I had planned to start introducing some 2009 follow-up items
beginning this mailing, but I'm holding off until we get the
date item under control. I'll start introducing things like

New volunteers: Please don't be shy, feel free to join in

One very important reminder about the dates. If there are any
significant concerns about the issues under consideration, or
about the methods by which we arive at a decision, they need
to be brought forward during the time alloted for discussion,
and not after a decision has been made!

Let's discuss March. ...
There does seem to be some interest in holding DLV 2010 in
March. I'm not totally opposed to this, but I can't help
feeling that this may be a backlash, a reaction, and not
anaction to a need. I believe that much of this is a
well- intended but very iffy attempt to assure ideal
weather.
The old line "be careful what you ask for, you may get
it" quite possibly applies here. Please keep in mind
that there is an equal probability of 10 degrees below
average as there was of 10 degrees above average as we
had this year.
Should we hold DLV in March, normally with highs in the
60s and lows in the 40s, if we had 10 degrees below normal,
I'm sure we would have just as much bitching about it being
too cold as we had this year about it being too warm.
I know one year (2002? 2003?) we had complaints about it
being cold and windy on the golf course.
My primary concerns with March are Lent and Spring Break.
Scheduling DLV within Lent may cause conflicts for those
with family or religious commitments.
Although there's no universal Spring Break schedule anymore,
this tends to peak in March.
I would like to see us consider a March DLV (or May DLV) if
and only if we can't find a workable week within April.

Yes, in a way I guess I am combining two items here, the week
and the length. Actually three. Add to that the start and
stop days of the week.

Ok, let's consider the following to be a motion, open on the
floor, pending a second.

Let's let the nominations and seconds for timeframes
continue for now. Should Michelle's motion carry, we
can have those nominating timeframes re-submit as
appropriate.

We may have to agree to disagree on some of this.
My primary concern is volunteer resources, or really
the shortage of same, which affects my workload, as
I (the PM this year) am the one stuck with getting
volunteers lined up to fill the vacancies.
Those who wish more "Do Your Own Thing" time can very
easily come a few days prior to DLV and/or leave a few
days after DLV concludes. This provides plenty of DYOT
time without missing any of DLV.
I want DLV to continue to concentrate on high-quality
group activities, small and large, general-interest and
special-interest.
I want to see a full and rich schedule covering the event
from start to finish. We owe it to our attendees to have a
quality set of activities.
I do not want to see "Free Time" or "Do Your Own Thing" as
a single-track activity, ever. Likewise, I don't want to
see any schedules, particularly evening schedules, diluted
or weakened.
Why?
Because some people will get left out. I don't want to see
that happen.
Many of our attendees have not established or have yet to
establish a circle of friends with whom they would do their
own thing.
Things such as "several shows on different nights" or as we
heard in feedback, multiple occurences of one activity,
require additional volunteer effort.

I would restate this to speak in more general cases. We really have
three types of evenings:
1. Single-track evenings. (Welcome, Farewell)
2. Feature activity evenings. (Limo Tour, NSD, etc.)
3. Multi-track evenings. (EON, Mainstream/Alternative, etc.)
This year we had two of each. Monday and Saturday were single
track, Tuesday and Friday were multi-track, and Wednesday and
Thursday had one feature activity, each with one or more
smaller alternative options.
I think this worked well. The two multi-track evenings did
offer time for a DYOT activity, which was actually listed
as an option on Friday, along with several other mainstream
and alternative options.

The options "add something new or different" and "allow repeats"
require additional volunteer help, which we are short of.

My primary concern with a longer DLV is the volunteer resources.
No matter what kind of a "spin" is placed on this, more days
will mean more timeslots to fill, and that means more activities
and more volunteer effort.
To stretch things out without filling in the holes means
weaknesses in the schedule.
During the years we had a 7-day DLV (2004-2006) we also had
some significant issues with "fizzle-out" endings. (If you
look back to the 2004-2006 schedules, you will notice that
the Saturday evening portions are indeed weak.)
This year we did OK with our ending evening, but it could
have been stronger. The reason it was not stronger was that
we did not have ANY volunteers for any post-Bahama Breeze
activities, none, period, not even hostesses for no-effort
activities! This says to me that we had reached the limit
of what our volunteers were willing and capable of.
A related question. Are you, Michelle, or is anyone here
on this list willing to commit some effort to recruiting
and firming up volunteer help? If we have someone whose
duty it is to contact people to fill vacant volunteer
slots, twist arms, etc., I'll feel much better about a
longer DLV.

Our standing rules state that those who are of voting status
are those who have coordinated or assisted with at least one
DLV activity in at least one of the previous two annual DLV
events.
This is the list, taken from the records of DLV 2008 and 2009,
of those who we show as being of voting status by virtue of
being involved in coordinating activities. Please look over
this list. If you're not on this list and did coordinate (or
assist with) at least one DLV activity over the past two
years, please write in and scream.
