The tribe has spoken. Here are the results on Michelle's
motion to "unbundle" the week and days in the DLV date
vote:

For: 11
Opposed: 3
Abstain: 3

Motion carries.

Not unanimous, but a significant majority.

Therefore, the final date ballot will contain two measures,
one for the calendar week in which DLV will be held and
another for the start/stop days, which also determines
the length of the event.

Thanks to all who participated. I think this measure will
help to move things along and reduce disputes in the
process.

Last vote was received Sunday, 0818 CDT and polls were
closed Tuesday, 0818 CDT.

One early vote was received. It was superceded by an
appropriately-timed vote from the same individual.

One invalid vote was received. Although it could arguably
have been interpreted to be in favor of the motion, no
clarification was requested due to the magnitude of the
margin and the lack of effect on the outcome.

One report of a "bounce" of the ballot was received. The
ballot was resent from another account with instructions
to reply to that address.

No response was received, and no reminders were sent due
to the degree of the margin and the lack of any effect on
the outcome.

I think this is a very good decision and I want to thank
Michelle for bringing it to our attention.

In looking back over last year's date selection process
(which took three rounds of votes) we had one case where
two similar, but not identical, nominated dates possibly
acted as spoilers for each other. This motion prevents
this from happening again.

The only scenario this does not allow for is an event
which begins during one week, spans a weekend, and
concludes in another week. This last occured in 2001
and I don't expect the limitation to be any kind of a
significant issue.

Reconciling the nominations:

Here is what I would like to do, in the interest of moving
things along.

Any objections to this approach need to be made now, please.

I would like to reconcile the existing nominations, breaking
each up into an equivalent calendar week nomination and
start/stop/length nomination. As you will see below this is
quite simple and concise. The intent of each prior nomination
can easily be seen as a nomination of a particular calendar
week and a particular span of days.

However, if there are any objections, procedural challenges,
or comments that question whether or not this is or is not
appropriate, I have no choice but to wipe the nomination
list clean and re-open the date nomination process. For
those who want to see things move along as expediently
as possible, this is your cue -- or rather this is your
non-cue! :) :)

Let's review what we have in nomination, adjusted to break
apart the calendar week and the start/stop/length.

To all: We now have one strong candidate with multiple
seconds. Let's keep the floor open for one more list cycle

What worked and what did not work:

One of our jobs before we start actively planning the next
DLV is to finish up any summarizing, debriefing, follow-up,
etc. of DLV 2009, hopefully while it's still reasonably
fresh in our minds.

Here are some of my thoughts regarding some of the activities
and special functions.

I would like to hear your comments, thoughts, and concerns.

+ 6:00pm: Happy Hour (Blue Ox) - mv
+ 7:00pm: Dinner (Blue Ox) - mv
+ 8:00pm: Welcome Meet and Greet (Blue Ox) - mv

IMAO, this opening night series was probably the most
successful activity we had this year. With a door count
of 105 (highest attendance of any DLV activity in history),
we captured close to 90% of our in-town people that evening!

It was rated highly. The venue, IMAO, is a good example of
something that's in the mainstream but not scary, and of the
scale (as in upscale/downscale) where it will be comfortable
but not pricy.

I really can't see anything to complain about, with the
facility, the service, the food, the prices, or the format
of the evening.

There were some misunderstandings just prior to DLV between
the facility staff and the DLV volunteers as to exactly
what we wanted. This was resolved quite easily in a timely
manner.

This one was a winner! We always have requests for large
get-togethers and this one worked very well.

I say that this activity, format, and vendor all deserve
consideration for a repeat in 2010.

The Bahama Breeze evening was our second-highest attended
activity for 2009 (ca. 80), but we only captured what I
estimate to be about 70% of our in-town contingent for
this activity. This figure is along the line of the rate
we have historically seen at most larger gatherings.

We also had a certain number of attendees who attended BB
to socialize, but went elsewhere to eat.

Also, unknown to some, there was a restroom issue, not with
misuse on our part, but with management. This was settled
by negotiations which did include a round of hardball. A
subsequent phone call to BB's corporate office confirmed
that the duty manager made the correct decision.

Personally, I enjoy the food at BB, but I agree that it is
becoming repetitive and I know that the food is not enjoyed
as much by all.

