Sign-up continues:

Big thanks to those who reported an error of omission on the
sign-up reports. This was very easy to correct and would have
shown up on a consistency check on Monday, but it's good to
know that we have some keen eyes out there! :)

I'm asking all who are coordinating activities on the sign-up
list to review the "Command Decision" item below please.

In tracing down one report of a missing activity sign-up
mailing, it appears that one of our volunteers may have
spaced off registering for DLV this year. :)

If you're in this same boat, don't panic, let us know, and
it's very easy to take care of.

Numbers:

As of Tuesday morning, 124 activity sign-ups have come in,
and there were 76 initial nag-o-grams sent out to those
who had not responded as of Monday. This is the highest
amount of reminders we've ever sent, but it's not out of
line with the increased numbers this year. Last year we
had 66 IIRC.

This number quickly dropped to 56 after the first batch
of reminders went out.

My guess is, from experience with previous years, that
about 30 of these will eventually respond, with 20-some
eventually being cancelled for showing no sign of life.
This is typical of what we've seen over the years.

What this means for you, the activity coordinator, is
that close to 75% of the activity sign-ups that will
come in are now in, and you can now get a fair estimate
of your actual turnout for any activity by multiplying
that "Estimated turnout" number by about 1.3 at this
time.

There are 5 more registrations in the pipeline and so far
we've had 6 explicit cancellations.

Extrapolating the numbers, I come up with 177 for a final
turnout at this time, but we're still too far out for
anything other than a ballpark figure.

One embarrassing note on my part. :( That first batch of
nag-o-grams had bad URLs in them, requiring one personal
note and a resend of the batch.

JEESH! I hate when that happens! :(

As of this time (Tuesday morning) the only activities
which are in a hard-full condition are the two Makeover
Tips sessions and the Limo Tour.

For those of you who have noticed that certain others are
either technically full or approaching full, see the item
titled "Command Decisions" below.

Greeting and check-in:

We agreed last year that two areas of emphasis for DLV 2010
would be hospitality and inclusion. I think we've done some
great things to make this a reality, including such things
as the Hotel Hostess program, the Beginner Open House, and
others.

I think it's a good time to remind all activity coordinators
to please take the time and make the effort to actively greet
all, in particular newcomers, when they arrive at your
activities.

There are a few activities, however, where we need to round
up additional volunteers to handle the "rush" of those
arriving and checking in.

In particular, the following activities will be the "ports of
entry" for many of our (new) attendees this year:

1. The Pre-DLV get-together. (Also see item below.)

2. The three Common Gatherings on Sunday evening.

3. The Monday Welcome Meet And Greet, plus HH and Dinner.

4. The Wednesday Trevi dinner.

All of these will have a magnitude of new arrivals which
can easily overwhelm the capability of the primary and
assistant coordinators, and we need to do what we can to
assure that nobody is ignored and nobody gets left out.

Now is the time to recruit volunteers from among us to
act as designated greeters at the above activities and
as designated check in hosts/hostesses at the above
activities and at other specific activities at which
check-in should be available.

If you would like to serve as a greeter or as a check-
in host(ess) at any of the major activities, please
reply to this mailing and we'll get you on the list.

One Big Burning Question which remains unanswered is
whether DLV check-in will be offered by the on-site hotel
hostesses. It would be practical, IMAO, to do this but
it's really not my call. The check-in "kits" will be
much easier to prepare this year since we're not doing
pre-printed name tags.

Thanks, Nora. Good logic! :)

Let's consider Nora's recommendation to be a nomination for
Las Palmas as the Pre-DLV venue. I will second it.

I can see one other BIG advantage to this venue for the
Pre-DLV thing and that is that it's literally a walk
across the parking lot to RHPS.

Do we have any other venues to be placed into consideration
for the Saturday Pre-DLV gathering?

Venue suggestion please:

It looks like, by default, I will be host(ess)ing the Sunday
evening Alternative Common Gathering. I want this to be as
safe as safe can be, but fun for those attending.

I would like some suggestions and guidance on choosing a
venue for this. Currently on my "short list" are these
ones, which I am familiar with and had good times at each.

1. Flex
2. Spotlight
3. Escape

I'm kind of leaning toward Escape, since I consider it to be
the "nicest" of the three, but I'm open to any suggestions
of these or any other venues.

Any preferences?

I'm summarizing this to ORG, since a question was raised by
an attendee who is not staying in any of our suggested hotels
but wants to take advantage of the daily get-togethers.

I think the decision is a good one, to allow "open"

Some command decisions to make:

Marisa writes;

Here's the way I usually handle the "full" situation on the
activities where there's no hard limit, and where we want
only approximate numbers.

Unless the primary coordinator says otherwise, I'll put
up the full sign when the estimated turnout number hits
the capacity limit, as there has historically been a good
amount of fall-out on these.

Let's review the Tuesday morning numbers for those activities
which are showing approaching capacity:

1. IP Auto Collection. Capacity listed as 20, 24 signed up,
machine says that 18.8 will show. As per Marisa's note, we
will keep this open.

2. Sunday Irish Pub Dinner. Capacity listed as 30, 33 are
currently signed up, machine says 27.3 will show up. Unless
Susan says otherwise, we'll mark as full when the predicted
turnout hits the 30 mark. Susan, please advise if you want
this held open.

3. Beginner Open House session 1, Monday. Capacity listed
as 20, 21 currently signed up but with a predicted turnout
of only 14.5. I don't foresee a capacity issue here, but
unless Sarona says otherwise, I'll keep watching and post
the full notice if the predicted turnout exceeds 20, which
I don't think will happen.

4. EON Milano's. Capacity listed as 20, 23 signed up. The
magic machine says 16.7 will show. I'm watching this and
I'll mark as full as the turnout approaches 20. I don't
want to overwhelm this one.

5. EON PT's. Capacity listed as 30. Sign-up today is 27
with a predicted turnout of 20.3. I'll watch this one, but
I don't foresee it going over capacity.

6. Divas Frank Marino. 51 signed up, machine says 39.1 will
show. This will be a good crowd, and I don't see any need
to mark it full under any circumstances, since the limit
will be determined when the show sells out at the box
office. For a Tuesday show, I doubt if it will happen.

7. Art Tour City Center. Listed capacity as 20. 26 signed
up, machine says 19.4 will show. As per Marisa's note, we
will keep this open.

8. Art Tour Arts Factory. Listed capacity as 20. 19 signed
up, 15.5 predicted. Ditto as above unless Marisa says
otherwise.

9. Level 107 lounge. Capacity listed as 30. 29 signed up,
estimated show-up count as 21.3. Unless Marisa says to the
contrary, I'll watch this and mark as full if the count
of the predicted turnout hits 30, but I don't foresee it.

10. Bahama Breeze Dinner. Listed capacity of 90, 98 signed
up for it. Machine says 78.2 will show. Unless Alanna and/or
Susan say otherwise, I'll watch and mark full when the
turnout prediction approaches 90, which very well may
happen.
