Vegas. ...

Well, you asked for it ... :) :)

First, historically speaking, our people absolutely loathe,
detest, abhor prepayment, particularly when it's prepayment
in advance of DLV. The response rate to the "send a check to
such an address" type of prepayment is typically somewhere
between dreadful and abysmal! There's also a certain amount
of "I sent it - I haven't received it" back and forth to be
expected.

IMAO, prepayment in advance of DLV is only justified in cases
of certain high-interest activities, such as golf, where the
circumstances truly require in-advance payment and the level
of interest is high enough that it will drive the follow-through.

Some activities have prepayment during DLV. This has a much
better acceptance among the Teeming Millions, but IMAO it's
only necessary in a few cases, such as the Limo Tour and High
Tea where hard counts are needed.

I won't hesitate to advise, and I hope I don't melt your ears. :)

In the Las Vegas restaurant market, which is absolutely hurting
for business, you as the customer have the upper hand. There is
no reason at all for a restaurant to require anything in the way
of prepayment other than maybe a reasonable deposit for a large
group.

I also don't think it's a good idea to insist that people make
their menu selections in advance. Most will not know what they
want to order until they get there, sit down, see a menu, and
talk to the others about what they want to order.

You're talking about a group of 20-25 people, which would
translate to about 4-5 tables of 4-6 in a restaurant setting,
well within the capacity of any mid-size restaurant to handle,
even if on a walk-in basis, on a weekday evening.

Most restaurants are quite willing to take a reservation for
"between 20-25 people" and the like, particularly if you tell
them that you're willing to use available tables and do not
insist on one long group table. Most places are willing to
work with you if you won't have an exact headcount until
shortly before the meal.

With the current Tuesday timeslot, I seriously doubt if you
will have any difficulty making a compliment of 25 people,
even with the expected no-show fallout. That will be about
1/6 to 1/7 of our expected in-town people that evening. If
you're the only dining option that evening, I expect you to
fill to capacity quickly.

Here's what I would suggest:

Plan for 20-25 and we'll do a "sign-up required" thing. We'll
put up the "full" (waiting list) flag at 30. For the "sign-up
required" meals, we've been getting the headcount projections
within 5-10% of the actual show-up count over the past few
years.

When activity sign-up closes (during the week prior to DLV),
you'll have a fairly accurate headcount plus names on a
waiting list. This year we'll be requesting (not reqiring)
cell phone numbers at activity sign-up time. These will be
available on a "need to know" basis to activity coordinators
so you can contact, confirm, and clear waiting list people
as you desire to do.

Also, I'm sure you will get a few who will want to do the Happy
Hour, have drinks and socialize, without eating.

How does that sound?

Yes, we still need volunteers. As of this time you can pretty
much still pick and choose what you would like to do. For some
low-maintenance things I'll offer a few suggestions:

1. Another dining option for Eating Out Night on Wednesday.
For an easy approach, pick a place that you think our group
would like, set a moderately low capacity limit, and just
show up unnanounced and use available tables.

2. Something touristy. Pinball Museum, Erotic Heritage Museum,
Eiffel Tower at Paris, Show In The Sky at Rio, things like
that. Very little "real work" involved here, but it will be a
good time!

3. Something sporty. Mini-golf, bowling.

4. Use your imagination. Think outside the box. :)

Of course if you want to get involved in the planning of
something major, just say so. :)

I have come to the conclusion that it is very unlikely that
I will be able to attend DLV this year, I've been asked to
do several things in that time slot which will generate
considerable income which I can't overlook.

In light of that admission, I generally host two things,
Charles' Bar night and the Shooting on Friday Morning. I
would like to request that someone step forward and do
those events. The most important one is Charles Bar.
Shooting can slide for a year if necessary.

I'll still be able to help plan them I just can't be the
hostess this year.