Having the entertainment is a nice touch, same as we saw in
2007. I think that particular room works out the best for us.
In 2008 we did get comments that it was somewhat crowded. (We
had a somewhat smaller room with a 90-ish crowd.)

It will really be a group decision as to whether we go down
a different road for our ending evening this coming year.

+10:00pm: Suggested no-host options (Various)
+10:00pm: Dancing option (Krave) - sv
+10:00pm: Gaming option (Paris) - ms
+10:00pm: Socializing option (Goodtimes) - sv

The later set of activities on Saturday (the "suggested
no-host options") was a cop-out. A last-ditch scotch tape
and bailing wire attempt to shore up a weak late evening.

No, we didn't have a fizzle-out. It was a rather abrupt
ending to the entire event around 9:00pm or so on Saturday,
more like a flame-out so to speak.

I don't want to see this approach repeated in 2010! in
particular I don't want to have bondo-putty filler things
on the final evening! :(

+ Pre-DLV gathering, PT's pub.

Again, this venue is another example of something that is
mainstream in nature, but comfortable for those who are new
to public exposure.

I know we had attendees go back to this particular PT's (there
are countless PT's in the LV area) off and on over the course
of the week, both in the daytime for lunch and in the evening.

I think that this particular PT's offers us some possibilities
for some larger gatherings, within their capacity of course.

+ 8:00am: Diva Las Vegas Invitational Golf (Desert Rose) - ms

Golf has always been and will be one of our feature activities.

What happened this year is a very good example of why we need
to have active assistants and co-coordinators for all of the
major activities we have.

Fortunately we had two others who were able to step in and
take over when Mindy's conflict arose.

I know that golf was rated somewhat lower this year on the
enjoyment scale than it has been in the past. I don't know
what could have been done differently which would have helped
the rating. I think Edy and Mardi did what they could to
assure a successful golf outing.

I see things like this as a "Good Thing", even though they
will never be listed as the most exciting activities of the
week.

One of our most successful recurring activities is the daily
lunch, ongoing continuously in more or less the same format
since 2003.

+ 1:00pm: Lunch With Ginger (Paris Buffet) - ms
+ 1:00pm: Lunch With Ginger (Harrahs Buffet) - ms
+ 1:00pm: Lunch With Ginger (Bellagio Buffet) - ms

One thing I noticed this year is that as the week progressed,
the attendance diminished. For Monday-Tuesday-Wednesday it
was in the low teens, but 8 and 5 for Thursday and Friday
respectively.

Yes, it could be said that the selections for Thurday and
Friday were on the high side, price-wise, but Rio and Paris
are right along the same line as the price of Harrah's.

Paris was rated somewhat lower on the enjoyment scale than
were the others, but I'm not sure of the significance of
this one exception. I don't recall hearing of any complaints
about the Paris Buffet specifically.

This (hostessing a daily lunch) could be a good "foot in
the door" for beginner volunteers. Ginger kind of handles
this one by default, and Mary Beth and Lori have done it
on occasion, but anyone who wants to hostess one of the
daily lunches can do so. Just pick a place and agree to
be there on time and welcome the others.

Question to all: It appears to me that the participation in
this activity was greater when we had it at a fixed venue,
as opposed to rotating it daily. Do we want to consider
"anchoring" the daily lunch at a fixed location again? (I
don't know, I'm asking.)

Trevi was one of our most significant "winners" for 2009!

I would like to see this one repeated. I would also like to
see this one capture a bit more of our audience. (Ideas?)

With a headcount of 44, that means we had only about 1/3
of our potential participants. Good turnout, I admit, but
where were the other 80-some in-town bodies?

Was the venue too exposed? Although the area in which we
were seated was upstairs and somewhat discreet, the venue
itself is dead-center in a very busy complex, with lots
of tourista-type foot traffic.

Was it too expensive? It wasn't cheap (bar prices were
unexpectedly reasonable) but it was not, IMAO, outlandish
by any means.

I do realize that we were pushing the limit of what Trevi
said they could serve on the regular menu. I think that
having the regular menu is a Good Thing<tm> and that this
factor adds to the enjoyment of any dining activity. It
seems like the bitching increases whenever we run into a
limited-menu situation.

+ 2:00pm: SO Get-Together (Claim Jumper)

There were some comments about this one, and we'll touch on
those in a later mailing.

