Resuming:

Let's now continue with our strategic planning. As we move
forward I would like to focus on such concepts as maximum
inclusion of our attendees, keeping things fresh, with new
activities and new times and twists to old ones, and with
the shaky economy, trying to keep costs reasonable, as in
maximum enjoyment without breaking the bank.

It's obvious that the state of the economy will have an
affect on this coming year's DLV. I'm expecting a lower
turnout in 2009 than in 2008 not only because of the
economy, but because the headcount in 2008 was a spike,
where the variance was such that we had such a large
crowd for that particular event. A "normal" number for
last year should have been 150-ish.

It's much too early to predict turnout, but I think
the 5-year moving average (134) is a realistic number
to shoot for.

Hotels and such:

In order to clear up the ambiguity between what's just simple
discussion about a hotel and what's an intent to name it as one
of our suggested hotels, please use words to the effect of
"I nominate (hotel)" if you wish to have your selection in the
running.

To insure at least minimal support for any hotel which is
nominated, we will want to have a second on each hotel that
is nominated. A duplicate nomination of any particular hotel
will be consdered to be a second.

I think it's very important this year to suggest at least two
hotel options that are affordable, but yet high enough in
quality to satisfy all but the most picky DLVers.

Along those lines, I would like to place the Imperial Palace
in nomination as a suggested hotel for DLV 2009. It is not
fancy by any means, but clean and comfortable, and offers
a good amount of bang for the buck.

Do I hear a second?

The Paris has been mentioned in this forum before. Now is the
time. Do we have a nomination? Do we have a second?

Golf and timing:

Mindy writes:

>If we keep the limo tour on wed we should do golf on thurs.
>Golf never works on the day of a dressy event.

This is really up to you, on the day you have it and what it
follows or precedes. Some will say they don't want a big
daytime thing (such as golf) on the same day as a big evening
thing, and others will say they don't want a big daytime thing
on the day following a big evening thing.

Nothing is in stone now.

What I would suggest is to pick a day now, and if things do
not look like they will work when we get closer, change the
day if the schedule at the time permits.

Voting eligibility:

Kimberly Komplin writes:

>I have assisted both Nora and Mindy in events for the past 2
>years but was omitted from the voting eligibility.

I made the current electorate list from those who were listed
on the schedule as either primary or co/assistant coordinators
over the past two DLV events. I just double-checked, and you
do not appear on the lists.

However ...

I went back and re-read the exact text of the motion which was
voted on two years ago and it does include this wording:

"... individuals who coordinate activities, whether major or
minor, and whether a primary, assistant, or fill-in."

To me, the intent of this wording clearly includes people such
as you.

While I don't think it's right to have you retroactively
vote on any issue for which the outcome is already known, I
have added you to the list of the electorate and you will
receive ballots in the future.

Do we have any others who have indeed taken an active role in
coordinating or assisting with activities who do not appear
on the list of those eligible to vote? If so, please let us
know ASAP.

In the future, to prevent things like this, please be sure
that if you are assisting somebody with an activity, we have
you listed on the detailed final schedule as a co-coordinator
or assistant. If you happen to volunteer on the spot as a
fill-in or somehow are conscripted, please be sure to let us
know right after the event so we can be sure you get the
credit where it is due.

Gold Coast:

Norma writes:

>Has the Gold Coast been considered?

>I may have a personal reason for wanting to stay there this time.

We've had people stay at the Gold Coast over the years, but
never have we had it as a suggested hotel. No real reason why,
just that nobody has nominated it yet.

I certainly haven't heard anything negative about it lately.

If you (or anybody) would like to nominate it as a suggested
hotel, just reply to this with "I nominate" or words to that
effect.

Brochures and commitments:

Mary Beth writes:

>I will be attending Fantasia Fair in Provincetown MA the week
>of October 19th. If you'd like to send me the pdf, I'll print
>some up and bring them with me.

I've placed the PDFs for the fold-up brochure and the one-page
flyer on line.

The brochure files are:

http://www.geekbabe.com/dlv/dlvbro1.pdf
http://www.geekbabe.com/dlv/dlvbro2.pdf

The flyer page is:

http://www.geekbabe.com/dlv/dlvfly2a1.pdf

You (or anybody) can feel free to download these and distribute
them. I think it's a Good Thing<tm> to have representatives of
DLV at the other TG events and in local groups and such, and
let them give out something other than a URL to prospective
attendees.

The flyer is sized to print completely within the printable
area of most home printers. That will be best for those who
are printing on a consumer-grade printer.

The brochure is more graphics-heavy and does bleed over the
boundaries of what most home printers will print. The only real
way to find out if it will work on yours is to try it. The
brochure will use a lot of ink if you try duplicating it on an
inkjet.

Shops such as Kinkos will take a .pdf file on line and print
and fold for you, and that may be an option for those who do
not have access to a production-grade printer.

The flyers will obviously look better in color, but they should
be quite presentable if done in B&W only.

>Now the bad news. The meltdown of the economy has me extremely
>concerned about finances. I am going to hold off on committing
>to attend DLV09 until at least February 1st, maybe longer.
>From everything I read about the banking and insurance failures,
>I have a very bad feeling about 2009.

The economy is indeed a mess. I don't know any way to describe it
without dropping f-bombs!

We know that, to one degree or another, the state of the economy
will impact DLV 2009, both in terms of participant turnout and
in volunteer workforce. It's not a question of if, it's a
question of how much, and as you imply, we won't know for months
to come. :(

>I'll continue to contribute to the discussions where I can,
>but will abstain from voting on any motions until I have a
>better feeling as to whether I will be able to attend.

You shouldn't abstain on anything unless you really don't
have an opinion. If you've qualified to vote, there's no
reason not to.

We do hope you will be able to attend, but if not, your
opinion still counts.

I do hope things turn around enough WRT to the economy to
allow you and others who may be affected to attend.
