Starting to wrap up:

Now that things have settled down somewhat, I would like to open the
floor here in ORG for discussion and recap regarding DLV 2005 from an
organizational perspective.

Specifically, things like ...

* What activities worked, what did not work, which should be repeated,
and which should be ash-canned.

* Which vendors were worthy of our business, which were not, and, of
course, ideas for places to go where we have not gone yet.

* Thoughts about the size of DLV, the length of DLV, the position on
the calendar, etc.

* Our volunteer force. Do we have enough volunteers to continue with
an event of the predicted size and length?

* Our suggested hotels. Did our people like them? Were there any
major issues?

* Secondary programs such as Big Sisters, roommate matching, ride
sharing. Did these work the way we intended?

* Our model. Recreational and participatory activities only. Unpaid
registration. Each activity autonomous.

* Any other organizational items you want to bring up.

My summary:

Here's my rundown of what I think worked and did not work from an
organizational perspective.

Please feel free to comment on my comments or add to them, particularly
for the activities I did not attend.

Saturday:

Pre-pre DLV get-together. Informal, and definitely worked. Good turnout.
I think this is a good thing to consider repeating, but again, off the
schedule, ad-hoc, and informal.

Sunday:

Church services. Worked. I wasn't there, but heard it came off well.

HH and Dinner at HM. Worked with reservations. Good crowd, but
complaints about the food and the speed of service.

I attended HH but did not eat there. One of my distinguished colleagues
professed that she did not like the food there, so we went to eat over
at Jerry's Nugget. (I am NOT, repeat NOT, suggesting this venue for a
large group dinner for DLV.) A few others indicated that they weren't
too keen on HM's food so they went along.

Is HM's something that we want to keep doing for dinner?

Were the complaints brought to the attention of staff or management?

Welcome Celebration. Worked, but smaller turnout than I had anticipated.
Yes, there are some who will not go there. One complaint about the lack
of atmosphere. ?????? I don't believe this is related to the overall
Z's issue.

Monday:

Valley Of Fire. Great turnout. Definitely worked, even though this was a
replacement activity. I sensed that some of the gang were getting burned
out toward the end. The weather was not hot, which made it much more
enjoyable.

Bowling. I understand it went quite well. From the photos, it looked
like they were having fun. This is a good example of something that
did not work the first time, but did work when it was tried again.

Bahama Breeze. Definitely worked. Not really my type of food, but what I
had was good. :) (I can't really remember what it was called, though.)
There were complaints about the speed of service, but I thought the
service was just fine. Again, super turnout.

I think this is one that's worth using again.

M-A night. I can only comment on the one option, and I have to admit it
did not work well. I was working off of an outdated version of Eric's
schedule, and he had moved. Although the bartender at Flex said he would
tell those who came that we had moved and where, some apparently did not
get the word. (Did they ask, or did they just peek in, see that we were
not there, and split?)

The one table of regulars did give Eric a lesson in the use of pronouns.

How were the crowds at Paddys and FSE?

I don't know first hand how the Little Girl Tea Party and Slumber Party
went, but I did hear that they both "worked" from one person's opinion.

Slumber Party is another activity that did not work the first time, but
did when it was tried again.

Tuesday:

Boat cruise. :( Missed connection. Although the first wave who went
sunbathing prior to the cruise made it, apparently nobody who showed
up at the rendezvous point knew the way to the dock. :(

There was supposed to be a thrift shop tour. Apparently never happened.
Another missed connection. Did not work. I was not present, but I was
told that there were people present at the rendezvous point.
. . .

NSD. Worked, IMAO. Those who were expecting a rewind and replay of last
year's NSD seemed to be disappointed. Those who were new seemed to be
happy.

I heard a few complaints about the food.

Big issue seemed to be that the CR ladies were less visible and not
circulating as much as they did in 2004. First, our group was twice the
size as 2004. We could not have fit in the bar if we tried. Second was
the fact that there were quite a few johns on site, and the ladies were
being called in for lineups frequently. We really can't predict how
many real customers will be on site at any time.

What I thought was going to be a major issue turned out ok. There was
apparently a barback who was going to run drinks for us, but was not on
site for one reason or another. We did get a number of volunteers from
our group to perform this function.

Minor issue in rendezvous point. Some thought it was the much smaller
parking area by the tour bus loading zone instead of the large lot.

Only major improvement I would suggest would be to have a definite
after-NSD gathering. We did get a fair turnout at Goodtimes, but
apparently some did not get the word.

