G'day m'ladies (and lords)! Tis Talk Like Shakespeare Day!

Forsooth --- methinks ...

Long mailing, early mailing, a few days before I had planned,
lots if things have come in. Time to flush the queue.

Thanks to all who have provided details, suggestions, additional
activities, volunteered to assist, etc.

We are now just over two weeks out.

This is very close to last call for any additional activities
to appear on our schedule.

This is also my "crunch time", please excuse me if I get a bit
testy, assertive, even bitchy, in a quest to keep things moving
and toward completion.

Our job over the next two weeks is to smooth out the remaining
rough spots, cross the I's, dot the T's, and stand by to take
care of any snags.

Since historically we've had snags at the last minute, I'm
asking all to please read any ORG mailings promptly and respond
ASAP if necessary. If you need time to prepare a response,
please send in a note saying that a detailed response is on
the way.

And, as before, if you see any snags developing, anything
that's not right, something that is not working out as you
think it should, etc., do not hesitate to let us know.

If any of you who are coordinating activities think that
for some reason you might not be able to make it, please
let us know that your situation is iffy, so we can get
an assistant lined up just in case.

If you don't want the fact that you're iffy to be made
public, say so, and I will not publish it, but in any
case please let us know in advance if there may be a
bomb coming.

Numbers game:

The number of outstanding activity sign-ups quickly dropped
from 66 to 42 as soon as the batch of nag-o-grams went out.
There was an error in the URL on these, so I did a resend
after reports started coming in. Since there was an error,
I'm adjusting that group up one cycle, in other words if they
don't respond, they will get two more of the nag-o-grams
before they are dropped.

The next batch of nag-o-grams will go out Saturday morning.

As of this morning we have a headcount of 151 reconfirmed.
The Magic Machine<tm> says 115 of them will show. If we
assume that 75% of the sign-ups that will ever come in are
in now, adding in a modest amount for new registrations over
the next 12 days, we're still right on that 150-ish target.

Heads up, looking ahead:

I want to "freeze" the schedule on Wednesday, May 6, hard-stop,
drop-dead, no exceptions. We need to give Kimberly Kael enough
time to prepare the final version(s) of the schedule and me some
time to reconcile the various documents.

Kimberly, please be aware that the amount of text in the
schedule items has increased significantly over the past
week or so and will probably increase until DLV-day.

Please, everyone, look over the schedule at the end of this
mailing. It should now be very close to its final state.
If anything looks out of place or is unworkable, we need to
know, now.

11:59am CDT on Wednesday, May 6 is cool for any schedule
additions and changes. 12:01pm is un-cool! Your cooperation

Contact phone numbers, coordinator numbers:

First item, DLV contact numbers to be given to the attendees:

I have Nora's number down for one of the DLV contact people,
as well as for the Emergency Big Sister Hotline.

We should have one or two other numbers listed, in the event
Nora cannot answer, is overloaded, or needs some sleep.

Mindy used to be one of our phone contact people, however
as we know, Mindy will not be with us this year. :(

We had Lisa listed last year, but a typo caused her to not
get any calls. Lisa, is it OK if we list you again this year?
(We'll need to verify the number.)

I would like to have one other volunteer for this. I don't
expect this to be high-maintenance. You can expect a few
calls of various types over the week.

Any requests for directions can be handed off to me if you
don't know them. Any Big Sister related stuff can be handed
off to Nora.

Yes, you can probably expect 1-2 calls asking for a ride at
very short notice, despite the fact we ask people not to do
this. Tell them to take a taxi. If you don't want to tell
them, hand them off to me and I will tell them to take a
taxi! :)

Second item, DLV activity coordinator phone numbers:

Many of the phone calls to the contact people are in regards
to some activity and the contact person often times does
not have the information that is requested.

I would like to prepare a list of activity coordinators
and phone numbers, to be given ONLY to the DLV contact
persons who will be answering the main contact phones.

This is voluntary.

In particular, I think it would be nice to have numbers
available for the following activities, as these are the
most likely to generate phone questions:

Diva Las Vegas Invitational Golf
SO Get-Together
Quiet evening at home/Pajama Party (Sarona plans to send this in)
Pub Crawl (How to meet up with the group, etc.)
Art Tour (Ditto)
Limousine Tour (My number will be well-published for this.)
Night Of The Soiled Doves
Boat Tour activities
Pistol/rifle shooting
High Tea

If you're an activity coordinator and don't mind letting the
DLV contact people have your phone number (it will not be
given to attendees unless you specifically give permission),
please reply to this message and I will add your number to
the list.

