Org List:

This is the DLV 2009 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not

Closing in:

I'm sending this out a bit earlier than expected. We have a
few things we need to keep moving along here.
. . .

We really need (at least) one more dining option for Eating
Out Night on Tuesday! Any takers? TIA.
. . .

This week we will be shaking down the activity sign-up system.
See item below, your help will be appreciated.
. . .

Total validated headcount now sits at 201. This is still
inflated somewhat since some cancellations are not recorded
yet and I will be giving the dupes and cross-registered
couples some options instead of ramming my solution down
their throats.

Return projection currently sits at 108 and newcomer
projection is 41, for a total of 149.

This will be the last projection done prior to activity
sign-up. Once sign-up is underway we will be able to get
some more accurate projections.

I also think we need to factor in a number of cancellations
and even some out-and-out no-shows due to the economy. I am
getting the impression that a number of people registered
hoping for the best, but will simply not have the $$$ to
attend.

We also have seen an increase in newcomer registrations
over the last week or so. Perhaps some of them were waiting
to see how things went before they registered.

In any case, I'm still estimating our final turnout to be
in the 150-ish range or so.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Laundry list:

I'm starting to add the missing items which we will need for
the Large Final Mailing. The items needed for activity sign-up
will appear first.
. . . . .

* SO gathering?

Ginger? (Kay?) Michelle? (Susan?)

Any decision on timeslot for the SO gathering? We do not need
the venue yet, just the (tentative) timeslot for the sign-up
screen.

I've tentatively put this on Tuesday in order to get the
sign-up screen tested. Please let me know ASAP if this is
not the correct timeslot!
. . .

* Pistol/rifle shooting?

Gina, costs involved? Is there a set fee? Approximate? Guess?
. . .

* Pity Party?

Kimberly, Mindy? Any costs involved?
. . .

* Acoustic Jam Session?

Susan, any costs involved?
. . .

* Shooting assistant?

Gina is in need of an assistant/co-coordinator for the shooting
activity on Friday. See item below?

Shooters?
. . .

* SBS Social venue?

Can you please confirm that this will be Blue Ox?
. . .

* Dick's Last Resort?

Last call!
. . .

Gina, Do you want to have a carpool staging location
for the pistol/rifle shooting? If so, where and when?
. . .

* Saturday after Bahama Breeze?

This is our final evening. Do we scatter to the winds when BB
winds down?

Last call!

Activity sign-up test:

Sometime Wednesday, I will be sending out preliminary activity
sign-up mailings to those on the ORG list.

Please help shake down and check the operation of the activity
sign-up screen and report any issues.

Activity coordinators, please be sure that what appears on
the screen is correct and worded to your liking.

This test will not include the reminders, nastygrams, threats,
etc. for those who do not respond. :)

All, please proofread and check both the e-mail and the
screen for things like typos, grammatical errors, factual
errors, dead links, HTML errors, technical errors, ergonimic
issues, etc. One nagging problem seems to be anachronisms,
such as wrong year, wrong month, etc.

Please feel free to sign up "for real" (get the jump on any
waiting lists) with the caveat that if significant changes
are made, you may have to go and repeat the sign-up process.

Some details are missing. For example, the SO gathering
timeslot is not set, and the time that appears on the
screen is a place-holder in order to get the screen
built and tested.

Also there may be some activities that will be added
between now and this weekend.

Monday and Friday:

Thanks, Kimberly.

Here's what I think and I do have one very major concern!

First of all, we need a clarification by this weekend if this
$17.95 is a mandatory "cover charge" for the entire evening,
or if it applies only to those eating and doing the Slot
Tournament.

Speaking very freely, I think we're definitely at risk of some
fall-out from sticker shock, since this is a very significant
increase from last year, $17.95 vs. $10.95.

We need to have this information (mandatory cover charge or
optional meal/slot tournament charge?) on the sign-up screen
so our people can make an informed decision.

If that's gonna be charged to all who enter, even those who do
not wish to eat dinner, we are at a significant risk of many
simply skipping it, both due to the economy and due to personal
preference.

Comments on this item, gang?

We need to get this clarified by the time activity sign-up
starts, please.

In particular, I think there is a need for those who just want
to drink at the bar and socialize to do so without the $17.95
charge. We need to get this clarified ASAP, please.

>I told him to expect between 80 to 90 attendees. Is that a
>good estimate or do I need to let them know to expect more or
>less? We can get a more accurate count to him once the sign
>up is done.

I would say that if we get a satisfactory clarification, and
if the $17.95 charge is not an "admission" charge, yes, we
are looking at a ballpark figure of 80-90.

I would also say that if the $17.95 charge is mandatory for
all who attend, whether or not they wish to eat, we will see
a significantly lower turnout.

I'm not trying to discourage you, I just know from many
years of experience how groups such as ours will behave.

My guess is that a lower number will wish to do the slot
tournament than eat, so my gut feeling is that having the
meal and slot tournament bundled together will reduce the
meal count. I'm guessing that about 50% at most will wish
to do the slot tournament.

