This may or may not be the last item being sent out to the
ORG list this year, depending on if we have any hanging
items.
I think we're about as set as set can be. The final schedule
is being locked down today and the LFM will be sent out in
the morning, unless we have technical issues.

I would like to personally thank all who have worked with
us to plan and implement our FOURTEENTH annual event.
Although we've had some setbacks and some derailed plans
this year, I think we did a very good job working around
them.
We've had some very enthusiastic participation by several
of the volunteers this year.

Numbers:
As of 11:00pm last night, when we closed activity sign-up,
we had 214 reconfirmed attendees. Of these, the machine says
that 167 will show, which is a conservative number.
The numbers have been creeping upward over the past few days
as the last-minute mini-rush of registrations eclipsed the
cancellations.
Unless something drastically changes, we'll have a total
turnout somewhere between these numbers (167-214). That's
my final headcount projection for DLV 2010.
You may now consider your sign-up lists to be final.

Concerns:
Here are a few of my particular concerns, about which I'm
asking all to be proactive, in order that we may have a
smoother-running event.
1. With our stated emphasis on hospitality and inclusion, I
want to remind all volunteers to do all you can to be sure
all of our attendees, especially newcomers but returnees as
well, are warmly welcomed and, as much as possible, "made to
feel part of the group" as soon as is possible after they
arrive.
Although we do have designated greeters, please take the
initiative to do some appropriate greeting, welcoming,
introducing-around, etc., if needed. Please be on the lookout
for such things as someone sitting or standing alone, cases
where a group moves on leaving one individual standing there,
cases of that "deer in the headlights" look, anyone who looks
like they may not be having a good time or giving signals
indicating they are about to bolt for the door, etc.
Yes, it may interrupt you from yokking with your BFFs for a
minute or so, but it's time and effort well spent, and who
knows, you may find yourself some more BFFs. :)

2. Restrooms, particularly at the activities where our group
will be large and incredibly obvious. This, frankly, is my
biggest concern for DLV 2010. We'll have the largest group
we've ever had, and we're going to have some large and very
large gatherings at which alcohol will be consumed and by
which, confidence levels will rise and inhibitions will
be reduced.
In particular, I think that special attention needs to be
paid at venues we will be using multiple times (Firefly,
Paris, etc.) and at venues we plan to use again (Bahama
Breeze, Trevi, etc.)
Please, gang, if you observe a restroom incident which
is about to happen, stop it! Things such as a group which
is obviously heading in the direction of a restroom, if
you walk in upon a "frat party" in a restroom, if you
notice one of our people making an obvious bee-line
toward a restroom as gawking civilians look on, etc.
If anybody gives you or another volunteer any sh*t about
enforcing restroom guidelines, hand them off to me, I will
be the "heavy" if you don't want to be.
All of our attendees have agreed to follow our restroom
guidelines and we need to hold them to it, particularly
at large gatherings.
In particular, I'm concerned about the following:
. Welcome Celebration. This will most likely be the
largest gathering in the history of DLV. Although there
is a restroom somewhat out of the way, it's most likely
under the control of the Plaza staff, and not the Firefly
staff. If there's a complaint, we probably will not like
the conditions the latter will impose! Enough said.
. Hard Rock. Yes, yes, TG-Friendly with a Capital T, and
Love All Serve All, but we have had issues in the past.
If a place is TG-Friendly, it does not give a license
to (mis)use a restroom with impunity.
. Viva Elvis and Frank Marino shows. When the show lets
out, we've had a few cases where a "rush" of a ladies
room resulted in incidents and in one case we had one of
our people ejected from a property. Coordinators and
volunteers, please encourage the show-goers to move FAR
AWAY from the exiting crowd before seeking a restroom!
. Trevi. There's a set of restrooms on prem, but what I
am more concerned about is a "rush" between the dinner
and the Limo Tour.
. Limo Tour. We had an ugly incident last year when a
group of our people "rushed" a ladies room at the Palazzo! :(
One of my take-aways for the Limo Team is to try to scout
out unisex restrooms at the various planned Limo Stops.
. Paris. They say they welcome GLBT folks, but as we've
discussed, if there's a complaint from a civilian, security
or management will most likely make some decisions we don't
like.
. Bahama Breeze. We've had issues there in the past. We need
to encourage all to use the unisex restroom if it is free,
and I'm asking all to please set the example and use it, even
if it means a little pinprick to the ego to do so.

3. Coordinator tardiness and absenteeism:
Please, everyone, try to be at your activity's location at
or before the posted time, and please look out for those
who look like they may be trying to find the group.
If you know you're going to be late or absent, please do the
legwork it takes to find a replacement who will be present
and on time.
We've been gigged on the survey with that "I showed up and
nobody was there ..." for several years running, and this
does not have to be.

Check-in:
I'll be making about 5 check-in kits this year. Since we won't
have preprinted name tags, these will be far less bulky this
year.
The kits will include:
. Master sign-in sheet.
. Stash of tag holders and blank tags.
. Marker for name tags.
. Supply of "Miranda" sheets.
For Sunday evening, I would like to give a check-in kit
to Suzane and Susan (or an assistant you designate) so we
have all three after-dinner common gatherings covered.
The more we can get checked in prior to the Welcome
Celebration on Monday, the less of a "rush" there will
be.
I'll be giving one kit to Ginger, so sign-up will be
available at the daily lunch.
We're not planning to do DLV check-in at the daily hotel
gatherings this year. We may or may not be trying this in
2011, depending on how the hotel gatherings go this year.

How about this.
Let's you (Cathy), me, Marisa, and Mindy meet at the beginning
of the Welcome Celebration and decide. I'm thinking that we
should sequester the two most valuable prizes for the DLV
group as a whole, then let Mindy make her choice for the Golf
prize, and then all others will go for the WC drawing. I think
that is fair to all.
Since Marisa will be in charge of the Welcome Celebration,
the details of the drawing will be up to her unless she
designates others to take charge of this part of the
program.

mentioned a local representative of some kind. Is there