It will be regarded as confidential among the senior
volunteers and DLV contact people.

Ok, I'm going to put this on the schedule with a note that
"the camera snaps at 9:00pm SHARP" and that we will not be

Historically, that break between the Big Show and the Limo
Tour has been our rough spot for restrooms. I'm hoping that
breaking up the show and Limo alleviates that.

I guess I should add reminders to the notes on the schedule,
etc., etc., nag-nag.

I am putting a Post-NSD gathering on the schedule at the Escape
Lounge following NSD. No-host(ess).

Why the Escape Lounge?

Because it's there! :)

If you want another location, just volunteer to hostess this and
you can name where it is, keeping in mind that the Doves will be
dressed in about anything and it needs to be safe enough that a
300lb linebacker dressed in a fairy princess outfit would not
look out of place! :)

Unless we hear otherwise, I'll be putting an announcement in the
LFM that it's PT's for Sunday evening.

If anybody would rather have this at Alexis Park, say so, and we
will call for votes. We need one and only one that evening.

One other advantage to PT's is that it's within walking distance
from the Sahara and the Sahara Monorail station. This makes it
easy for those without a vehicle.

Boat Tour details and concerns:

Thanks, Britney. I do have a number of concerns about this.

The main one is that you may be short of drivers. Looking over
the sign-up lists I still show only ONE volunteer driver
between the two activities, meaning I show NO drivers for the
second Boat Tour only departure.

I am aware that a number of people who are driving did not
check the volunteer driver checkbox for one reason or another.

Just so you are aware of this.

Another concern is capacity. I'm going to need guidance from
you and Diane as to if and when to put up the "FULL" notice.

The Boat Tour sign-up just went over the limit of 25. Out of
this, the machine says that 17.8 will actually show.

The Boat Tour Breakfast sits at 22, out of which 15 are
expected to show.

It's your call. When, if at all, do you want the "FULL" notices
to go on the sign-up screens?

Now in the next point, excuse me if I seem a pedantic, but
there are a few concerns, mainly in that we need to focus
our efforts and documents, and be very explicit in using
correct and consistent naming, timing, details, etc.

This is a good choice for the assembly point, with some
caveats, as this is the location of the NSD assembly point
as well.

We need to be very sure we use correct nomenclature. The mall
has not been known as Belz for many years, even though locals
tend to still refer to it as Belz. It's the Las Vegas Outlet
Center now and has been for some time. There is absolutely
no "Belz" signage left over at all and anyone driving and
looking for "Belz" will pass it by. We should refer to it by
its correct name, emphasize the cross streets, and be
consistent between the Boat and NSD instructions on this.

One more caveat. I'm not too concerned about this, but I'm
just covering my @$$ and maybe yours.

We don't have permission to leave vehicles in that lot. Be
sure your attendees know that if they leave their vehicle,
it's at their own risk. I haven't heard any reports of any
predatory towing in that area, but if a manager or security
guy wanted to be a schmuck about it, they could tow the cars
away, legally, with a $175 ransom.

For publishing via the mailing lists, plain text is preferable.

For the web (I want to put this on the supplementary maps page
pending some edits) if it's mixed text and images, .pdf is
much better if you want a single-file document. I can easily
"webify" word documents, so in your case it's NBD. There are
a few things I would like to note.

1. Name of the mall, as noted.

2. We should use consistent verbiage among the various DLV
documents and across activities. I've adjusted all of the
schedule text to read "Southeast corner of Las Vegas
Boulevard and Warm Springs Road, to the east of the
McDonalds and Chevron Convenience Store."

3. I would put one and only one time with each phase of the
activity, as in announce 9:00am for assembly. Yes, you can
plan to depart at 9:15, but keep it to one time, that being
the same one that appears on the main schedule. Also, please
use one and only one time for breakfast start, and if the
main schedule does not have the time you want, let me know
and I will change it. Please be very consistent across all
documents.

If you're going to be passing out hardcopies, I suggest you
do this right at the assembly point, right before they depart.
That's when they will need maps and directions.

If you try to hand them out at the other activities, history
has shown that many (most?) end up being discarded as litter
in the venue, plus I would not expect to run into all who will
be doing the Boat Tour at other activities.

I will note this on the final schedule. This is a concern
I have for this set of activities.

And, I might ask that you please consider adjusting your
registration to indicate that you will be a volunteer
driver. It's a nice thing to do. You don't have to go out
of your way to take anybody anywhere, but letting the group
know you are there and willing to drive really helps out.

the Word doc for accuracy and consistency and I think
that's it. :)
