Org List:
This is the DLV 2005 Organizational Mailing List (dlvorg@geekbabe.com)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.
Ongoing activity database appears on the web at:

Getting back on track:
Hope everybody had a nice holiday season. :) Welcome back.
Wow, we've already broken 50! :)
Latest (re)registration numbers are:
Validated primary attendees: 41
Validated SO's: 9
Total validated headcount: 50
That's up about 30% from this point in time last year. :)
Fasten your seat belts, gang! Signs are pointing to a very heavy
turnout! :)
. . . . .
The "slack" phase of the DLV planning year is now over. The next few
months is when we firm things up and make it happen.
There are only two items in this mailing, a timetable and the infamous
Laundry List. Please look over the Laundry List carefully, as there are
things on there that pertain to almost everybody.
Over the next 3 months, our primary focus needs to be on the activities
and our schedule, and what we need to do to make things happen.
The next ORG mailing will contain all of the material that was received
over the past 2 weeks or so. Depending on volume of material yet to
come, it will either come out next Wednesday or this weekend if the
volume is high.
. . . . .
Here's what I currently have as far as a timetable of milestones over
the next few months:
January 1: Re-registration for returnees open. This just happened. See
above.
February 1: Registration for newcomers who are on the list opens. For
the past couple years, this is when the glut of the registrations starts
to come in. This is also when the Big Sister requests from newcomers
will start to come in.
March 1: General registration opens. Registrations will continue to
trickle in until show time. This is when we will start getting a good
idea of how many bodies to expect, and if there are any unusual
situations or needs.
March 15: Target date to have all schedule items solid, meaning we have
time, place, and details for every nontrivial activity.
***
*** If anybody thinks that this date is not workable for any activity,
*** please let it be known ASAP.
***
March 31: Drop-dead date for planning and scheduling of all activities
that need a sign-up. It's very easy to add them before this date,
impossible after sign-up starts.
As we've seen from experience, activities that need a sign-up or a
hoop-jump which do not make this will have a low turnout.
April 1: Activity sign-up opens.
April 20: Drop-dead date for all material for the Large Final Mailing.
April 21: LFM goes out, registration closes, activity sign-up closes.
Last-minute registration goes into effect.
April 24: Show time! :)

Laundry list:
For those of you who are new to organizing DLV, We keep what I call a
Laundry List of open items and items that need attention and I'll update
it and repost it frequently as we approach DLV-day. Yes, some people
call it the "nag list", but it does let all of us know where things
stand and what needs to be done between the current point in time and
DLV time.
And, if you notice anything obviously missing, please write in and put
it in the next Laundry List.
Most of the current Laundry List items now have to do with the schedule
and activities, particularly the holes in the schedule, timeslots that
need to be filled.
. . . . .
If you're signed up to coordinate something and you know you will not be
able to make it this year, or for some other reason can't follow through
on your duties, please let us know as early in the process as is
possible.
Also, please do your best to keep in contact. If you change your e-mail
address, please let us know. If you're going to be out of contact for a
while, please let us know.
If your name keeps appearing in the Laundry List and we don't get any
response over several weeks, it puts us in a major bind. We don't know
if it's a technical issue, if you're majorly busy with other things, or
if you have fallen off the face of the earth. Please be communicative
even if it's only a note saying that you are still there and are still
active.
If we totally lose contact with you, and this has happened already this
year with one formerly very active volunteer, our only option is to
assume the worst, and assume that you will not be with us. We'll then
have to get others to fill in for what you've volunteered for. That's
one reason I would like to see a designated backup for the nontrivial
activities.
. . . . .
The good news is that we're off to a very good start and the skeleton
of the schedule has taken shape quite well.
In particular the daytime schedule has filled out nicely. 2-3 years ago
we were very weak on daytime things, but that is not the case this year.
We have at least one nontrivial activity happening each day. This is a
Good Thing<tm>. :)
However, the other news is that several major evening timeslots, in
particular those on some of our prime evenings, are still empty.
. . . . .
I would like to ask everybody to please look over this list.
If your name and/or activity is mentioned, please respond to let us know
what the current status is, even if it's just an ACK to say that you are
still with us and things are on track.
If you see an item referring to something that needs to happen to fill
a blank spot, please consider helping out with that one.
. . . . .
And now, the list ...