I do think that SO gatherings can be a very good thing to
have, but there are some misunderstandings and perhaps some
disagreements about what we're trying to do with SO activities
here at DLV.

I don't view SO activities at DLV as being "support" meetings,
any more than I would consider DLV as a whole to be a "support
group." I think there are some who expect that a DLV SO
gathering will be more like a SPICE meeting and are surprised
when they see male SOs and nontraditional couples at DLV in a
number higher than is normally seen at other TG gatherings.

I know we have some SOs on the list here. Care to comment?

 From what I heard, this worked out quite well, both the show
and the after-show dinner.

+ 9:30pm: Theater Night - Jersey Boys (Palazzo) - ms

Great show! ("Oh what a night!") Very enjoyable!

We didn't get a$ many at Jer$ey Boy$ as they did at Magic's A
Drag for obviou$ rea$on$. :)

However, we had options for both reasonably-priced and
first-tier shows that evening. Win-win.

Eating Out Night.

Overall, I think the multi-track evenings have worked well
for as long as we have been doing them. In particular the
Eating Out Night concept gives us a win-win-win on many
fronts. It breaks up the group and allows more personal
interactions, plus it allows for choice on cuisine, price
range, etc.

This year we had choices from oh-so-mainstream to as safe
as you can get.

+ 7:00pm: Milanos option (Milanos) - ms
+ 7:00pm: Dos Caminos option (Dos Caminos - Palazzo) - ms

Joe's was rated somewhat lower than the others, but again,
I didn't hear any specific complaints so I'm not too
concerned about it.

I would have liked to have seen 1-2 more options here. I
think we could have captured more of our in-town attendees,
adding to greater overall participation (and overall
satisfaction with the DLV program). We did have one other
option on the schedule (Dick's Last Resort) but it was
pulled due to a volunteer issue.

This kind of smaller group dining is incredibly easy to
coordinate. For a minimalist approach, all you have to do
is to pick a place and agree to be there and welcome the
others. If you want to go with more formality, such as
reservations and sign-ups, that's an option too.

+ 9:00pm: Star Trek IMAX Experience (Palms - Brenden Theater)

This is the only activity this year which placed lower than
neutral on the enjoyment scale.

There was confusion on where to meet, and I understand that
the time(s) listed on our schedule did not coincide with the
actual show time.

Apparently very few actually took in the feature, although
quite a few reported showing up, intending to do so.

We've had "Movie Night" appear on the schedule several times
now. It NEVER seems to happen as planned, and I might go as
far as to say it never happens at all. :(

+ 9:30pm: Limousine Tour (Caesars) - ms
 
Oh yes, the Limo Tour {sigh}.

We had issues! :(

I'll take the blame for the World's Largest Gift Shop. That
one was my idea. I'll also take the blame for not remembering
that Goodtimes had only a one-stall ladies room. :(

JoAnn and I have been conversing off line about lessons
learned and what can be done better this coming year.

We're planning to use Amy at Glamour Boutique as a clearing
house for payments next year, allowing payments to be made in
advance via credit card.

+ 2:00am: Charles Bar (Bellagio) - ms

I left this at about 3:30am. I realized that if I left then I
could get back to the hotel under my own power, but if I had
one more drink I would probably have to be carried out! :)

The Charles Bar is an excellent example of Quality Social
Time<tm> in an upscale unquestionably-mainstream venue. The
time of this activity (0-dark-30) adds to the comfort level
of those who are new to mainstream exposure.

Even though it's in the wee hours, it has become a very
popular recurring activity.

+ 5:00pm: Night Of The Soiled Doves (CR) - mv

No other TG event has anything like it! This is one of our
very own unique creations which has been kept fresh over the
years.

I think the procedure for payment, using Glamour Boutique as
a clearing house, worked out well. I know that we're planning
on using this for the Limo Tour next year, as well as for other
activities.

Ya know, I really think it would be a Good Thing<tm> if we
could keep the NSD gang together after NSD, but it seems
like it never really happens that way.

+ 7:00pm: Irish Pubbing (McMullans Irish Pub) - ms

 From what I heard, this had a good turnout and was a lot of
fun! I envision this happening again next year either as one
option of a multi-track evening or as a second-track option
against one of the majors, as it was this year.