There was also an issue of at least one driver voluntarily remaining
at CR, thus leaving some without a ride back. Fortunately there were
more available seats than butts, so this did work out.

Wednesday:

Air Tours. Didn't happen. Mechanical problems. :(

Dance Instruction. I heard it worked. I was not there. Comments?
. . .

Eating Out Night. Worked, but people tended to gravitate to what was
perceived as the safest option.

Yes, people (newbees mostly) were asking me which one was safest and I
answered honestly. The turnout at Milanos was over 50% higher than the
projection and overwhelmed the place. The others apparently had turnouts
at or under the projected numbers.

I think that EON is one worth repeating. It gives people a choice plus
breaks up the group. We also place smaller loads on most of the venues
so we don't have to deal with overloaded service or limited menus in
most cases.

Using this model, we are of course limited to places that can
accommodate varying size groups. I don't think that EON would work well
with hard reservations.

I would like to see a re-run of EON with the planned postprandial
communial gathering after, which just was not in the cards this year.

SOM. Most definitely worked. Too bad their status is unknown. Yes, the
room was a bit cozy, and there were complaints about it. I did hear of
one security person approaching one of our people and insisting that
the group use the unisex loo, but I am unaware of the details.

Thursday:

Golf. Not there, but I heard it worked despite the weather.

Art tour. Not there, but again I heard it worked.

Glamour Boutique. I dropped in to make a showing, just hung around
and shot the bull for a while. Yes, our people were dropping in and
out and yes, a few were unrecognizable. :)

I was kind of an unannounced replacement Ginger for LW(o)G Thursday. No
big deal. The one thing I did differently was to ask people to sit at
the adjacent tables without moving them into one huge table and I heard
no complaints. IMAO, the one long table is not really necessary, but
again, I'm not Ginger most of the time. :)

This daily activity is most definitely catching on. Every day I was
there, with the exception of Friday, we had at least 15-20 people.

IMAO, the Sahara buffet is definitely not the best buffet in Las Vegas,
but it's close and convenient for many of our people and has become
established and comfortable.

Folies. Worked. Good show and good seats. I liked the fact that those
who wanted to prepay for good seats could do so, and those who came in
late could still get in on it.

I also think it was a very good idea to NOT have the group sitting all
together.

There was one dress issue, noted below and in the Discussion Forum.

Limo Tour. This one continues to be one of my very favorite DLV
activities. This year it seemed to take off more promptly and with less
confusion. Only problem is that our limo got stuck in the Wynn traffic,
took a detour, and missed the 4 Queens stop. :(

There's no question that this worked, and worked very well. With 7
limos it still seemed to come off smoothly.

Our driver, Mary, was without question the best I've seen in all the
years of doing this. She was a fun part of the group. She kept the
liquid refreshments iced down in the front, and passed them back when
they were needed.

The surprise came at the end, when she was going to drive some of us
back ot the Sahara. She was able to get us into the new Wynn on the
first open evening!

Needless to say she got quite a bit extra. :)

Again, a very nice well-planned and organized activity.

Friday:

Charles Bar. This was relaxing and very enjoyable, even though there was
one restroom incident. We did go to the coffee shop after getting very
plesantly lubricated. ("We're going in 45 minutes!" "Dammit, I'm hungry
NOW!") :) Worked.

Shopping? Did it happen? Haven't heard any reports.
. . .

Secret Garden/Dolphin. I guess this did not happen.
. . .

As for Lunch, I was Ginger For A Day<tm> again. We had a smaller crowd,
and that's ok. I guess Bellagio had a larger crowd.

I do think that Lunch With (out) Ginger is one of our multi-year
success stories.

Nobody seemed to be interested in doing the Walk Off Your Lunch, so
I did that myself. I walked to the casino and played a bit. :)

High Tea. Happened. I wasn't there. I heard it came off very well.

Happy Hour and Michael Cagle dinner show at Steven Davids.

This venue (Steven David's) has to be the #1 find of DLV 2005! Even
though it does not look like much from the outside, it's very nice on
the inside. Very good food and a very nice venue for performances with a
good sound system, impressive grand piano, and a good size stage.

We had a great crowd, and quite a few stuck around after the MC Show
for the entertainment do jour, which was informal jazz performances.

I thought Michael's show went very well, but some said it lacked the
punch that it had in 2002 and 2003. There were a few sound issues. Jason
was a bit unfamiliar with the equipment at SD's.

I was impressed with the food and the general attitude of Steven Davids.
Some claimed that the service was slow, but this was just about a
capacity crowd for them.

