Org List:

This is the DLV 2017 Organizational Mailing List (dlvorg_at_divalas.vegas)
Replies to this message will be forwarded to the DLVORG list and not
the DLV-Announce or DLV-Discuss list.

Latest updates:

This is last call for any activities which will need any kind of
sign-up, headcount, pre-payment, hoop jump, etc. We want to get the
Activity Sign-up rolled out toward the beginning of next week, so any
activities which need a sign-up will need to be solid as of that time.

We'll do a detailed pre-sign-up review below.

As for the exact timing of activity sign-up, we would like to have
things solid enough to do a test activity sign-up mailing to this group
next weekend, to shake things down before sending out to the Teeming
Millions. If all info items are solid, we'll do the main sign-up mailing
Tuesday or Wednesday of next week.
. . . . . . . . . .

As has been the case for the past several weeks, we've had a number of
schedule changes again this week. Please look over the schedule at the
end of the mailing and scream if anything does not look correct.
. . . . . . . . . .

Thanks to all for stepping up and getting things in place! We're going
to have another good turnout and great event this year and, of course,
it's due to the efforts of this gang that it will happen! :)
. . . . . . . . . .

A couple of late-breaking updates.

At 1:00pm on Thursday we'll have the Creatve Wigs Workshop at the Bahama
Breeze. Dionne will be the DLV Coordinator of this.

It's confirmed that the Studio Lites shop in Las Vegas is open for
business and they will be hosting an Open House for our gang. Day and
time to be determined.

Marisa is reporting that the contract is in for Off The Strip on
Thursday, so that is solid. This was highly-rated last year and it
appears that we're on track for a repeat this year.
. . . . . . . . . .

A couple of stragglers:

On Tuesday, March 28, we still need host(esse)s for Lunch Without Ginger
and Late Night Dancing. On Wednesday, March 29, we still need a
host(ess) for Late Night Dancing. The actual duties are minimal, and
these are great for new volunteers and a very easy ticket to voting
status.
. . . . . . . . . .

As of Wednesday morning our sign-up has hit 143 and the rate of sign-ups
has increased to about two per day.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
Activity sign-up review:

Annie writes:

Yes, this is long, and I know this is a royal pain to do, but please
take a few minutes and look over the following list.

All activities which will appear on the activity sign-up screen are
listed here. Please look this over, particularly if you are one who is
coordinating one or more activities which will need a sign-up.

One thing to be sure is that the type of sign-up you need is correct.
Here is a quick review. You can compare this summary to the actual
sign-up types in the details below. It's very easy to add a sign-up or
change the type of sign-up before we send the activity sign-up mailings
out, but after that time, trying to change it is kinda like un-ringing a
bell. :)

Sign-up types:

1. No sign-up, just show up. This is for most of our activities, those
where we really do not need to know how many will be present. These will
not appear on the activity sign-up screen and do not appear in the list
below.

2. Sign-up requested for headcount. This is for activities where we want
a rough guess of how many will be present, but the exact number is not
important. If someone signs up but does not show, no harm, no foul.
Ditto if someone shows who is not signed up.

3. Sign-up requested (but not required). This is for cases where we want
more than just a rough guess of how many will show, but do have some
wiggle room.

4. Sign-up required. This is where we need a close-to-exact count. We
also have two additional options on this, neither of which are used so
far this year, options to restrict sign-ups to those with a valid cell
phone on file, and another to disallow sign-ups from anyone with any
no-show or no-pay notations on file.

5. Pre-payment required. This is where payment needs to be made in
advance of the activity, and it's the act of paying that actually
consummates the sign-up.

Mac makeovers:

Lori writes:

Here are my thoughts.

I was planning on arriving Sunday. I will talk with the Gals at Mac and
see if we can schedule Sunday, early evening.

Then I was planning on Monday and Tuesday afternoon probably asking the
attendees to schedule between 1 - 3.

Diva Girls will need to call Mac directly to schedule their time between
the times that we have agreed to. (That was the request of Mac)

Do you also have a way to see who signed up? Mac will have plenty of
capacity because if they get too busy they will be able to spill over
into the other makeup counters.

Girls can schedule times and tell the Mac counter what they would like
help with, i.e. Smoky eyes, blush, foundation match, etc..... It would
tell the girls that a minimum purchase of $20 would be required.

Girls can also ask for a full makeover as well with the understanding
that the minimum purchase would be $40.

I will be there each day at the designated times to meet and greet and make
the gals feel welcome and comfortable. Please let me know if this sounds
okay to you?

Now I just need to figure how I catch up with you all while there, like
Sunday night how would I find you all?
. . . . . . . . . .

Annie responds:

Thanks Lori!

Here are some of my thoughts.

Sunday will be an arrival day, and historically a Sunday start day has
usually been a slower day for the DLV folks. In light of that, if I were
doing it (which I'm not) :) I would not try to do any Mac sessions on
Sunday but concentrate on Monday and Tuesday.

I suspect that the greater demand will be on Monday, prior to our big
evening gathering.

Unless you say otherwise, we'll schedule the Mac makeovers on Monday
and Tuesday. Please let us know if you want to keep with the Sunday
session as well.

Yes, you'll be able to keep track of sign-ups. We'll note "Additional
Action Required" on the screen.

