Org List:

This is the DLV 2009 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Activity sign up and such:

We do have a few critical missing items! Please see the Laundry
List below!

First of all, thanks to all for helping to shake down the
activity sign-up process.

Activity coordinators, please go back and check the screens
for your activities, as several corrections, edits, and
additional items were done over the past couple of days.

Please don't feel offended if you didn't receive one of the
test activity sign-up mailings. If the e-mail address on
your DLV registration did not match what's on file for the
ORG list (this mailing list), you didn't get one.

You can still sign up for activities at any time. If you
did not or do not use the advance option here, you will
get another sign-up mailing this weekend.

A few minor problems were reported, things like typos, prices
that were not displayed properly, etc. A few of our people
found out that you could not bookmark the summary screen
and return to it. Why? Because that display is generated on
the fly when the activity screen is completed. It does not
exist otherwise and disappears once it is generated.
. . . . .

Looking at the numbers ...

As of this morning, we have 166 validated registrations. 33
of them have been reconfirmed by our test of activity sign-up
and 131 are holding for the main sign-up mailing this Sunday.

The 33 reconfirmed also includes 11 SOs, for a reconfirmed
total of 44, or about 1/4 of our expected total turnout.

Three registrations are still outstanding. Hold it, make that
two. One of them was just cancelled a few minutes ago for
non-response. We've seen a LOT of that this year!

Since general registration opened, about 1/5 of the newbees
don't get the validation response correct on the first try
and about half of those will re-submit a correct response.
The rest just let the validation lapse.

We still have three weeks to go, and historically quite a
few registrations come in the last few weeks.

Laundry list:

We have some missing items for the activity sign-up process. If
these don't come in by mid-day Sunday at the latest, I'll have
to go with the defaults or the "best guess" I have.
. . . . .

* Opening evening!

Kimberly, we need the clarification on if the $17.95 is a
"cover" charge or an optional dinner charge? This is the
number-one item holding up activity sign-up!
. . .

* Limo prices?

JoAnn, can you please confirm limo prices. This is another
hold-up.
. . .

* NSD?

Aiko, Kumiko, can you please confirm the exact final price
for NSD? Thanks.
. . .

* Lake Mead Carpool Assembly location?

Britney? Any decision here?
. . .

* Movie feature?

Amber Michelle? Can you please confirm the feature for the Movie
Night on Tuesday? Still Star Trek?
. . .

* Pistol/rifle shooting?

Gina, costs involved? Is there a set fee? Approximate? Guess?
. . .

* Shooting assistant?

Gina is still in need of an assistant/co-coordinator for the
shooting activity on Friday.

Shooters?
. . .

* Shooting carpool?

Gina, Do you want to have a carpool staging location for the
pistol/rifle shooting? If so, where and when?

Activity sign-up reports:

This year we're doing a special twice-a-week mailing to the
activity coordinators of the current sign-up and headcount
report for their activities. These will come out Wednesday
and Saturday, beginning this coming Saturday.

If you don't want these, let me know and I'll take you off
the batch.

If you need more frequent updates, e-mail and we'll give
you the URL to the almost-real-time running summary.

Oh, don't be discouraged if the current headcount for your
activity is low. Only a fraction of our people, the DLV
volunteers, have been given a chance to respond. The
floodgates will open this Sunday.

Deejay at Blue Ox:

Marisa writes:

>Hi, I am very much against a D J at the Blue Ox again this
>year because it was loud, shouting in each others ear isn't
>a very good way of visiting and we don't need the extra
>expense.

Thanks, Marisa.

Kimberly, please take note.

This is the first complaint about this (too loud) that I
remember hearing. I don't remember it as being particularly
loud, but I did leave somewhat early in the evening.

Still, you have a good point. It's a social, not a dance,
and if there is music, it has to be at a level that allows
conversation.

>The cost will need to come down if a good turn out is
>expected for the beginning event.

Agreed. I'm hoping for an update from Kimberly on this soon.

Any other comments, gang?

SO gathering:

Bob writes:

>I would gladly host the SO gathering. Tuesday 2pm. venue
>to be announced.

Thanks, Bob.

Since you're the first one who responded with day and time,
this will go on the schedule. I know there are wheels turning
in the background on something like this, but I haven't heard
anything definite on it.

I also think that it's "way cool" that we have a male SO
hosting something like this. :)

Acoustic jam:

Bob writes:

>There will be no cost to have the Jam Session. We ask that
>people bring their own beverage.

Thanks and so noted. I will add this to the sign-up screen.

>I will act as a designated driver after the Jam Session, if
>needed.

Thanks, Bob. I'll note this as well.

Trevi:

Thanks, Michelle.

Comments, Gang?

>>Hi Michelle, how are you? Thank you so much for your email. How exciting!
>>Those are so big numbers!...what a great turnout!

>>I have met with my General Manager and we were discussing your event and how

>>appetizers, 3-4 entrees and 2 desserts that everyone could choose from. Only
>>being that it will be very difficult to execute everyone's food at the same

>>Please give some thought and let me know. I look forward in hearing from you.

This is your baby, Michelle, and everything is your decision.

Historically, having a limited menu decreases the satisfaction
rating of large dinner activities.

If I were doing this, I would ask them for the absolute largest
group they can handle off the regular menu and set the limit
at that point. However, I'm not you, and this is your call.

Those who don't like the limited menu can always ask for an
exception or take a non-DLV table or, as a worst case, go
elsewhere to eat.
