Dates:
We're resuming the date discussion.
Bottom line, if you don't want to thoroughly read all of this,
are there any other timeframes to be nominated or discussed
other than:
1. Sunday, April 26 thru Friday, May 1.
2. Monday, April 27 thru Saturday, May 2.
3. Monday, May 11 thru Saturday, May 16.
This may be considered a "going once" on additional timeframe
nominations for the next round of votes.
We are still on target, time-wise, to announce our selection
toward the end of July. However, we don't want things to drag
on and on unnecessarily. To help move things along, I would
ask all of you to please be prompt and explicit over the next
several list cycles.
By prompt, until the date issue is resolved, please read
anything from "dlvorg" as soon as you can, and if you have
anything to contribute, please do so without delay. Please
plan on a list cycle of 48 hours at the most busy times.
By explicit, if you're making a motion, please say "I move"
or words to that effect, and if you're nominating a timeframe,
please say "I nominate" or similar words which make it
unnecessary to write back for a clarification.
I would encourage you new volunteers and those whose voting
status may have lapsed to participate. It's your event too.
You can do everything except cast a vote. You can participate
in the various discussions, make and second motions, nominate
timeframes, etc.
There are no ideal timeframes in 2009. Easter is late and
Memorial Day is early, squeezing us from both ends. Other
conflicts limit our options, even if we try to squeeze in
DLV into a tight slot between those conflicts.
I would also encourage all who are eligible to vote to please
do so. Our last ballot round included under 2/3 of those who are
eligible to vote, and our history has shown that when several
Calls For Votes occur in a short period, the number of votes cast
diminishes. If you don't vote, it's a significant chance that the
decision will be made by a small group by a small margin. Please
vote, even if only an ABSTAIN.
In response to an off-line exchange, we have no prohibitions
against "write-in" votes. Just be sure that you be very explicit
as to the start and end dates of the timeframe you write in.
And now, on with the discussion ...

Yes, see below.
. . .
As to my own thoughts on the matter, I do believe that we owe some
consideration to those who have been with DLV a long time and have
worked to make DLV what it is, particularly those who have some
challenging travel arrangements or work issues. It's a particular
double-whammy against us if we prevent an active volunteer from
participating!
We also must consider the needs of the attendees and the event
itself, in that we need to schedule around the family commitment
days, and days when we know room rates will be high. This includes
honoring our standing rule against the Mothers Day weekend.
. . . . .
Let's review the possible timeframes for DLV 2009. Let's also go
over some previously undiscussed potential timeframes, in which we
may be able to shoehorn a 6-day event, which do not begin or end
on a weekend.
First, a listing of the potential conflicts and dates to avoid.
Family and personal commitments:
Palm Sunday is April 5
Passover is April 9-15
Easter is April 12
Mothers Day is May 10
Memorial Day is May 25
Major conventions:
International Carwash Association, April 2-4, 10000
NAB, April 18-23, 115000
International Hardware Show, May 5-7, 50000
Interop 2009 Vegas, May 17 - 22
Recon/ICSC, May 18-20, 50000
The first full week of April is therefore bad due to countless
family conflicts due to Palm Sunday, Easter, and Holy Week.
The second full week of April begins on Easter, spans most of
Passover, and ends on the weekend which NAB begins. It's probably
not the best choice either. If this is seriously considered, be
prepared for a lot of griping due to family commitments on
Easter and a spike in room rates the following weekend due to
NAB.
We want to avoid the third full week of April since it's the
NAB Convention (now the largest in LV) and that means crowds
and astronomical room rates. We accidentally scheduled DLV
against NAB one year and had to change it in November when the
in-advance room rates were published. :( Sahara rates, for
example, were more than double than they were on adjacent
weeks.
We are enjoined from Mothers Day (May 10) and the two days prior
(May 8-9) by standing rules.
These first three timeframes have been nominated and discussed:
1. Sunday, April 26 thru Friday, May 1.
2. Monday, April 27 thru Saturday, May 2.
3. Monday, May 11 thru Saturday, May 16.
Thinking outside the weekend-to-weekend model, we can also include
these as possibilities. These have not been nominated. If you want
to see these considered, please reply and state "I nominate" for
the timeframe(s) you wish to see included on the next round of
voting.
4. Wednesday, April 23 thru Tuesday, April 28. (Begins immediately
after NAB.)
5. Friday, May 1 thru Thursday, May 6. (Ends immediately prior to
our three-day Mothers Day prohibition.)
6. Sunday, May 17 thru Friday, May 22. (Coincides with Interop and
ends just prior to Memorial Day weekend.)
Are there any other timeframes to be considered?
Any further discussion on timeframes? Now is the time! :)