Most of Sunday is centered around downtown. I (Annie) will most likely
be "holding court" at Denny's in the late afternoon and Marisa will most
likely be "holding court" as well at Gold Spike, a block or so away, so
there will be two before-dinner touch-base points where you can meet up
with the gang.
. . . . . . . . . . . . . . . . . . . . . . . . . . . . . . .
TopGolf:

Lori writes:

Not sure, as you are not either, what the desire is for people to do
this.

I have been to topgolf before and I am not sure that contacting them is
necessary, unless we get a huge turnout. Basically the girls could just
show up and we could get a station and play for an hour.

Thoughts?
. . . . . . . . . .

Annie responds:

That sounds like it's probably the best approach to take.

For a few years now, Ginger has been stressing the idea that simpler is
better when it comes to DLV activities and in most cases this seems to
hold true.

We'll put this on the sign-up screen as a "Sign-up requested" with an
approximate $$$ range. We'll put the "full" flag up at an estimated
show-up count of 20. As with the Mac makeover sessions, you'll be able
to see the sign-ups as they come in.

For the Indian Restaurant I gave them the same number - 20. Okay, we (I

two eating establishments

I can give them some solid numbers.

Both Magnolia and Taj Place have been set to 20 max. You'll be able to

> Biggest burning question now is how many to limit the Indian place to.

From my experience doing dinners in the past, I find it important to
know how many the restaurant can accommodate first, and then build the
activity around that. No one should have to worry about being turned
away because of overbooking.

I am looking forward to this event, I might do it myself, transportation
can be a challenge due to its remote location, I'd like to see some more
information about transportation arrangements for going to and from the
site. Hopefully it wouldn't be a problem to request an Uber/Lyft to
return home.

I don't think anyone should ever have to endure a loss. I did a dinner
years ago, I came up short, about $15. I ate it and said nothing. In my
case I chalk it up to incorrect math on my part, as the check was only
itemized to the point of each item broken out but the tax and tip were
in separate line items. It would have been nice if each person's bill
was broken out to show a final amount of food/drink, tax, and tip, but
their system was not programmed to do that. So there were I'm sure some
cases where I asked less of each person than I could have. I had
absolutely no problem with receiving appropriate payment from any of the
people who attended. I continue to have faith in that our people are
willing to pay for what they get.

As much fun as I had back then, I wouldn't want to go through that
headache again, I'll stick to places that do separate checks. Best
wishes to all concerned.

Taj is at 9530 S Eastern Avenue, am I correct. Google maps tells me it's
10 miles by freeway, will there be enough time for people to make the
Limo Tour. This place is interesting to me, and I have nothing else
planned afterward, but the location is kind of remote.

Payment information please as well, thanks.

I admit I'm having some trouble understanding this, I think the concept
is worthy of clarification. But does anyone really need to be a banker,
large amounts of cash can be problematic in many ways, certainly a
safety issue.

It can unfortunately be a source of stress.

True, I do believe flexibility is key.

I have an open mind about this.

I think communication is extremely important here. I fully understand
that different places have different policies concerning payment. I
would hope that every event coordinator would thoroughly research and
convey the payment information for their so all concerned will be aware.

I personally only patronize venues that allow me to pay my own bill with
my Visa debit card, as I do not use cash at all. I recognize that can
preclude my participation in certain venues, I understand that and I own
that. I think what is most important is that everyone concerned knows
how things will work and that there be no surprises.

I would like to hear more out of the box ideas concerning arranging and
paying for events. I am open to prepayment through a PayPal or other
website, I'd have to see the specific situation. Prepayment is becoming
more common in many venues through platforms such as Groupon, I am only
just beginning to explore and learn about that.

I am very much impressed with the selection of the Fulton Street Food
Hall for one of the lunches, it's been a favorite place of mine,
definitely user friendly, though I don't get over there very much.

Giordano's is a good place, I ate there when I was in Chicago. I went to
the Giordano's here in Las Vegas to get some hot pizza to bring back to
the house. I was made aware at the pickup window of the 40-50 minute
wait time for fresh hot Chicago pizza. I believe that is just the nature
of preparing Chicago pizza. I was able to buy a frozen Chicago pizza and
took it home and baked it. I don't know what the cooking times are for
table service, haven't asked about that. I have found the staff and
Giordano's Las Vegas to be very helpful to me in my several interactions
with them. It is important to keep the long cooking times in mind and
communicate that in advance.

My situation of eating Chicago pizza in Chicago was very different, I
went to the Navy Pier location during lunchtime and ordered a personal
size pizza from a special express menu, I think I only waited about ten
minutes.

1 or 1:30 fine with me, that's 1300 or 1330 for those of us like myself
using military time.
. . . . . . . . . .

Annie responds:

My hunch says it would be very tight trying to do dinner at Taj Place
and making the Limo Tour. This is keeping in mind such things as our
group's propensity to run late at dining activities and the ever
increasing traffic issue in the vicinity of Caesars Palace.

It's very seldom that any of our dinners takes less than 1 1/2 hours.
Even if dinner at Taj Place wraps at 8:30pm, it's still a good 20-25
minutes under the best of circumstances from Henderson to Caesars, and
that would be really cutting things close.
