Moving forward:
We've received no objections to doing Firefly Plaza as the
big ending gathering on Friday. Marisa, please go ahead and
solidify the plans. I'm marking this as HH for 6:00pm and
dinner for 7:00pm unless you say otherwise. Implied Quality
Social Time both in the facility and on Fremont Street
after the affair.
Thanks again to Marisa for coordinating this.
And also, thanks to Alanna and Susan for volunteering to
do the Bahama Breeze thing. Let's keep that one in the back
pocket should problems arise with either of our two major
gatherings. :)

Let's look at the numbers ...
As of Monday morning we have a total of 173 validated
attendees signed up. Of these, the magic machine says
that 143 of them will show. If we assume that 80% or so
of the registrations are now in, extrapolating, we get
170-ish, with a record attendance in striking distance.
Activity remains high on all fronts.

Sign-up status:
Our next big job is getting ready for activity sign-up.
For those who are new volunteers or those who may not be
familiar with the process, here's what it involves.
We're expecting a total of 160 to 180 attendees, and we
expect to have over 30 optional activities for which some
kind of a sign-up, headcount, prepayment, or some other
kind of hoop-jump (such as a ticket purchase) will be
required.
To attempt to sign up 170-some bodies to 30-some activities
by any manual or ad-hoc process would be an exercise in
futility and would become extremely messy!
We prepare a screen of sign-up checkboxes, certain other
input areas, etc., and have the attendees fill this out in
order to let us know which of the optional activities they
will want to do.
This screen also gives any critical information about the
activities, such as cost, prepayment information, should
it apply, etc.
This process then gives us rosters of who is to be expected
at each sign-up activity, manages activity capacity and
waiting lists, and is automatically adjusted when we get
cancellations or when people change their mind as to what
they will be doing.
Using some emperical "fudge factors", we can give a fairly
accurate prediction of the real-world turnout for each of
the activities in most cases.
For those of you who are coordinating sign-up activities
and want to see how sign-up is going, we have a screen
where you can check on this in almost-real-time (updated
hourly).
We want to roll out activity sign-up the week of March 22.
The first part of the job, which I want to have complete by
the end of this week, is to positively identify which of the
activities on our schedule will require some kind of sign-up
or otherwise needs to be included in the process.
In the next couple of weeks we'll go over any missing specific
information, but first, we need to identify the activities
which need to be included. From a quick overview, it is
very obvious that this year we will have more activities
which require a sign-up than we've had in any other year in
the past.
Most of the activities we have are on a "no sign-up, just
show up" basis. This includes things such as most lunches,
most happy hours, vendor open house sessions, meals where
the facility can be flexible, informal gatherings, etc.
For those activities for which we want a sign-up, we have
four degrees of formality to the process. The activities
included in the sign-up process will be of one of these
three categories:
1. Sign-up requested for headcount.
This means that we want an informal sign-up, used to give
us a rough idea of the amount of interest and some kind of
a guess as to how many will show.
A good example of this is something like the Flamingo buffet
dinner on Sunday evening. I would kind of like to know about
how many to expect.
2. Sign-up requested.
Sign-up is requested, but not required. In most cases those
who want to attend but are not signed up may attend, space
permitting, of course. A good example of this would be the
dinner portion of the Welcome Celebration.
3. Sign-up required.
This is for cases where we need a more accurate count of
how many will be attending. In some cases, an admonition
is made on the screen that signing up is a commitment to
attend, participate, and pay. :) An example of this would
be the Morton's Steak House dinner on Sunday.
4. Prepayment required.
Exactly what it says. Prepayment necessary by various means.
This is where the coordinator is "on the hook" for $$$$ or
for some other reason we need payment to be made in advance.
Things like Limo Tour, Golf, High Tea, fall into this
category.

of our activities which show up on it now are in the correct
sign-up (or no sign-up) class. Here is what I am showing

of our recurring issues over the years is for attendees

it looks like this is the Pahrump Valley Winery at the
location you described.

Yes, the IP is one of our suggested hotels and there will be
a host(ess) on site, although Holly has not told us who it
will be yet.

I would hope that those who are interested get the information
from the final detailed schedule in the Large Final Mailing,
as real-time contact, even with the planned daily sessions,
may be somewhat hit and miss.

That sounds fine. I honestly can't think of a better timeslot

One thing I would suggest is that you have one and only one
rendezvous point, particularly if you plan on traveling in
caravan with multiple vehicles involved. This is really your
call, but I'm reflecting on what's worked best over the past
years of DLV.
