Moving along:

Sorry this is late and long. I've had to rewrite and edit a
number of things here due to the many goings-on, plus we had
some systems issues over the past couple of days.

This is kind of a good-news-bad-news mailing, with the good
and bad kind of shuffled together. Please read carefully,
and please consider helping out!

>From this day forward until DLV, we'll be switching to an
as-needed schedule for the planning updates. There are many
things happening in a shorter timeframe now, plus {blush} I
need to act on things sooner, rather than waiting for a
weekly mailing. :)

There has been quite a bit of progress made lately. Thanks to
all who have recently stepped forward or firmed up plans.

We did lose a few activities (see below) so we have a few weak
spots we need to look at, as in now. Time is creeping up on us!

I would like to ask all of you who volunteered to help but
are not coordinating things so far (you know who you are, and
so do I) :) to please consider adopting one of these needed
activities.

Our primary job now needs to be dealing with the weak spots in
the schedule.

Over the next couple of weeks we need to concentrate on getting
activity sign-up ready to roll out to the masses. This means
dotting i's and crossing t's and finalizing details of some
activities.

Let's talk about Tuesday and Friday:

Due to the fact that we've lost activities on both of these
evenings (see items below), these two multi-track evenings
are in danger of being less than satisfactory.

Let's discuss Tuesday first, looking at what's on the plate
and what we need. We have a two-forked branch, with one fork
having multiple (planned) branches within it. First main track
is Nora's Magic's A Drag show followed by a stand-alone dinner.

Second main track is our traditional smaller-group Eating
Out Night followed by various activity options. The most
significant branch of this second fork is Sarona's dinner
and Pajama Party.

My guess is that Nora's track (magic and dinner) will draw
25-30, and Sarona's quiet evening will draw 15 or so, which
covers less than half of our expected in-town contingent
that evening.

     7:00pm: Eating Out Night (various)
     7:00pm: Milanos option (Milanos) - ms
     7:00pm: Joes Stone Crab option (Joes - Caesars) - ms
     7:00pm: Quiet evening at home option (See notes) - sv

This leaves roughly 75 or so individuals to be distributed
between Milano's and Joe's. Ain't gonna fit, even with a fallout
rate of 30% or so!

If we don't fill in the void, I can see Milano's and Joe's (and
potentially the Pajama Party) being over capacity.

This is probably our most critical need at this time.

Volunteers?

It would be nice if somebody (yes, you >>HINT<<) would take
over the already-planned Dick's Last Resort option, but as
the coordinator, it's your say as to where.

We would like to see this filled prior to activity sign-up. If
we can do this in time, we'll have an approximate headcount, if
not, it's no-sign-up-just-show-up and that means it could either
be a poor turnout or else a mob with no notice.

Now for the later part of the evening ...

     9:00pm: Activity options (various)
     9:00pm: Pajama Party (See notes) - sv
     9:00pm: Bar Crawl
     9:30pm: Theater Night (Palazzo) - ms

My guess is that Theater Night will draw about 15 and the Bar
Crawl will capture maybe 20.

Unless we have some other options in here, that will mean
"free time" for 60 or so bodies, and I hope we can get some
things in here which will capture them and result in greater
overall participation, and greater overall satisfaction with
DLV!

We could use at least one more, hopefully two more after-dinner
activities on Tuesday. Clubbing? Dancing? Touristy stuff maybe,
like the Paris tower?

If someone (>>HINT<<) would take over the Night At The Movies
option, this would help.

Ideas? Volunteers?

Let's talk about Friday. I'm not as concerned as much about
Friday as I am about Tuesday, but it's still a potential weak
spot with a few things still very iffy, and with the dinner
situation more critical than after-dinner.

Those who have ideas for things that will use Glamour Boutique
need to coordinate efforts, hopefully directly with Amy, and
make arrangements to either combine efforts or work out a
non-conflicting schedule. See items below.

Nora would still like some relief on her dining selection (the
"affordable option" at Komol). We can't afford to drop this, and
Nora is willing to hostess it, but it would be a Good Thing<tm>
if one of you (>>HINT<<) who isn't doing an activity would agree
to take over on this one.

