Less than two weeks:

Lots of various items to cover this time. No particular order.

It seems like it's Crunch Time with a capital "C" this year!

Most everything is still looking good. We just need to fill in
some blanks, dot I's and cross T's and such.

We appear to be on target for "locking down" the schedule
next Monday, April 12. This lets those who will be doing the
final actions get going without a concern that their efforts
will need to be re-done.

To all:

If you know that something won't be happening (or conversely,
something new will be happening), for the word to be passed
effectively, we need to be sure the details are in at the
time the schedule is locked and Large Final Mailing is put
to bed.

Monday, April 12, is the last day for items that appear on
the schedule or will appear in the LFM.

If anyone has any almost-last-minute announcements to the
general DLV audience, please send them in.

E-mail reminder:

E-mail is not a perfect medium. If you ever send something
to ORG and do not see at minimum at least a reference to it,
please resend. Black-hole e-mail is rare, but it does happen.

Likewise if you send anything to another volunteer and don't
get a response, resend or inquire. E-mail is not perfect,
neither are humans.

In looking over the soon-to-be-final roster, we do have a
few ORG members who are sitting in a "cancellation pending"
state.

Please, gang. Help us out here and help us clear as many
of these as we can. If you're going to be making it, but
either have not made your activity selections or don't
wish to do any of the optional activities, please give us
a quick note (just reply to this) and say you are still
coming.

If you know you will not be making it this year, please
send us a note and say so, or go on the web and cancel
your registration. You don't have to explain anything, but
please help us clean up the hanging items.

We don't want any volunteers to be marked as "no-shows",
do we? :)

Activities with low sign-ups:

Although most activities have moderate to very heavy sign
up numbers, there are two for which the sign-ups are
unusually low.

I don't think that anyone here is to blame for this, just
that there are factors limiting the interest and sign-up.

These are:

Morton's Dinner on Sunday, currently 1 sign-up.

Roller Derby, second session, Thursday, 1 sign-up.

I would like to ask Alanna and Rosada to please consider
the circumstances and give us a final "go" or "no-go" on
these two around the end of this week. Please don't make
hasty decisions here, but consider all circumstances.

With 90%+ of the activity sign-ups in, I think we won't
have any significant expansion of the list for any of
the optional activities.

For Morton's, I think it's simply the "sticker shock" of
the estimated cost that dissuaded sign-ups. For Roller
Derby Boot Camp, session 2, I think it's just the fact
that it's a duplication of a previously-occurring special
interest activity.

Anyway, please update us on these by this coming weekend if
you would.

Numbers:

As of Tuesday morning, we have 168 primary attendees and
36 SOs reconfirmed, for a total reconfirmed headcount of
204. The Magic Machine says 161 of them will show, which
is (intentionally) a conservative number.

I estimate that over 90% of the activity sign-ups which
will come in are now in, so add a few to both of those
numbers, split the difference, and we still get a final
projection in the 180-ish range. That's about as close a
figure as we're ever gonna get until we actually reconcile
all of the check-in sheets.

still on track. We'll plan on having the schedule locked down

The only significant change I would suggest is to substitute
the term "Activity" for the term "Event" on the column
headings. This is to be consistent across the board in our
terminology.

We'll definitely use you.

Please wander to the Firefly around 6 and we'll get you
set up. Depending on the load, we'll ask you to either
greet and/or help with check-in.

All that we really ask with regard to dress and appearance
is that you consider others. Please consider the rank and
file attendees, with whom you will be seen in public, and
please consider the activity coordinators and the senior
volunteers who will have to deal with any potential complaints.

For the Welcome Celebration in particular, this is a "Major
Venue" activity, and there is a certain degree of liberty
permitted in dress which would otherwise not be allowed at
more blatantly-mainstream things.

The general guidelines for such an activity as the Welcome
Celebration can be stated that dressy is fine, formal is
fine, "Vegas-y" is fine, and flashy, within reason, is fine.
You can't possibly overdress for this.

Trashy/slutty/fetish outfits are not OK for this, neither
are size/age inappropriate outfits, or costumes.

If you consider others, you will most likely be fine.

and also send in the exact name of the place and the street
address. I looked through last year's information and I don't
see explicit details on "the same indoor range near the Strip

You didn't see it on the schedule because nobody has
"adopted" it and it's not scheduled yet.

This year in particular, we want to be sure that when some
attendee arrives somewhere at the posted time, we *WILL*
have a DLV host or hostess present to greet him or her.

We want to avoid as much as we can the cases where a (nervous)
newbee gathers up the guts to go somewhere, walks in, finds
nobody from DLV there, then sees her shadow and goes back
into her hole never to be seen again.

This would not involve a day's commitment. I would say that
for us to put it on the schedule and announce it, we need
to have a commitment for two hours or so. Arm bands get
passed out at 1:00pm Sunday, so that's the time we need
somebody there and visible, if not shortly before.

If you can agree to be there between 1 and 3 or so on Sunday
afternoon, we'll get this on the schedule. Please let us
know one way or another by this coming weekend.

The service we use is Bell-Trans. 702-739-7990. JoAnn can give
the contact names if you want them. I've met two of them, but
I can't recall the names.

The 6-passenger cars we normally use are $52 per hour, and the
8-passenger cars we've used in the past are $80 per hour, with
an additional variable fuel surcharge applying to all rates.

(Don't forget the driver's tip!) :)

Ok, I will add a "M Resort Transportation Assembly" at the
Paris at 6:45pm on Wednesday. Meet at main casino valet.
This will work whichever way you decide to go.

A few suggestions and comments here.

Before you commit to paying for any limo services, do a
real-time real-world check with as many of your participants
as you can contact during the early days of DLV and be sure
they are indeed participating. (DLVers can be very fickle
about showing up, particularly toward the middle to end
of DLV week.) Then size your vehicles accordingly. Bell
Trans has everything from a 4-passenger black sedan to
a 20-some passenger party bus, all of them being quite
nice.

An alternative if the cost for this seems high might be
to take the limos down there, then dismiss them, and take
taxis back. All of your group may not want to leave at
the same time.

Another caveat, please be sure to have the direct number
to the limo dispatcher handy. Occasionally there have been
foul-ups. Be sure to give the limo service the EXACT place
to pick up your group and who to look for. I would also
reconfirm the time/place with the limo dispatcher a few
hours before pick-up just to be sure.

E-mail is not a perfect medium. I would resend. If you
mistype a fairly unique and unusual e-mail name, you will
almost always get a "bounce" message in response.

I just double-checked the incoming queue to DLVORG, which gets
saved prior to any processing. I did not find a note to this
effect from you. E-mail is not perfect.

You didn't say whether you wanted to volunteer to help Marisa
with the activity in general, or to help doing check-in and
greeting and such. I can't speak for Marisa, but if it's the
latter, we'll definitely use you.

We do have a need for greeters, and possible help or relief
on check-in.

Those who served as greeters last year reported that the job
was low-maintenance, but we still got one specific complaint
that there was nobody who was visible as a hostess or a
greeter. We need to try to avoid things such as this for
this year if at all possible.

Yes, you're good to go, literally.

A quick peg count shows that you're signed up for 16 of the
optional activities. (Wow!) :)

The reason we don't send out an e-mail each and every time
somebody signs up for activities is because many attendees
will change their selections, some of them many times. We
want to give them one and only one accurate and final summary,
which goes out with the LFM.

One thing we may want to do is add a button to optionally send
the sign-up summary via e-mail. It's easy to add, but this
close to the event I don't want to be making any noncritical
changes to any programs.