Ginger volunteered to host an Eating Out Night at Steven Davids for next
year, but I would like to see SD's used for a larger group meal, as
opposed to one of several options.

We never really had an Annual Mixer per se. Most of those who stuck
around after the Cagle Show were either eating or watching the
continuing entertainment.

Lou Martinez. Again, a smaller crowd than I had anticipated. They do
have a good group there, and I really enjoyed the one Santana cover.
I left before Karin Denise came on, but some said that she was good
and some said they would rather have Lou and the band just continue
on their own.

Dance Night. I wasn't there, but heard it worked. I guess there was
a minor misunderstanding among some of our people as to the club
etiquette and the use of the booths.

Saturday:

We really didn't have anything in the daytime. Very big hole here. One
reason is the necessary cancellation of the Garden party. We never came
up with a replacement. Is our timeframe starting to exceed the capacity
(or the enthusiasm) of the volunteer force?

IMAO, this was another item that caused the ending to be weaker than it
should have been. We didn't have a severe fizzle-out as we had in 2004,
but Saturday was not the high point that the other days were.

Happy Hour, SBS Social, Dinner at Carluccio's. I admit I was a bit
concerned about a possible low turnout here, since this was rescheduled
somewhat late in the cycle and since we didn't really have any "glue"
activities in the day, but the turnout was decent.

I keep hearing rumblings that some people don't like the food there, but
I can't remember anybody coming forward and actually saying "my dinner
sucked" or anything like that. I've never had a bad meal there, and I've
been going off and on for years, both with DLV and with family.

There was one complaint about no vegetarian entree. I do know that there
have been in years gone by. Vegetarians: Did they accommodate you?

Update: Just heard on line that they seemed to be inflexible WRT special
dietary needs. If we're to use them again, they will need to make
accommodations for things like this.

Yes, yes, I admit I was underdressed. I probably should have worn
something nicer.

Rocky Horror. Started out just fine, but with several film breaks during
the floor show and an abortive attempt to continue with (weak, tinny and
noisy) audio only, it lacked quite a bit. :( Things like this are,
unfortunately, beyond our control.

Issues and incidents:

The biggest issue from an organizational perspective, IMAO, is that
there were far too many (schedule and venue) changes too late in the
cycle. This caused much confusion, particularly regarding the Thursday,
Friday and Saturday schedules, and some changes did have cascading
effects.

I will go as far as to say that our ending was weaker than it should
have been because of the changes and ripple effects.

It also caused some erroneous final schedules to go out to those who
requested the LFM early. I see these changes happening because of two
factors:

1. Vendors (one in particular) insisting on short-notice changes of what
had been agreed upon months prior.

2. Failure of a volunteer to follow through on arrangements, and failure
to respond to queries regarding status.

The combined changes caused an increased workload since several of the
final documents had to be edited for each change, as well as the overall
confusion.

>From an attendee perspective, I see an overall issue which I'm calling
"missed connections" as the major snafu with DLV 2005. This seemed to be
more significant during the first part of the week. This was manifested
in such things as difficulty finding the group, no drivers present at
the rendezvous point, no directions to some activities, etc.

I don't see this as being an effect of the many late changes.

Difficulty checking in. In particular, check-in was not available at the
Welcome Celebration on Sunday when quite a few intended to check in.
More generally, it was unclear as to where and when check-in was
available.

One suggestion was to make the daily Lunch With Ginger an ongoing
check-in point, among the usual others. One related idea I have is to
make up multiple check-in "kits" each with a complete set of name badge
inserts. These are cheap. It's the holders that are expensive.

The Z issue:

Our ORG group seems to be close to evenly divided on both "sides" of
this issue, whatever these sides actually are. There also seems to be a
high level of interest in this issue, since the number of votes received
over this issue was more than either the date vote or the hotel vote.

Nobody seems to be happy about the situation. (Nope, not even them, if
my read on body language and nonverbals is somewhat accurate.) There
were no winners in the little game that occured shortly after the first
of the year. :(

Regardless of the reason or the personalities involved, a certain
percentage of our attendees will not patronize the place. This is one
factor (among many) that has to be considered when selecting venues.

>From a personal standpoint, I am very unhappy that the rug was pulled
out from under us only a couple weeks before DLV. I really don't give a
rat's @$$ who did what or who said what or who doesn't like whom, the
end result was a big pain for DLV and for me! :(

B/D/R issues and incident:

Overall, my observation was that dress and behavior were not only
appropriate, but classy for the most part! The vast majority of our
people want to dress and act appropriately and did so.

