Org List:

This is the DLV 2009 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not

Checking signals all around:

I'm asking the assistance of all to do some various sanity
checks and update checks.

1. Please check the .pdf files at the temporary URLs below
to be sure they load in a normal user's browser and look
sane.

2. Please look over the schedule(s), the summary printed
below and Kimberly's full and summary "pretty-printed"
ones. Please look for anything out of place, wrong info,
anachronisms, inconsistent terminology, etc.

3. If you know of anything on the schedule which is at risk of
not happening or not happening as planned for any reason,
please speak up without hesitation. A good example is below!
Thanks, Holly, good catch! We need to look out for things
like this.

4. If you are an activity coordinator or other volunteer and
will not be able to make it, please let us know, sooner rather
than later.

5. If you know of anything un-done or hanging, please speak up
now so we have ample time to do something about it.

6. Black holes! This is crunch time and e-mail is not perfect.
If you ever send in something and don't get the response or
effect you expect, say so. Soon! :)

Thanks, gang! :)
. . . . .

Looking at the latest numbers ...

I'm only counting those who have reconfirmed by filling out
the activity sign-up screen in these semi-semi-final numbers.

We had a mini-flurry of registrations, activity sign-ups, and
yes, cancellations following yesterday's general mailing.

As of about 0900 Sunday we have 161 reconfirmed individuals
and of those, the machine thinks that 121 of them will show.

If we estimate that 85% of the sign-ups that are coming in
are in, adjust the number for the next week's anticipated
late registrations, we're still right on that 150-ish target.

The non-responses are now down to 33, and of those, most of
them will probably eventually be cancelled. I hate to have
this happen, but no-shows have been a major issue ever
since the first days of DLV, and this process seems to be
the most effective in weeding the no-shows out.

Sorry, but if they don't show any sign of life after being
prodded 4-5 times, all we can do is write them off as a lost
cause, and concentrate our attention and efforts on those
who will be showing up.

As has been the case in recent years, Las Vegas locals are
the most lax about following through. Locals have had the
highest no-show rate of any identifyable demographic group.

Laundry list:

* Pistol/rifle shooting?

Gina, Eileen, costs involved? Is there a set fee? Approximate? Guess?

Do you want a carpool assembly location announced?
. . .

* Quiet Evening / Pajama Party?

Sarona, I need your current phone number for the notes.
. . .

* Contact Phone?

Lisa? Can you please confirm if you will or will not be willing
to be a phone contact person this year?
. . .

* Other coordinator phone numbers?

I have the following:

Annie R.
Bob Miller
Britney
Holly
Jamie Renae
Nora

Restrictions as to who they are to be give to have been noted.
I would like to get the numbers for coordinators of the other
major activities, please.

Thanks, Holly. I've got you on both lists.

OOOooohhhhhh (scratching head) I sure didn't see it. I also
check the spam traps regularly for false positives and didn't
see it there either.

You did just what I've asked people to do. If your e-mail to
any of the DLV addresses goes off into a black hole, scream!

Anyway ...

Heads up Ginger!

I just checked on the web site and it gave what appear to be
the normal hours. Maybe a phone call is in order here, and/or
change of venue.

Hmmmm ... I guess I should phone them about Lunch Without
Ginger on Friday too.

>Desert: Cheesecake Zango's w/Dipping Sauces

Thanks, Holly. I included it in yesterday's general mailing.
. . .

>Final Evening- Would Bahama Breeze object if we stay there for
>a while to visit and socialize?

Probably no objection, as long as our people $till keep buying
round$ of drink$. :)

I'm not sure which room we're in this year. If we're in the big
room to the left, yes, it's conducive for socializing, and the
smaller front room to the left front is as well to an extent.

The room we had last year really is not.

>I'm not certain that a formal activity following this

>Many people will have made new friends or renewed old
>friendships during the week and may wish to go off and
>do there own thing.

The thing with this is that if we encourage people to do
their own thing with those they have met and are close to,
somebody gets left out. In particular, those who get left
out are those who do not have the close bonds with others
and those who are not very gregarious, and those who are
simply too shy to ask "May I join you?" as groups depart
for other venues.

>Maybe providing a list of things to do your last night

This actually might work well, simply having a section of
no-host options. Steer our people to places where others
will likely be.

I'm thinking of things like Paris for gaming, Krave for
dancing, Goodtimes for drinking/socializing, etc. One at
most of any type of activity.

I'm very uneasy listing any hardcore mainstream place on
a list like this without a hostess/volunteer who will
absolutely positively be there. Anything that's no-host
needs to be known to be welcoming and unquestionably
TG-friendly.

All, please send in suggestions for this for the next ORG
mailing.