Yeah, it's long now, but it will get shorter as bases are covered ...
(in no particular order)
* Miniature golf (or putting session)? Going once. Needs to be adopted.
Any volunteers?
. . .
* Downtown/Fremont Street Excursion? Ditto. Going once. Needs an
adoptive parent to happen. Volunteers? Draftees? :)
. . .
* Late-Night gambling expedition? Volunteers? Going once ...
. . .
* Ginger, last I remember, you were still gonna have the daily LW(o)G at
the Sahara Buffet. Is this correct.
. . .
* Diane, for the Ballroom activity, can you please write a couple of
paragraphs describing the details of this? I want to use this as the
featured activity in one of the earlier mailings, but I really don't
have enough details on it to do it justice. Thanks in advance. :)
. . .
* SO activities? Lee? Sandi? others? Any more thoughts or plans? C&A?
If the registrations so far are any indication, we can expect a large
SO contingent this year, larger than we've ever had in the past.
Any other volunteers to do SO activities? This is not limited to those
whose names are mentioned here.
If we are going to have one or more, we do need to get it/them on the
schedule, announced, and on the activity sign-up if necessary.
. . .
* Nora. I show you as volunteering to coordinate one of the major dinner
activities. Any thoughts to where or what day?
. . .
* Julie? Laughlin trip? Edwards Twins Show? Any news? Plans? Is this
still a possibility?
. . .
* Skydiving? (ducking, running, hiding) :) Hey, it's on the list.
. . .
* Gina? Shooting expedition? I know you updated us on the 4x4 thing.
. . .
* Monday, Bowling. Michelle, is this still a "go"? Still Sams Town?
. . .
* On Monday we need a venue for Happy Hour, and do we want to have some
kind of a meal, maybe Hard Rock, Bahama Breeze, or something similar?
(Nora? Deb?) Maybe something new and different for either or both?
. . .
* Tuesday evening? Do we want to have some kind of a local alternative
for those not going on the Night Of The Soiled Doves?
. . .
* Wednesday, I'm showing Me, Nora, Michelle (NZ), Ginger, Crystal, and
Lorraine as being hostesses for Eating Out Night.
Although this does not have to be done right now, please be thinking of
where you want your group to dine, both in general terms (theme, type of
cuisine, etc.) and even specifically where. You'll have until the
deadline for the LFM if you need this, but please be thinking ahead. We
don't want 5 people to announce the same place just before the LFM goes
out.
We'll probably want to have one "safe" venue, one buffet type one, and
then a good mix of other types.
There's really no busy work for this one. All you really have to do is
to pick a place and agree to be there on time.
. . .
*** Thursday brings up a big hole in our schedule. Normally we've done
some kind of a show just prior to the Limo Tour and opposite the Pity
Party. As you may remember, the show we had penciled in has closed, so
that timeslot is empty.
Suggestions?
Volunteers?
. . .
** Friday evening has some empty timeslots.
We've tentatively agreed to move the Annual Mixer over to Zingers that
evening, we've had no objections, so I'm considering that one a done
deal.
Traditionally we've had a dinner (last 2 years at Carluccio's) followed
by our Annual Mixer and Dance Night.
As some of you may know, Leah, who coordinated the Carluccio's dinner
in 2003 and 2004, is still out of contact.
We're not married to the Carluccio's thing, but we definitely need to
fill in the blank here.
. . .
* Dance Night, Friday. I seem to recall that Jenni is on record as being
the primary coordinator for this. Is this correct?
. . .
* For Saturday. Mindy, Nora, is the Garden Party still on track? Is this
to be a joint SBS/DLV sponsorship this year? If so I want to be sure to
get the nomenclature on the schedules correct. Nobody corrected me last
year until after the fact. Location?
. . .
*** Saturday evening. I see this as one of our biggest holes that needs
to be filled, and I'm asking everybody to put on their individual and
collective thinking caps on this one.
We most definitely want to avoid the down-hill fizzle-out we had last
year. Saturday *is* the big evening of the week. I sure wanna see a
>>BANG<< here instead of Pffffffttt. Show? Dinner? Dinner-show? How
about something later for a good dose of that QST?
. . . . .
Anyway, please look over the above list, respond where your name or your
activity is mentioned, and feel free to comment or suggest on the items
that are still open.
Thanks, gang! :)