Unfortunately we can't state that we had an incident-free DLV this
year. :(

Here are the issues and incidents that I'm aware of.

1. Reported and observed that one person (~6' 200lb) was not
age/size-appropriate or occasion-appropriate in dress at Bahama Breeze.
(mainstream venue) Nobody took any action.

2. Reported and observed that one person (60-ish) not age/size
appropriate or occasion-appropriate in dress at San Remo. (Mainstream
venue) No action taken so far.

3. What (I thought) was our only real incident. This is one person who,
speaking very freely, was not dressed appropriately for any mainstream
venue. This person attracted a lot of the wrong kind of attention at the
Folies show.

At the Mirage stop on the limo tour, she asked me if it was OK to use
the ladies room. I gave the stock non-answer, that I do not work for the
Mirage and can't give or deny permission to use any part of the
property. (Which is very true ...)

Later at the Charles Bar, the same person asked me if it was OK to use
the ladies room. Again, I gave the stock non-answer. I briefly departed
the area, and upon returning discovered that there was a civilian
complaint and security became involved. :(

4. Earlier this week I learned of another restroom incident. This
actually came in to the abuse address (why?) of the domain that hosts
the servers here, so it took a while to get to me. It comes from
Darlene, who I admit I can't place.

+I'm sending this incident for your information and investigation
+purposes for the next DLV. I was satisfied with my own result. The
+gentleman name is "Johnnie Williams Security Shift Supervisor" @ the
+MGM Grand.

+Now I have used the ladies room "ALWAY's when dressed" and have no
+problem in doing so. I go in do what I need to, wash my hand, check
+the hair and exit.(PERIOD) As I was entrying the restroom area I
+noticed the same security person and continued on my agenda. After
+finishing I noticed an oriental lady washing her hand and say "hello"
+and wash dryed, check the hair and out I went.

+Upon exiting the ladies room Mr security person saw me and asked for my
+ID. I gave it to him and he stated,"according to MGM policy your not
+allowed to used the ladies room if you don't have the full package".
+Why did he say that... I simple told him I had been to several other
+casino's in LV and had heard nothing of the such nor were we advised
+anything of the sort prior to our trip. I asked him to see this policy
+for further information purposes and so I would be able to relay this
+information on to other grl's.

+He stated, "than I guess you want to speak with my supervisor", I said
+well if the policy is with him than yes, please. While awaiting his
+return, a GG security (sista) was sitting at their station and ask her
+if this is the normal case situation. She said "NO" and I should
+handle it my way. Upon the reurn with the suprv. base stated the same
+but this time it Nevada law not MGM as was told to me ealier, and "if I
+were to continue I could be arrested". I asked again to see the policy
+and he told me I was hearing the policy. So told him I have breast's
+and am under doctor's care in tranformation from M/F and I know very
+well how to use the ladiesroom and could I have one of his cards. He
+gave me a card and I too gave him one of mine , said thank you and went
+back to to bar to continue enjoying myself.
 
+Each of us would have treated this situation their own way, but I asked
+our waitress, an employee on duty in the casino and another patron as
+we were departing the MGM @ 7am Sunday morning, ALL say there is NO
+SUCH POLICY!!! After that issue I continue doing as any grl would do
+when it's that time to go and had know problem, I even got escorted
+there in the Venetian by a gg assisting me with purchasing an item.
 
+As long as you hold you head up and go in with the purpose of using it
+as anyother grl would and don't make a big deal out of it everything
+will be fine.

I heard nothing of this incident during DLV.

Darlene brings up a few good points, one being that so-called "policy"
is often unclearly defined, arbitrary, and inconsistently implemented
and enforced.

One point I plan on bringing up next year is to state that if anybody
(volunteers included) is asked to "pass on our policy" to the group,
that they state that they can only act as an individual, and that if
they want any policy passed on, they provide it to the group in writing,
either in hardcopy or via e-mail.

Although we said we were not going to slack off on attention to B/D/R
issues, we did. I think it's quite possible that the one who was
obviously dressed improperly did not get "Mirandized" at check-in and
may have been clueless as to what was appropriate and what was not.

We need to either stick to our plans WRT the B/D/R attention or we might
as well ignore it and let DLV degenerate into a dressing free-for all,
which one person (actually 3) obviously thought it was. It has to be
one way or another.

The strange one:

This next one is still somewhat of an enigma. It involves one late
registree who claims to have been unable to find the group on Sunday
and Monday.

The more I think about this, I think it's either a case of cold feet or
just not taking a reasonable degree of effort to look for the group in
the places specified.

The person has requested to be removed from the list (twice) so I did
not attempt further communication.