+ 9:00am: Pistol/rifle shooting - ms

Again, a very atypical activity for a TG event.

This was, unfortunately, almost derailed by a last-minute
involuntary change of venue. :( From what I heard it did
work out fine at the new venue.

+ 10:00am: Boat Tour Breakfast (Coffee Cup Restaurant) - ms
+ 12:00n: Lake Mead Boat Tour (Lake Mead) - ms

Both the boat tour and breakfast were highly-rated this year.

This is one thing which was never intended as a recurring
activity, but kind of keeps happening. :)

+ 2:00pm: High Tea (Four Seasons) - ms

One of our more popular regular activities. For those who
like to dress up, this is it! I get the impression that
many of the participants in this activity are regulars,
doing it each year they attend DLV.

Friday evening turned out to be one of the more unusual
evenings we've ever had in our history.

I didn't attend any of the following ...

+ 7:00pm: Murder Mystery interactive option (Glamour Boutique) - sv

+ 11:00pm: Acoustic Jam Session (Glamour Boutique) - sv

.. but from what I heard they all went well and I saw they
were rated highly. Yes, there is a desire to have some high
quality safe-venue activities.

Until this year, the Pity Party has been a second-track
option, concurrent with either an expensive show and/or
the Limo Tour. This is the first year that the PP was the
feature activity of the particular timeslot.

The Murder Mystery is gonna be a very hard act to follow! Is
this one repeatable next year?

I think there's probably going to be a calling to repeat
the Jam Session in some format next year.

We also had mainstream options that evening too. Both Komol
and Roy's were highly-rated for dinner.

+ 1:00pm: SBS Social (Blue Ox) - mv

I was impressed by the turnout this year! This was the largest
"lunch" activity we had in 2009.

The SBS Social was really our only mid-day strictly-social
activity this year.

+ 2:00pm: Fashion Show Mall Fashion Show (Fashion Show Mall)

Edy gets an A+ for ideas and effort here, but I think the mall's
management was totally dumfounded as to what to do, and just
blew us off.

It appears that there was also some confusion as to where to
meet for the show. Also, some had the impression that it was
intended that SBS and Fashion Show Mall were intended to be
done sequentially and complained about the tight timing.

We've never had DLV in March. The earliest start day ever for
DLV was April 17 in 2006.

In 2003 we started April 22. However, I do remember some very
cool days and evenings that year. I remember on the side trip
to Area 51 it was very cool and windy to the degree of exceeding
the Bad Hair Day threshold.

I also remember some borderline chilly evenings in 2001, which
was the first week in May.

Yes, most conferences, conventions, and major social events
do have multiple tracks and concurrent activities.

In later years (since 2002 or so) we've typically seen an
exodus on Friday and Saturday, a significant factor of which
is the increase of room rates on Friday and Saturday.

My original suggestion of a Sunday thru Friday DLV was to
help with this, allowing full participation, or mostly-full
participation on weekday room rates.

A few data points:

Kimberly's comments got me re-examining some of the survey
results, to be sure I'm not on drugs and imagining things,
when I say that the reported days spent at DLV (average
reported departure date minus reported arrival date) has
remained very consistent in the 5.2-5.5 range and did not
decrease when we went (back) to a six-day event in 2007.

When I was perusing the numbers, I re-stumbled on this
particular item.

This was an unexpected result on the 2009 survey:

+It was too short: 7
+It was just about right: 69

This is the Teeming Millions speaking, the rank and file
attendees (including the volunteers, of course).

While the majority of the attendees say the length (6 days in
2009) was just right, we're seeing the number of those who
believe it's too long increase to the point that this year
we saw the number of "too long" responses exceed the number
of "too short" responses.

I had reported earlier that this was the first year ever when
we have seen the "too long" responses exceeed the "too short"
responses. As Ron Popeil might say, "But wait -- there's more!"

Looking back a the 2005 responses to the same question we had
these numbers:

+Was DLV the right length:

+Too short: 3
+Just about right: 48
+Too long: 8

Historically the number of "too long" and "too short" answers
have been mostly in the single digits, compared to tens of
responses in the "just about right" category.

I would interpret this to mean that as of this time, the
Teeming Millions consider the length of DLV to be "right
sized" and there is no signficant calling for a longer DLV
from the rank and file.