The deejay was a nice touch, but if it's gonna jack up the
price of the meal I think we need to revisit it, particularly
if they wish to include it in some kind of a "cover" charge.

I think we need to immediately clarify this, and if they have
in mind that this is a mandatory charge for all who enter
that evening, that we push back and try to "unbundle" the
various items.

Now, looking at the numbers, the Magic Machine currently says
that 96 will be showing up in one form or another on Monday.
If we extrapolate this out, we get about 110 as of May 11. If
we capture 80% of these for the evening, that comes out right
between 80 and 90 bodies through a no-cover-charge door.

History shows us that about 70% of the people at things like
this will choose to eat, so that makes an estimate of about 60
or so who will wish to eat. IIRC, that's about how many we had
eating last year at $10.95 per person. As the price goes up,
the demand goes down, so at the $17.95 price point for dinner,
I'm gonna guess 40-50 max.

If the dinner can be "unbundled" from everything else and
priced in the $11-12-ish range, I think we'll see about the
same count for dinner as we did last year.

I think it worked very well last year. Those who wanted to
eat got a hand stamp which was a ticket to the steam line.
Those who didn't wish to eat could just hang out a the bar
and drink at bar prices with no cover.

Of course, no matter how things go, we'll have much more
accurate numbers a couple weeks into activity sign-up. I
would say that as of May 1, we should have a good handle
on how many will be participating.

Dancing on Friday:

Diane writes:

>Morning,

Hewwo. :)

>Has the 11:00 Friday night Dancing at the Luxor been scrubbed?

For now, yes, due to the lack of a volunteer.

>I saw it as late as last month's schedule?

You saw it correctly.

If you (>HINT<) would like to "adopt" this orphan, it can go
back on the calendar. If you wish to do this and want any kind
of an approximate headcount, please let us know so we can get
it included on the activity sign-up screen.

Since you're showing interest, we would really appreciate it
if you can handle this one. :)

This would be a low-maintenance job. All you really have to
do is pick a place (like LAX at Luxor) and agree to be there.

Actually, I do think we need at least one more mainstream
option (such as this) for Friday evening. Many of the Friday
evening activities ended up at Glamour Boutique, a very "safe"
venue, and I can hear the chanting of "Mainstream Mainstream
Mainstream" beginning to come from the Teeming Millions. :)

Murder Mystery update:

Holly writes (first-person, no quoting):

Here's the plot- It's the night before the final competition
and several of the contestants, coaches, and judges have
been invited to a pre-pageant party for one of the nations
most glamorous beauty pageants. Everyone is looking to
gain whatever edge they can. And for one contestant, that
means MURDER. Who will be the one guilty of KILLING FOR
THE CROWN?

The cast of this mystery is predominately female, however
there are a FEW male parts should that be needed/desired.

It might be kind of fun is some of our MtF SO's want to try
their hands at the male parts (they are mostly the pageant
judges :o)... just a thought. One guest will be the murder
and one guest will be the victim. So ladies (and gents?),
get your most glamorous outfits together and get your game
face on!

Sign ups can he handled through the normal process as far as
I am concerned, as long as I can be appraised as to who has
signed up.

The cost of the activity is going to be $35. This includes a
four course catered dinner (appetizer, salad, entre, dessert),
non-alcoholic beverages, a souvenir group photo, snacks during
the evening, all the materials necessary to participate in the
mystery, and a souvenir gift bag containing several goodies.

A professional photographer will be available all evening to
take addition pictures and a very reasonable cost. Amy. the
owner of Just You/Glamour Boutique, has donated a makeover to
the winner of the mystery.

If more than one person correctly solves the mystery, all
correct solutions will be combined and one drawn at random,
to determine the winner.

I have to have a hard count for the caterer by Tuesday, 5/12.
I can only count PAID participants (sorry). Payment prior to
DLV can be made by money order made out to J. Nesmith and
sent to:

Holly
24963 Nogal Street
Moreno Valley, CA 92553

Upon receipt of payment, I will email the participant their part
in the mystery along with the background biographical material
of their character and my cell phone number should they have
any questions. If payment is going to be made Monday or
Tuesday at DLV, I will only be able to accept cash (sorry).

As there are substantial up-front costs in putting on an event
of this type, pre-payment PRIOR to Diva Las Vegas would be
deeply appreciated. As participation is limited to a maximum
of 20 persons, only the first 20 PAID reservations will be
honored. IMPORTANT- Bu sure to include your email address
with your payment so that I can promptly send you your
materials.
. . . . .

Thanks, Holly.

Please check the activity sign-up screen to be sure it's
worded the way you want it.

Let's hold off on any decision on the Pre-DLV thing for now,
as we have much bigger fish to fry at the moment.

It would be great if you could do some kind of a dinner
thing on Tuesday (or Friday), even if it's no sign-up.
I can really envision Milano's and Joe's being overloaded
that evening.
