First and foremost: Tracy, Gina, Kimberly Kael:

Please look at the Laundry List below and respond as needed.

I hate to be a nag, but we've had these items on the
need-to-do list for several list cycles now. A response,
even "hold on, I'll give you an answer shortly" will be
appreciated. Time is starting to get tight. Most of this
is information we need to get the final schedule and other
documents put to bed. Thanks in advance.

Numbers:

The number of un-responded-to sign-up notices quickly dropped
to 21 after the last batch of reminders went out. I hate to
say it, but many of these will end up being canceled (I need
to get used to the preferred American spelling of that word) :)
early this coming week. I hate to do that, but if they do not
show any sign of life after being prodded several times over
two weeks, we might as well assume they are not coming and
get them off the rolls. This number (21) is not at all out
of line with what we've seen for non-response cancellations
in past years.

7 more registrations are in various stages. They are still
coming in at a rate of 1-2 per day. 2 additional ones are
about to be cancell^Hed :) for non-response to the validation
e-mail.

If we assume that 85-90% of the activity sign-ups that will
come in are now in, the numbers are zeroing in right on 180
or so based on the show-up and no-show figures from the past
several years. Of course, each year is different, so we
won't know until it happens.

In looking at the numbers in terms of daily capacity and
projection, we get (extrapolated in parentheses):

Total projection for 2010-04-18: 101 (118)
Total projection for 2010-04-19: 116 (136)
Total projection for 2010-04-20: 121 (142)
Total projection for 2010-04-21: 137 (161)
Total projection for 2010-04-22: 134 (157)
Total projection for 2010-04-23: 125 (147)

As you see, we peak on Wednesday and, surprisingly this
year, drop less than 10% from the peak to Friday. I think
the Friday (as opposed to Saturday) end day really helped
to keep this factor (end of week bail-out) under control.

The bottom line is that we will have a very good crowd
and most all of the activities will be getting a very
good turnout. :)

Two additional Hotel Hostesses needed:

Holly reports that the Hotel Hostess positions for the Sahara
and the Imperial Palace are covered, but we are still in need
of hostesses for Harrah's and Paris.

The primary duty of the Hotel Hostesses will be coordinating
an informal daily get-together on the property. The hostesses
may appoint assistants as needed.

For DLV 2010 the hotel hostesses will not be asked to do DLV
attendee check-in. This will be re-evaluated for 2011.

Hotel Hostess duties will not involve any kind of "duty hours"
or "watchstanding" duties other than the daily gatherings.

Holly sends in this note regarding qualifications:

Since Nora's schedule is somewhat iffy this year, I think
we can give Nora a vacation from staffing the DLV contact
phone.

Nora, if you **REALLY** want to still do this, let me know. :)

Unless anyone wants to arm-wrestle us for the privilege,
Holly and I will be listed as the main DLV contact phone
people this year. It appears that I will have a local 702
cell phone for the week.

We will have Holly listed as the Hotel Hostess Coordinator.

Many of the phone calls to the contact people are in regards
to some activity and the contact person often times does
not have the information that is requested.

We also expect questions to be raised at the daily hotel
gatherings which the Hotel Hostesses cannot answer.

We would like to prepare a list of activity coordinators
and phone numbers, to be given ONLY to the DLV contact
persons who will be answering the main contact phones and
the Hotel Hostesses.

If you're an activity coordinator and don't mind letting the
DLV contact people and Hotel Hostesses have your phone number
(it will not be given to attendees unless you specifically
give permission), please reply to this message and I will
add your number to the list.

It will be regarded as confidential among the senior
volunteers, Hotel Hostesses, and DLV contact people.

Yeah, uh, we don't wanna "out" our sisters, do we? :) :)

If we do get this going as a scheduled activity and have
a good showing, I'm sure Mr. Curtis (Toni Curtis?) will
notice, and since book signers often times will mingle
with the crowd, there may be a chance of an audience with
him.

We understand your situation, Nora.

If there's anyone else who wants to host(ess) this, we can
get it on the schedule. Low maintenance. All you have to do
is agree to be there and to welcome the others. Since this
would be on our opening day, I do think it's absolutely
necessary to have a host(ess) there and visible if we are
to announce and/or schedule it.

As I said, host(ess)ing this would most definitely count
toward voting status.

Yes, it would work if you or somebody wanted to host(ess)
it. The only thing is, this late in the process, it will
need to be no sign-up, just show up.

Yes, everything you are host(ess)ing has heavy sign-ups. My
only concern is that you might be overwhelmed. I've made
changes to the sign-up reports to eliminate the "waiting
list" bar for your activities. Please keep an eye on the
numbers and let us know quickly if/when you want any limits
to be (re)imposed.

You'll find that the show-up counts tend to diminish somewhat
as the week goes on. This is one factor that's not taken into
account in the formulae.

Here are my suggestions regarding directions.

We used to give detailed turn-by-turn directions to each
one of our venues until we finally realized that nobody
was using them.

Everybody can read a map, and we'll have one, on line and
in hardcopy, plus now we have a good percentage of our
drivers using a Garmin or equivalent.

The detailed schedule gives instructions on what to tell
a taxi driver and the Monorail stop, if practical.

The problems and issues that are reported are very seldom
along the line of having trouble finding or driving to
the venue, but a few very specific issues of the "so
close but yet so far" nature.

1. Parking, but only if it's not obvious. Everyone can
easily follow "Self Park" and "Valet Park" signs. All
casinos and many other businesses have these signs.

2. Finding out where, in the venue, to meet the group. This
has been the REAL issue. Many of our people are incredibly
shy about stopping someone, even a host(ess) or security
guard, to ask for help finding a particular location.

3. Tricky streets and similar situations. The only one I
can think of which we are using again this year is Highland.
"Watch signs closely as you approach I-15 from either
direction on Sahara Avenue." is a good example.

4. Multiple venues of the same name, and confusing and
similar names. PT's Pub is probably the best example. You
can't drive for a mile in any direction without running
in to one. This year I'm expecting some confusion between
Bare Escentuals, which we have on the schedule, and Bare
Essentials, which we have on our Big List, but not on
our schedule for anything.

Anyway ... Here's what I would suggest. At each venue,
pick a very easy to find location at which to meet, and
we'll put this in the "Meet" field on the final detailed
schedule.

If parking is non-obvious, write a short, concise blurb
(example: "Park in surface lot, NE corner of Roger and
Maris.") and we'll put it in the "Comments" field of the
detailed schedule.

If routes are tricky, or there's a "can't get there from
here" non-obvious route, write up the instructions, briefly,
for the tricky part and we'll get them in the "Comments"
field on the final schedule.

I think there are several factors contributing to the much
higher degree of interest this year.

First of all, partners are welcome. This alone will double
the turnout. :) :)

I think the big difference is the overall perceived climate
of the activity. One recurring comment is that some of the
traditional SOs have been skipping our DLV SO gatherings
because of the experience that SO gatherings can sometimes
be "downers", and that's not what they want for their
vacation. (No flames, please, I'm just reflecting what the
comments have said.)

Anyway, I think you will have a very successful activity!
