Org List:
This is the DLV 2009 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Timing and capacity:
In thinking of the timing, I would like to move the "freeze
target" for the schedule up to May 4, evening. Let's please
think of that as the time the schedule needs to be absolutely
solid.
However if there's any activity that anyone knows to be at
risk for whatever reason, impending closure, change in
management, coordinator not able to make it, etc., please
say so immediately, don't wait for the deadline.
The sooner we know about a possible issue, the easier (less
difficult) it is to deal with it.
. . . . .
Thanks to those who sent in updates and corrections. Please
check to be sure the wording is now as you like it.
Kimberly does not regularly post the pretty-printed updated
full schedule, but the original full schedule is updated hourly
and is always on line for any organizers and volunteers who
need it.

Reviewing the numbers:
As of this morning we have 173 reconfirmed individuals.
The machine thinks that 133 of these will actually show.
Out of that first batch of activity sign-ups, my guess is that
now, over 95% of the responses that will come in are in.
Therefore we can only expect a few more of those 25 who have
not responded yet to respond and actually show up, and I expect
that most of those 25 will be cancelled toward the end of the
week for non-response.
So, as a total number we can expect, in addition we have 7 in
first or second notice state plus new registrations coming in
at a rate of about one per day, which has been slowing over
the past week or so.
As of now it all depends on how many out of that 173+7+x will
show and not show. My guess is still close to 150 total.

Activity sign-up and such:
Sign-ups continue to come in regularly. This week we're on a two
day cycle between the mailing of batches. Last batch is scheduled
for this coming Sunday. Cutoff for activity sign-ups is expected
next Monday evening.
As of this morning, the following activities are full and in a
waiting list state:
Limo Tour
Night Of The Soiled Doves
Boat Tour Breakfast
Murder Mystery
SBS Social
The Boat Tour was marked full, but Diane requested that the
full sign be taken down.
Milanos has been hovering on the edge, but it dropped down a
couple, so I'm not marking it as full yet.
Irish Pub is sitting at 25, which is the limit I have on file,
but the expected turnout is 18, so I'm not going to mark it as
full yet unless Susan wants it.
. . . . .
Of all of the activities on the sign-up list, the only one
which seems to have a lower than expected sign-up count is
the SO gathering on Tuesday. I've taken a look at things,
and I'm still a bit perplexed about this.
There are two factors which I think may be contributing to
some, but not all of this.
First, out of the 27 reconfirmed SOs, 9 of them will be
arriving Tuesday or later, reducing the pool of potential
participants to 18 or so. Out of those 18, 6 of them are
local, and looking back into history, although local SOs
do tend to "make an appearance" during DLV, very few of
them really participate to any great degree.
I've made a suggestion to Bob to actively circulate among
the couples present at the Welcome Celebration, personally
inviting each SO present to attend. I think that's the best
approach to getting a good turnout on that activity.

Later Saturday evening:
As per the discussion recently, I've added three no-host options
to the Saturday schedule for 10:00pm. The Saturday evening
lineup now looks like this:
6:00pm: Happy Hour (Bahama Breeze) - ms
7:00pm: Dinner (Bahama Breeze) - ms
8:00pm: Ending Bash (Bahama Breeze) - ms
10:00pm: Suggested no-host options (Various)
10:00pm: Dancing option (Krave) - sv
10:00pm: Gaming option (Paris) - ms
10:00pm: Socializing option (Goodtimes) - sv
This covers three areas of interest, as well as mainstream
and alternative.
Comments? Suggestions for improvement on this?

Boat Tour capacity:
Diane write:

Thanks, Diane. I just checked the web site and reservations for
some time in advance, in fact the noon cruise for May 15 is
already available for booking. There's a certain amount of
upsell on the web but it can easily be ignored.
I'll put a note in this weekend's (the last before LFM)
general mailing.

High Tea clarification:
Jamie Renae writes:
>The meeting place for the Tea is" enter through the Valet

>the Verandah Resturant"
Thanks, Jamie. I've added this to the schedule notes.

Theater Night and Blue Ox:
Ginger writes:
>Tuesday Theater Night 9:30 Need to specify Jersey Boys
Thanks Ginger. I've edited the activity name.
>Monday's Welcome, etc. and Saturday's SBS Social, Correct
>Phone Number for the Blue Ox is (702) 873-5276
Hmmmm ... I really don't know where the original number came
from. My guess is that it was from whoever made the original
entry on the Big List. I've updated the Big List and the
activity list.

Printed schedule:
Kimberly Kael writes:

>Just let me know when the optimal time is to pull the database

I suggest Monday evening, May 4.
I would also like to move up the final schedule "freeze" to
this date.
My target for the Large Final Mailing is Tuesday, May 5, which
allows slack for possible system or network issues. Since the
final pretty-printed schedule will appear on the web, it can
be updated after the LFM if absolutely necessary.
I want to do the final print of the summary for the handout
on one of the nice lasers in the Media Center on Thursday or
Friday before I leave.

I'm not trying to be pushy here, but I've notced this year
that quite a few who I know will have vehicles have not signed
up to be a volunteer driver.
The big thing about being a volunteer driver is that you don't
have to make any major adjustments in your schedule or anything
like that. The riders need to work around your schedule, not
vice-versa. If a rider gets out of line (being b*tchy, demanding,
unwanted smoking, etc.) you can feel free to tell them that you
will no longer be available to them.

Welcome Dinner price:
Kimberly Komplin writes:

Done.
Good catch.
As a note here, the actual updates appear first on the "ugly"
full schedule at the link above. They will not appear on
Kimberly's schedule until it's regenerated.