Friday, May 15:
     7:00pm: Dining options (various)
     7:00pm: Upscale option (Roy's) - ms
     7:00pm: Murder Mystery interactive option (Glamour Boutique) - sv
     7:00pm: Affordable option (Komol) - ms
     7:00pm: Do your own thing option (You tell me)

Nora has tentatively chosen Komol, but if you choose to take
this, it will be your final say as to where.

Even with Komol in there, I think we're on the edge and could
easily do with one more dining option for Friday.

My guess is that the Murder Mystery and Roy's will each draw
about 25 or so. Again, less than half of our in-town people
that evening. The rest are not gonna fit at Komal, even with
a good percentage opting to do their own thing.

Now, for later Friday evening ...

See separate items below on the Pity Party and Jam Session.

As you can see below, we lost the dancing option again.

Dancing has been an often-requested item, and I can envision
a place for it later Friday evening regardless of the status
of the Pity Party and Jam Session.

Any takers? This can be an easy one. Just pick a place,
mainstream or alternative, and agree to be there and welcome
the others.

We've had a socializing option (just go to a bar and drink
and chit-chat) penciled in there, but I'm putting that one
in mothballs assuming the Pity Party and/or Jam Session
happens on Friday. If the PP/JS do not happen on Friday, we
can put the socializing option back on the table.

Laundry list:

Short this week, and I do again thank all for helping to keep
it this way. :)

The important thing is that any additional activities which
require any kind of sign-up or headcount (see sign-up notes
below) need to be solid as far as when and how much by
activity sign-up time. April 14, evening, is the absolute
hard-stop drop-dead date and time for this.

It's very easy to add or change things prior to rolling out the
sign-up, but when the sign-ups start coming in, it's very near
impossible to add additional items.

Experience has shown that late activities which require some
kind of manual out-of-procedure sign-up will have a poor
response rate.

This list is somewhat longer now as I'm including items where
necessary details are missing or unclear.

Gina, Vanessa? Do you want to have a carpool staging location

I'm putting three entries on the schedule for this, one for the
Boat Tour Carpool Rendezvous, one for the Boat Tour Breakfast,
and one for the Boat Tour itself. Please check the schedule
below and let me know if you want any of the times adjusted.

As far as the breakfast situation, in my very not so humble
opinion, groups such as ours should always split up and use
available tables when dining in groups.

First of all, it breaks up the group and makes the group less
obvious. This helps with the comfort level for many.

Second, again IMAO, the big honking table-for-20 is just plain
unnecessary! When you're seated at one of those, you're
limited to 5 others at most with whom you can easily converse,
so you might as well be at a smaller table.

Besides, the wait staff appreciates not having to dork around
with moving, arranging, and re-setting the tables.

As far as a map, we want to roll this, as well as any others,
into the main DLV activity map set.

I've looked up the address for the Coffee Cup and added it to
the Boulder City area map. Of course the Lake Mead Boat Docks
are already on it.

We will add the carpool staging area location to the main
Las Vegas area map as soon as you select it.

I'm also going to put summary directions onto the big
detailed final schedule, as there was some confusion about
directions to the Lake Mead Boat Docks last year.

Hmmmm ... I wasn't aware that Artisan was non-casual. The only
downside I can think of is that it's a nightmare for some to
find, and their mandatory valet parking may spook some of
those who are new to public exposure.

We did it last year at Alexis Park, but there have been some
TG-friendliness issues raised.

We really hate to see anyone miss out on all or part of DLV, but

is that this happened 5 weeks out instead of 2 weeks out, so it
only puts us in a minor bind, as opposed to a major bind.

Ladies (gentlemen?) as I've said many times in this mailing, we
do need some volunteers to step forward and take up the slack here!

I hope she doesn't expect a large crowd at 5:00pm for the
raffle drawing. My guess is that most of the DLV gang will
be getting ready for the evening by that time.

As for material to post, you will get much better exposure if
this stuff is included in the "Discounts and Promotions"
section of the Large Final Mailing rather than posted on the
web site. An entry in the DLV Discussion Forum will not hurt,
but the LFM will be most effective in hitting the target
audience.