>Observations:

>1) The database currently fails the French test. "S'il vous

I'll adjust this when I go through the next major edit. I often
omit apostrophes since they have to be escaped.

>2) Is the map symbol for the pistol / rifle range really the
>same as the boat tour?

Anything marked "BC" as a map symbol will be on the Boulder
City map, indicated by name, and not on the main activity
map. Some map items are still missing or incorrect.

>3) The number of events is already pushing the limits of
>the one-page format. Are any more anticipated?

Yes.

A few more activities, such as the no-host options on Saturday,
plus additional verbiage as needed.

The good news is that you can now expand the summary schedule
to the full 8.5x14 legal size, as the "inside" of the handout.

>>I am aware that a number of people who are driving did not

>I'm happy to drive, but I'd be driving on the earlier run to
>breakfast so that's only half helpful.

What would REALLY be helpful (>>HINT<<) would be for you (and
all of those who have a vehicle) to go back and update your
registrations to show yourself as a volunteer driver.

You don't have to give any rides which you don't want to. You
don't have to play taxi driver or even go out of your way,
but in many cases there will most likely be others who are
going where you are going when you are going.

It is appreciated by all. Thanks for considering it! :)

Hey!

This is the LAST of the TBAs on the schedule to be cleared!
We're solid as far as venues go now! :)

Gotcha. It will only go on the final itinerary to those who are
signed up, plus the contact people with instructions not to
give it out except to those going to the SO gathering.

>Forgot to mention, Claim Jumper has a unisex bathroom.

Uh, ... well ... For SOs, it's usually not an issue. :)

We've never announced this venue on any public schedule, so I
don't think there's a need to un-announce it. It is probably
best to watch it as far as announcing or suggesting any of the
mainstream clubs.

If you or anyone wants to volunteer to host(ess) dancing at any
other club on Friday, I think there's room for it as an option.

As I said before, I don't want to send our people to any kind
of hardcore mainstream club without a hostess committed to be
there. Simply due dilligence.

Professional photography:

We received a query from a local professional photographer who
is interested in any business we may want to send his way.

The thing that comes to mind immediately is something that
would replace the once-planned individual photo shoots that
were tentative.

We need comments on this, if we are to give this guy any
business. Let's hear some chatter from the infield! :)

Is this something that we want to go forward with?

One thing to keep in mind, these guy$ are not in bu$ine$$ for
their health. Somebody has to pay the piper, and in this case
it needs to be those taking advantage of the services.

Comments, Gang?

Here's the note I sent in response to his query:

+> I am an event photographer. I spoke with Nora
+> about doing photography for the upcoming Diva Las
+> Vegas events, and she suggest that I contact you
+> and gave me your e-mail address.

+Hi Paul,

+I'm copying both Nora and Ginger, our Secretary in on this to
+keep them in the loop.

+I'm going to bring this up to the DLV Organizers Group for
+comments and discussion. This is the group which will have
+the final say on any professional photography for DLV.

<digression>
+> While we were
+> talking, Nora mentioned that she had live in
+> Brooklyn. I also lived in Brooklyn (in the
+> Flatbush section), and Nora told me that you did,
+> too. As Nora said, "small world". :-)

+Yes, East 12/Westminster (depending on which signs you look
+at) :) right off of Dorchester. (On the Ditmas side of Dorchester.)
+Nice neighborhood, mostly single and 2 family detached. You
+probably know the block.

+We will have others from the Kensington/Flatbush/Parkville
+area at DLV as well. Nora says it's the water. I say it was
+something in the fries at Wetson's. (Not to show my real
+age.) :)
</digression>

+> I would like to talk to you about doing
+> photography at your events. In addition to doing
+> many events at some of the largest Hotels here in
+> Las Vegas, I have done photography for Amy at
+> Glamour Boutique. I do both large and small
+> events, and I work well with those I photograph.
+> I also understand the need for confidentiality
+> and being discrete in situations such as the Diva Las
+>Vegas events.

+If there is a need for professional photography, I envision
+it to be along the line of individual photos, paid for by
+those who use the services.

+I do not anticipate a need for (or the funding for) any
+overall event photography.

+I will bring this up to the ORG group in the next mailing
+and see if we want to move forward.

Done. Both are marked as full, with notes to check with you
and/or Diane if they want to go.

The .pdf version of your file will work the best, as almost all
browsers and peecees support that format. The last one you sent
is now on line here:

http://www.geekbabe.com/annie/btb.pdf

The terminology is now consistent with what is being used in
other cases. OBTW, Lake Mead is two words, four letters each. :)

All: Please pull this up, give it the once-over.

Thanks Edy.

I included a payment reminder in the last general mailing and
there will be another "Deadlines And Cutoffs" in the next one

Mardi has volunteered to do the measured items, so I think
golf is well covered.