I went back through the mail, and reconstructed this chain of events. I
as unaware that this was a person who requested last minute instructions
as opposed to one who used general registration.

First, the request for last minute registration info, Thursday evening
prior to dlv:

+Please send last minute information I just heard about
+your event and be in Vegas next weekend and week.
+Thaks, Roberta.

Then the prompt response, literally seconds after the instructions went
out:

+ a. Your name Roberta
+ b. Your SO's name, if he/she will be attending with you. no
+ c. When you will arrive in Las Vegas and when you will
+depart. Friday to Tuesday
+ d. Where will you be staying in Las Vegas. balleys

+ e. In your own words, one sentence is fine, but it must be IN YOUR
+OWN
+WORDS and EXPLICITLY CLEAR, that you have read our Conditions of
+Participation, and our Dress, Restroom, and Behavior guidelines, find
+them to be acceptable, and agree to abide by them. yes, I
+Understand I am looking forward to Diva

Nothing else until Tuesday afternoon, with this very curt FOAD
message:

+I don't know what kind of a scam you run, but I
+want to let you know I just wasted $500 dollars
+on this shenanegan. I tried to find you on
+both Sunday and Monday. on Tuesday I just gave
+up and went home. Thanks for nothing!

This did not make any sense, since I knew that with only the exception
of Flex on Monday, we were where we should be when we should be on
Sunday and Monday and were quite conspicuous.

I responded Wednesday, seeking additional information and received
another very curt response:

I don't know what else we could have done. I don't see this as an issue
where we're at risk of a repeat.

I also heard of one attendee losing her IDs. I never heard how this one
came out. Anybody know?

Some conclusions:

Length of event. I think it was somewhere between the right length and
a bit too long for our active volunteer force.

Weather. It was good for the most part. Significantly cooler than last
year, but this was not due to DLV appearing one week earlier on the
calendar. It was due to the normal variance of weather and temperature.
It was apparently quite cool on the golf course on Thursday.

There didn't seem to be any complaints about conflicting with and major
items such as Mothers Day. Two people mentioned Passover and one stated
she would not be present Sunday because of this.

Size of event. I don't see it getting significantly smaller over the
next few years, but I don't see it drastically increasing. We've seen
a very consistent increase over the years, but lately we've been seeing
some compression and the degree of increase from year to year is
leveling off.

One of these years, normal variance will cause our year to year turnout
to decrease. Not a question of if, just a question of when. Sooner or
later the variance will exceed the increase. When this happens, we don't
want to think of it as anything we're doing wrong. Turnout is one
metric we can use to evaluate DLV, but should not be the acid test.

Yes, I know that some people are on record as wanting a smaller group.

I think the general concept of multi-tracking the group during some of
the evenings worked, with reservations. There were some minor issues,
but I do think that we got a good overall combined turnout on Monday
and Wednesday evenings.

I see this concept (multi-tracking) as one way we can deal with the
capacity of some of our venues, plus a means to break up the group so
it's less obvious.

We also seemed to get a reasonably good turnout at our "sacred"
activities on the weekend evenings.

I think that the overall activity turnout (percentage of our attendees
who actually do things with us) was greater this year. I would say the
same for apparent enthusiasm.

Hotels. Sahara seemed to get the lion's share of our hotel business,
although I think all of our suggested hotels and many others did get
some of our business. I didn't really think that our group was that
obvious at the Sahara except for LW(o)G.

Nobody seemed to be complaining about the lack of any SO-specific
activities. The SOs appeared to just hang around with the group, and in
many cases without the company of their designated other.

Changing of the guard:

I don't mean this next part to be a "bomb" dropped on the group. It's
really no big secret. I do, however, need to state it for the record.

Unless circumstances change significantly, I envision DLV 2006 to be the
last time I (Annie) perform any significant role in organizing a major
t* event in Las Vegas.

This is something I've thought about long and hard for some time now,
several years, actually, and is not a result of anything specific, and
certainly is not a result of anything negative.

I'm not getting any younger, I have many other irons in the fire, and I
think I've done my part. It will be time, and ten is a nice round
number.

I think I'm giving adequate notice here. The first event this will
affect will be DLV 2007. There is a lot of talent in the ORG group, and
DLV has now grown to the point that it's very close to being
self-sustaining.

One thing I intend on being very adamant about is that I don't want this
distract from the planning of DLV 2006. I want to see our energy focused
on planning and implementing DLV 2006 over the next 11 months, as
opposed to pre-planning and what-ifing and reorganizing and such for
